I've been using it for the last 6-7 years. As well, the few times I've needed customer service, they have been pretty quick and easy to work with - even though I'm just using the free version at the moment. Pros Asana is a really flexible tool. I use it to manage projects, collaborate, keep lists, assign tasks both to myself and others, track progress, manage milestones, and even just keep my personal to-do list on the cloud. It's easy to access to use from anywhere. Cons My mobile experience is not as good on Asana as my web experience. For example, on my laptop I like to look at my task list organized by due date. For some reason, my mobile version doesn't do this or doesn't sync with this. We introduced Asana to allows us achieve better work management and team coordination during our operations and it has helped us to save a lot of time that we used to waste when we didn't have a reliable project planning and tracking tool. Having Asana has elevated our abilities to keep everyone in the organization on the same loop which allows us to have smooth progress of operations across all departments. I personally get to work with it more often than the others and my experience has been very fascinating. It makes it so easy to plan for operations and track the progress of each operation, allowing us to detect any delays in our operations before they affect the time we get our operations completed. Pros As an Operations Project Coordinator, Asana has been my favorite work management product and i work with it almost everyday to plan for our operations and to monitor their progress. I like how Asana has made it easy for me to work together and collaborate with teams from the other departments which help us to have our operations running smoothly across all stages. Asana also makes my projects reporting and documentation tasks very easy by providing very efficient analytics and reporting tools which offers well detailed information about our operations and their performance. I can't forget to mention the visualization features which makes it easy to virtually demonstrate our operations, allowing us to have real time overview of their progress and status. Planning for operations with Asana is very straightforward with great task organization and prioritization features which help formulate the way we will execute our operations in order to achieve the best possible outcomes. Cons Asana has been among the easiest to use tool i work with and am glad that i have never gotten into any troubles while using it. My agency managed a team of 35 with multiple service departments out of Asana, and it made things really clean and easy to use. Their time tracking features, however, are kind of lacking, so we ended up using other tools in conjunction with that. Pros As far as project management software goes, Asana is a pretty good one. I think that it's relatively affordable, meaning that it has a lot of value. It's also very easy to use, and a lot of the basic features out of the box, such as automated tasks, recurring tasks, multiple project views, etc., are very helpful. I also really like the customized and saved views and filters, as in manager, to be able to track others' tasks and progress as well in an easy manner. Cons I think that sometimes it's easy to get confused within Asana. Also, I will say the search feature is not very good, so if you're looking for a task, it can be very difficult to find, especially if it's completed. The overall search feature not working well can mean you have to be very, very organized. My coworkers probably find me obsessed with it. In my mind, my career is split into before I began working with Asana and after. NOW: there have been times when Asana has contributed to burnout and a certain executive paralysis. But, for me, I think the pros outweigh the cons. Pros It is hard to really list all of the things. I think the biggest is that it has tools that help me take an overwhelming amount of work and make sense of it. And it does it in a way that is a dopamine rush for me. It feels really good to use Asana and it feels even better that using it means that I'm gaining more and more control over my work/life balance. Through the years of using it, I have found that keeping track of tasks helps me report better but it also helps me have a better understanding of my workflow. It also made onboarding a new assistant into my department SO simple. I was able to take tasks I assigned to myself and give them to her. While it does cost to use Asana, for myself I find it to be very worth it. Cons There are a couple. The biggest is that it is that I have not been able to secure organizational buy in. Perhaps if it costed less, I could but between the fact that most coworkers don't want to use it anyway and that it would cost if they did, I really have no leg to stand on. Which leads to the second point: complexity. For myself, the complexity is a two-edged sword. It is what makes Asana so powerful and so useful BUT it can also turn into something daunting on days when I don't have much energy. Overall, I love the UI/UX, the ease of use, and increased productivity. Pros I love the ability to customize to my teams precise use case. I created custom fields combined with custom rules for our own internal approval process. This has really helped us to track our QA process. Our management and leadership team also loves having the portfolio view of projects. This way we can have a high level view of our project stats. Cons I wish that the native "my tasks" board, would have the same exact functionalities as a project. Due to this, I actually don't use the "my tasks" section so much. I actually created a separate board that all of the tasks assigned to me go to. And thats what I use to track my tasks. It has become a valuable tool for keeping me organized and making it easier to manage both my individual responsibilities and collaborative projects at church but also very valuable for our entire team. I especially appreciate the recurring tasks, checklists, task duplication, and ability to plan things well in advance, which helps me stay on top of daily, weekly, and annual responsibilities. Being able to share lists, add comments, and collaborate with other team members also makes it much easier to keep everyone on the same page. There is a bit of a learning curve when first getting started, but once you have a system that works for your team, Asana is efficient, flexible, and very useful for keeping everything organized in one place. Pros I use Asana at my church to keep track of both personal tasks and collaborative projects with other team members. It has become a really helpful tool for staying organized on a daily, weekly, and yearly basis. I especially like using checklists for my regular tasks and setting up recurring tasks, which makes it easy to stay on top of things that need to happen consistently without having to remember to add them every time. One of my favourite features is the ability to set up recurring tasks and duplicate existing tasks. This is especially useful for annual events or projects that happen every year but aren’t necessarily something that is always on my radar. Having the task already set up means I don’t have to remember every detail when the event comes around again. Asana is also great for collaborative work. I use it for things like shopping lists and keeping track of items that need to be purchased for our organization. Other team members can easily add items, comment, and contribute to the list, which makes it much easier than trying to keep track of everything through messages or separate documents. It works just as well for solo projects, so I can use the same platform to organize my own workload as well as larger team projects. The task-tracking features are definitely the biggest strength for me. I can organize what needs to happen today, this week, or months from now, while still having everything in one place. The cloud-based system also makes it easy to access information from different devices and keeps our team’s projects and tasks accessible to everyone who needs them. I also use it for marketing management for posts and figuring out what needs to be posted on social media, emails that need to go out, and basic communication within our church (both with our staff, volunteers, and church) and this helps me stay on top of things with all the tasks managing it does. Cons Asana can feel a little overwhelming when you’re first getting started because there are so many features and different ways to organize projects and tasks. I transferred all but four projects off Asana after the last update because I'm so done with this software. I didn't want to transfer my four longest running projects because they are close to complete and it would have been quite tedious. I logged in yesterday morning and all my line item notes have vanished. Customer service is only via email and extremely slow. I'm now losing a week on my projects because there is a holiday and I've had to push all my meetings while I get my notes back. Pros Absolutely nothing. It's an animated excel sheet with extremely minimal functionality. Your money is better spent literally anywhere else. I like SmartSheet! Cons Everything. It's not user-friendly, any of the linking between notes pages and creating tasks is extraordinarily finicky and must be approached in the proper order of operations.
