We could easily swap out most other software and be fine, but we rely very heavily on the integration, accessibility, and reliability of all of the Workspace software. Pros Google workspace is the core of our business activity - Gmail, Google Calendar, Sheets, Docs, Forms etc - we use it all to operate the business collaboratively across locations, making live updates and having cloud storage and access. It’s fast, reliable, and full featured for our needs. Cons As with most cloud-based, full featured platforms like Google Workspace, your business starts to gain a dependence on it to operate. Each year the price typically rises, so the costs can start to feel heavier, but because we’re so tied into the ecosystem, it can be difficult to change (not that we have the desire to). December 6, 2025 5.0 Google Workspace is the "operating system" of my business. It was easy to set up without an IT department, and it scales well as we add new employees. Pros Professionalism: It was incredibly easy to set up a custom email domain (@mybusiness.com) which makes us look much more professional. Cost-effective: getting email, storage, video conferencing, and document editing all in one subscription is a crazy good deal. Mobile App: The mobile apps (Gmail, Drive) are excellent and let me run my business entirely from my phone when I'm on the go. Cons Support: Reaching a real human for support can be difficult on the lower-tier plans, you mostly get directed to help articles. Storage Limits: The entry level storage limits fill up faster than you expect if you store a lot of high-res images or videos. We use Gmail and Calendar all day, and Docs,Sheets,Slides for most of our documents and reporting. It’s easy to bring new people on because most folks are already familiar with at least part of it. There are occasional quirks and minor annoyances, but nothing that’s been a deal-breaker. For day-to-day collaboration, especially with a distributed team, it does the job reliably and has made it much easier to keep everyone on the same page. Pros I like that almost everything I need to do in a day lives in one place. Email, calendar, Docs, Sheets, Meet, Drive – it all ties together without me having to think about it. Realtime collaboration in Docs and Sheets is the standout for me, I can see my teammates typing, leave comments, and resolve threads without sending ten different versions back and forth. Sharing files is also straightforward once you get used to the permissions. Search is another big plus, being able to quickly find an old email or document by a keyword has saved me more than once. Cons Offline use is still a bit clunky. If my connection drops, working in Docs or Sheets can be hit or miss, and sometimes I’m not 100 sure everything synced properly. Google Meet is generally fine, but screen sharing can occasionally lag or freeze, especially with larger meetings or lots of people on video. The admin/settings area also isn’t very intuitive for nontechnical users; there are a lot of options buried in different menus, so it takes a while to figure out where everything is. It is extremely easy to navigate between the 20 shared drives that we have with each of our branch offices. I am able to move documents easily. Being able to use a special @ for emailing purposes makes team communication efficient. We have drives for "living" documents and drives for "finished" documents. Having drives for viewing only comes in really handy to make sure no one deletes or changes a "finished" document. Cons Can get pricey with many users, but regardless, I do believe you get your money's worth as they give you a Gemini AI Pro for each user of the workspace.
