Envision has been excellent to work with and the customer service is superb. As a start-up company it was pretty simple to get everything set up and going.

Pros

It has bundled most everything needed into one package and is pretty user-friendly.

Cons

The charting aspect still isn't perfect but much better. Also the client images would be nice if you could take the picture in the software that had a grid to help keep pictures consistent.

### "Misleading Claims of Software Capabilities and Support is Lacking Once the Sale is Made"

We were told we could replace our EMR with this one-stop solution and that's simply not at all true. The "EMR" in this software dos not comply with regulations and will not work for any practice that provides medical services as opposed to medspa services. Salespeople and onboarding contacts simply seem to disappear once the sale is made. We were reduced to begging them for help and though they could never seem to find the time to help their billing team never missed a bank draft. I'm left to dispute charges with our credit card company even after cancelling.

Pros

I like that the PatientNow platform is easy to navigate. We transitioned from another EHR system and we were able to scan previous charts into PatientNow and organize them properly.

Cons

The PatientNow payment collection function could be improved. We are having issues updating our Pax machines to properly reflect updated fees. Support has tried to help but it seems to be a work in progress.

Easy to learn. The charting is easy, templates are nice. I like that the patients get texts reminders for appointments.

Pros

The sheduling system is nice and the text communication. I also like that we can send out mass marketing emails and texts.

Cons

Not being able to keep patient photos in charts. We use a separate system. It would be nice to have the before progress and after photos in the chart along with editing tools.

We used the app and system for 2.5 days and they are charging us for a 12 month contract. Who does this??? Patient Now, that’s who! The grass is NOT greener on the other side. They said that their system could do much more than it does. But now they won’t let us out of the contract! Don’t sign up!!!! It’s so bad that we will have to pay a year without using the software!

Pros

Customer service is nice. Sales rep went out of his way to say yes to everything. They do not understand what a med spa needs and how the providers need to see the scheduling system. The decision makers hide behind the super nice customer service reps.

Cons

Their systems don’t communicate with one another. Patient Niw and Rx Photo have been created by 2 different companies prior to the companies partnering. The apps that our spa providers use are NOT user friendly. We have used Daysmart for years and it is much better with Rx Photo than Patient Now! We should have never signed a contract and now regret it!

Patient Now is a robust software for multi-practitioner and multi-location practice.

### "STAY AWAY AT ALL COST! Worst EMR System ever! "

We had 4 weeks of training, and had to practice to use PatientNow. But a system you use everyday has to be easy. It was very difficult and they get you with a one-year contract which you can't get out off. We purchased a marketing from PatientNow as well. They said it will take about 6-8 months to see results reflected to our website. But at the 5 month mark, they changed into a new marketing company and forced us to try them out due to the contract. It was a horrible experience.

Pros

There is nothing good about this EMR system. The only good part was the person assigned to our account.

Cons

Unfriendly user interface: The program required hours of training, making it difficult for our staff to use efficiently. We had to train more than a month. Daily malfunctions: The system frequently malfunctioned, disrupting our daily operations. Weekly program crashes: The program crashed on a weekly basis, causing further disruptions and patient care. Slow performance: The extremely slow pace of the program hindered our ability to provide sufficient customer service, affecting both our business and patient care. Failure to push through consent forms: Essential consent forms were not consistently processed, which is critical for a MedSpa. Failure to push RX program provider chart notes: Essential chart notes that were entered to RX was not processed. We were not provided this information and had to spend hours fixing this issue on our end. Hours of tech support calls: We had to contact tech support almost every day (unfortunately this is not an exaggeration), consuming valuable time and resources. PatientNow tech support number was put to speed dial and a call was made every day. Incompatibility with Apple products: The program was not functional on Apple devices, which is information that was not disclosed when we signed the contract. We were forced to purchase Parallels to make it work which was an additional cost. Clock-in/Clock-out issues: The inability to use this feature led to employee time management problems. We refused to get another app - such as Parallels - since we thought PatientNow had to be responsible for Clock in and out feature. PAX device malfunctions: The PAX device to take payments malfunctioned frequently and had to be replaced THREE times. Impact on customer care: The PAX device malfunctions interrupted our services, greatly affecting customer satisfaction and cause long wait periods. Hidden fees: We incurred unagreed credit card charges (3.29%). Due to the PAX device malfunctions, we were forced to use SecurePayNow which had 3.29% hidden fee. This fee was not included in the contract nor disclosed to us, constituting a breach of the agreement. Delayed updates: The failure to complete updates in a timely manner further interrupted patient care. This has interrupted our daily flow in many occasioans and caused frasturation among employees and patients.

Terrible - the stress and disruption this cause to my business is crazy, we have documented all issues and concerns. its very unfortunately that when we decided to NOT come off of on boarding due to the difficulties and interference with the business, they had not a care in the world.

Pros

The thought of it being good. I put much thought and effort in to trying patient now after using the same system for 8 years. The integrity and care about small business' is clearly not there.

Cons

They integrity as a company, sales tells you what you want to hear not actually what they can do, their lack of care to resolve any issues when we reached out. We never came out of on boarding and they are now threatening collections. They where unable to deliver what sales had very clearly told me they can do.

Horrible experience. Once I realized that they could not deliver on their promises, I asked to get out of my contract. They refused even though they admitted that they mis represented what they could deliver.

Pros

I liked what they first told me, that I could integrate all of my systems into one. Unfortunately, they were not able to do that. They mis represented what their system could do.

Cons

Their systems are not integrated. They lack basic features that other EMRs and Spa Software programs offer.

It does the job. It is not the prettiest when it comes to aesthetics. The patient now customer service is amazing though, anytime I have a question, they are knowledgeable and quick to answer.

Pros

I like how many detailed lists and reports you can pull. I also like that we can modify and edit all consents, emails, and texts to personalize it for our specific practice. Being able to use on iPads is a plus.

Cons

Not being able to open multiple windows. Also, sometimes when opening a scanned photo, the previous photo pulls up. Even from another patient's chart. I have to open it twice. Please fix.

It was a good start to our business. I think the essentials will fit us more, but for the most part it was user friendly.

Pros

The invoices were easily created and easy to look up. Kept track of open invoices. Also liked the we could access some things from phone app.

Cons

Inputting schedule times for different providers was difficult. Also the photos section sometimes froze up or lagged when on the iPad. Documentation was also irritating.

### "Beware of this company!"

It’s been awful! Since 2 months into my contract with this company I have expressed issues and grievances I’ve had with their product. It constantly fell on deaf ears. Not one ounce of compassion for how this was affecting me and my pre-revenue business. I have literally begged to be released from the contract and no one has cared. They respond with more marketing BS. It’s clear they don’t actually care about the customer or the success of their business- it’s all about trapping people into a year contract and ignoring their heartache and pain, all while getting paid.

Pros

Nothing. I was told it would be a one stop shop for all my business needs and they fell short in every aspect.

Cons

Terrible customer support, outdated interface, no customizable booking page to maintain the integrity of my business esthetic, $1000 to set up, monthly fees for not using “their” credit card processing, glitches with the Rxphoto app- not able to open it while with clients, they trap you in a contract, don’t care if their system doesn’t work for your business, and still take all your money every month.

### "My thoughts on Patient Now"

Overall I like the platform a lot. Once you have been using it for awhile, you are wanting to get more and more intricate within the system. That is when I find it challenging to find someone knowledgeable enough to help me and willing to respond in a timely manner.

Pros

There is a lot of different things we can do within the program. In general terms, it works really great for running all the different functions in a medical aesthetic office. I can move quickly between different screen to do all the necessary tasks.

Cons

Customer Service. They are in a different time zone so often when I send an email one morning, I don't hear back until the following day. This is very challenging when trying to work on programming. If I call the support line I typically know more than they do. That seems to be for very basic support and I don't typically have the time to sit on the phone and explain something to someone who will inevitably need to transfer me to someone different anyway. I have on multiple occasions waited weeks to hear back and get something resolved. Especially when dealing with treatment pathways. Which I actually really like the concept of, I just can't do it myself and waiting weeks for someone to get back with me is incredibly frustrating.

Probably the upper management. During the shift from Envision to PatientNow, it took months for them to address issues with billing and I kept asking and it is still somewhat a lingering issue.

great organization and tech support. always friendly and prompt in their response time.

Cons

uploading photos and reports. The reports can be inconsistent and pathways are complicated.
