If you have a lot of the same people coming, the system can remember them to make the process easier depending on how much personal info you collect. If you use other CVENT software, most of it can be linked to make it even easier to make everything seamless from event apps to on site check ins. Some admin items can be hard to find even after using it for a while because of the logic they use to choose what items are under what headings but not a huge issue. If you are using the software to host your event site, it's best if you can code it all because working with their design and coding team can be frustrating. Customer support is very quick to respond and resolve issues but make sure you contact your account manager and general support just in case your account manager is unavailable at the time. Pros The integration start to finish can cover anything you need for an event. The software is very robust to allow you to customize for almost any scenario. Registration options are very good for multiple registrations and easy to modify or switch. Customer service is very helpful when you need it. Cons Along with the robustness of the software, certain quirks come with it. Some events have a lot of repetitive tasks you have to complete to get it all working properly and some items are hard to find. Review Source Mia B. Pros I love the quick support that Cvent supplies. Their support staff is quick to respond and extremely helpful. I also love the updated format of the event sites, they look much more modern and that helps with our sale to clients to use this software. Cons The least appealing part of Cvent is how many different places you have to update some information on the backend for it to show up correctly on the user side. This can be quite the hassle and time waste if you are trying to update one small detail and then have to update it in multiple locations on the backend. Review Source KM Karen M. Pros integrated with reg site and mobile app was a big benefit at first. Cons areas are the platform arent inherently connected. everything is sort of 'bolted on' to their platform. sometimes you have to use an entirely different link and login credentials to access it. even parts of the platform that are connected.. you leave one area to get to a new one and the look/feel and functionality is completely different. Event Coordinator E-Learning Used the software for: 2+ years ### "Cven Event Management Review " April 4, 2019 5.0 We finally have a program where attendees can look over a webpage with all event info and register easily, so our attendee experience has definitely improved. We are also able to send auto follow up emails to all registered attendees allowing us to send registration confirmations, event reminders, cancellations, etc. which has allowed the planners to free up time to focus on executing the event itself rather than sending emails individually to each attendee. The reports also allow us to communicate registrations to our sales staff efficiently so they are aware at all times who is registered as they promote our events. Pros I have been using Cvent for over 2 years now and would recommend it to any company that is looking for a platform to manage events. We utilize it for event webpages, capturing attendee info, reporting, lead scoring for those that attend or participate at our events, OnArrival check in and the supplier network to source venues. There are many more functions of the program that can cater to your company needs and they continue to integrate with additional companies to help in having everything you need within 1 system. Cvent also released a new version of their program called FLEX which allows planners to design their own webages without being knowledged in HTML which has been a lifesaver! Cons I think because there are so many ways you can use the software, it takes a little time to figure out what exact configurations you need. It has been a trial and error in creating our events initially, but I think we are finally at a place where our team feels comfortable and confident with the platform and how we set up our events. I highly recommend Cvent Event Management! Pros The Cvent Event Management Platform is so easy to use! The team at Cvent sets you up for success, training you and your team to build your own registration systems and event emails. This allows you to have full, customizable control of the product and create a seamless and branded experience for your users. Cons The cost is a bit higher than some other platforms, particularly if you only have limited use for the system. We have improved our communication with our participants. We have streamlined our check-in procedures for our events. Our parents love the event emails that we send out. Our administration loves the data we are able to collect. Pros The Cvent platform saved graduation! Our K-12 school operates in an ever-evolving atmosphere, and Cvent allowed us to pivot on a dime during the pandemic. We were able to grant a better than expected graduation experience to the Class of 2020 through the help of Cvent and Crowd Compass. We have upped our game in communicating with our participants registering several devices. We are kicking off the new school year with season ticket passes for sale through Cvent. We just finished up an elementary summer camp that consisted of over 113 different camp sessions. Our event manager was able to keep track of 5 additional weeks of camps with over 113 sessions and 325 registrants. She loved the flexibility of OnArrival because she was able to register walk-ups on site. Cons We are stretching the platform further than the platform can perform. We have minor children without email addresses, and that tends to confuse the parents who are trying to register these children for our events. Review Source Max M. Some of the login features are quirky, but they keep adding updates and features to make everything run better and more smoothly. It can be customized for many looks and you can use your own launch icons that you create to really make the app branded to your events. The attendee experience has been very positive through the app because it gives them the ability to network and makes everything from the program and speaker information to on site locations easy to find. If you use other CVENT software, it can all be synced so it saves a lot of time without having to enter the same details in two or more places. Pros Easy to use and the end result is excellent for the end users. It cuts down on a lot of manual work we used to do onsite and a lot of printed paper materials we used to have to prepare. Cons Some of it can be quirky for setup. Login/Privacy issues are troublesome because if you use them, it makes the online version of the app locked to anyone but registered attendees. Can be good if that's what you want but not when you only want certain things to be locked. It's not a huge deal and they are quick to make improvements to the software and features. Not easy to learn and Cvent should not have released a new version with very basic and essential capabilities missing. Pros Cvent is nice in that it has thought of many of the different scenarios planners need to communicate, offer registration for and track for each event. The integrated credit card processing makes handling the financial aspect of meetings much easier. Cons This software is extremely difficult to learn and use. Cvent is also switching from a legacy system to a new one. If you use the legacy system, not only are you wasting your time learning a system that will be eliminated, but your events will disappear after the change as they can't be transferred. Yet the new system is missing very essential functionality making its use very limited. None of this was clearly communicated during the sales process. The app feature is very overpriced and extremely limited in its capabilities. Also, the system is not a full life-cycle system. There are no features to help centralize the actual planning of the event - it does have RFP and budgeting features, as well as registration, but completely ignores room set, a/v programming, etc. Doesn't eliminate having other documents and spreadsheets outside of the system for organizing events. So, I would not consider it an "event management" system. June 9, 2022 5.0 Organizing an event is no longer a challenge thanks to Cvent, which has made the entire process simple and ensured that we wouldn't forget or overlook even the tiniest things. Pros When it comes to scheduling and hosting events, Cvent provides all the tools we need. Cvent can also be used to organize large-scale, virtual, high-quality events. I enjoy the ease with which we can publish information and details about the event, and we can add links and images and format them in any way we see fit. Additionally, I appreciate the way Cvent makes it easy to send invitations and promotional links to pre-selected contacts in a variety of ways. A big advantage for me is Cvent's ability to track everything that happens during and after the event, including detailed stats and information gleaned from attendees, such as feedback or other data I may request. Cons Just a few tools do the same job in Cvent, which I don't find necessary and can be cut short, but overall they are very unique and easy to use, and allow you to arrange and manage any event no matter how complex it very efficiently. Sometimes the website can act up a bit when adding attendees, however, that happens with all websites and customer support is helpful. I've used several other event management tools, and can say that Cvent is the most complete of any I've tried. It is a purpose built software that serves its purpose well. However, it can be difficult to use. Pros There are some really nice tracking features. Unlike many other event management tools, Cvent seems to be more contact based vs. event based. This means that you can track the same people more easily through a series of events, email, and participation history. It is very robust. If you know what you are doing, you can set up an event registration with any combination of options (sessions, various attendee types and registration paths within the same event). Cons If you need a simple but stylish event registration, Cvent is not for you (but the price probably already told you that). They obviously recognize that the Standard registration is way to complex for the casual user and the end user interface (the person registering) looks like it was built a decade ago. To address this, Cvent has rolled out "Express" and "Flex" registration to try to simplify the process. In my opinion, these products are awful. They have tried to dumb down the software and make everything drag and drop that it is very difficult to use effectively. There is very little ability to customize the look and feel of event webpages, forms, and emails in this new system. For event management, it is worth the cost to streamline the work. For reporting with a large team it makes it so easy to pull budgets, event status's, who is working on what, etc. Pros There is a reason Cvent has dominated the industry. As a meeting planner, cvent has saved me tons of time with sourcing venues, managing budget, reconcilation, and organizing my events. This software is very streamline and makes it extremely easy to keep track of your status for each event. The sourcing feature is my favorite. We only have to enter the information one time and can click as many hotels as we want and send a mass RFP out. The hotels can also respond within cvent so you can pull one report with all of the responses. Cons It is very linear. For some of the tasks you have to click 5-6 times to get to the status change you need. I wish the software had more shortcuts to certain tasks.
