I've been around the fitness block a few times. I've been teaching group ex classes since they were called "aerobics", and I've had my own fitness business for 19 years. I was with MindBody for 10 years and then Mariana Tek for the past 3 years. While both are well established companies, Arketa has so much more to offer! To start, the onboarding process was top notch. \[sensitive content hidden\] was my specialist and he was amazing! We went through everything in weekly zoom meetings, so that when it was time for my software to go "live" I was more than ready. I feel that I finally found a software that has everything my brick & mortar studio + my online business need.

Pros

Software looks great and it's easy to customize to your brand. I have EVERYTHING that I need is one spot, instead of paying 3 different providers (software/email/app/etc) which gets overwhelming and expensive. I've had to contact customer service a few times since I'm new(ish) to Arketa, and they've quickly resolved any questions that I've encountered. I LOVE my branded app and so do my members!

Cons

I haven't had any problems with my software or app.

Overall, we love it! The transfer was a breeze, the user interface is super easy to understand, and our team has been able to pick up on the system quickly. Oh, and we LOVE that there is a huge red alert if clients are missing a signed liability waiver. Overall, we would recommend this software to anyone looking for a cost effective CRM that gives you tools to automate your business.

Pros

The customer service is EXCELLENT! We've been with mindbody and momence before and their customer service wasn't nearly as helpful. Arketa agents are quick to reply and always follow up, making client management a breeze.

Cons

The only thing that were having issues with is for some reason our time zone is wonky because we are in Arizona. We've chatted in a few times that they've been wrong and they'll fix it but it will randomly revert back and then we need to chat in again.

Walla's pricing was about $200-$300 more a month for the exact same offering. As a small business, we couldn't justify that and your sales team vibe was the deal closer. Allison our salesperson and her down-to-earth vibe was super refreshing in the tech space and made it feel like I was just connecting with a friend instead of being sold an insanely priced software.

I have already cancelled my plan for next year and about once a month when someone in the industry asks if I would suggest Arketa as a platform, I tell them the truth about my experience.

Pros

I liked the user interface and the ease to embed webpages into my own website. I also appreciated the ease of getting set up with Arketa, there were absolutely no hoops to jump through.

Cons

As a customer, I am not valued at all. They state that they have studio support available on weekends, yet I am never able to get in touch with people. They raised my yearly plan without any notice, and when I requested support, they are not able to provide any proof they they sent notice. They have also made payouts nearly impossible, and have held my money for 2-3 weeks now, with no support given (despite multiple requests) for the payout to be made. At an individual plan, they take 6% of all profits as they pass on the Stripe processing fee and have their own fee. They market themselves as the affordable alternative yet every single option is an up-charge. I have had reoccuring issues where if I enable referral codes for clients, their referral code will pop up with a competitor studio's name within it, which is a real great way to drive traffic to my studio as it just creates confusion about the brands and reminds students about the competitor's studio. Their software team does not care about this at all, so to save face, I am not able to have referral codes on at all, which is such a missed opportunity.

Arketa seemed easier to use and more intuitive for a smaller studio. I liked the individual plan but really feel their fees are horrendous and just make up for the lower priced individual plan. Not actually saving any money.

### "RUN AWAY! Do NOT waste your time, energy, or money on Arketa"

RUN!! Do NOT let them trick you like they did me. I gave them way too Many chances and am now out THOUSANDS. They over promise (straight up lie) and way under deliver. They pretend that they are going to solve your problem, and leave it on the shelf. I was told there would be a specific feature by the time my account was set up, I told them I can’t switch to their software without that feature… that was 18 MONTHS AGO. Like, what? You can’t make this stuff up. Everytime I reached out about it I was told “2 more weeks”. Aahh! Lol just wild, seriously. RUN!!!!!

Pros

The look of the system. They made lots of promises about features, and those promises were good so I bought the software.

Cons

Pretty much everything. The glitches are unbelievable. The customer support loves to gaslight you. Many of the e features are ghost features. They don’t give you access to your backend payment processing… this should have been the only red flag I needed, but alas. Payment plans and recurring billing doesn’t cancel and then people are charged and you need to refund, but you lose all of the processing fees. I know all companies have Their weakness, but theirs are business ending. We have lots more than 2 handfuls of members due to the billing issues. Oh, they also sold me a point of sale that doesn’t work for Canadian debits… I asked if it would work in Canada before ordering it. They lied. They can’t fix it. They haven’t refunded me for the terminal which I bought in Feb 2025.

They are nice people at the company, and they try to do their best, I do recommend Arketa. It is a newer company, so it may not be as stable as established companies like Mindbody.

Pros

There are a lot of good features with the software that allow you to customize the way you want to run your business, and it now works well for studio scheduling / booking

Cons

Bugs can occur or the interface/design can be misunderstood, which can create issues for customers trying to complete a sign up or payment

The overall experience has been poor. It is a developing software with a high price tag. I have to spend valuable time and resources trying to mitigate issues that appear out of nowhere. Support is often not reliable in handling issues. It could be a training issue, or potentially they have a high turnover rate and the support person is new and doesn't appear to now the product very well. I am not impressed and don't recommend this product.

Pros

The app and consumer interface looks nice and is very user friendly. In general the software is user friendly once you have a basic understanding.

Cons

They are constantly doing updates that disrupt and disable original settings. It is hare to trust the software, because out of nowhere discount promos will disappear where they should be and other will reappear where they shouldn't be.

Avoid the service at all cost! They will promise anything to get the sale and string you along telling you they will update it to accommodate, which never happens. Then when you try to leave, they will keep all of your client billing information from you so you cannot transfer to a different platform unless you talk to all of your clients to get their payment information again. For companies that have a subscription based model, this can cost you thousands in.

When I tried to switch over to a different software, the company would not give our client billing information to our new software provider and became entirely unresponsive to keep us on the platform for longer by holding our client information hostage. Before we planned to leave the service, we brought up many concerns with what we were told the software could do and what it was actually able to do and the customer service was unresponsive and unhelpful. They told us for over a year that they would fix certain issues, but that never happened so we went shopping for a different service provider. Also, the data for a lot of the reports is inaccurate and inconsistent and very confusing.

### "Consistently Overpromises and Under-delivers"

When we’ve addressed these concerns with Arketa, they’ve denied ever making certain promises—even when multiple members of our team recall hearing the exact same claims. Rather than taking ownership, they deflect responsibility, often implying that any disconnect is due to a customer “misunderstanding.” If switching platforms were easy at this stage, we would have done so already. We had another top contender during our search and, in hindsight, we regret not choosing them. We are extremely disappointed. If you're considering migrating your business to Arketa, we strongly urge caution. If you're just getting started, insist on access to a test environment so you can verify how the features actually work—not just how they’re described in sales calls. Build nothing into your membership structure or client communication until you’ve seen it function live. It may save you months of cleanup and miscommunication.

Their pitch. What they claim they do sounds really great and is very exciting. Their claim to be a 1 stop shop makes them very seem very attractive.

Cons

To begin, the data migration process was extremely mishandled. Despite multiple warnings from my team and me about which reports not to use, and our efforts to provide accurate, curated CSV files, our concerns were repeatedly dismissed. We were explicitly told to "relax" and reassured that we were "in good hands." Unfortunately, our worst fears were realized. The migration was a disaster, and as late as 24 hours before our grand re-opening, we were informed there was no viable solution. We are still dealing with the ripple effects of that poorly executed and completely avoidable migration. Not once has anyone taken accountability for disregarding the guidance we offered in advance. To make matters worse, when we reached out for urgent support the day before reopening—after working around the clock and sacrificing personal and family time—we were told by our assigned Studio Success Manager that she was at a family event and unavailable to help. In addition to overpromising during the sales process, we have consistently had to backtrack and re-educate our members about features and capabilities we were told existed but simply don’t. One such example: We were assured that when a member booked a bike for class, the system would automatically prompt them to reserve shoes and, if needed, collect payment at that time. We were also told the system would track shoe sizes used, offering helpful data insights. This functionality does not exist. We’ve had to revert to manual workarounds that offer no meaningful improvement from our previous system. This is one of many such examples. The process for freezing memberships and upgrading plans is also far more clunky and limited than what was presented. At this point, it’s clear we are dealing with a young company led by well-intentioned but inexperienced staff. The platform itself shows promise, but the internal knowledge gaps—combined with a sales team that overstates capabilities—create a frustrating and often damaging experience for established businesses like ours. We sincerely hope to see more transparency, accountability, and maturity in the future.

Pros

I love the entire system.  It is very refreshing to find a studio platform that thinks of the future and considers the studio's clients to be an essential part of the development process. Their reports are to the penny, their setup is easy, and our clients love the ease of use.  We used this system for our clients and discovered that for the studio side, it was just as easy for us! It is a lovely system, and if you are trying to decide who to go with, you won't look back once switching to Arketa.  They are a breath of fresh air.

Cons

This is a minimal issue and nothing compared to other software cons. Their reports need a little assistance.  They are the most accurate and reliable reports I have ever had, but sometimes, our ability to see a transaction immediately — can be delayed for 24 hours.

I used Mindbody and Wellness Living for the first 23 years of our business. They are both clunky and do not think forward. All other brands were missing major features or were very cost-prohibitive, and many were solutions based on mind-body and wellness living, and they didn't think outside of those boxes. Arketa offered simplicity, and they think about how their software will bend and flex in the future. I love that forward-thinking process! Finally!! A solution that isn't trying to be another mind-body or wellness living. They are their own! The industry desperately needed this forward-thinking! I also love that every aspect of my studio is in one studio software solution. and then here is Arketa offered simplicity, and they think about how their software will bend and flex in the future. Clients struggled to navigate the cumbersome system. Reports were often highly inaccurate, confusing, and rarely matched. The website widgets worked only intermittently. System-wide issues were never genuinely addressed; instead, there were just temporary fixes and workarounds. Eventually, those workarounds became problematic, and it was difficult to know how to resolve issues since the original problems were never properly fixed. Having been with them for eight years, we witnessed how this caused significant functional issues for long-term users.

I would strongly advise you to be extremely cautious when proceeding with Arketa. From the beginning, I was sold a story by \[sensitive content hidden\] that had inaccurate and misleading promises about the level of support, initial start up, and customer service. The narrative was that Arketa was a smaller business and valued each customer. I was promised that I would have help bringing all my pertinent information over from my original operating system, Wellness Living, quickly and easily. In reality, this was always meant to be done by me or, I could choose to pay more on top of an already hefty monthly payment for my small business. At this time, I was tied into a 6 month contract in which, I paid in full because I could get a better rate. But, between selling my business, a move of our family of 6, some health setbacks and a change of direction, I had to cancel my contract. I requested some of the 6 month PIF payment back (I used less than 2 months of service), but I was told no. I accepted that. But then, I get an email after confirming the cancellation of my contract with Arketa, saying that I would be charged over $3000 for the next 6 months. I emailed right away and asked for this to be taken care of so that I wasn’t charged. Well, sure enough, I was charged over $3k and got declined when trying to use my credit card to purchase groceries. I was also charged an over draft fee because of this unexpected charge of over 3K which I am normally very careful to avoid. FINALLY, after over a month of emailing \[sensitive content hidden\], I was refunded but, not for the correct amount. Due to the exchange rate differential, I was refunded $217 less than what I was charged plus I had that overdraft fee on top of that. Now, I have been ghosted by \[sensitive content hidden\] and no one has acknowledged that I am still missing money. I understand that there was an exchange rate difference but, I do not feel like I should get punished for that since I sent two email reminders to please check that this would not happen. Because we have four kids and are just trying our best, this money goes along way with all the expenses that we are all facing. I am very disappointed that after 14 emails sent with kindness and patience, that I could not get a response on what was happening. Finally, after sharing this review, I received a response from Arketa Renewals with another promise of helping me out. I had hope that I was going to receive some customer service and get back the money I was owed. Nope. 3 additional emails were sent from me to Arketa- kindly requesting an update. It has been almost a month and I have once again been ghosted with absolutely no response at all. If you are thinking about using Arketa, ask lots of questions and know that, at end of the day, you are being sold to. My experience with Wellness Living customer service was much better and much more responsive. I know what it’s like to try to survive and thrive in this industry and, we all want to feel like our hard earned money is put to good use, serving us to increase our business. This experience, unfortunately, sent me in the opposite direction. Watch out for this company and the stories they sell.

Pros

Easy to use, well presented user app with a high level of functionality from the trainer side to build their business.

Cons

We experienced a few issues migrating over from via session in terms of duplicated payments. If there was a way of automatically uploading videos to Arketa would save trainers a lot of time.

Arketa helped me consolidate my business platforms. I needed a program where I could host my studio's classes, events and virtual experiences along with an On Demand Library, communities, online courses, massage bookings and programs. I love all that Arketa offers and I feel like they cater to my style of entrepreneurship, which is a little of everything.

Pros

Arketa is the 3rd software company for my healing arts studio that I have used and I am so glad I switched. I loved the fact that I had a personal onboarding specialist that met with me every week until I was up and running and he was available for questions at any time. I am sold on all the options that Arketa offers, as my business was being hosted on 3-4 other platforms and can now be with one.

Cons

The only issue I had was that I onboarded during Arketa's upgrade, so I got confused on which dashboard to be working with.

I'm also able to maintain my virtual and On Demand business without spending more precious time building it as the process is so streamlined. The software takes a long time to load and sometimes it can be a bit glitchy.

I appreciate the hardworking team and that they have given us the attention and direction to make our move successful and as easeful as possible!

Pros

I really like how you can customize your page, integrate zoom and the videos upload automatically, I like the look of the On Demand/Video platform and that you can add everything in widgets to your website.

Cons

There are a lot of glitches in the software that we've found when using it. The team is always fairly responsive with these and gets them fixed fairly quickly! I think the reports are clunky and can be greatly improved.

I have been using Arketa for over three years now, they have supported me as I transitioned from an independent instructor to a full studio owner with a team of 16. They are quick to respond, friendly, always updating their software, and on the pulse with the trends and needs of fitness entrepreneurs. I am so grateful to be part of their community!

Pros

Fast service, so many tools for my studio, intuitive for business owners and instructors, clean appearance

Cons

Because Arketa was a newer product when I signed on, there were some hiccups in the beginning, but they have quickly adapted to catch up with studio needs!

### "Easy for my Clients and Me to Use -- And its pretty! "

Arketa has been a game-changer for my Pilates Business. Everything I need—booking, marketing and lead management, mobile app—is all in one place, making my day-to-day operations so much smoother. The mobile app is the best I have seen. The software is customizable to perfectly match the website I had before coming on board, so it was an easy transition. Once I switched to Arketa for marketing and lead management I was able to do more to drive my revenue. My clients love how user-friendly it is, which has made it easy for them to sign-up.

Pros

Everything is in one place, my booking, marketing, custom mobile app and lead management. The software embeds match the website that I had prior to coming on board. Mobile App is super customizable and all in my brand. It is easy for my clients to use.

Cons

There isn't much I don't like. Sometimes I don't find out about new features as fast as I would like.

Pros

I liked the features that were offered and the opportunity to create something tht looked clean and clear

Cons

The lack of customer service and availability to help navigate issues was ultimately what led me to cancel my membership. They offer no phone consults which would have been fine if I recieved faster chat reponses but it would take several hours-24 hours to get a response to questions on the regular. This is perhaps becuase I am PST and their office would close before I could get an answer to my queries. becuase of the price, I expected better support

I love Arketa! it is a professional tool for professional fit pros. I do not need to worry about automated emails, schedule reminders, payments and unlimited space where you can download your videos. The community behind it is very strong and supportive as well their customer service. I highly recommend this software if you want to make your life easier as well your business more productive!

Pros

I have been using this platform since January and I simply love it! It is easy to use and it is pretty intuitive. The layout is very friendly and the services offered are fantastic. You can create your own customized schedule either you are teaching live in person OR online OR both at the same time. It allows you also to crate an unlimited videos on demand library. Not so many platform out there allows you to do so! You can also create memberships as well challenges to keep your clients motivated. It is all trackable and you, of course, it is all made to monetize your business. I highly recommend this software if you want to make your life easier as well your business more productive!

Cons

So far, in my experience I did not find any major CONS. If you will find any, there is a specific section where you can tell them fix some tech bugs or also give your feedback in order to improve the platform.

### "Growing with Arketa! "

I really enjoy the Arketa community. I am learning a wealth of information in their (is it weekly) remote tutorials and I feel challenged in the best ways possible by getting to learn from some of the leaders in the wellness industry.

Pros

On Demand is very important to me and Arketa offers a beautiful and easy to use platform to house my library.

Cons

Some features are hard for me to naviagate as I am NTO tech savvy. Like I had trouble creating a single classs that is both zoom and in person. So now I just found out I will need to make two listings for the one class, which is fine but it would be nice to get one listing for both options and folks could select which version they are planning on attending.

Reason for choosing Arketa

Ease of use, more pleasing look to the eye for the ease of use. On Demand was very important to me in making my decision.

### "The cleanest dashboard for class management PLUS all in one platform"

Before moving my business to arketa, I had to manage several different platforms. With the arketa platform I can manage all of my systems in one place, make changes quickly and easily, and I am so proud of the polished look presented in way that still feels like my business and brand.

Pros

I love being able to manage On-Demand content, livestream classes, and special programs in one place.

Cons

Arketa listens to customer feedback and is always growing and evolving to fit our needs. No complaints :)

Reason for choosing Arketa

To be able to host classes, share on demand content, and create separate pricing structures for each was previously a HUGE headache! I spent so much time on other platforms on day to day busy work that has been made so much easier on arketa. Also, I was previously paying for video storage (arketa now offers me unlimited video storage without extra fees). Huge wins all around!

### "A horrible experience"

So far Arketa has not solved any of my problems and I have not received any benefit. This was money pit for me- a total waste of time and money-- and so much frustration before I gave up on it.

Pros

The salesperson was very nice and seems to believe in their product and service. However, what was promised on the sales end was not actually the way the team works. My setup meetings were canceled, my questions were replied to with links to videos that didn't actually answer my individual questions or help me with the kind of help that was promised. Their "live support" is just zoom meetings, which are at set times that don't fit in my schedule. The one I attended and the recorded version I watched also jumped past people's questions as "we're not really going to get into individual issues, but you can find your answer here."

Cons

I was buying into this because I believed they would provide the individual support I need, but just paid a lot more, and got a lot less, than my Squarespace. If all I was going to get was links to video tutorials for support, I could have just stayed with Squarespace. I absolutely hate that I spent so much time and money on this and didn't get a single month of the product up and running due to all the issues in getting the help I needed, I paid for a website I can't access. I put work into the back end and it didn't end up published correctly, despite following step by step instructions. Tasks that are simple on squarespace are complicated here.

The on-boarding process was straightforward. \[SENSITIVE CONTENT\] took the time to walk us through every step of the way and truly listened to our needs. We have only been using the software with our clients for a few days, and already we're receiving feedback that they are happy we switched. The transition from Mindbody to Arketa was definitely work, but it went as smoothly as we could have hoped. We are so glad we switched!

Pros

User friendly from both the consumer and business side. This software is intuitive and beautifully designed.

Cons

There are some "wishlist" items and we've been told the team is already developing some of the features we'd like to see. We have no doubts that this group is listening and very actively involved in the development and evolution of their software on a daily basis.

Reason for choosing Arketa

I used Arketa while visiting a yoga studio in Austin who had recently switched. I liked the booking experience. I talked with the owner who was happy with their decision and so I reached out. \[SENSITIVE CONTENT\] was who I connected with first. She walked me through the software features and did a great job answering questions. After a couple of calls with her I decided Arketa was our very best choice.

Arketa is new - I appreciate their hustle much like my own. When I need help figuring something out - their tech team feels like I'm texting a friend. They are quick, efficient and appreciate how important the small things mean to my business and success. I am excited to continue to expand my business along with arketa!

Pros

arketa was a no brainer when taking my virtual business in person. clients can easily book classes both online and in studio as well as become a member to a digital library of on demand classes. the integration with my website and payment processor was and remains seamless!

Cons

There are a few kinks...a refund click will work some of the time, waitlists can be confusing and sometimes an account will now let a client use their credits....but truly all kinks seem to even out and there's always a work around.

### "New to the new Arketa"

I'm pretty disapointed honestly, I switched from Mindbody and didn't realize I was walking into a freshly launched program.

Pros

I was sold on Arketa based off of the previous platform, which seemed to be smoother than this one, the cost is affordable.

Cons

The new system has many flaws, I haven't gone a solid week without a new "bug".

Reason for choosing Arketa

Reporting seemed better and virtual options.
