It Has Better Options Than Acumatica" July 14, 2023 1.0 The realization that we made a honorably mistake and should have selected a different system. And I fear that when we express our frustrations that they will kill off our service as they have expressed this directly to me in a veiled threat during one of our conference calls. Pros At this time...Nothing. Internally we call it Crapmatica. Cons Acumatica ERP software, in my experience, has been quite disappointing. It falls short in several areas, and I can't help but feel frustrated with its limitations. One major issue is the lack of basic reporting features right out of the box. Unlike other accounting software, there is no intuitive "drill down" function available anywhere in this ERP system. Instead, finding information requires a tedious search or running multiple reports on top of each other.What's worse is that certain essential reports are simply missing, forcing users to rely on costly implementation services to create custom reports. Even then, any necessary adjustments come with an additional financial burden. This lack of flexibility and the associated costs are significant drawbacks.The payroll system, a critical component of any ERP, is another letdown. Despite its high price tag, it fails to deliver reliable functionality. This can cause major disruptions to business operations and create unnecessary stress for users.Furthermore, when it comes to analyzing sales data and estimating costs and hours spent on a specific customer during the opportunity phase, Acumatica proves to be inadequate. The system lacks the necessary tools to input this information for opportunities, such as quotes or bids. Pros Acumatica is highly customizable and has a great support team. There is also alot of information available through Acumatica's learning material as well as forums where many answers are found. Cons The most difficult part of Acumatica is if it's not fully brought on board and understood from the start, the cusomizations applied to the structure end up costing both time and money, because with each update, there's extra work to keep everything functioning the same. But, if you've got someone on your team who understands these sort of customizable cloud ERP systems, and the company, and this person is able to determine that Acumatica is a great fit, this is a great product for sure. Like most ERPs, it's very basic out of the box and you will definitely go through a painful implementation process, needing to rely on a team of good developers (it's critical to have one for this software as it's not easily customizable as Salesforce, for example). Accounting is not basic, so you will have most functions that Quick Books have(it's just more rigid and it's harder to correct things because it's an ERP and all transactions are intertwined with Operations and Sales portions of the software). Pros Accounting is pretty developed, it's a full ERP, and as long as you "feed" the right information from your CRM/ Field units, everything works great together. You can sort and filter most list views which is very helpful if you are trying to find discrepancies.Basic reporting is available. The system is pretty reliable and rarely goes down. Cons Data storage is very old school, you have to upload files one by one and click to open them one by one to see what's there. No preview is available. Each file opens in a different window/tab, so it's pretty hard to look through a bunch of photos from field techs, for example. This software can be glitchy when it comes to upgrades and updates. The more you customize, the harder it gets. Pros Acumatica makes coordinating daily tasks and project resource planning so easy that we can control them to ensure they are completed to the required standards. It is easy to use for all team members at all levels, it can be adapted to meet all needs as well, and enables them to collaborate with each other to complete jobs quickly and accurately. I like that it integrates with most of the applications we use, which gives us enough flexibility when importing and exporting data to and from it. I love the capabilities that it provides, which gives you the best reports, especially those related to financial data or progress rates, which are comprehensive and have an attractive appearance, in addition to that they are easy to understand, and the sorting and filtering tools provided by Acumatica, enable you to filter and find the information you need easily. Having a government auditor (DCAA) review the system and gain approval was nerve wracking, but they were very impressed with the system. The flexibility for a growing organization that struggles with blockages has really allowed us to focus on our growth initiatives instead of worrying about our system. Pros The flexibility the system provides allows our team to work in different aspects of the business while addressing our individual needs and having data connected. Being able to search is a very big pro for us. While we have some customizations for our DCAA compliance, the majority of the system is native and comes down to configuration, which was a requirement for our ERP selection. Cons Some of the controls can be improved as once something has been submitted/approved, it can be hard to fix upon reviews (ex. Journal Transactions can't be adjusted once released, so you have to reverse the entire entry and start again). There are a lot of tables that are named similarly, so building inquiries or trying to find the correct table and field can be challenging. As an end user, the free training material made it pretty easy to get up to speed on each functional area. Once we found a configuration that worked for us and got some experience and connections in the community, we have been able to create new screens and features that we could only dream of on our legacy system. Pros What can't be configured can be customized to add new functionality or just adjust core functionality. This allows us to mold the ERP software around our business in contrast to so many other software solutions. Cons I really want a slice of inventory by valuation type. We use a suffix on our locations to get to where we need to be, but I'd like to be able to specify a single location for new, repair, broken, and any other classification we may want to make for a part and identify that the specific inventory is new, repair, broken, etc. From that, I should be able to pull a simple dashboard of how much inventory I have on hand that is new, repair, broken, etc. without having to use separate warehouses or locations. Reason for choosing Acumatica Cloud ERP Flexible licensing options gave us the ability to do business process outsourcing to provide our services to our clients. All the core functionality was in the base product. We were able to test drive it, study training material, and even customize it before making a commitment to switch to it. My experience with them has been unparalleled as far as their commitment to the product, the industry, to their resellers, and their customers. Pros In addition to Acumatica's robust construction features, the open API, volume of integrated products (and unlimited ability to integrate to any platform), and the strength of features available beyond traditional construction-specialized ERP platforms (eg: automated bank feeds and credit card feeds for automation of bank and credit card reconciliations, native expense management with OCR recognition of receipts, robust manufacturing and distribution features) as well at being true, native, cloud and unlimited users make this the best ERP platform for the construction industry today - and position it to be the leading construction ERP of the future. Cons The only recommendation I would have to construction contractors considering Acumatica is to consider using a third party for field time entry. While Acumatica has this functionality, and it is included in the core licensing, based on my extensive experience in the construction industry, the time entry UI on the mobile app is not as efficient as it is in third-party products that are dedicated to capturing field labor time in the construction industry. Pros Acumatica is a great ERP and project management solution that allows us to track orders and information in the field, as well as add partners and suppliers and provide them with access to specific tools to track their orders and update their data and completion percentages of their activities. Acumatica enhances team collaboration, so one colleague enters data while another colleague gets access to project details that help them complete their task. I love how Acumatica allows us to export data for use in another system and also for audits. Acumatica has enabled us to improve field interaction, simplify operations, and make quick decisions without lengthy meetings. Acumatica enables progress tracking and bottlenecks along the project lifecycle, as well as cross-departmental collaboration to discuss, answer general inquiries, collect data, and automate processes, allowing employees to focus on problem-solving and follow-up tasks more efficiently. It was Nexvue's support and expertise that made Acumatica the system we have today, and we could not have done it with out them. Pros In certain aspects the software allowed for enormous flexibility. Item classes and Financial Sub-\\Accounts. Open Architecture for creating modifications. We created a fairly large number of modifications, written and implemented by Nexvue, that turned Acumatica from a really good system to an exceptional one. This should be rectified sooner rather than later. Also, writing reports is not easy; we used our rep at High Touch to write all the reports. Pros Cloud based so that it is easy to access from anywhere, but also a plethora of security options such as MFA and IP access restrictions means it can be made secure as well. Extremely customizable, pretty much any page or screen you encounter can be changed to better match the needs of your users. Features a built in reporting option that makes creating financial reports a breeze, and a downloadable report designer to handle any sort of complex reports. Highly customizable in regards to it's ability to import information from external systems as well as it's ability to export. Cons No necessarily a con for ourselves but the highly customizable nature of Acumatica may mean that some customers may not be able to take full advantage of the system without a skilled technical users on staff. Additionally Acumatica does not feature a Canadian payroll module yet and we need a 3rd party software to make up the difference.
