Director of Development Operations Non-Profit Organization Management Used the software for: 6-12 months ### "Give Your Grants Program a Boost" February 16, 2026 5.0 I love how forward thinking the system is - clearly they are using AI for research and development and are mining a ton of material that is out there but isn't so easy to find (at least not with the time I have to dedicate to research!) But behind that is a team of really awesome, competent people focused on providing incredible 1:1 service to their customers. Pros The system is easy to learn - well thought out, it's clear that they built a program for grants managers and thought through various pain points, like managing deadlines and reporting. It is the first software I've used that has integrated so well with Raiser's Edge which is awesome, because now i'm not having to manage my portfolio in two separate systems. Cons That I waited so long to buy it. It's an investment for sure, but one new funder more than pays for your annual subscription. From our onboarding call to the recurring emails letting us know what new opportunities are available. I suggest it to all my colleagues in non-profits. I tell them it is an investment, but it pays dividends! Pros The reporting tools. I love that I can run quick reports of each of my initiates and see what open asks I have and what I have received. This saves me a lot of time. Cons The home screen view, being chronological, gets tedious at the end of the year. It would be nice if there were a monthly or quarterly expansion menu. The ease of reviewing digitized 990s makes this product well worth the investment. The time we save with Instrumentl has already offset our investment in the subscription. Customer support is excellent. I never wait more than 24 hours for a response. Cons The app is complex because of its rich features. It took us a few weeks to learn how to use it effectively. The tutorials are helpful, but they are only accessible once you subscribe. My best advice for trial users is don't pick too many areas of focus when setting up your projects. I’ve cut my grant research time by more than half. As the sole staff member responsible for writing and managing grants, this tool has saved me countless hours in researching, writing, and tracking. I especially love the ability to add collaborators, assign tasks, and avoid manually tracking emails and reminders. The Instrumentl team is fantastic to work with—they respond quickly and are always helpful. Pros The most valuable aspect of Instrumentl is the significant time savings it provides. I have reduced my grant research time by more than 50%, which is particularly impactful given that I am solely responsible for writing and managing all grants within my organization. Cons There is such a wealth of information in Instrumentl, it can be difficult to filter out opportunities that aren't a perfect match for mission, goals, or proximity. With experience, this becomes a bit easier, but it is often overwhelming for new users. It makes my job easy with verbal and visual information arranged in a very appealing and accessible interface. I recommend everyone make this one of the tools you work into your budget. Pros My most favorite things about Instrumentl is the ease of the interface. I can easily and quickly find everything I want to know about the grant opportunity, the foundation’s patterns of giving, and why my client was matched to this grant or foundation. I love the comprehensiveness of the database. I can be confident that Instrumentl will ALWAYS find something for me to analyze — whether it’s a grant match or a foundation match that I can look into. Additionally, I can get help on anything. If I can’t find it in the written explanations, there’s a video to watch or I can get quick assistance in a chat. I love that I can allow my team to be core users and have their own login and password, too. It means they can operate independently. This is very important with how I run my business. The convenience of uploading my award letters and having them scoured by the AI feature was AMAZING! I was able to run a report and have every bit of info in a spreadsheet that could be sent to stakeholders. It was fantastic! I LOVE Instrumentl! Cons I have to be my pettiest self to name anything I don’t like about Instrumentl. I wish my core users weren’t able to see each other’s projects. I assume anyone on there is too busy doing their thing to mess with other peoples’ stuff, but it makes me uneasy. (This is an included feature if/ when I move to the next Consultant level…) Sometimes, the effectiveness of the matching is a little overwhelming (really large numbers of matches), but that just means I get to hone the search even more when the results are too expansive. Pros The ease with which I can conduct prospect research, track opportunities through moves management, and pull reports to keep my boss in the know. Cons At first, it's almost overwhelming the amount of matches you can get, but once you learn to filter you can drill down and get to the best prospects. It’s opened up doors to foundations, both local and beyond, that we never knew existed. We’ve been especially excited to discover private foundations in our own community, and the ability to see who they’ve funded in the past gives us valuable insight into how we can approach our proposals and make the most of each opportunity. Cons One challenge we faced when transitioning to Instrumentl was moving our data from a spreadsheet format into the software. Some of the information didn’t transfer exactly as we had hoped, which led to a few hiccups in the process. " January 6, 2025 5.0 Overall, I think the reporting features are great, the research features are great, the usability is high and it has been an incredible upgrade to our fundraising process. I would definitely recommend to others. Pros As a new/temporary development person here, I greatly appreciate that Intstrumentl does a HUGE amount of the grant research for you in finding things that would be a potential fit for your organization. It is also nice that multiple people can contribute to different grant processes and anyone with an account can check the system for details and updates so the process isn't siloed. Cons When you make different projects that you are researching for, it will recommend some of the same grants for different categories. If you have certain members applying for a certain category, it can lead to duplicated efforts. We do flag each of those in the Matches view with a green banner: '<3 Saved | \[X number of projects\]' where you can hover over it to see the names of the projects. I am still interested in more classes to deepen my workability with the platform, but overall I rarely run into an issue. Pros I love that everything in my grant landscape is in one home. Every client, every application (finished and upcoming), every funder. In addition, it is a fantastic project management tool. I can create tasks, upload the calendar, and set my notifications to my liking. Cons Honestly, the price. As a solo entrepreneur, it's a bit steep. I'm beginning on the venture of building my business and Instrumental, I believe, is instrumental to my success, but it is hard to justify the cost for only a handful of clients. The price is a bit high for a one-person consulting and grant writing office, but it is worth every penny in terms of the hours I gain back from not having to use archaic and non-integrated grants research and management websites and spreadsheets. Pros The integration of funder research and data with grants managment is incredible. In the past, I have had to manage deadlines, research, contacts, tasks, and assignments, and attachments in several different software applications, but with Instrumentl, everything in one beautiful, easy-to-use cloud-based website. I can't imagine doing grants research and grant writing without Instrumentl! Cons I wish I were able to narrow down my grants research filters a little more so that it only finds funders that fit ALL of my research parameters instead of ANY of my research parameters. I do have to spend quite a bit of time diving into all of the potential matches to filter out funders that don't match all of my research criteria.
