With the increasing complexity of payment methods, businesses often have to face slow processing times, reconciliation errors, and security threats. [Payment processing software](https://www.capterra.com/payment-processing-software/) can address these issues by automating routine tasks, preventing fraud, and ensuring compliance with industry regulations.

However, it is important to understand the software’s features before investing to ensure that you get the best solution that aligns with your specific needs while driving operational efficiency.

To help you with your search, we’ve determined five key payment processing software features based on the ratings given by verified software users. We also include the highest-rated payment processing software for each feature.

## 1\. Electronic payments

The electronic payments feature in payment processing software facilitates the transfer of funds between parties, such as customers and merchants, through electronic means. This feature helps businesses accept payments online, in-store, and through mobile devices. It typically supports various payment methods, such as digital wallets and bank transfers, allowing hassle-free processing of payments within the business workflow.

It may also include the capability of automating recurring payments, which is particularly beneficial for subscription-based businesses. Lastly, it facilitates multi-currency transactions, allowing businesses to accept payments from customers around the world.

### What business problem does electronic payments solve?

Here are some key business problems that electronic payments help solve:

- **Cash handling and security risks**: Physical cash is vulnerable to theft, either from internal sources and external threats. Moreover, managing cash requires resources, such as secure storage facilities and transportation to and from banks. This feature reduces the need for physical cash management, lowering the risk of theft, loss, and the costs associated with cash handling and storage.

- **Slow checkout process**: Counting cash, making change, and verifying the authenticity of bills can slow down the checkout process, leading to more customer frustration and long waiting times. Electronic payments facilitate quick processing of transactions, often with a tap, swipe, or scan. This reduces waiting times and improves customer satisfaction.

- **Payment tracking and reconciliation issues**: Manual tracking and reconciliation of cash transactions can be error-prone and time-consuming. This can further lead to discrepancies in financial records. The electronic payments feature automatically records transaction details, creating a clear, accurate, and easily accessible record of all payments.

### How users benefit from the electronic payments feature

Here are some excerpts from the reviewers of the electronic payments feature, describing how it helps them:

> _“Electronic payment eliminates the risk of human error when manually entering payment information, and reduces the risk of incorrect transactions.Transactions are processed almost instantly, reducing wait time for customers and improving the overall speed of transactions.”_
>
> _“Donations received from donors as well as deposits into our bank account are efficient and timely. We are notified when we receive a donation, and acknowledgments are automatically sent so people have a receipt. We follow up with a thank-you letter.”_
>
> _“Electronic payment deposits to our accounts are a huge convenience and provide a good audit trail of transactions down to the individual and credit/debit card that was used.”_

## 2\. Data security

The data security feature protects sensitive information, such as personal information and credit card details during online transactions, ensuring that both businesses and customers are safeguarded from fraud, theft, and data breaches. It typically uses advanced encryption methods to protect data.

The feature uses tokenization, regular audits, and real-time monitoring to enhance data protection. Additionally, it offers role-based access control that limits user access to sensitive data and payment processing functions based on the user’s role within the organization.

### What business problem does data security solve?

Here are some key business problems that the data security feature can help solve:

- **Data breaches:** Businesses can face significant risks if sensitive payment information is compromised. It can lead to severe financial losses, reputational damage, and legal consequences. Data security methods, such as encryption and tokenization, protect sensitive data, making it difficult for unauthorized parties to access or misuse it.

- **Regulatory compliance issues:** Non-compliance with data security regulations, such as Payment Card Industry Data Security Standards (PCI DSS), can lead to hefty fines and legal penalties. The data security feature ensures that businesses adhere to regulatory standards, reducing the risk of penalties and helping businesses process payments legally and securely.

- **Reputational loss:** A data breach or a series of fraudulent transactions can negatively impact a business’s reputation, further leading to a loss of customer trust and a decline in sales. Data security features help businesses protect their reputation by preventing breaches and fraud. This helps maintain customer confidence and loyalty, which are important for long-term success.

## 3\. Transaction monitoring

Transaction monitoring in the payment processing platform tracks and analyzes financial transactions for potential irregularities or suspicious activities that deviate from established norms. It goes beyond fraud detection to include compliance checks, risk assessment, and identifying potential money laundering or other financial crimes.

Businesses can use the feature to detect fraudulent transactions, including unusual spending patterns and high-risk transactions, and set up alerts or automatic actions to mitigate risks. This feature often leverages machine learning and artificial intelligence to enhance the security of online payments.

### What business problem does transaction monitoring solve?

Here are some key business problems that transaction monitoring in payment processing software can solve:

- **Fraud detection:** Financial fraud, including unauthorized transactions and identity theft, pose a significant risk to businesses and their customers. This feature analyzes transaction patterns in real time and flags potentially fraudulent activities, such as abnormal transaction amounts and frequent transactions from high-risk locations, helping businesses take immediate preventive actions.

- **Frequent chargebacks:** A chargeback is a credit or debit card transaction that is reversed by the cardholder’s bank after they dispute a charge on their account. Frequent chargebacks can result in penalties from payment processors, increasing operational costs and damage to customer relationships. The feature detects fraudulent transactions before they are processed, preventing disputes from escalating into chargebacks.

- **Customer dissatisfaction:** Security concerns and increasing fraud can reduce customer trust, leading to lost revenue and sales. The feature enhances the security of financial transactions by analyzing transaction data in real time, contributing to positive customer experiences.

It often includes support for various card types, tokenization for enhanced security, and integration with payment gateways to facilitate smooth transactions.

### What business problem does debit/credit card processing solve?

Here are some key business problems that the debit/credit card processing feature can solve:

- **Cash flow management**: Handling large amounts of cash or waiting for check payments can complicate cash flow management, increasing the risk of theft or manual errors. This feature helps businesses process card payments electronically, providing quicker access to funds and reducing the need for maintaining physical cash.

- **Transaction reporting**: Manual transaction reporting can be prone to errors. Debit/credit card processing includes the ability to generate detailed electronic records of each transaction, including timestamps, amounts, and payment methods, which facilitates accurate financial reporting.

## 5\. Payment fraud prevention

The payment fraud prevention feature in payment processing platforms detects and mitigates fraudulent transactions before they are completed. It utilizes machine learning algorithms and statistical models to detect anomalies in transaction data, such as unusual spending patterns or inconsistent information to assess the likelihood of fraud.

This feature may also offer geolocation tracking, allowing businesses to compare the location of the transaction to the user’s typical location to spot any unusual activity. Additionally, it helps businesses maintain lists of fraudulent accounts or trusted entities to either block or prioritize transactions.

### What business problems does payment fraud prevention solve?

The payment fraud prevention feature helps businesses solve the following challenges:

- **Financial losses:** Fraudulent activities directly result in financial loss for businesses, including chargebacks and refunds. The feature leverages advanced machine learning to analyze transaction data, helping businesses identify patterns indicative of fraud. It can flag suspicious activities in real time, allowing for immediate intervention.

- **High operational costs**: Investigating fraudulent transactions manually can be time-consuming and labor-intensive, requiring support from customer support and fraud prevention teams. This feature automates the process, minimizing the need for manual review and intervention, and reducing labor costs while increasing operational efficiency.

- **Regulatory risks**: Businesses handling financial transactions are subject to several regulations, such as PCI DSS and data privacy laws. This feature helps protect consumer data from unauthorized access, ensuring compliance with data privacy laws. It also identifies suspicious transaction patterns to detect potential money laundering activities, aligning with anti-money laundering (AML) requirements.

**Key features**: To identify the key features of this article, we asked users to rate, on a scale of “low importance” to “critical,” how important different features are for payment processing software. The features showcased are those that the highest percentage of reviewers rated as “highly important” or “critical” over the past two years (as of August 21, 2024).

**Feature eligibility**: To be included in the set of features considered, a given feature had to have at least 200 user ratings within the past two years (as of August 21, 2024), of which at least 20% must indicate the feature is “critical.” Eligible features were determined from two sources:

1. Our research team’s review of public information about payment processing software usage, definitions, and associated features.

2. Reviewers’ indication of the features they use for payment processing.

**Product selection**: To identify the top-rated products per feature, we evaluated user ratings for products that offer each feature. For a given product, reviewers rate each feature on a scale of one to five stars. A given product had to have at least 20 user ratings (between August 2022-24) for the feature in question to be considered.

**Review excerpts selection**: Review excerpts are passages extracted from longer reviews written by verified reviewers. We obtain these excerpts by applying an algorithm that considers factors including, but not limited to, length, sentiment, topic coverage, and thematic relevance. Excerpts represent user opinion and do not represent the views of, nor constitute, an endorsement by Capterra or its affiliates. Excerpts are not edited for clarity or grammar.
