### "Vantaca - You Should Do It!"

Overall Experience (8/10): Overall, our experience with has been very positive. It’s helped our team operate more efficiently and with greater visibility across the company. While there are still areas that could be refined, such as making certain sections linkable to cut down on duplicate screens. The platform continues to improve, and the support team is always receptive to feedback. It’s a solid system that keeps getting better.

Pros

has been incredible for keeping our company transparent and accountable. We can easily see what needs attention and what doesn’t, allowing us to quickly address issues and stay proactive. The entire Vantaca team is knowledgeable and truly understands their product. Coming from software that wasn’t built with the user in mind, I really appreciate how Vantaca takes a user-focused approach. They’re forward-thinking and constantly evolving, which gives us the confidence and tools to lead our industry with technology that supports our success.

Cons

The training program through University and the implementation team is extensive and very helpful. However, the software itself is so complex and, at times, inadequate that true success requires a very hands-on approach. Even after two years, we’re still learning and adapting every day. The product and its extensions are expensive, but having come from software that rarely worked, we can appreciate the value and reliability it brings. While we initially hoped it would reduce staffing needs (which didn’t happen as expected), it has allowed us to stabilize operations and reduce how often we need to hire new team members.

Maegan and BD - of course! Honestly, I had spoken with several CINC clients or prior clients of theirs and heard a lot of concerns. Likewise, I spoke with several clients and all were very happy. I met Brandon out of Colorado who let me play inside the system and ask a bunch of user questions. The relief I knew the software would bring to my team was a no brainer.

TOPS One/Enumerate hardly functioned on our Accounting side. There was a time that we were not able to perform collections for an entire quarter. Every time an update was done it would cause bugs to occur in another error. Working with their team was such a headache, we knew thier product more than they did.

Transitioning was a little tough, but we have great support from the Team and Community. Issues are communicated properly and resolved quickly. The continuous hands-on training with webinars and coast-coast is a great asset for all users.

Pros

What we love about is the Customer support, the efficiency and the transparency vantaca.net provides. It assists with holding people about accountable.

Cons

While we enjoy almost everything about as its assisted us with tremendously with reviewing our SOP's, weeding out our teammates who did not want to grow, some of the Global Settings do not apply to all Associations. Also, if we could add an enhancement to work orders with what type of work order it is (Lanscape, irrigation, drywall) - similar to arcs that would be great.

average. you guys need to communicate more. Latest update on owner portal was not communicated to us, then we received calls from homeowners of changes that we had to ask. Response we received from was "sorry about that". Unacceptable. This is becoming the normal

Flexibility of the system to create work flows that fit our company needs. Very powerful system that integrates.

Cons

Cost. You are pricing yourself out of the market, thinking of a simpler solution without the reoccurring costs. Software is becoming a partner in my business and we dont see the return value for what we pay. is not saving us money as promised and not delivering a clear message. For example, system is complex and requires one person to manage the system. Thats a COST center we are paying an employee for, Vantaca does NOT consider that when pricing to companies. Adding additional services require a large capital investment from management companies and ongoing support internally to keep things moving. Vantaca model of stating its a cost center is not accurate at all.

If I would ever leave this job and go to another job I would not want to work in any other system then . I really apricate how Vantaca listens to us and uses our ideas to improve Vantaca.

Pros

I have worked in other systems, make doing your day to day work convenient to use. You can do your workflow in one screen verse having to have 3 tabs open to do one workflow.

Cons

Improvements on the AP side is still needed to make it flow better. Pay needs to improve the turn around time. Waiting 2 - 3 days for something to post is hard at month end, it crosses over in months.

My overall experience has been great, and I wish I had more time to learn everything. There are so many options of support, and I am excited to go all digital and use the system to its fullest.

Pros

The ability to customize per Association and I like the idea of the use of roles, so our tasks are specialized.

Cons

Suggested and needed fixes from 2019 still have not been resolved. When an issue does not seem to have a quick an easy resolution, it is put on the back burner, due to the priority of the need of the fix, and we are asked to use work-arounds instead. I don't feel this is good customer service.

Converting to from our old accounting software was like learning a new language. I've worked in HOA bookkeeping for 20 years and am now more of a database coordinator. The system handles the majority of actual bookkeeping. I'm creating and updating action items, teaching board members and homeowners how to utilize their portal, and learning more and more how to make Vantaca work for us.

Pros

Everything in one place. Whether working remotely, in the office, or out on inspection, you know what's happening within your association in real time.

Cons

Sometimes, you won't know what an action item is going to do until you work it. We've found it's really important to test any changes, no matter how small, because unexpected results could result.

### "Lakeside Inspections & Notifications When Editing Letters"

My overall experience with is still uncertain. It would help if we could see and edit the letters before they are generated and sent to the homeowners. I realize I can suppress the notifications but I would prefer to notify homeowners with accurate and detailed letters that don't require additional time for editing as a PDF, saved and uploaded to the account before attaching the corrected letter then delete the wrong letter that still goes out via email notification even if I delete it from the attachments.

Pros

Homeowner accessibility to account information and a user-friendly platform. It's easy to walk homeowners through the payment process or setting up ACH. New technology that has some kinks to iron out before I can give it a better review.

Cons

Using the app for inspections is very time-consuming. I have to use the map when conducting lakeside inspections because there is no address marker in the rear yard. When I'm finished adding a new violation to an account, I am kicked out of the map and have to recenter my location. Inspections that used to take me 3 hours are now taking the entire day, and sometimes two days.

My overall experience with has been positive. There have been growing pains and frustration at times, but that is to be expected when you begin to utilize new software from the ground floor.

Pros

I love that was built by knowledgeable people with HOA Management background. This helps ensure that the software works beautifully within this industry. I also love that the software is continuing to grow in its abilities and that updates are based upon customer feedback.

Cons

What I like least about is how new the software is. This means we have all experienced learning and growing pains. That being said, it's been exciting to be on the forefront of Vantaca's software launch. I believe our company jumped into using the software in its early phases. I prefer Vantaca over other software we have used.

Not the best experience. Not very user friendly. Also support always has an excuse for why it is doing odd things. I have utilized several other software programs, and this does not compare.

Pros

Using it through internet rather than corporate server is easy but I don't feel very comfortable with how secure the information is.

Cons

It does not allow for collection notices to prior owners without great manipulation. We cannot create editable notices. You cannot get from one 'step' to a next step without going through a third. Sometimes 'step' works other times you have to 'edit'. It seems to have a lot of glitches. We used to be able to view payments and can no longer do so. It is terrible for collection processes.

Transition was extremely tough and we didn't get as much support as we expected in setting everything up. We wish there was more transparency in terms of upcoming issues and existing concerns, as we continue finding dead ends and software limitations after we try to work through things.

Pros

The potential of this being an all-in-one flexible and customizable tool for management companies. The fact that we get to create our own workflows that perfectly reflect our internal company processes would be amazing if the tool was rounded enough to catch user errors instead of finding out about them after the fact.

Cons

Because the software is so customizable and there are so many moving parts to it (aiming for the all-in-one approach), there are unfortunately several things that don't work as intended or as sold.

It has lots of useful tools and is very efficient. Once you learn the filters and so forth, it is quite useful in making specialized reports.

Pros

It’s efficient and cuts down on email volume. The violation app saves lots of time when doing property inspections.

Cons

The arc applications were only viewable by the owner for 30 days after the decision has been reached. I think this needs to be changed where they are stored there forever.

We are able have a streamlined process and much easier tracking. All of our staff, including global team members can access the same information.

Cons

We have found that some updates and enhancement requests take a while to complete. They do always seem to get done though.

Absolutely amazing. The team is always helpful and friendly. The system is wonderful and helps our team work better and more easily.

Pros

It is easy to use, but still customizable. It allows us to standardize our practices for the company, but it appears to be customized for the board and homeowners. It allows us to be very transparent with the boards and homeowners. The owner portal is user-friendly and very intuitive. The site for the management team is easy to train and use.

Cons

I have a few wish list items that I would still love to see happen. The one that affects my day the most would be the ability to rename and reorder documents on the portal without having to delete and reupload them.

Pros

The ability to streamline workflows is what I like most about . With the right time and effort invested, you can build automated processes that truly give you time back and increase efficiency across your operations. Cons

Like all software, isn’t perfect. Its effectiveness really depends on the effort and engagement you put into it. Mostly good customer service is not always as helpful or timely but when everything is work it is very good.

Pros

it is an all-in-one program so you don't have to look at different types of programs for permits and payments.

Cons

I would really like to have the Village field added to the Action items column selection. This would make sorting our over 400 action items for our department sortable by subdivision and we have 27 over miles we could dived them up by area and make tracking and scheduling easier so much easier. and efficacy would go up.

Overall, I enjoy working with and the Vantaca Support Staff. Action items are easily tailored to our needs and can be adjusted as necessary. Troubleshooting problems is straightforward, and a vast amount of educational tools are readily available. I am happy with my experience using Vantaca.

Pros

The ease of customization allows me to filter information quickly, which is essential for my research. Additionally, Support is quick to assist when needed.

Cons

The system experiences slowdowns during updates, particularly during our mid-month and end-of-month processes.

Working with takes some adjustments, but with time the flow will be smoother. I wish the exporting of reports was simpler. Many communities want a report to look "their way".

Pros

The workflow process and the automated notices to the homeowner. The work order process, automatically notifying the service providers

Cons

Too many "steps" to get to one function. The Violation process, but that may be a matter of programming and setting the templates. The work order report is not favored by most communities. On-line "Help" could be made more robust.

I would say that overall, is very good (7 out of 10). If the system flow were smoother it would be 11 out of 10.

Pros

offers alot for our industry by giving us view in one location. The ease of use and website is straight forward in most cases. Processing payments and ability to offer good customer support is seamless. Since implementing the Vantaca system, we have cut time down tremendously with everything at our fingertips in one program.

Cons

Unfortunately, no program is perfect. has a lot going for it and could improve on the amount of clicks it takes to set up. Steps are not exactly clear when choosing the flow of a task and the letter templates are not viewed always with the same outcome.

My experience has been primarily positive. And judging from the webinars, it will only get better. The team appears to genuinely want to listen to feedback and implement changes.

Pros

has really made my job easier. I love that it captures all the conversations with owners in one place.

Cons

Since moved to Manage, I am having more issues with inspections and less owner information available on my phone with this app. Also, Manage does not give me access to my Dashboard. My owners have expressed that the broadcast emails look like spam because they start with an XN number and the dumb "reply under dotted line." Somewhere along the way, the Subject Line has gone away.

is a great platform for Association Management. Being able to keep documents such as leases, homeowner insurance polices, etc. tied to an owner account is great. The customer support is very responsive.

Cons

Although customer service is very response there are times that issues are determined to be "bugs" and support escalates the issue to the tech team and we are not sure when a resolution will be implemented as they consider the ticket closed. Would like ARC applications to remain on an owners view instead of disappearing after 90 days.

It was built by an HOA management company, so it is tailored to our industry. They are growing and regularly trying to improve the software functionality as well as internal processes that impact their customers.

Cons

While they are open to feedback, they also have their own agenda of what to pursue regarding enhancements. Right now, they are focusing on AI, while navigation and other basic actions and improvements are on hold.

My experience with has been fantastic. I use it daily to inspect communities, close action items, and look at all aspects of the business.

Pros

allows our entire organization to maintain alignment. Whether we are in the field, or in front of board members, I know we can always quickly find what we need in Vantaca.

Cons

Technology issues with the app can be frustrating. It is sometimes difficult to get quick answers on things that are time sensitive.

Overall I like as a product. Once you learn how to use - it's pretty easy and straight forward to navigate.

Pros

I use only for accounting purposes - to prepare Financials. I like how Reconciliation tab is set up. I like that you can see detailed breakdown of expenses while you review Income statement

Cons

cash entry can be done only through reconciliation tab. It would be great to have an ability to do through GL entry. I can't build my own reports. I want to see 5 years of Financials at the same time and it's impossible. For example, Sage Intact allows you to build your own reports with the parameters you want.
