We use it for project management, task tracking, coordination, and increasingly for designing and improving internal processes. What I value most is the combination of simplicity for everyday task management and the depth available for more complex project structures. A simple task can be created in seconds, while larger projects can be structured with dependencies, custom fields, rules, forms, timelines, and different project views. Asana has also changed the way I think about project management. Instead of simply tracking tasks, I increasingly use it to think about processes, responsibilities, information flows, and automation. There is certainly a learning curve, particularly for administrators and teams that want to use Asana beyond basic task management. However, I believe the additional possibilities are worth the effort. For teams that are willing to invest some time in designing their workflows properly, Asana can significantly improve transparency, organization, and productivity. Pros Asana gives our team a clear and structured way to manage projects, tasks, responsibilities, and deadlines. I particularly like the flexibility of the platform. Custom fields, rules, project views, forms, dependencies, and different ways of visualizing work allow us to adapt Asana to different processes instead of having to work around rigid structures. Another major strength is transparency. It is much easier to see who is responsible for a task, what needs to be done next, and where a project currently stands. This has helped us reduce information scattered across emails, meetings, and spreadsheets. I also appreciate how Asana supports process improvement and automation. Once a workflow is properly designed, many recurring steps can be standardized and automated. Guest user policies seem really flexible and useful to an organization with a lot of volunteers (like us). Cons they keep trying to shove A.I. into this product that doesn't need it. And they want to charge more for using it? August 6, 2026 5.0 Overall, my experience with Asana has been very positive. It has helped me organize projects, manage deadlines, track responsibilities, and keep everyone on the same page. I especially like being able to see the full picture of a project without digging through emails, text messages, handwritten notes, and whatever random place someone decided to save the information. It has made managing multiple projects much easier and has helped our team become more organized and accountable. It is not perfect, and it cannot force people to actually complete their tasks, which is honestly rude, but it gives us the structure and tools we need to work more efficiently. When the team uses it consistently, Asana is extremely valuable. It keeps work visible, reduces confusion, and makes it much harder for important tasks to quietly disappear into the void. Pros What I like most about Asana is that it gives me one place to organize projects, assign tasks, set deadlines, add notes, attach documents, and track progress. I can see what is moving forward, what is stuck, and what has apparently been abandoned and left to die. It is also flexible enough to work for different types of projects. I can use lists, boards, timelines, calendars, recurring tasks, and templates depending on what I am working on. It helps keep the team accountable without requiring me to chase everyone down all day asking for updates. Asana has definitely improved productivity and communication because everyone can see the same information in real time. When used correctly, it reduces confusion and keeps projects from living in someone’s inbox, notebook, or memory. Cons The biggest downside is that Asana is only as good as the people using it. If team members do not update their tasks, check notifications, or actually mark things complete, then it quickly becomes a very organized record of everything nobody is doing. It can also become overwhelming if there are too many projects, notifications, subtasks, and due dates flying around. Without clear rules for how the team should use it, things can get cluttered fast. Some of the best features are only available on paid plans, and costs can add up as the team grows. I manage a office building in a downtown setting and am the PM Lead for the entire foundation. Being able to keep track of tasks and keep up to date on maintenance, intake repair requests though forms, and using rules to send auto emails has greatly increased my productivity. It is intuitive and easy to manage my tasks and projects in one place. The training is well developed and very useful. The customer service has been very responsive to support tickets, and the community is a huge resource. The value for the money has been evident to me in the time and headaches I have saved or prevented. Cons I do wish that the "insert variables" were expanded and usable in more fields for more things. We don't forget things now, our processes for many teams including facilities, HR, IT, Marketing, Development, and requisition live and breathe in Asana. I have found it fairly easy to learn & use as someone with no background in technology. Asana is a wonderful tool for getting work done without becoming siloed & ensuring information can be surfaced and reported on easily as long as it is set up correctly. Pros The flexibility of the platform! multi homing is an absolute game changer in reducing siloed information while still giving everyone the views & ways or working that they need. It gives leaders a way to track the work being done and workers the ability to see and prioritize their work. The reporting capabilities driven by custom fields are amazing, and the ability to integrate AI and Script actions really cuts a lot of manual effort. Cons Reference & look up fields need more capabilities withing rules and reporting, especially with tables coming soon. I think some of the connectors (with calendars especially) would benefit from becoming more or a two way connector so information can flow both ways, rather than just one way. Teammates are still fairly hard to work with, they take a lot of training to be able to rely on them consistently and when asked to produce documents I have found they take a lot of training to even get close to the quality of what a project in Claude or ChatGPT can produce in one try. We were losing track of who was doing what, and ultimately, people would forget their part(s). Essentially, you just dump all ideas onto a project board and drag them around until they are finished. Asana provides us with a place to put files and comments right next to the actual task instead of digging through old email threads. Pros Asana combines all our upcoming project deadlines into an actual list so I don't have to try and remember what's due tomorrow and also the timeline view is really a Gantt chart (and its fine) but it works well enough for seeing what comes first. I think setting up dependency in a task is good for stopping people from trying to start step three when they haven't completed step one. My "W" key is sticky and it's killing me, slowly. It's nice being able to see who is responsible for each task and just let them be. Cons The free version is OK, but once I need to utilize the Portfolio feature then I'm paying a lot of money to go to the next level (Advanced). You can only assign one individual per task; which is completely idiotic if you're going to assign two individuals to complete the same work. Subtasks fall off the radar of the main project view and get lost in space. My laptop is burning my legs. If you don't shut-off your email notification option immediately after using the tool...it will send you multiple emails for every single comment someone makes regarding a task. Pros As a progress-based individual, a to-do list is a great way to keep me motivated. I can also be forgetful at times, and the to-do list on Asana is an easy way to remind me on a daily basis without filling my computer with sticky notes that would clutter my workspace. I like that I can receive notifications on a daily basis or easily check the app on my phone to see if I've forgotten about a time-sensitive task at any point in time. More often than not, I check my to-do list for the next day to know how to mentally prepare myself for my workload. My other favorite part of Asana is its collaborative functions. For example, a group project, a task you assign to someone else, or a project assigned by a manager can easily be tracked for completion. It keeps everyone involved up-to-date in an online workspace that can otherwise lack effective communication at times. Cons The most pertinent con to me in using Asana is if/when someone forgets to put a due-date on something. You might totally forget about this task because, although there's a button for "no due date" tasks, Asana does not direct you to check these \*just in case\* you need to check them. I suggest an occasional pop-up that says, "You have tasks with no due-date that you haven't looked at in a while!" It can get real complex real quick. Some of the functions I don't use because I don't understand them and I'm afraid I'll do it wrong. For example, I do not create projects for my team to collaborate on. However, if I learned it, I'm sure it would be quite useful. Being on the receiving-end of these projects, it's been pretty good, a 4/5 I'd say. Ultimately, it can still be like learning the quirks of a new computer in the sense that you have to know where to look to find your project and shared tasks that might not automatically pop up on your task calendar. Cons I really have no complaints about Asana. Like all task managers, it easily becomes overly complex, but that's more user error than an issue with the program.
