It's made a huge impact in our grant seeking and overall number of grant awards. Pros I love the amount of information it provides, the extremely responsive customer support staff, the fact that it keeps evolving with user feedback, and the amount of time it saves me in submitting winning grant proposals. Cons The cost is prohibitive for smaller organizations, but you could pay for it with one capacity-building grant. Donor Services Individual & Family Services Used the software for: 1-2 years ### "Essential tool for an independent grant writer of multiple nonprofits" January 3, 2024 5.0 I've been very happy with both the product and interactions with the Instrumentl technical team. The application is expensive, but I must say that it has sold itself over the last almost two years with data that I could not generate alone. I do supplement with other smaller, more focused databases but don't have the same success rate or volume of hits with other sources. I like the navigability of the database and enjoy the work of grant research through awarding as a result. Pros Breadth of data base/number of foundations (over 100k), extensive filter search criteria to highly focus your research, very readable report templates, and easily updatable foundation application fields. For a single nonprofit I can slightly alter search criteria and receive remarkably distinct lists of candidate foundations to explore. The reports I can provide back to Boards and management teams are easily understood by professional not familiar with Instrumentl - a must-have for a grant writer. A final big plus is the depth of data available on each foundation - to be able to fully understand who they fund, what they fund (and what they do not fund), how much they fund w/ ranges, the foundation history and mission. So much value is available from Instrumentl's search engine! Cons I've only found a few wishes not already met by the Instrumentl technical team. One is simply to be able to print out a calendar once generated for a project. I routinely update calendars for nonprofits and right now I must paste an uneditable calendar into a Word document. Second, it is frustrating at times to be seeking foundations which accept unsolicited applications but be presented with an Instrumentl search which includes foundations which are NOT open to unsolicited applications. It may be a foundation issue, not sure. I will say my list of 'Cons' would have been longer last year, but the Instrumentl technical team is routinely issuing updates to the application's capabilities so some of those earlier wants are now available! Reason for choosing Instrumentl I chose Instrumentl after using their limited trial tool. I found it intuitive, full of capabilities and at a price that seemed reasonable - even for a relatively new grant writer. Managing Director Fund-Raising Used the software for: 1-2 years ### "Hands-down the BEST Grant Management Tool on the Internet" March 13, 2024 5.0 I sing the praises of Instrumentl to grant writers every chance I get. I wish I'd committed to it sooner. I spent countless hours on the internet trying to find solutions to organization and tracking problems I experienced only to find that those solutions already existed in Instrumentl and I'd just been missing out before I subscribed. I have some suggestions I'd like to share as far as how to make the platform more user friendly specifically for consultants managing more than one nonprofit, but in general, Instrumentl more than meets my needs, has made my life as a busy grant writer easier, and has saved me countless hours of time. Instrumentl's team is incredibly responsive. If I submit an update on a funder, I get a response in a matter of hours from a real person. The ability to do this and the quick turnaround time of the Instrumentl staff person makes me feel confident that the results I'm getting in searches are up-to-date as much as possible. Pros As a busy grant writing consultant, I manage grant submissions for anywhere between 15-20 nonprofits at a time. Instrumentl's features make that possible and have allowed me to expand and grow my business in ways I wouldn't have been able to without it. The research component alone is worth the monthly rate (once you enter your keywords the platform continues to research on your behalf, alerting you to new opportunities that match the criteria and allowing you to sort results by newest so you aren't reviewing the same funders over and over again just to find any new ones). I use the reports on a regular basis to share updates and grant calendars with our clients and they love the format and information they include. I would be lost without the deadline and task reminders and appreciate that I can add documents (including copies of submitted proposals) to each funders' record for future reference. And I can keep track of how much we've requested and received for each project all in the same place. Cons Of all of the grant management platforms available, Instrumentl was the most expensive and I was concerned about whether or not I could afford it. But after about a month of use, it became very clear that Instrumentl was paying for itself in part with the time savings I was experiencing. I cancelled several other subscriptions to other grant management platforms because they just weren't as good as Instrumentl and I didn't use them anymore. May 17, 2023 5.0 The only "problem" being solved for me is the time-saving feature of using Instrumentl. Either through research, writing, tracking, or any other component involved with the grant writing process, Instrumentl saves me a tremendous amount of time! I also adore their real-time learning webinars, as this allows me to connect with other grant writers across the country - and sometimes the world (we've had guests from Africa online!). Also, Instrumentl's library of free partner webinars, blogs, and current resources are the icing on the cake as far as a Return On Investment (ROI) via my membership! The people facilitating all of this information and assistance are consistently professional, are definitely customer-oriented, and give me the assurance that they genuinely care that my grant writing needs are met through their services. Plus, they have a great sense of humor, which goes a long way when one is under deadline!! Thank You Instrumentl!! :D Pros As a professional and successful grant writer with 25 years' experience, Instrumentl is an absolute time- and lifesaver for me! Not only is the program easy to access and utilize, I saw immediate results from the first time I used Instrumentl! After inputting the key words that I needed to help write for a struggling nonprofit, the program searched through its vast database of 18,000+ possibilities to filter down to a far more manageable 216 potential and applicable funding streams. Not only were the "advertised" grants made available to me, but also those that were "private," or "invite only" sites. I reached out via letter (as was stipulated in their profile) to one of these invite-only funders explaining the agency's cause, their need for funding to support their project, and how this supports the funder's mission and vision. Within three (3) days, I'd heard back from this funder inviting me to proceed with applying for their funding grant! It's under review at the moment, but the anticipation is strong that this agency will receive these monies, as the funder stated in a Technical Assistance (TA) call that they do not receive many inquiries and were curious as to how I found out about them. Instrumentl!! In the few months that I've been subscribing to- and utilizing - Instrumentl, I've spoken with so many people in the nonprofit and for-profit realm, as well as with other funding sources encouraging them to check out the benefits of a subscription to Instrumentl. Cons I would be hard-pressed to find anything that I liked the least about Instrumentl, its resources, and learning webinars!! Not so much a "least liked," but more of a thought-provoking question: Another participant in today's informative Instrumentl webinar asked if a feature that integrates a spend-down tracking system into Instrumentl's tracker system could be made available. A system such as that would be most helpful and strongly utilized as well, especially by me, as I handle multiple grants. Reason for choosing Instrumentl Truly? The human support / customer service!! The database features were super user-friendly, the speed at which hundreds of relevant and pertinent grants were made available to me in the blink of an eye was a godsend, and the ease of simplified tracking were overwhelmingly appreciated. But what genuinely "sold" me at subscribing to Instrumentl was its people. They are supportive, helpful, patient with my questions, and actually listen to what I say. This is extremely meaningful to me, and is what helps me to promote Instrumentl to those I encounter with sincerity and gratitude for its existence. When I started at my firm, I basically taught myself the system - that's because it's so intuitive and easy to use. When I had questions, \[sensitive content hidden\] answered them all and spent all the time I needed with me to answer my questions. Great team!!! Pros The system is very intuitive. Very easy to move opportunities to the tracker for a project, add tasks, notes/documents, etc. Also really like the support and help Instrumentl provides. I really enjoy the program, it has cut down on my research time and the amount of time I spend on a grant. Everything is organized and easy to use. Since we have been using Intrumentl, we have enjoyed it so much that we have even told other organizations about it and now they are demoing the program. Pros It is easy and friendly to use. The team is very responsive, the system is easy to use and automates a lot of the work that I do. Pros What I like most about Instrumentl, honestly, is their commitment to learn from their users what they need in a product. I have engaged in product review sessions with them and have seen some of my suggestions go live on the platform which is HUGE! Overall, the ability to set tasks, milestones, and reminders fully customizable in the system for each application and award has made my own project management even easier. As a grant team of 1, the Funder Insights and 990 reports have saved me HOURS of research to learn if a funder is a good fit for our organization and what the best proposal/funding strategy is based on a funder's past funding. The fact that the system automatically updates any changes in deadlines from the funder again saves research and time and allows me to plan my submission calendar effectively. If you are a small grants team, this system will essentially be your administrative assistant and project manager! Cons My only con and it is very minimal to the actual use of the product is the size of the line items for each individual grant. It can take a lot of scrolling to look through your whole year (but you can very easily download to excel to see a more streamlined view). I love this product! Pros Easily the most important benefit of Instrumentl is its ability to marry the task of prospect research with the task of grants planning/management. Eliminates the need for multiple spreadsheets and unconnected reports. Prospects are automatically generated by the system based on my input, making it easy for me to vet them and add them to my pipeline and manage internal tasks related to the grant submission process. This has simplified my life immeasurably! Cons Although there have been some innovations to the software to enable it to work for consultants who manage multiple clients, I feel like Instrumentl is still designed more for users working with single organizations. I would like to see more improvements to the consultant version of the software. I can find funders who are aligned with our mission so much faster than before. The ability to search 990s by NTEE code has been life-changing. Now when I'm in the weeds and get in that place where research is being put on the back burner, I get a nice little email boost letting me know there are new potential funders for one of my search projects - or a reminder that some of my funder's deadlines are coming up! It's so much easier to see the NTEE codes grouped together, alongside the analytics on geographical area, gift size, etc. - it makes the decision process faster on which funders to focus on. I am so glad I took a little time for the 2-week trial! Cons The only thing missing is I can't filter my funders by state - that is a key search criterion when looking for new funders. Pros Being able to get up to date and comprehensive information in seconds has been a fantastic tool in identifying the best and most feasible grant opportunities for the 30 nonprofit organizations for which my company provides grant writing and prospect research. I love the way individual foundation and funder profiles appear for saving and every bit of Intel, from deadlines, giving ranges, exactly who else they have funded and the specific grant amounts awarded, plus the 990's are a quick click away. Fast and intuitive! Cons I wish there was an easier way to use this as the key tracking and management tool for all the organizations with which we contract--it becomes cost prohibitive because in addition to our team of writers and editors, we offer access to master grant folders to the organization's liaison, board members, more. At this time, we use a Google Drive folder system for each client. The software is very user friendly, easy to navigate and ability to customize which allows us to invest our time in our mission. Cons We would love to be able to look at a master calendar for upcoming submissions that include reporting or tasks. Also a way to search key words with in notes and attachments. We often input pertinent info but have to duplicate it to every year such as contact info, a new foundation email, etc but without remembering which year it was added to we often can’t find it again without a lot of digging. I was able to get up and running with no training. New database users can access free trainings and demos. The support staff is superb -- extremely responsive, friendly, and helpful. Cons I'd like to have a field or section where we can log payments to date. Most grantmakers don't make a full payment upon awarding a grant, and we like to see revenue received versus payments pending throughout the fiscal year. Also, multiyear grants have to be broken out into multiple records if you want to see how much of the grant is allocated to each year. (I requested this enhancement, and expect it to be implemented soon. Instrumentl is GREAT about responding to enhancement requests!) My direct supervisor and our Executive Director has been impressed with how much we've been able to expand in terms of grant requests and awards, and I'm incredibly grateful for how much the software has helped me in finding new funding opportunities. Pros I love the beautiful simplicity of Instrumentl. It's extremely intuitive and easy to train other team members on using the software. One of my favorite features is the grant discovery feature, which has helped me increase the total dollar amount we've requested by 80% and the total dollar amount we've been awarded by 50% compared to one year prior. It does so much of the tedious and time consuming work of searching for new funders and reviewing 990 forms, and then produces all the information in a beautiful summary that is also linked to the funder's webpage. I also love the way it helps us keep our grant applications organized and easy to view, so if we need to change due dates or projects to fund we can. I have talked about this software non-stop to anyone who will listen and recommend it every chance I get. Cons I find myself duplicating the master tracker in an excel spreadsheet so I can do more with financial tracking. So, the software is amazing for tracking the actual grant applications and moving them through the application process, but I found that I need additional ways to analyze the financial information and include other sources of income that are outside of the Instrumentl tracker (i.e. fundraising events, in-kind donations, event sponsorships, individual giving, etc.). This was mostly to get a bigger picture of our Development Department's financial activities, rather than a specific foundation-related tracking task. November 7, 2022 5.0 I am very glad I have Instrumentl available as a place to find the kind of information I need in deciding whether or not to apply to an organization. All the financial, info is extremely useful. The research yield has also been pretty thorough, and even when I get a lead from somewhere else, Instrumentl usually provides good info. Overall, my experience has been excellent. Pros Instrumentl has everything a fundraiser needs to find and apply for grants. For people just starting out in the field (who are competent and comfortable with technology) it organizes everything for you and helps you stay on top of each project. Instrumentl condenses a huge amount of information into extremely helpful packages and is fairly user-friendly. For those of us who are not tech-saavy, it takes a while to learn what you can get from the site, but it is all there. Cons Personally, I find it very difficult to navigate to all the potential features I might use. I don't feel that I am getting the full potential of what is available, but that is on me, not Instrumentl's fault. Whenever I have sought help, everyone has been very kind, helpful, and patient. What I can get our of the site is well-organized and useful. I am finding most of what I need. Grants Manager Non-Profit Organization Management Used the software for: 6-12 months ### "A Grant Management System that Does What I Need and is Easy to Use" March 25, 2024 5.0 Pros There are a number of grant management systems out there that try to be many things to many people. Instrumentl is the only one I have come across that is designed specifically for pre-award grant management. It is straightforward, not overloaded with features and options that only confuse things. And the support is hands down the best. Cons It is easy to get bogged down in reminders and updates. It seems like the decision to track a grant means that I am doomed to get reminders and updates for that grant through the rest of eternity. I do wish I could simply un-track grants, rather that toggle them as "abandoned." Instrumentl allows me to keep an eye on upcoming opportunities, stay on task with regular reminders and they secure some of the foremost experts in the nonprofit sector for webinars. Pros I found Instrumentl to be very user friendly. Their customer service is top notch and the ability to research several foundations and match them to my organizations mission has made applying for grants a breeze. Cons My experience has been amazing - I don't have any complaints. Reason for choosing Instrumentl We felt the price point was great, the initial trial period allowed us to research organizations in a matter of days, that took weeks via google and the training webinars are invaluable. October 26, 2022 5.0 We have been in the midst of a capital campaign, while still working hard to retain operational funding. Instrumentl has enabled us to apply for a lot of new grants, and given us more information on previous funders. Pros We love the ability to see geographical distribution of grants, as well as the easy access to many funders' 990s. The customer service is AMAZING, and provides a ton of support as well as easy-to-digest trainings. Cons The only thing I don't love about this software is that it doesn't write the grants for us! You've made our job infinitely easier. Thank you! Pros Instrumentl is a fantastic product that has helped us identify not only potential funding opportunities, but also potential funders. The support team is \*very\* responsive and have always been there to help us when we had questions. The grant application tracking feature is helpful, too. Cons Despite it's many strengths, Instrumentl is not the most user-friendly service, especially for users that are less tech savvy. I do not have suggestions on how to improve this, but I do believe the service could be more user friendly, especially with navigating funding opportunity search results. The support team is AmaZing-- always ready to help and quickly responsive. Pros I like that the system finds grant opportunities for me, allows me to enter needed dates, and the reminders are great. Plus ALL information in one place. Cons I wish I could have an activities log, right now I use the tasks for activities.
