It's completely backward compatible and platform agnostic, meaning you can give your clients exactly what they need no matter how old their tech is. Pros G Suite is comprehensive. It includes Gmail, Calendar, Drive, Docs, Sheets, Slides, and more. They are constantly up-to-date and their web apps are practically bulletproof. Docs, Sheets - The features keep rolling out to make this a Microsoft Office killer. Instantly sharable files and amazing versioning keep the world smooth. I'm constantly using Sheets' API integrations to organize and sort data in real time and present to clients. And I love the Docs outline view. Drive - The semi-recent interface update has made Drive so much more usable. Extremely flexible and intuitive. Cons My biggest complaint about Docs and Sheets is how long they take to start up and load a document. Because there's no native desktop app, these startup times really add up when working with multiple documents. Besides that, I wish Docs had more formatting flexibility so I could create my own heading styles, paragraph styles, etc. I have two Google accounts - one personal and one for work. Google can't ever seem to open documents or files with the right account, even if I have explicit ownership on one. As far as I can tell there's no way to open a folder or file with a specific account either, so I can't bookmark a google drive folder with a certain account to always open with that account. Google admin tools are another pain point. G Admin is leagues better than traditional admin tools, but they are still very slow and get this - the search isn't comprehensive. If you search for @company.com, hoping to find all the email addresses and groups you own for that company, you are out of luck. You will get 0 results. Managing group members is also clunky and slow. It uses a very dated layout and doesn't reliably update its display. I often have to refresh the page to actually see the members I've just added. All of these are functions that I use daily and would be lost without them. Cons Appointment scheduling with a link to the available schedule is not available for Business Starter. That is a feature that would be extremely helpful for a new, smaller business owner to get started with booking clients instead of creating individual slots. I like that I can access all my documents, emails, calendars, and files from any device, anywhere. I also find it very useful to be able to collaborate with others in real time, share comments and suggestions, and create presentations and forms easily. Google Workspace has made it much easier for me to work and communicate with my team. Pros What makes Google Workspace appealing to me is its ability to work in real time and collaborate on documents with colleagues and friends, whether in the same office or in different parts of the world. In addition to its ability to collaborate, Google Workspace also offers seamless integration with other Google services, such as Google Analytics and Google Ads, which makes it a very useful tool in my field of work. Cons If I had to choose one, I would say that what I liked least was the lack of customization of some applications. It's easy for the team to use, document sharing and working on the same document together is very simple. I finally feel Google Chat is at least somewhat more comparable to Slack, but since it was so far behind when we started using G Suite, we're now stuck with Slack and switch is just too much of a hurdle. So if you're starting out with G Suite now you might be able to save yourself the money on a separate Slack subscription as well. Pros G Suite has been very easy for our small team to use. The web apps are user friendly and easy for anyone to quickly get up to speed on. Google Meet is also very easy to use for team or external video meetings, and offers dial-in numbers for participants if some are on slow internet connections or don't have a microphone setup for their computer. The video quality has improved dramatically since I first started using it back in 2018. It works in the browser with no additional software installation needed, so it's quick and easy to use each time. Cons Gmail needs an overhaul, especially the settings area to make it more user-friendly. Setting up custom keyboard shortcuts to navigate through Gmail is cumbersome and there doesn't appear to be a way to map a shortcut to "Display images" in an e-mail if you have loading of these turned off by default, which I do for privacy and tracking reasons. For Google Drive it doesn't seem to save the sort order setting for each folder and there's no way to get this to save. Some folders where I prefer to sort the file order by Last Modified so recent ones show at the top then impact the sort order of other folders where I'd prefer it stay in alphabetical order. Google Meet needs to add more features similar to other video conferencing solutions to stay competitive. If you are familiar with any Google products, you'll know that Google has always made it easy to use its apps. The most impactful features include real-time collaboration and high security and privacy levels. I started using Google Workspace so that I will be able to let my clients participate in the creation of their marketing campaigns, they could review my work while I worked and I was able to get my business email and I never had issues with losing my work so clients always receive their projects on time. Integrating Google Workspace with my business was easy. I had already started using Google slides, Google Docs, HubSpot CRM, Google Sheets etc. so switching to Google Workspace allowed me to able to access and integrate all of these apps in one place which is great because Google Workspace has an AI Productivity and Insights feature that helps you analyze and optimize your work processes. Cons Google Workspace is a bit pricey, especially for small businesses that do not sell digital products that need sheets, docs, slides etc. Small businesses can use the apps without Google Workspace and survive. It is not something for all businesses. It is only worth it if you need to collaborate with people remotely whether it's your team or a client. Google Workspace is more of a management tool than a sales tool. The only disadvantage is the pricing. I migrated my users from a platform they had used for over 10 years and expected a lot of push back - but because almost everyone has a personal GMail account, they are familiar with it. There are loads of features that users are unaware of and it is nice to highlight these as users become more proficient and make their work life simpler by making them more efficient. Pros I like that Google Workspace is platform agnostic. There are only two real choices in this space, with Office 365 the other. I like that Google tries to accommodate all platforms PC, Mac, iOS, Android etc., whereas Office 365 tries to shoehorn you into the Microsoft ecosystem. It is full-featured, and you can use it natively via the browser or the app or integrate it with an IMAP client like Thunderbird, Mac Mail or Outlook. Support is generally very good and responsive. Cons As an admin, I don't like how Google moves functions around - you know how to add space for a user, and then the function has moved, and you can not figure out where it is for the life of you. Also sometimes support tries to tell you something you know is wrong, and you have to hold tough and request the issue is escallated. Pros If you're already going to use Google Workspace for your inevitable Info@ email address, take a look around at the other features that Google has to offer in the Workspace suite. Obviously there is Google Drive and the storage that's included, but you can get an unlimited amount if you need more, The calendar integration with the other products like Chat and Gmail are great. You've also got collaboration tools like Jamboard and Meet. You can create your own intranet sites easily for internal helpdesk or resource centers with the Sites app that's included. Forms is great if you have to interact with the public or other departments as an easy way to collect information without needing to repeat yourself all the time. The uses of Workspace are endless and amazing that they are included in the price. Cons There terminology changes a bit when you are switching between apps, so what may mean on thing in Google Docs, may mean something else in Google Keep. The sharing functionality to send something to someone gets clunky and sometimes results in the person needing to request access to a document. And while some analytics on documents exists to see if or when someone was last on a doc, I wish it could be expanded more or a dashboard of document usage across a drive would be great. I definitely believe it is arguably the most ideal platform for small business owners, people who need to "where multiple hats" managing numerous different business functions and controls all in one place! For the money, (approx $6/month to start) you can't beat the suite of features you get. Pros Google Workspace overall has strong feature and functionality. You can control literally every aspect of your business from email, to document sharing, to DNS management and plenty more. Everything is relatively easy to deploy and all gets managed from a central Google Admin hub. The email platform itself is literally just gmail, which makes it incredibly easy to implement and train any new employees. Cons In comparison to some of its competitors, the gmail conversation-style organization can be confusing. I still haven't quite got a grip on how the formula works, but have been challenged to find the most recent email in a chain (especially long chains) because it doesn't always organize by most recent. Additionally, it will expand certain emails within a chain, but leave others condensed which doesn't help in trying to locate the most recent. Additionally, one other feature that is missing is the ability to assign priority to your emails. For example, in Outlook you can label an outgoing message "Highly Important"-in gmail you cannot do this. The main leadership team that has implemented it uses it for EVERYTHING and we are burning the rest of the organization along little by little. Pros We love that it is universal and integrates into all kinds of software. It was fairly easy to set up and we love having full admin control over all our user accounts. Becuase we are a small non-profit, many of our employees use their own computers. By having everyone start to keep documents and SOPs saved on DRIVE, we are able to keep much better track of our documentation and projects and when someone leaves we don't loose important files in the process. DRIVE Is probably the most used part of Google Workspace for our group. Nearly 500 employees and we no longer use Microsoft Office (I believe occasional licenses for specific customer cases). It was a great turnaround and it gave us a lot of productivity, space savings and agility between the teams. Still Microsoft with some more features, but the winner in this case is Google Workspace. Pros Google is extremely customizable and allows its customers to share and collaborate on teams in a way that is so seamless it basically doesn't compare to any other software. They deserve to be known as the industry leader as they consistently provide a working product across all platforms. Google never fails on a large spectrum, but when issues occur they tend to fix them timely. Cons They tend to make visual / physical changes without enough warning / ability for the user to keep the old format. When they redesigned Gmail they gave us a period of time to keep the old one - but now it seems you can no longer switch back.
