Cvent has so many features to make your events stand out, and make your life easier when planning, executing, and marketing your events. Pros Cvent makes it very easy to set up and deploy registration websites, manage hotel bookings, flights, and overall user experience. We have been using Cvent for over 5 years and there are always new developments and upgrades being added. There's a huge community of users who also help each other and submit request for new ideas. Cvent is always listening to us and adding new features that enhance our events. Cons In the beginning it was a little tricky setting up events. After using it for a few events though, it is now much easier to set up. March 31, 2024 5.0 Our experience with Cvent is among the best relationships I've ever had with a vendor. The customer service is exceptional. They anticipate our needs and have solutions read for us. We speak to our account manager quarterly and our customer support every other month. Pros We use Cvent Event Management to manage our events and membership database. We use Cvent for event set-up, registration, speaker management, sponsor and exhibitor interaction, attendee engagement, and feedback afterward. Cvent has streamlined our processes, allowing a small staff to concentrate on other activities related to our conferences and providing a better experience for our attendees. Cons The learning curve was steep. Once we were familiar with it, we could quickly set up events. The products that are still being updated, like Abstract Management, are not as user-friendly as the updated products. We have a mature Strategic Meetings Management process in place and have customized our instance of Cvent to meet our needs for notifications, approvals and checklists for planner documents so we can close out budgets. Pros As an administrator focused on Cvent reporting, the access to most elements of meetings is made easy with the report templates in the system. In most cases, you can mix and match different data points within a report rather than run multiple reports and append data. Any time data manipulation is involved the integrity of the data can be compromised. The ability to set some parameters prior to running the report, incorporating filters, and easily move columns makes the reporting aspect user friendly. The ability to publish reports to Access Portal also allows on-demand reporting by non Cvent-licensed users without having to ask someone else to run the report. Cons Some data is not accessible from the client interface of Cvent reports, such as Peak Nights as entered in the meeting request form. I also wish more data was available within the report templates in the Admin Reporting module, such as Meeting ID in the Meetings Management Notification Delivery Report. I understand that it's good for other things and integrations, but for registration, it's not that great. Pros I only used it for registration site building for the most part, but I know you can do many things with Cvent - they have a lot of tools under their umbrella that all integrate with one another. Cons The registration site building is not super customizable. I've used many platforms for this and this is my least favorite. The customer service is sometimes slow to respond, or just doesn't in some scenarios, and they don't cover everything - you can connect with someone and then they say they can't help you and send you to someone else. " April 12, 2024 5.0 Pros When we set out to find a new event management tool, we met with several vendors. None could meet our needs. Then we found Cvent. Cvent checked all our boxes and more! The sales staff was extremely helpful and bent over backwards to help us test our specific use cases. They were a wealth of knowledge and gave us confidence in the product. We've now been using Cvent for over a year and we couldn't be happier. It's streamlined our processes, improved the user experiences, and gives us all the reporting we need easily. There team was with us every step of the way during our integration phase and made it a breeze. I highly recommend this tool! Cons Cvent was such a drastic improvement from our previous solutions, so it's hard to speak to anything negative! The tool does SO much so it can be daunting to learn everything and get your webpages looking nice. However our support teams have been a great resource. Cvent also has many help articles that are a great reference point. Reason for choosing Cvent Event Management The other competitors could not meet our needs. The Salesforce integration was a big piece. Cvent also allows for a lot of customizations so we could tailor it to meet our needs. Other platforms didn't allow that flexibility. We can then do post-reg reports, follow-ups and cross-event attendance analytics with ease. Cons Sometimes the need to create custom fields or the understanding of how to 'register on behalf of someone'. The one thing I think we dislike the most is if during set up you create a mandatory checkbox question (i.e. agree to our Terms and Conditions) you can't just edit the text if you find a typo, you have to delete it and start over. Pros We use Cvent event management daily for multiple clients in a various array of fields. Cvent allows us to customize our registration sites so we can relay meeting specific information to our attendees. We build simple to very complex sites, mobile apps, in-person, virtual and hybrid events. Having one platform that allows us to build all of these options based on our clients needs is amazing, easy, and time saving. We can easily provide reporting, planner alerts, session content and so much more. Cons I'm still getting used to the new mobile app layout and features. I used to build the mobile apps on the old Cvent platform and there are a few features I miss having access to such as groups, which made assigning last minute breakouts for attendees a bit easier. Program Manager Hospitality Used the software for: 2+ years ### "Costs are offset by benefits" July 27, 2023 5.0 Pros Reporting is an excellent feature that allows real-time reporting on almost anything you can think of (there are tons of standard reports built into the system, but you can also create custom reports). Being able to provide stakeholders with a link to run reports on-demand saves a lot of time on the planner's end. The event website is easy to edit and keeps attendees up-to-date with information (thereby cutting down on calls and emails with questions). Emails can be set up to be sent out automatically upon certain parameters being met. Cons Cost is a bit higher than other event management platforms, but tends to have very few glitches (if any) and provides excellent management of events from a couple of people to thousands. I have worked with other platforms that could not handle large groups without crashing, so the consistency in performance is a comfort. It is more friendly as a newer user and modern. The back side to building registration variants are very moldable and workable for my company. We use so many features that as a whole our travel sector of the company is training our Cvent skillset since we look forward to using Cvent for many years to come. Cons I wish the capabilities to for building websites had more flexibility. Yes, we are still able to build beautiful websites but Cvent can be so finicky with what is and is not allowed in terms of designing a website. CVENT was easier than other software / mobile apps out there, but offered the same if not more features and capabilities.I enjoy having the capability to add my branding when broadcasting events. Cons Incorporating the most important features into the software / app first. There are so many different things you can do when sending a CVENT, that you loose your purpose of creating the CVENT in the first place. Tutorials would help here. They often completed tasks ahead of the expected timeline even with last minute changes. I do not have a background in website building, event planning or organizing, but Cvent's event management platform made the whole process easier. Pros The software was easily customized for our event. We could keep track of multiple meeting registration types, reserve hotel accommodations for internal and external attendees, organize property tours and manage two dinner events. Cons Making changes to our event/registration website after deployment was not very intuitive. June 15, 2018 4.0 Pros The RFP tool has made life so much easier when sourcing hotel and putting together proposals. Before cvent all of this was manual, now it is automated and you can review each hotel in one place before you source them. For the event management tool, there are just so many features and widgets that you can use for your events. If booking hotels the registration form can integrate with passkey so the attendee can reserve a room right away. It also integrates with our GDS to our air team has the most up to date requests in their system. The On Arrival suite and the Crowd Compass app are huge time savers for large events. We used the On Arrival suite to check in attendees at a recent event, print their name badges, and confirm their optional activities all in one place and on average it took less than 5 minutes to do all of this. The Crowd Compass app was easy to set up and customize for each event and really streamlined the onsite process for our planners and attendees. I have used the app for a conference I attended as well as for events that I planned. Instead of printing out hundreds of pages (schedules, maps, surveys, so on...) for each person Crowd Compass houses everything an attendee needs. You can upload the event agenda, map of the conference center, you can send notifications about room changes or special pop up events, take real time polls/surveys, and network with the other event attendees through the app. Cons It is difficult to navigate and not very intuitive, I frequently find myself searching for the field I need or calling support because I have an issue I can't solve...and I have used the event management tool for over 3 years now, on a regular basis too! The travel module does not integrate well with the rest of the event management models. I am hoping that Flex will solve some of the issues but that will not be completed until Oct. 2018. Reporting is confusing, they offer so many report options which is great but finding the correct report is a challenge. You can create a custom report but again the types you choose from are not intuitive. For example, I recently had to create an air actual report so I chose the report type air actual; however with that report type certain features like airline and the record locator are not available (those fields seem kind of important when pulling a report about flight). The new Flex version of the platform gives you the ability to create more workable and attractive registration sites. The reporting is a dream, and the learning curve can be adjusted by relying on other Cvent users in the vast and extremely knowledgeable Cvent community. Cons There is a learning curve when moving to this platform. It can take a while to find all of those little checkboxes that may cause something to work just a little wonky. If you have a professional on staff who can be dedicated to creating and managing the events on a regular basis, that is the best option. To have many people creating events will create errors and because the software is not highly intuitive, people will require ongoing guidance. Pros Customizing the event look; the ability to pull reports is fairly simple and the ability to quickly see who's responded or registered for an event is terrific. Cons Setting up an event can be cumbersome if you don't use this feature of Cvent on a regular basis. To a degree the software is intuitive, but sometimes you have to wade through various screens to find what you're looking for and the prompts aren't as clear as you might like. It is easy to use on both ends and provides a convenience that we never had before. Having event information in app form also means reducing or eliminating the need to print details on paper and this is a huge deal for the environment and overall cost, manpower and waste improvement. Notices, surveys, programs, speaker bios, attendee connections, reminder alerts, personal agendas, sponsor banners, exhibitor details and more can all be integrated in one place that anyone in the age of mobile devices can access. Pros Since it is a CVENT product, any event setup in CVENT can be integrated into CrowdCompass so you can have a full featured app almost completely built without having to do the same work you already did to set the event up originally. Additional customization and options are available to tailor the app experience so it is unique and more useful as a tool for attendees. The best part of it to me is the Map feature where a diagram of the event location can be uploaded and then any area on the map can be pinpointed and associated with other content throughout the app. This means precise locations can be easily pointed out and found by anyone using the feature and it is invaluable for events where there are a lot of different specific spaces. Registration, session rooms, exhibitor booths, meals and breaks can all be pinned and found directly on the map or from their own detail pages. Cons It's not their fault but recently due to app regulations, event apps are becoming consolidated into one platform app that contains events from all the clients who use it. This means no branding of your own app with your own name and your attendees having to download a third party app with events other than just yours available in it. In this day and age, privacy protection is very important and there are several ways to handle this in CrowdCompass but all are a bit clunky and add that to the way every company using the software has their events together under the same platform means potential confusion for users when conflicts come up in the shared database. Also, while there is a lot of integration and duplication ability, there are still several features that don't have the ability to be duplicated so a lot of duplicate work needs to be done if you have a similar event that happens on a regular basis. It is a daily resources to monitor the registration of our events and to communicate with potential and confirmed attendees. Pros Cvent is a robust platform with a lot of different options for event management of all kinds. My organization utilizes its services to support in-person conferences and webinars throughout the calendar year. There are many options for building out the registration, developing the event's website and sending event-related emails to invitees and registrants. Cons The diversity of Cvent's options can sometimes be a downfall, as there are some features my organization doesn't utilize. The valuable functions can get lost in the menus full of other options. Thankfully, I've worked with the platform for several years now, so I'm reasonably well-versed in what is helpful to me and what is not, but I think there can be a steep learning curve for more casual users.
