Overall EMS Event Management Software is very easy to use and tracks data very well. The reporting options that are available are very helpful to get out to our staff and tracking events and billing is very easy to do.

Pros

I really enjoyed all the capabilites EMS has with its event booking software. It is very customizable and easy to book and track events. It made event planning very easy when we manage thousands of events per year.

Cons

There isn't much I do not like about this software. EMS does have a bigger software that allows you to customize for different user groups who oversee different venues within the operation but I do wish they had a smaller version of this.

Cons

Report/data exporting to excel is the worst. Financial reports could be improved. Certain parameters/security options could be improved (naming conventions could be more clear).

We utilized this platform for nearly 20 years before migrating to a new event management software. Though EMS was priced very low, the capabilities of the software, lack of modern user interface updates, and basic functionality left us with very little room to grow and integrate our various processes under EMS.

Pros

Very simple interface, with basic naviagations and intuititive process for data entry.

Cons

The platform lacked in ongoing development and updates, which translated to outdated options and buggy usage by our team. Customer service with this platform was extremely limited, and costly; with very little positive impact when contacting their support team.

I've been working on the platform since 2007. Back then, we used the program more like a glorified calendar. Since then, we've put the program to the test. We received administrative support to have all campus spaces, including departmental controlled areas to give a better snapshot of what's happening on campus at any given time. We've developed a number of mandatory UDF's that need to be completed at intake. The UDF's request info on the number of attendees, food service/catering requests, parking needs, indicate if the reservation/bookings are displayed on our university calendar, requests for after-hours building access and so on. I know there are other features we have yet to implement, but thus far, the system has been invaluable in helping efficiently schedule university facilities and resources.

Pros

South Dakota State University has been utilizing EMS since 2000, first in a limited capacity for our facility to now, where it's evolved into the central clearing house for all things events! Our office is the administrator for the program and we provide training on standards and practices, so we have consistent event data across the university. We have automated reports, area service orders, reminders, approvals and confirmations that go to our clients and service providers. My Event Services area uses EMS for all invoicing, and our campus is slowly working towards migrating all departmental invoicing to a centralized bill driven by EMS. Recreating annual events is a breeze as legacy events are easily duplicated and modified. Overall, it's an excellent product with amazing customer service.

Cons

I do wish that there was a mobile desktop app. That would be helpful for some of our campus facility managers. BUT we've expanded access to the web app and are convinced that using the app as a self-service portal will allow the facility managers to simply approve/deny any requests that come into their facility. Web request notifications could be addressed once the facility managers get back to their desktops.

My entire job is based out of EMS for scheduling events campus wide, and I have to say I do appreciate and love it very much. I know our university is due for an upgrade and I am anxiously waiting for I.T. to finalize this, so I can see what the phone app is like and explore just all of the possibilities based on updated features.

Pros

Systematically I like the many options we have for event types, reports, emailing, not being able to double book, but ability to change the status to have multiple types of reservations in place at once. As an event team we appreciate the ability to have furniture, linens, houskeeping notes....notes in general for the events are heavily used and appreciated. A web base log in for campus wide students and faculty/staff to view is great....I could go on and on.

Cons

I would like to see an UNDO feature added, in case an error or mistake is made and it can take us back as many actions as needed. This may be possible, and I just haven't learned it yet, but it would help to have a save my place feature for if I could be in the middle of setting up a reservation, but I get interrupted with a random walk in request, and need to save it where I was, so I can return to it after I help the walk in. Again, this may be something I am just not aware of, but it would be great if we could pull data, like percentages of types of events reserved or how often a venue is used and divided out by type of event....Or how many events have been scheduled in a certain time frame. Basically if it could graph charts of data.

Reason for choosing EMS

First, we have put so much time and effort into building out EMS and we are not a big fan of change or having to rebuild, lol. We also were not convinced it would have the same features on the event side of things that we appreciate as it would have been on the academic course side of things. We were considering it because of the challenges we faced when integrating Campus Nexus

Everything is scheduled in one place -- it has become the university's standard for scheduling all events.

Cons

The desktop version is weird with all the windows. The web app version is weird sometimes when using "too many" search criteria.

I have used EMS for over 10 years and its been the best scheduling program I have used so far. I handle the reservations for over 150 spaces.

Pros

The grid style "Book" makes it easy to see all rooms/buildings at once on any given day. Easy to cancel one booking within a reservation without having to cancel the whole recurrence. Easy to navigate.

Cons

Takes a while to refresh after "reviewing" or using other buttons. . Also, I have experienced a glitch when users go online to make changes to a recurrence. it doesn't always change back to "Web Request" in my dashboard. I have been working with Accruent for almost a year about this glitch.

It has been a great experience. Besides the helpdesk not being as helpful. We have still managed to operate without Ems online.

Pros

I like that the EMS function is logical. Once you learn to operate the system, you don’t have to worry about relearning it.

Cons

The help desk service when you need help is not as helpful. We put in help desk tickets to get EMS online and it wasn't helpful.

I have been using EMS for over 10 years both in a configuration role and day to day use for event reservations, invoicing, etc. I love it, and teach others on my campus to love it also. There are a few significant changes I would love to see, but overall I love the program and how much it helps with event planning and space reservations

functionality and ability to configure for many different use cases

Cons

customer service support when there are issues. jump through a lot of hoops submitting tickets and have to ask 7 times or more for a video call. this makes every ticket take months to resolve.

Overall it's very powerful and wonderful to use. Implementation wise it's piece-mill. I would highly recommend before any University purchases it, they get buy in from campus leadership about unifying scheduling policies on campus before moving forward. Don't be cheap, get everything you need up front. Implementing it piece by piece is terrible especially if you have to engage multiple areas on campus to implement anything like we do. It's like herding wild buffalo... and that is because we didn't know better up front and we're staggering along with a ton of legacy issues because of it.

Pros

I love using and training ffolks in the software. It's robust and generally anyone who feels comfortable using a PC will enjoy it. We host the database, and the test and dev environment on our own servers in our computing center on campus rather than the cloud offerings by Accruent but a smaller university can really benefit from that service. It is an amazing and very flexible software, easy to train users on it and set up spaces and special use facilities fantastically .

Cons

Does not work for Apple OS, Web Client is not updated to keep up with newer versions of EMS Client so can cause template bugs and issues in teh client if items are created in the Everyday users admin tools. The mobile application is not really viable or working properly on the platform services, and the UIX is terrible according to any of my users who are trying it out. . They both seem to be the ugly step child of the client software. Support is more generic ticketing and less helpful and frustrating to engage with. It used to be one day turn around on solutions to an issue, it takes forever now. usually gets lost in ticket system hell, and they nickle and dime licenses under "professional services" outside of the paid for service agreement under accruents ownership these days. They close tickets before solving the problem to keep their "ticket" stats looking good I guess for potential buyers of the product it seems. Obviously it frustrates me as I've used the product since 2008 and loved it until the purchase of it by accruent.

Reason for choosing EMS

25 live is fine but the developers named the fields and making reports and queries off their tables in it is a nightmare because the terms a developer came up with are absolutly gibberish to a scheduling admin in any facilities. It's a steeper learning curve to use Resource 25 now 25 live. I will say their web page although made for teh very very blind in scale is quite smoothe. I use both because we have not integrated academic and non-academic scheduling into EMS fully at this time.

EMS is very complicated up front because of everything that it offers. There are so many different uses and parts of the software, so it does have a steep learning curve. However, once you learn the system and its shortcuts, it is very useful and offers a lot for your organization.

Pros

I appreciate all of the different functions that this software offers. I use the reporting, calendar, and billing systems almost daily, and could not do my job without them. I am lucky that my designated customer service rep is knowledgeable in EMS, and can quickly guide me through any questions that come up.

Cons

Before switching to EMS Campus, the biggest issue we had was that only two users at a time could be on the software. Our team was too big for this, but once switching to Campus, it has been resolved. With EMS Campus, my biggest pet peeve is that everyone on our umbrella account has their own information in each drop down menu throughout the system, so it is difficult to keep the system clean and overly personalized for our office.

Overall, EMS is an important tool in our day-to-day meetings. Overall, it is an easy software to use for setting up meetings. It's very responsive and has never crashed on me or disconnected my calls. I would high recommend for any businesses that operate virtually to use EMS as a video conference program.

Pros

The most I liked about using EMS is how easy it is to set up conference rooms for meetings. Compared to zoom, EMS has an easier interface and can allow my teammates to simply join rooms for meetings and set up scheduled times. In addition, the video conference calls are high in quality.

Cons

The least I liked about this software would probably be the interface. While it's easy to use, the UI may need an update in appearance as it appears to be outdated.

It can be a challenge to use it if you only use it about once a week to pull reports for each area who needs it.

Pros

I am able to see what events are occurring in which buildings we have on campus. One of the administrators has set up queries for me to look for specifics in our buildings. That saves me A LOT of time.

Cons

One of the recent complaints I have received from one of our craftsmen is that those who are doing the scheduling can override the system or skip some of the blocks that are purposely built in that causes them challenges.

Pros

The Accruent academy and support from staff. We have created our own training videos using some of the academy's ideas to help our staff excel in capturing the proper information.

Need to capture more logistical information (volunteers, staff assignments, etc) and general budget.

Great tool for event management on university campuses. Like that it can allow for multiple users on front and backend.

Customer support is very frustrating. Too many confusing charges for any small requests and for additional features. Dislike the limited ability to manage security parameters.

My overall experience has been a good one. We transitioned over from a different system during a tumultuous work time, and I was able to learn the system and keep our event management working.

Pros

It's so easy to use when setting up events and for my external users to request usage of a location on our campus. Plus pulling reports is so easy and I can adjust to pull the exact data I need.

Cons

I wish I could get email notifications when I get a new request and sometimes a new request does not show up in my current notification report.
