Overall, Dot Compliance has helped us move from a mix of paper and spreadsheets to a much more controlled and traceable quality system. We use it mainly for document management, change control, CAPAs and training, and it has made audits and inspections easier because all the information is in one place and properly linked. The implementation required time and internal effort, but once our processes were configured and users trained, the day-to-day work became more structured and transparent. It’s not a “perfect” tool, but it has significantly improved our compliance posture and reduced the risk of missing critical quality activities.

Pros

The biggest advantage of Dot Compliance is having a single, centralized platform to manage quality processes and documentation. It’s much easier to keep everything audit-ready: documents, changes, CAPAs, deviations and training records are all connected and traceable. The workflows are configurable enough to match our internal processes, and the notifications/reminders help keep tasks from falling through the cracks. I also appreciate the validation and compliance mindset of the product. It clearly targets regulated environments, which gives us more confidence during inspections. Customer support has been responsive and usually provides clear guidance when we have questions or need configuration help.

Cons

There is definitely a learning curve, especially for users who are not used to digital QMS systems. Some screens feel a bit crowded and could be more intuitive for occasional users. Configuration is powerful but sometimes it requires more clicks/steps than expected, and making larger changes usually needs help from an administrator or support. Performance is generally good, but during busy times some pages can take a bit longer to load. Licensing and implementation costs can also be a barrier for smaller teams.

### "Loving Dot Compliance!"

Overall, we have had a very smooth transition and migration. The entire team is professional and easy to work with. Every day I feel like we learn about other little quirks in the system that help with ease of use. This is actually the second company I've been with that has migrated to Dot and both experiences have been great.

Pros

Migration and onboarding has been incredibly easy and the team has been super responsive to all of our requests and needs. Document collaboration and sharing has never been easier and we love the master document management system, making our doc control easy. Training and quality events are also easy, and we like how much we are able to customize the system to our current processes

Cons

There are no obvious cons that stand out so far. The only thing I can think of, as an admin, is the multitude of things "behind the curtain" that we can see and potentially mess up if we are trying to do personal customizations (adding fields, etc.). Would love a more comprehensive admin guide. Additionally, it would be helpful if attachments to master documents could be attached to the document as a whole rather than just the current revision. Keeping attachments across revisions would be extremely helpful.

My overall experience is poor. Dot is not straightforward and feels like a string theory trying to piece all the components together to get a document controlled.

Pros

The document management interface is visually appealing. Unfortunately that is the only positive thing I can think of and need to hit a minimum character value.

Cons

It's not very user friendly. Too many clicks are required to find what you need. Sometimes you can't find what you need. There are soo many steps involved to control documents. Trying to figure out training assignments feels impossible. I often feel frustrated and overwhelmed by Dot.

As a new user of this system, I’ve found it to be generally functional and well-suited to our operational needs. Most features are intuitive once you get familiar with the layout, and the system handles core quality processes reliably. There is a gradual learning curve—especially when navigating less frequently used modules—but with a bit of hands-on time, the workflows become much clearer. Overall, it’s a solid platform that supports day-to-day tasks effectively and becomes easier to use the more you work with it.

Pros

I’ve really enjoyed working with DOT. Its functionality is intuitive, making everyday tasks noticeably easier. The platform feels inclusive, with clear workflows that support collaboration across teams and ensure everyone stays aligned. One of the biggest benefits has been how much it streamlines the document review process—what used to be time-consuming and scattered is now organized, efficient, and easy to track from the almost start to finish. I also like that the associated forms have a direct alignment with the documents and do not require subsequent update on revisions. Overall, it’s made a meaningful improvement in how we manage quality and communicate as a team.

Cons

I am disappointed with our current system, particularly with how it handles documents initially in revision. The fact that open documents aren’t visible until they reach the review stage creates unnecessary delays and confusion. It’s difficult to track what’s actively being worked on, which leads to duplicate efforts and missed updates. This lack of transparency in the initial revision process makes the system feel inefficient and counterproductive compared to other eQMS platforms that offer real-time visibility. This limitation has an impact on workflow and makes document management for authors more challenging than it needs to be. Additionally, the signing off process is a bit cumbersome. Having a pin number or an auto fill for sign off would be easier for users.

Sometimes the massive customization can be overwhelming. When a new document revision gets upload the periodic review needs to automatically go away.

So far so good, we're mainly using it for document control and training at this point; we're looking forward to using the other modules and features in more depth in the future.

Pros

Documentation searching is easy, clean interface. Clean traceability for document revision histories. Flexibility with documentation approval workflows. While training groups are initially a pain to set up, they work well after. There is ability to include several training types. Master data maintenance is also fairly easy. System per standard configuration is easy to scale up or scale down. Dot Compliance is good at describing impact of Salesforce updates.

Cons

Support can be slow. I also don't like that attachments can't be attached to the main body of the master document; it's not helpful when you want to add documents such as reports to the eQMS. Dot Compliance is very specific to the intended use of an eQMS (not great for storing validation documents). It's also kind of a pain that you have to deal with both changes to Dot Compliance and Salesforce.

Once you get past the initial look, the tool itself is quite good. However, the initial look and the wide array of colors is distracting and takes away the seriousness of the system.

Pros

It is intuitive and user friendly. It simplifies document management and provides a wide range of user accesses.

Cons

It is rather colorful and sometimes the main display is too busy. It looks childish and unprofessional rather than a serious QS tool

So far, so good. After using other eQMS I am very happy with DOT Compliance. It is intuitive and easy to use.

Pros

We recently switched to Dot Compliance from a different, well known, eQMS. This system is head and shoulder above any system I have used previously. It is intuitive, the support has been great and our transition has been almost seemless. Great product! I will recommend to others.

Cons

There are a few steps that can be completed prior to closing precursors. These have been identified to DOT and they are working on them. Also, it is possible to approve your own work.

Slightly longer onboarding time than we anticipated. It is not always intuitive, and we needed help just to get the system to match how we operate.

As a Test Engineer, I really liked how easy it was to manage and review documents. The collaboration and file-sharing features made cross-department communication much smoother.

Cons

Some of the system updates occasionally disrupted workflow and the interface could be more intuitive in certain modules, especially for new users.

Dot has played a huge role in planning and organizing our QMS. Including the audit module has also been very beneficial in organizing supplier audits and site audits of potential partners. Despite the Salesforce quirks, we are generally quite satisfied using the software and its functionalities. The Light User license cost issue is a significant negative aspect for us.

Pros

1\. My team appreciates the relational complexity of the software. If a new user is not familiar with Salesforce (as my team was not), there is a steep learning curve; however, Dot has developed good tutorial resources that facilitate implementation. Once proficient, the software is easy to use and, in plain language, it makes good sense. 2. Dot technical support has been excellent, which is a KPI particularly with a software provider. The addition of North America-based technical support can only enhance our opinion here.

Cons

1\. There are aspects of the software that cannot be modified by Dot because they are set by Salesforce. One significant detractor for my company has been that Salesforce will not allow us to purchase (and rotate) individual Light User accounts -- if a given Light User only needs to access controlled documents (e.g. SOPs) infrequently, it is not cost effective for us to purchase Light User licenses for every Operations employee. 2. It is unclear in some instances as to why a push notification is automated by Salesforce, whereas in other instances there is no push notification. 3. There are redundancies in information required to complete Investigations. When root cause and conclusion are already entered for an Investigation that a user is looking to close, why does the system require this information be entered again when advancing the Life Cycle to the CAPA stage? This seems like a waste of time.

Reason for choosing Dot Compliance

It was the most advanced offering that we reviewed that would fulfill our requirements. Employee training features were a key selling point which, ironically, we do not use because Light User licenses are too costly for us.

It gives us an excellent solution for controlling all company documents and records, reviews and signatures.The training module solved a real problem for our company with training and qualifications subject because we are a global company with a lot of trainings activities and Dot allow us to Manage, coordinate and control and document all these activities in one place.

Pros

Ease of use and flexibility. excellent reports builder tool.

Cons

I think the admin set of permissions is too little, which requires urgent calls to the service, even though the response is fast and professional, it is still an unnecessary burden.

This is a thorough platform that lets me do everything I need to. The activity trail is critical and is very clearly documented.

Pros

When I need to generate a protocol for execution, it's a straightforward series of steps. I can then quickly assign to the relevant signatories, and I can check on each person's progress any time I want. When I have trainings due, they are very clearly indicated on my home page. I can easily access them so things stay completed on time.

Cons

Sometimes it can be a bit convoluted to access certain forms. Once you have the workflow down, though, it's simply rinse and repeat for the next time.

Good potential - not enough performance. Sorry

Pros

The relations between the modules - all in one.

Cons

1\. The life cycle of the document is non-efficient. The owner of the document doesn't receive the notification that the document is pending in "Feedback consolidation". QA needs to use report to monitor training status. The document doesn't become effective automatically when the training is completed. In general - I would expect it to be more simple, because as it set now - you have to work hard to promote the document in its life cycle (including the building of dedicated reports). 2. In the training module, there are several processes that just not good enough. If the document is obsolete you need to remember to cancel its related R&U requirement revision (!). If the training was defined with annual frequency - it will be created year after the creation of the previous one (not year after completion) and there is no process of monitoring of these records for training coordinator. The employee cannot see his exam to check which answers he didn't answer right. There is no option of creation of the Job Description that will be related to the employee (basic requirement). 3. In the risk assessment, there is no option to define risk mitigation actions with monitoring of their implementation and no option to perform retrospective risk review (the basic procedure).

### "Most modules are easy to use - great support from the vendor"

The modules available are extensive and are mostly easy to use once learned. The support from the vendor has been outstanding, right from the time we started learning the system and migrated our policies and procedures. They are quick to action issues and take on board our suggestions for updates.

Pros

The Master Document and Training modules are easy to use, both as a User and as an Administrator. The system is accessible on smartphone as well as a computer, so training can be completed and signatures can be obtained at any time. This has led to a higher compliance with mandatory training, especially for staff who spend a lot of time working off-site.

Cons

Email notifications are not yet possible right through the system, so we still have to communicate manually to staff when some things are assigned (i.e. assigning actions in Change Controls, Deviations, etc.). Email notification should be automatic whenever staff are assigned ownership of a report or action.
