### "Using Knowa for workplace pension scheme management"

The Knowa support team -\[sensitive content hidden\] - is excellent. Questions are answered quickly and the team is always willing - almost in a pushy way! - to help. The free document transition service from other platforms is really helpful.

Pros

Knowa is an intuitive platform. Things are largely where you would expect them to be, and you only need basic IT knowledge to navigate the system. Documents and correspondence are stored securely, so you don't need to worry about people having trouble opening encrypted e-mails and their attachments. Allowing access to certain people to certain areas allows various scheme advisers, as well as the scheme sponsor, to have access to selected documents and meetings. I like the way documents can be simply re-named. I also like the way Knowa is alive to fixing glitches and improving the system.

Cons

I think the structure of the document storage area could be more conventional, like a normal directory of folders in a "library" area. I just don't like the feel of the "Groups" system as a documents library, and its rather slow to open folders and documents. Better to have a familiar File Explorer-type layout.I don't like the way the system send you back to the top pf an agenda when you have amended a sub-item and simply want to go back to where you were at the previous step.

We use the Known governance platform and have found it outstanding, adding real value to our overall pension scheme governance service. It has introduced efficiencies and improved consistency across our clients and service offering.

Pros

The governance platform is user-friendly and very adaptable. The team at Knowa are always on hand, friendly with prompt response and suggested guidance or alternatives.

Cons

Nothing. Knowa delivers very good functionality, supporting and streamlining our pension scheme governance service.

My overall experience with Knowa has been really positive. The Knowa team are extremely helpful and are always on hand to answer any questions or jump on a call with you if needed. I've worked with the team to set up some bespoke modules for one of my clients and they have been great.

Pros

I value the meeting pack function and the ability to easily change the ordering of agendas. In the past we drafted agenda's on word document which meant one timing change affected the whole agenda. The meeting pack function makes this process so much quicker and efficent.

Cons

I don't like that you need to download files in order to view them on Knowa, such as word documents and excel spreadsheets. I think it would be really beneficial to users if this was possible as it would allow admin's and users to work collaboratively on documents, both editing them in real time. Currently I believe I would need to download a document, add in my amends, and then re-upload and amended version.

So many practical ways of enhancing the whole trustee board experience, from running meeting to discussion forums and document storage. Also improvements are done in the background so don't interfere with usage. Service is excellent too - nothing is too difficult.

Pros

Simple to use but extremely effective in providing what is needed for improved governance.

Cons

Makes all other similar offerings pale in comparison. Once you are using Knowa, very difficult to settle for something else.

Great value for money. Easy to use and learn. The team are helpful and regularly develop new and useful add-ons.

Pros

Value for money. No user limit. Intuitive and flexible meeting pack production and publishing. Useful additional items as standard e.g. search functions, agenda status buttons and emojis to show each agenda item aim. Flexible in managing which users can see documents for individual agenda items. Easy to move between agenda items. Discussions can be recorded via collaboration space. Easy sign off process. Quick response to queries via helpdesk.

Cons

Would be useful to be available via other search engines e.g. Microsoft Edge.

Excellent, I have promoted to clients and for those who dont have it already even moved some on to it as it s easy to talk about the benefits of it.

Pros

The collaboration space is fantastic for discretion cases and send files securely

Cons

One the team training was hard to get but once I had a play around I got up to speed pretty quickly. Maybe when I new user is added a quick 5 mins call just to introduce the various functionality at a high level would be great.

It's my preferred governance platform - at our company, we use a range of platforms and I have to say this is the easiest to navigate, quickest to sign in, very user friendly for both internal staff and our clients.

Pros

It's so intuitive - you don't really need any training/instructions. It was so easy to train our client and has really revolutionised their governance practices.

Cons

I can't answer this as the platform is great.

### "A year and a half with Knowa"

A good experience with the software hinges on getting everyone engaged with it, but once everyone is setup with an account and it becomes a very effective way to collaborate where multiple separate organisations are trying to work together.

Pros

The collaboration features; it's very easy to share files with clients securely, including files that would normally be too large or sensitive to share via email. Building and altering meeting packs is also very simple to do, and Knowa has some great productivity functionality for navigating and marking up meeting papers.

Cons

The cons that I had with the software seem to have been resolved; in the past I had found that manipulating documents in the file storage area was slightly cumbersome but it has since been updated to make this much easier.

On rare occasions, software can slow down - although this may be down to factors outside Knowa's control such as users network issues.

It has made organising meetings a simple process. It is so easy to insert agenda items and change them easily. The actions tracker allows us to track actions very easily The customer support team is very quick to respond to any queries

Cons

We have not encountered any significant drawbacks. We used to produce agendas using Word previously which was time consuming and easy to make mistakes.

Pros

Secure online portal, easy to use.Building meeting packs: I like this function the best and use it the most. It saves an awful lot of time, paper, ink and postage costs. An absolute must where working from home is now very common and some of the old ways of working are therefore no longer practical. Voting and Must Read functions: Are very useful. Knowa support: Very efficient, helpful and responsive staff.

Cons

Document storage facility structure: I would prefer a Windows File Explorer layout. Interaction with Trustee board and advisers via Knowa is what we seem to struggle with the most. Discussion threads are therefore not as useful to us as they perhaps could be.If I understand correctly Knowa doesn't appear to be quite so flexible as email in this respect ... unless it's just my lacking of Knowa-ledge.  Keeping track of posts which are still awaiting responses: Seems to be achieved by using the star function and/or archiving completed discussions leaving only 'open' discussions visible. This is one of the trickiest things I personally find with Knowa.

### "Knowa experience"

I've had a very positive experience with Knowa; it has made the exchange and storage of very sensitive data much easier and secure which satisfies internal controls managers and auditors. Knowa provides a single site of knowledge which offers massive efficiencies when enabling new trustees or advisers to gain insight and background on the pension scheme. The preparation of meeting packs is a much smoother streamlined process where multiple advisers upload and the site controller can organise accordingly and then publish - saving so much time, paper, postage and risk.

Pros

The most compelling features of Knowa include the ability to have a one-stop shop where reference material, documentation and meeting material can all be held in a safe and secure environment; where meeting packs can be prepared and where meeting packs can be published for all participants to then login and view. The efficiencies in terms of time and effort are massive!

Cons

With some trustees slightly resistant to new technology, it has been an effort at times to obtain total their total and consistent engagement. This is not a criticism of Knowa but perhaps a generational comment. Many users struggle to use the @ symbol when participating in discussion threads, so perhaps some messaging can be made more obvious or clear to inform or remind within the software.

Great tool, very glad we have it and can use it across clients. The time and investment you continue to put in gives us confidence this will be a tool we can continue to use for our clients for the long term.

Pros

Ability to keep all key documents, meeting packs and decisions in an easy to use front end makes Knowa a fantastic tool for trustees. The continued technology evolution, plus the security and back up, delivers confidence and robustness. Being able to offer the Company and advisers access to certain areas, as well as change access over time as roles change, makes this a future proof tool.

Cons

Some of the functionality is less intuitive - for example:- sub items in meeting packs cannot be dragged between main items- when uploading a file to a meeting pack, it is then tricky to find it when trying to upload it to another area (it works well the other way)- it would be good to have an access which allows upload of documents but not reading/downloading of documents (for when multiple advisers need access to the same group but you dont want commercially sensitive information shared)- I'd love an app for this - the outlook plugin is brilliant

Knowa has been excellent. It is easy to use and people can get up and running very quickly. The support we have always got from the Knowa Team has been excellent and as we onboard more trustee boards it gets easier and even more efficient.

Pros

Having an easy to access area for trustees and advisors to collaborate and work in a safe and secure way.

Cons

Some trustees don't receive email notifications when they are mentioned in a post. This has been frustrating as it means having to add in a step. Also would love to have a signing facility for minutes and discretions where we don't have to go out of the system to use DocuSign.

Reason for choosing Knowa

Far superior as it offers one solution to everything a pensions board could need

I am a relatively new Knowa user, but have found it to be very easy to use. I suspect that there are features that I am not yet using, but will do so in time.

Pros

The online access to our trustee meeting packs and minutes. I can access them at anytime from any location, which provides great flexibility.

Cons

Sometimes the downloading is a bit clunky

I think its great, I only use it with 1 client currently, soon to be 2 but I recommend it to everyone.

Pros

Its intuitive and easy to use - you can find documents with ease, the software itself is simple to use. the training/ Q&A section is amazing and if you can't find what you need, the customer support is excellent.

Cons

1 small things - when setting up a new user it would be helpful to have a tip near what each user can do that you can click on to make sure its the right selection.

Pros

Knowa is a powerful tool, with a great ability to be tailored to our needs. The meeting pack functionality allows us to produce easy to access, read and review meeting packs. The voting tool is also great for keeping robust audit trails. The interface is really intuitive and navigating between meetings, discussions and documents is just a few clicks, with any matters for attention clearly flagged.

Cons

As Knowa offers such flexibility it did take a little time to become familiar with the tool and tailor to our needs. However, there is lots of support available to get to that position really quickly. This is only mentioned for the administrator, the final users will just see the finished product.

Pros

Great board pack experience and information sharing is enhanced. We’ve only scratched the surface in leveraging the AI search function to answer virtually any question based on uploaded info.

Cons

It takes time to get everybody on board with all of Knowa’s functionality , but once they’re in they love it. The customer onboarding is very good and they keep you up to date on new functionality

Reason for choosing Knowa

It was day and night, Knowa seemed much better and less expensive than Diligent
