Pros Smartsheet takes all the benefits of Excel and creates an intuitive and super-simple to use platform. We use it to manage construction jobs and track job costs and documents all in one place. And the platform could not be more affordable! With other construction project management software, what you pay for one year of Smartsheet will get you maybe a week for those other platforms. If you wanted to use just the basic sheets or take advantage of their feature rich workspaces and templates, you can use Smartsheet to track projects, office operations and costs, and as a document center (we use it to track our subcontractors certificates of insurance expirations dates), Smartsheet is definitely invaluable to us as a central project and operations management system that we can all access anywhere. Cons Smartsheet cannot completely manage a project, meaning you will have to incorporate other tools (like budgeting software) to fully monitor and analyze the profitability of a project. Smartsheet keeps the raw data in one place, but does not help to analyze and make sense of it. It's especially strong for teams comfortable with spreadsheets, though it takes time to unlock its full potential Pros powerful spreadsheet-like interface combined with project management features. automations save time on repetitive tasks, and the variety of views (Gantt, grid, card, calendar) makes it flexible for different types of projects Cons Steeper learning curve than simpler tools, especially for non-technical users. January 8, 2026 3.0 Initially we were really happy with our deployment that was implemented directly with the Smartsheet team. About 6 months later things started to break, we assumed it was due to user error but ran traces and cell change histories but could find no end user or admin activity that would explain the corruption in the financial data, project status and time in status data, portfolio reporting, and filters that were built for us. We then worked with our account manager and spent the better part of 2 months trying to find an equitable solution. Smartsheet admitted fault, but would not tell us what exactly created the issues. We had a level 3 developer work with us to resolve the issues, but new ones keep popping up with no end user/admin intervention. We are flummoxed as to how to keep our instance functioning as expected. The support systems(with paid premium support) is not recommended. Directly calling during normal business hours for the last 3 times I have called resulted in at least a 60 minute wait, before I would give up and select a call back. I have yet to receive a call back. Tickets are now entered through an AI Agent that you are basically prompting to create a ticket. It adds unnecessary details and it is faster to edit in the ticket after the fact than to get it to be correct. Finally, the thing that really leads me to not recommend the platform is the lack of transparent audit trails for Smartsheet employees in the instance. Not understanding who and how our instance is accessed and what changes were made is not ok and leading our team to look for replacements before our next contract renewal. Pros Very capable platform that has great tools for automation and reporting. Able to handle small projects through enterprise initiatives Cons The new licensing model greatly reduces the value of the product. You used to be able to have as many people from outside the organization have access to keep in alignment, but this has shifted in the last year. You either pay for more seats, or accept the reduced functionality. Support platform is now AI first, accuracy last. When opening a ticket, you are prompted to use AI to create the ticket. Cool, I guess but you could spend time trying to get the AI to be correct(slow), or just accept what it outputs and add information to the ticket directly(faster). Calling for technical support is an exercise in frustration, after an hour on hold I selected call back option. As of 24 hours later I have yet to get a call back. We are paying for premuim support and no call back in 24 hours is not a premium level of service. Pro desk appointments are great, but they are usually 2 or more weeks out for US business hours support. I really don't want to be up at 3am to talk to a prodesk person for 30 mns. The spreadsheet-style layout made it easy for staff to adopt quickly since many were already familiar with Excel. The automation features have helped reduce manual follow-up work by automatically notifying team members of upcoming deadlines and status changes. The reporting and dashboard capabilities also provide management with a clear overview of project progress without having to request constant updates. One of the biggest benefits has been the ability for multiple users to collaborate in real time while maintaining a single source of truth for project information. If you cannot navigate this, they also have an option to export the sheet into excel so you can filter down Cons There is not a way to filter down to see like an overview or just to drill down into. Now, it all lives in one place with automated rules that handle the busy work. My team actually knows what they need to get done, so I don't have to send out reminder emails twice a day anymore. Pros We used to miss accrual cutoffs all the time just because someone forgot to flag the pending entries. Now, conditional formatting highlights anything sitting past our five-day review window, it’s automatic. Our month-end close dropped from nine days to six, mostly because I’m not stuck chasing down client invoices anymore. The automated alerts are a lifesaver, my two staff accountants catch things before I even have to. Cons The mobile app doesn't show conditional formatting rules the same way the desktop version does, which kind of threw me off when I was trying to check a reconciliation sheet on my phone during a client meeting. It really keeps things running efficiently! I especially enjoy the different news in which to make a sheet. It helps that each sheet can be easily viewed in a few different ways. This way, if I enjoy it in grid style and my co-worker likes list style better, we can still follow and collaborate in a most efficient manner. Pros Smartsheets is a program I find useful in many ways. Firstly, it helps keep tasks organized. You can organize sheets to be viewed a few different ways, ie grids, lists, tables, etc. It also offers lots of differentiation with color and calendar dates. All these great features make Smartsheets extremely user friendly and easy to navigate. You can set up a sheet based on your preferences and style. Most of all, Smartsheets offers fast and smooth collaboration between colleagues. Anytime I need to notify a coworker with a specific explanation, I can simply do so by mentioning the name in the notes and it will notify. We can then conduct a conversation and it will be recorded right there. Cons At this point, I am very happy with Smartsheets. It keeps things well organized according to my preference and style.
