It's a product governed by and for investors - not studios and not students. It'll work, but I would chose a cheaper company if I had to do it over again.

Pros

It's well known and doesn't have payment processing issues. I like that they have a point of sale feature.

Cons

It's too expensive and they are constantly pushing features no one wants. The updates are glitchy as hell. All customer support has to go through AI, which is often useless. My clients get frustrated that they can't get help with their accounts too.

Mindbody has provided valuable analytics for my community. As we move forward with offering new services, MB already has the ability to schedule them and track payments. I also feel that we are only using a small portion of what MB is capable of.

Pros

The analytics breakdowns are very helpful. I have appreciated AI chat for quick assistance with finding where to access or change little things on the site. The simple check in app for class attendees works well for my fitness center.

Cons

On our branded app had some changes made with an update (we did not choose this). This removed some of the most important features for my community (heartrate tracking). Two factor authentication was also installed. I see the need for online security, but I work in a retirement community, and this update has kept nearly all of our folks from using our branded app. We used to be able to log people into a tablet and let them track their workout with a heart rate monitor.

We signed up to Mindbody with high hopes, but our onboarding and early use of the system have been among the most frustrating business experiences I’ve ever had. Despite extensive efforts on our side — including trying to work constructively with multiple contacts across different departments — the service has been chaotic, slow to respond, and riddled with technical problems. Key issues have included: Broken booking links at launch Missing client data on import Passes and login functions not working across locations Persistent log-in loops and access errors for clients Ongoing bugs in the staff and back-office systems Unstable client experience requiring frequent browser cache clears Failure to correctly apply free trial periods and subscription credits Multiple issues raised, ignored, or delayed for weeks at a time Most damaging of all has been the impact on client trust and our professional reputation. After nearly a month of firefighting problems and receiving minimal or no response from support, we’ve had to migrate to an alternative system — just to protect our business from further disruption. Despite acknowledging many of these issues and even apologising in writing, Mindbody is now refusing to release us from our contract — locking us into a 24-month term on a system that is unusable. At this point, we are beginning to explore legal options. If you’re a small or growing wellness business that can’t afford weeks of instability and reputation damage, I would advise extreme caution before committing to this platform.

Pros

The pre-sale was extremely slick, the software looked amazing. It appeared to offer a number of solutions to problems we had and problems we didn't know we had.

Cons

Almost everything from the moment we signed up. I have tried to be balanced but our experience was poor from minute one and I can't think of any redeeming parts of our experience.

Overall, my experience with the Mindbody app has been really positive. It’s easy to use, makes scheduling a breeze, and gives clients the freedom to book on their own, which I love. Even with the occasional maintenance downtime, the app consistently helps keep things organized and running smoothly. It’s a solid tool I rely on every day, and I genuinely appreciate how much it simplifies my workflow.

Pros

I’ve had a really great experience using the Mindbody app. It’s super easy to navigate, and booking or rescheduling appointments only takes a few seconds. I also love that clients can book online themselves, it makes things so much easier for everyone. Overall, it just makes my day run smoother.

Cons

If I had to pick something I don’t love, it would be the frequent maintenance periods. They can really affect the system when they’re happening, which gets a little frustrating in the moment. But I also get that it’s all meant to improve the app, it already does a great job, so I know the updates are for the best in the long run. :)

MINDBODY reliably handles our scheduling, client management, and payments in one place. It works well for our daily operations, and their customer support has been great. The mobile app and some interfaces still need improvement.

Pros

It is very reliable for appointment scheduling and client management. The mobile app makes it easy for our clients to book and cancel sessions, and the automated reminders help reduce no-shows. Integrations like payments, reporting, and staff scheduling are all in one place, which keeps operations organized. Customer support has also improved over the past year, and most issues are resolved quickly. Another significant advantage is that MINDBODY’s POS payment processing fees are notably lower than those of many competitors, helping us keep overall operating costs down.

Cons

The mobile app lacks many essential features and options, so I often need to use my laptop to complete even simple tasks. Many day-to-day management tools aren’t fully accessible on mobile devices, so they're not ideal for working on the go. Another limitation is the waiver system. MINDBODY only allows for one standard liability waiver at initial sign-up. Since our studio offers multiple services, including injectables and other wellness treatments, we need separate waivers, and manually managing them adds extra work. Improving mobile functionality and expanding waiver options would make a big difference for business owners and staff.

I like the ease of managing with Mindbody, and the cost is less than an administrative assistant for sure, but I am a Gen Xer, and it does take time for me to process it easier in the long run. I like the integration of third-party apps, like Classpass. However, the cost of Classpass versus what we are paid for Classpass is not comparable to a client who drops in. We gain volume, but we don't get retention. The cost per session is way below what we can afford, to be honest. We may start to phase out Classpass because the volume doesn't make up for the cost we are losing from retention. Our business is Pilates, and we have to create continuity for clients to learn the whole concept of Pilates. A person who pops in for one session, often late, and with an idea of Pilates, but actually not Pilates. It takes away from the clients who commit to our studio for the continuity of the learning process. I know, we make room for the beginners, and we do really love beginners. It's just that the Classpassers don't seem interested in the concept of Pilates; they want a workout. I am a people pleaser by nature, so I try and our instructors try to pull them in, but they want bootcamp, and that isn't what we are doing. I feel terrible saying this, but we have moved on from the HIIT classes, the clients know they can get strong without the trending social media moves created for them to try in our and we are grateful for the highly popular Pilates. Often, the scenario is, we ask and provide opportunities for beginners to take introductory classes before joining a class in progress. However, they show up after class has started, without grip socks, and no body awareness-which is our forte, bring the newbies on, but please, when we let our Classpassers know we start on time, that means they need to be early enough to get situated before class starts. We have lost regulars because we look unorganized. So, we are seriously considering stopping our partnership with Classpass. Despite the volume we have to consider, we can't take a price decrease; we have to not accept that we have to decrease our prices to accommodate a program run by billionaires. We are barely thousandaires and we are not able to decrease the delivery of our process when the program wants us to reduce our prices. When I go to the store, I see the price and I pay it, but for some reason, Pilates, Fitness, Yoga, we are all asked to reduce our prices when we pay thousands and put in hundreds hours of training to provide a high-quality service to people. I will never understand how people ask us to devalue our time and service when others are not asked.

Pros

The ability to add programs to help you get what you need done faster, especially not to miss phone calls.

Cons

The cost is creeping up to the point where I need services like AI, so I do not miss calls while I teach. I have reached my maximum budget for fees, so I have to give up something else to obtain the services I need to be successful.

I have been a user of Mindbody software as both an admin and a student at other studios. The software is wonderful for the front end but the back end requires much more UI research and revamping.

Pros

Mindbody is very easy for clients to use and sign up for classes and workshops. The onboarding process for a new student is quick and easy. Many integations exist to help the process.

Cons

The configuration and backend setup of Mindbody requires way too many windows and clicks to move through the process. It is not intuitive.

Overall, it is has all the features a business could need to run smoothly, and continue to grow. Lots of different options all in one software.

Pros

Extensive features to grow business. Good scheduling options. Easy to use with lots of tutorials and customer support options.

Cons

It is a little costly for smaller businesses (especially Canadian businesses), especially as costs of running a business increase but businesses are limited in how much more they can charge customers. It has taken several years of familiarizing myself with MindBody to be able to use all the customizable features. A few times, I have figured out how to troubleshoot a problem or integrate a feature while on the phone with customer support, who were not able to find a solution.

On the Fence, very difficult to learn and very difficult to set up or reach Customer Service - I've had to wait 30 min - 4 hours.

Pros

Easy to use and book appointments, like the colors plan for clients through their appointment journey. Makes it very easy to track their journey at the spa.

Cons

struggle with site navigation after updates - we never get notified of changes. We discover them after logging in and it takes days to figure it out

For any class or appointment-based fitness studios, Mindbody is by far the most comprehensive software I've found. You can manage your staff & clients, collect member data, sell packages, track metrics, and even take payment in one tab on your browser. It's easy to use, customizable, and constantly improving.

Pros

I run a premium boutique fitness studio in Southern California and we switched to Mindbody about a year ago which has made our operations, reporting, and member onboarding faster, easier, and more efficient. Admin staff, coaches, and managers can use Mindbody with very little onboarding. The class and appointment management is simple and the notifications make it impossible to forget a client. Anytime I've needed help with something I can use the AI chatbot and if that doesn't have a useful answer it will send a ticket to their customer service who has always called me within a couple of hours.

Cons

Mindbody offers a marketing suite which is fairly new and could use some updates to make it more useful. It's not very user friendly and requires a third party track metrics.

Customer support is top notch. Easily available and works to understand your issue. There is always follow-up by email afterwards to recap the issue and solution.

Cons

I would like more features for appointments for therapists, like body drawings integrated into the charting.

Mindbody registered my business name incorrectly despite clear instructions, and their onboarding deactivated appointment types, stopping me from processing client sessions. This disrupted my cash flow and caused major headaches. Support was useless, making the experience costly and frustrating. It feels like they just want your money. Do NOT sign up—no matter their mistakes, they refuse to let you cancel your subscription.

Pros

Nothing. For what it costs (minimum $269/month), the features are absolutely not worth it. My clients also complain about how the customer app is terrible to use.

Cons

Mindbody repeatedly made errors, like misregistering my business and deactivating appointments, preventing me from processing client sessions and disrupting cash flow. Support was unhelpful, making the experience frustrating and costly. No matter how many mistakes they make on their end, they refuse to cancel your lock-in contract. Overall, it feels like they just want your money—do NOT sign up.

We’ve been with MINDBODY for almost 20 years, and unfortunately the service has gone downhill. Our fees are now over $1,000 CAD/month—nearly double the competition. To make it worse, customer service is nearly impossible to reach. When you finally get through, instead of speaking to a real human you get AI responses or links to “how to fix it yourself” articles. The latest price increase on top of poor updates and slow support is brutal. Simple things—like fixing client emails or last names—turn into nightmares. When I did reach out, I was given a generic AI message and the chat was closed. No follow-up, no accountability, no human connection. For a company we trusted for years, this is disappointing. At these prices and with this level of service, it feels like MINDBODY has stopped caring about long-time clients.

Pros

I’ve always appreciated is the client management system. It’s strong, and when it works, it makes running the business easier.

Cons

My subscription has climbed to over $1,000 CAD/month. It’s almost impossible to real help. Instead, you get AI or emails replies or “fix it yourself” articles. Recent changes have made the system harder to use, not easier (e.g., issues with client profile updates, names, and emails).

Overall good although the system doesn't exactly answer our needs and we need to have a second system to assist with our bookings.

Pros

Their report suite is second to none. the system is easy to use for customers. Customer support is mostly responsive although sometimes they are quick to dismiss our issues.

Cons

when a customer has an issue with their profile, we have very little ability to sort it out and we usually ask them to contact mindbody support directly.

Overall, I find that I am happy to have Mindbody; it is easy to teach new employees, and the new features are usually very beneficial.

Pros

I was apprehensive about the AI assistant, but I absolutely love it. It saves me so much times looking for answers, and calling customer service!

Cons

Limited account features, and the downgrade of functions that our business staff can no longer do. Such as: changing/updating email addresses & name changes. Parent's find your "family accounts" confusing to create; the APP does not work very well too.

In general it is good. I Love the branded app they creatd for us i was not happy to be charged for it before it was up and running paid two month fees. Apple do take thier sweet time responding to each ticket and then you end up waiting while paying for an app that is not in use yet.

Pros

Once you are trained on it you will feel it is user friendly and there is always updates being posted

Cons

ClupPasses ... it depreciate our service as a botique pilates studio i am not a fan and i am also not happy the other studio in your aria being promoted on the app and to your clients.

Love Mindbody as we have used other member tracking software. Mindbody is a great value and offers reports that allow us to track membership and finances. A membership representative contacts us with updates and does a yearly review.

Pros

Easy to use and many useful features to track membership. Navigation within the program is easy and logical. The technical support is great to trouble shoot problems and then they follow up with a email with all the reference information. I love the feature that shows members who have not been in recently so we can reach out to them.

Cons

Set up is a little time consuming, but once all the information is in, it is easy to use. Sometimes, the wait time to connect to technical support is long.

Great software, very complete, with everything I need included in one platform versus other companies that promise the same but don't have the experience or the resources.

Pros

It's the oldest yoga studio software around, therefore is the one with the most experience, the most stable and reliable software for my particular business

Cons

Sometimes there are hiccups between the mindbody app and Apple devices, especially with iPads, there's also discrepancies sometimes between the information on the MB app and our website.

Sometimes it can be very confusing on how to set up a membership contract. I feel a little lost when trying to figure soemthing out. Usually the AI tool helps

Terrible! I have been trying to get in touch with our account rep or someone to go over our subscription and discuss some business changes. I have sent multiple emails, I have talked to three "account" people on the phone and yet to have ANYONE call me back and help with the problem.

Pros

I am so upset with this company, I cannot think of what I like best.

Cons

HORRIFIC CUSTOMER SUPPORT -- can't get to anyone who can help me with the problems we are having or to discuss our account/subscription. Keep getting shuffled around to people who can barely speak English.

Good tool for control and management of clients, classes and staff. Collection process is very good, though time to deposit is long. A better reports options and even, being able to customize them, ourselves, would be great

Clients´management and control, as well as booking process. Also the payment process is very useful, though the time to deposit is long.

Also, when you are in the point of sale screen for a client, before we had displayed the current and future contracts, passes. Now only the current ones. It was better before.

Pros

Mindbody is a great platform to run a small fitness business as it integrates the scheduling, CRM, billing and financial management tools.The mobile app is very user friendly for check in and also to sign up clients while not at a desk. The classpass integration and the connection with other fitness app makes it easy to acquire clients via these other subscription offerings.

Cons

There are a number of elements that could be improved with the platform: 1) The scheduling of classes and updates to existing schedule are not very user friendly. There should be an easier drag/drop and better UI for updates. The page refreshes every time we tick a box or change a coach. 2) It lacks a native fitness programming and logging tool like Wodify has. 3) Some clients often face issues with logging into their account on mobile, and the reason is generally unclear. 4) At the age of GenAI, it would be great to get some recommendations for business optimizations
