Overall, Google Workspace gives us a dependable, modern foundation for running our daily operations as a growing property management business. It keeps communication, documents, and scheduling under one roof, reduces reliance on IT support, and makes it easy for our team to work together from anywhere, which is why I strongly recommend it to other small and mid‑sized service or real estate companies.

Pros

The biggest pros are the tight integration between Gmail, Calendar, Drive, Docs, Sheets, and Meet, plus the fact that everything is cloud‑based and works well on any device. Email threads link directly into shared docs, calendar invites include Meet links by default, and our team can jump into real‑time editing on leases, reports, and checklists without dealing with version confusion. As an admin, I also appreciate the ability to manage users, aliases, groups, and security settings from a single console, which is especially helpful as we add contractors or new staff.

Cons

There are a few areas that could be better, mainly around pricing and some advanced features. Pricing across tiers can be a bit confusing when deciding what level of storage and security we truly need, and upgrading specific power users to higher plans without changing everyone else would be helpful. Pros

Where smooth collaberation and low friction workflows are priority, google workspace provide a seemless experience to end users. Their suite is tightly integrated across Drice, Gmail, Docs, sheets and Calendar - meaning teams can move efficiently between tools and services without having to switch platforms or reauthenticate anywhere. Its a very straight forward and easy process to share files, manage permissions and view/edit documents together, allowing for cloud-first environments and distributed teams to gel.

Cons

whilst being excellent for collaboration, it isn't quite as powerful as the desktop counterparts and provides some headaches as an administrator when navigating depth and access controls. It is heavily cloud dependent, requiring an active internet connection to interact which rules out a number of offline or some high-security workflows.

Pros

Our entire team is able to access Workspace on their desktop, tablet or phone with ease! We share files constantly throughout any given day and we will totally safe and secure when using Google Workspace to do so.

Cons

Zero cons. I find Google Workspace the most user friendly platform of my entire suite of platforms. No notes, Google Workspace. You've nailed it!

Two years in and I genuinely don't miss my old setup. Google Workspace has become completely invisible in the best way — it just works in the background and lets me focus on actual work. The collaboration tools are best-in-class, the reliability is rock solid, and the fact that I can open and edit a client's Word or Excel file directly without installing anything has saved me embarrassment more than once. If you're a small to mid-sized team that values working together in real time over heavy-duty offline desktop functionality, this is the suite for you. Just go in with realistic expectations about support and know that Sheets isn't Excel — but for most day-to-day work, you honestly won't care.

Pros

Honestly I had my doubts when my company decided to switch from Microsoft 365 to Google Workspace two years ago. I had been using Outlook and Word for over 10 years so it felt like I was learning to write over again.. Within a month I totally got why so many teams are making this change. \* The real-time collaboration feature is really the part. There was a time when three of us were working on the Google Doc during a call. Watching each others cursors move in time leaving comments and fixing them on the spot made me think this is what being productive feels like. No emailing "Final\_v3\_ACTUAL\_FINAL.docx" back and forth. That alone saved us 4 to 5 hours each week as a team. Gmails search is also really good. I can find an email from a client from 18 months ago in under 10 seconds. I used to hate searching through Outlook folders for anything than a few weeks. The way Calendar, Meet and Gmail work is also seamless. It takes one click to join a meeting from the calendar invite, with no need to look around for links. Google Drives file sharing is easy. I set who can access it share a link. It just works. The version history on Docs and Sheets has saved me more, than once. I accidentally deleted a section of a report and was able to restore it from three hours earlier without stressing out. Using storage means I don't worry about which device I'm using. I've picked up a document I was writing on my phone during a commute and continued it on my laptop at my desk without saving or transferring the file. Google Workspace makes it easy to work from anywhere. I'm glad my company made the switch.

Cons

I'll be straight — it's not perfect. Google Sheets is great for 80% of what I do, but if you're doing serious financial modelling or need complex nested macros, you'll feel the ceiling pretty quickly. I still have to export certain reports to Excel for a few stakeholders who need advanced pivot functionality, which is a bit annoying. Customer support is the biggest gripe I've seen echoed everywhere online, and in my experience it's fair. When I had an issue with MX record configuration for a new domain early on, I spent nearly a week going in circles between contradictory help articles and an AI support bot that kept suggesting steps I'd already tried. Eventually a colleague who'd set it up before helped me sort it. A real human would have fixed it in 20 minutes. The pricing also adds up fast if you need more seats or storage. The Business Starter plan is reasonable, but jumping to Standard for the 2TB storage and better Meet features felt like a significant step up in cost for a small team. My experience has been mixed. Google Workspace gives you a huge amount of functionality and a lot of value in one package, but there are areas that still feel surprisingly clunky. I use it because it works and because the ecosystem is powerful, but there are recurring frustrations that slow things down. Email organization and searching could be significantly improved, and the overall workflow sometimes feels less refined than competing platforms. It gets the job done, but there is definitely room for improvement.

Pros

Google Workspace offers a lot of tools under one ecosystem and the integration between Gmail, Drive, Docs, Calendar, and Meet is convenient. It’s easy to access from anywhere and collaboration is straightforward. Sharing files and working with others in real time is one of its strongest points. For small businesses, having everything in one place is useful. Customer support has been shockingly good when needed. Value is actually quite good as well.

Cons

The biggest issue for me is Gmail search. It’s strange that Google, known for search, can struggle so much with finding emails. I’ve had emails seem to disappear or be difficult to locate even when I know they exist. The inline email/reply system can become messy and confusing with longer conversations. Some features feel different simply for the sake of being different rather than better, and parts of the experience feel less efficient and polished than Outlook.

Google Workspace makes communicating with my colleagues and working with students more effective. I can't imagine how our online school would operate without the chats, spaces, and Google Meet capabilities.

Pros

The chats, the spaces, and the Google Meets capabilities are all quite impressive. As a teacher of an online school, communication between colleagues can become difficult, but these elements make it possible. We give classes through Google Meets, and the top-tier version of Google Meets available to us is great for making classes as interactive as possible with whiteboard drawing capabilities for the teacher, as well as polls for students to complete in real-time. Gemini is incredible too! It brings basic Google Slides up to par with Canva, which is otherwise the superior product. But I can give Gemini a prompt and have a Powerpoint generated in minutes. Google Workspace is generally easy to use too. If you have any familiarity with using Google products, then the transition to using Google Workspace is very easy.

Cons

My least favorite part of Google Workspace is probably just the differences that exist between Microsoft Word and Google Docs. I think Word is more modifiable. Google Meet could also implement some of the aspects of Zoom's interface to make it a more interactive experience for students.

La cosa che colpisce di più è la fluidità tra gli strumenti: passare da una mail su Gmail a un file su Drive o a una riunione su Meet è immediato, senza interruzioni. Anche la collaborazione in tempo reale su documenti e fogli di lavoro rende tutto più veloce e riduce quasi a zero il problema delle versioni multiple dei file. Un altro punto forte è la semplicità d’uso: non serve una grande curva di apprendimento, e questo lo rende adatto sia per uso personale che professionale. D’altra parte, l’esperienza non è perfetta. La dipendenza da internet può essere un limite in alcune situazioni, e alcune funzioni avanzate richiedono piani a pagamento. Inoltre, chi è abituato a software desktop molto complessi può trovare alcuni strumenti un po’ essenziali. Pros

The thing about Google is it is what everyone is used to. Many new hires are already familiar with Google's products.

Cons

Google's Admin Console is a little confusing to navigate at times, with some settings clearly coming from a different time period within Google. This is still much better than other competitors to Google Workspace.

We have been using Google Workspace for years for Chromebook management, and all primary cloud-based services such as files, sharing, collaboration, chat, email, calendaring, etc.

Pros

Google Workspace, especially in K-12, is leading the cloud based services market. Google Workspace is the sole reason we were financially able to implement a 1 to 1 policy for students.

Cons

The only downsides of Google Workspace would be the high costs and often thinks change without any prior approval.

If you're a start up or small/medium size business, this is a great solution for you. It provides email, calendar, chat, file storage/sharing, and video conferencing services all bundled together for a reletively decent price her user account. Overall implementation is very straightforward and simple. And ongoing maintenance/administration doesn't necessarily require a full time IT person.

Pros

The UI is pretty simple to navigate as people are familiar with it from using Gmail, Google Calendar, Drive, etc. The entire suite of applications is very efficient and works well and covers all the standard day to day business productivity tools most commonly needed. If you're a SMB this is a very good solution as it requires very little IT experience to implement and get running.

Cons

Its simple to use and setup but that comes with the drawback that its not entirely well sorted for larger size businesses that have more complex configurations and requirements. LDAP for example requires a much higher and expensive subscription. Google admin reporting features are pretty limited as well. If you need granularity compared to what M365 offers for exchange and teams, you won't get it with Google Workspace natively.

Cons

It can take some time to learn where admin settings are located. Very Minor syncing or formatting differences when sharing documents with people using other software.

Pros

Google Workspace is a great workspace with all the tools you need. You can create Microsoft documents, pdfs, and spreadsheets with Google workspace. It's closet competitor, Proton Workspace, does not offer spread sheet support.

Cons

Well to be perfectly frank, I don't want to use Google Workspace since Google is tracking our data and selling it. But it is so hard to shake!

### "Reliable Google Workspace"

Overall I have really positive things to say about Google Workspace. It makes my job so much easier. It is great for collaboration and for automatic saving. I know my stuff will not get deleted. It feels very secure.

Pros

I love google docs and google calendar so much. They are easy to use and help organize my schedule. I also find it super easy to get files from other coworkers through google docs.

Cons

I do not love the organization of google docs. Sometimes I find it difficult to find my files. If that was easier to find or organize it would be perfect.

### "Great tool for team collaboration, but the offline mode needs work"

I've been using Workspace for a few years now across different jobs. For a remote or hybrid team, it's basically the standard at this point. The servers almost never go down, and setting up an account for a new hire takes about five minutes. Sure, it has some annoying quirks like the spotty offline access, but overall, it just works and gets out of your way so you can do your job. I honestly can't imagine running an office without some kind of cloud setup like this anymore.

Pros

I think the best part is real-time collaboration. We're always editing the same spreadsheets and documents together, which means no more emailing different file versions back and forth. The auto-save feature is a lifesaver — it rescued my work a couple of times when my laptop froze or the Wi-Fi dropped. I also like that everything (email, drive, video calls, calendar) is connected. You don't have to juggle a bunch of different logins. Google Workspace AI features is also on the great level because of it's connectivity between apps.

Cons

The offline mode is still pretty buggy. If I make edits while commuting without internet, they sometimes sync weirdly or just get lost later. Also, Google Docs really lacks advanced formatting options compared to good old Microsoft Word. Finally, managing access permissions (who can view vs. edit) in massive shared folders can turn into a complete mess over time if you don't keep a close eye on it

Great! It allows me to have a central system for business work flow for a small business and small non-profit with good security.

Pros

Google workspace allows my small business to have an all in one system for email, document storage and management, calendar, and video calls in one place that is secure.

Cons

The cost to add additional Google workspace users becomes expensive for small businesses and small non-profits. It also has limitations on third party app integrations.
