The only real downside is that because it does so much, you have to give it time to learn. It’s not a tool you just pick up and master in an hour. However, the payoff is massive. I plan to purchase an annual subscription, which I never do, but for Notion I will. If you are willing to put in the time to learn how it works, it becomes the only app you’ll ever need. I don't think that I'm necessarily the person that would benefit the most from using it. I think people probably will either love it or hate it, and I'm just in the indifferent crowd. Pros I think that the document management and setup is very professional-looking and creates the ability to make a really nice-looking wiki. I also like that it's easy to use with multiple team members and collaborate on larger projects together. Also, in terms of value for money, it is not the most expensive platform out there, so definitely like that. Cons Some of the UI is just janky, for lack of better words. I just found that some of the ways that they do things just don't make a ton of sense. It was really ineffective for managing tasks and projects compared to a dedicated project management software. Ultimately, I ended up preferring to use it just for wiki and record keeping. I've used it for personal things and have my own personal dashboard, and we also use it professionally. I'll say, the paid version with the AI assistant is AMAZING. If you are an organization looking at getting Notion for scrum, system management, data management, etc. Get the paid version with the AI Assistant. It will save you so much time. Pros For our company, we use it as a database for all our IT Asset management and tracking. What we like most about it is the customizability of the software. Basically, we can create anything we want and how we want it to look. The AI assistant is also very handy and we have used it for many things, from pulling information from our database, to creating formulas, to importing information and having it add it directly where we need it! It's easy to communicate with other team members as well, we can just tag each other, chat, ask question questions, assign people, etc. The team collaboration feature is very nice! Cons It takes a long time to build things out. If you want it truly customized, you have to build it brick by brick. There are templates of course you can use as a jumping off point or just use the template as is, but for us, we just started from a blank page and built everything how we needed it to work. As it is expanded to larger teams and/or enterprise however it might be worth exploring dedicated solutions - but in this regard Notion absolutely stands great in it's own corner. Pros Notion provides an easy place for notes and task tracking. It is ideal for project management and allows for a variety of views and filters, such as bullet points, kantan board, etc. As expected from task management solutions it allows for different status' flags that can be customised (Completed, pending, cancelled, etc) as well as creation of different 'buckets' that can be set according to whatever logic is fit for your purpose. (For example, you could have 3 projects 'buckets' and split tasks according to their ownership). It also allows for nested tasks withing tasks; this could include prerequisites or parallel functions that must be completed before an entire entry is marked complete. It boasts a fresh and modern interface with modular interactivity -i.e dragging and dropping tasks between sections or rearranging is smooth and snaps/rearranges the order nicely, whereas some alternative softwares might lack a refined or polished finish as such. Cons Notion works great as a higher level PM tool but lacks a lot of the functionality or features that you might find in a dedicated enterprise project management solution. As content grows in this respect, it can cause some dips in performance, sometimes resulting in the usually smooth graphics lagging a bit and feels a bit jarring. As teams expand it can also become a bit more difficult managing permissions and sharing. I started creating multimedia websites for my students, complete with text, videos, and audio files, which makes it super easy for them to practice in between sessions, and I don't have to fight with the limitations of a course-creation platform in order to build the pages the way I want them to look and function. I also love how much you can do with it for free, and if you want increased file sizes (as I do for audio), it's only about $10 a month. Considering how many things I do with Notion, I save so much money compared to having separate subscriptions for all of those functionalities. Cons I have found the addition of AI to the app to be kind of annoying, especially when a note-taking banner would automatically pop up every time I started a Zoom call or even made a call via Google Voice in my browser. It definitely takes a weekend of playing around with it but once you get past that blank-page panic, it’s hard to go back to anything else. Pros I used to have everything scattered across Google Docs, Trello and random sticky notes. Notion is actually let's me dump everything one place. It's super clean and easy to customize. The whole interface is built on "blocks," which basically means you can grab any piece of text, image or list and just drag it wherever you want. I can build a task tracker that matches exactly how my brain works. You can check off daily to-dos, tag tasks by priority, and see your whole week at a glance. Cons When you first open Notion, it’s literally just a blank white screen. It doesn't guide you at all. It took a few YouTube tutorials and messing up my layouts before I actually figured out how to build something useful. Despite a few usability and performance limitations, it delivers strong value and remains one of the best workspace tools available. Pros notion is incredibly flexible and has become the central hub for our documentation, project management & team collaboration. I like how easy it is to organize information, create databases &build custom workflows without needing technical expertise. The interface is clean and the ability to keep notes, task and knowledge bases in one place helps improve productivity. Cons While Notion is very powerful, some advanced features have a learning curve, especially when setting up more complex databases and automations. Performance can occasionally slow down with large workspaces & certain features require workarounds that are not always intuitive. Improved offline functionality would also be a welcome addition. I started to migrate task I was doing in others apps to Notion one at the time, since I found that was the best way of not getting too over overwhelmed. Pros It is an excellent platform for creating a customized work environment. You can organize and follow up your projects and tasks as much as you want. Despite it takes a couple of hour to get familiar with how it works, it is totally worth it. it is really easy to keep track of your notes and task in all your devices. Cons I think the only limitation about Notion is the time it takes to get proficient using it if you are not use to these kind of softwares. June 5, 2026 5.0 Notion has been a great supplement to the way we work with projects and tasks. It has helped the Admin department to communicate better with other departments in the company, such as procurement or HR. It was a lot easier to delegate and track a task once over the learning curve. For that money, it's useful and good, particularly for us as a small organisation. Pros I have used Notion for managing larger projects as well as for day to day tasks and it's been fantastic! An office administrator myself, I use it for task lists for my team and tracking vendor follow-up tasks. The dashboard is particularly useful for prioritizing and visualizing deadlines. It's adaptable as well enough to fit to the way that various departments in our organization such as procedures and logistics are working. Cons For many team members unfriendly to technology, it took some time until everyone got the gist of it. There are numerous features which is great, but it can be overwhelming at first. Pros One of the best productivity apps that I have ever used! The simplicity and number of features provided is generous. I make my class notes, project assignments etc through Notion only. The BEST feature is the Free sync with the app and pc version. Cons I wish we could integrate our existing ChatGPT/Gemini/Claude accounts into Notion AI without purchasing a separate subscription. I can create a table, a calendar and add tags so I know where things are up to, and add or change them too. Cons Where is, I did like the features on the Notion; at times, it can be complicated to create a template as things are a bit difficult to find.
