Sometimes there's an issue with the keyboard not disappearing on the mobile application. Stock Control Manager Consumer Services Used the software for: 6-12 months ### "Overall improved efficiency and reporting " July 21, 2025 4.0 My main area of usage within MaintainX is Stock Management. This has improved our processes immensely. We now no longer need to use excel spreadsheets to log stock numbers to see if we need to reorder a part. We get email notifications which allows us to ensure we do not run out of important items. Reporting allows me to get information quickly for analysis and we are able to manage orders more efficiently. Backorders are now not missed meaning we can chase suppliers. The area fields have made a big change as colleagues can find parts quickly. Overall it has made us a lot more efficient and the flow of the engineering department has greatly improved. Pros Inventory Management - ensuring we keep minimum inventory levels of all products to reduce downtime. Costings linked to work orders Area fields so colleague are able to find part quickly Reporting options Cons I would like MaintainX to use a FIFO method when allocating product costs to work orders. Been very pleased with the functionality of the software as well as the ease of use. Being able to login any and not having to be on a private domain has been great. Pros Customer support is great and real-life people on the other end of the phone. Work order management is clear and concise. Cons Bugs in the workload tracking portion for teams. Pros MaintainX has allowed us to streamline our old paper-based maintenance procedures by creating new digital, dynamic MaintainX procedures. Users can easily complete procedures on a device at the point of use, upload photos and provide accurate, real-time updates on work orders. Procedures are incredibly versatile and customisable and can be used for so much more than just basic maintenance activities. Our dated excel-based asset register has now been replaced with a detailed asset management system that automatically links any Work Order with its associated asset. This provides an accurate history of any work performed for any of our assets and has saved so much time by not having to manually search through records to find the information we're looking for. The meters feature has also now allowed us to track and monitor a wide range of readings accross our assets and facilities, providing real time visibility on equipment performance and the ability to identify negative trends before they results in a breakdown. The MaintainX support team also provide a fantastic service. The live chat and ticketing systems put you in contact with a real person who can guide you through any troubleshooting with the system. We also have a dedicated account manager who catches up with us regularly to keep us up to date on upcoming improvements, supports system integration and answer any other questions we might have. Cons MaintainX is a great system and the team are constantly updating it with new features and bug fixes. While its great having such support and an ever evolving system, sometimes it can be difficult to keep on top of all the new updates. Fortunately the new changelog feature now allows you access to a full version history of all changes if you need more detail. The report tracking is helpful for tracking work done each week. Cons It is sometimes hard to find parts if the descriptions are not very detailed to what you are searching for. Pros Easy to use and maneuver the website. We can load lots of important information into MaintainX. We are learning how to utilize the Reporting features and it appears it will be beneficial to the company. Cons Transition from the previous CMMS system we were using to MaintainX has been a bit rough. It seems the information we need could not be easily imported to MaintainX so the transition has not been seamless. It has and continues to involve a lot of work. December 4, 2024 5.0 I can think of no other application I have worked with that has generated such huge gains for our organization. The support is outstanding and is something seen less from other applications business with. Their interest in what the customer sees and needs is evident in the way they dig into issues and try to create greater understanding before generating a thought or solution. Pros The ability to organize processes related to inspections, preventative repairs, and reactive maintenance of our facilities. The ability to have a record of completed work. The ability to track work and never loose track of a need. I also appreciated the ability to operate with a inventory list with directly connected supply vendors for ordering purposes. The ability to organize inventory, show when parts are used, and track available inventory, keeps us ready for the unexpected. Cons I don't have much if any cons about MaintainX. Nearly every question or need I bring up is addressed in some way or they identify it as a possible process improvement with their development team. About the only time I feel constrained by the system is when I create procedures or processes. This portion of the system seems a little less flexible than other components. Review Source JP Juan P. Our needs being able to have reactive work orders for immediate attention and regular PM's on equipment and maintaining an asset list with pertinent information. Pros The user interface is so easy. Works well on both the computer and cell phone app. Setup was really easy and the initiation team support was very helpful. The software has the ability to make graphs and dashboards very easily. The photo/document upload is super easy. We had very few issues with the transition to the system from our previous work order system. Cons We wish that it would notify work order requesters with comments on the status of the work order. It only sends an email with "completed" once done and does not show the comments on the work order to the person who entered it. Unless that person signs into MaintainX as a general user and clicks on the work order they never see what was done. Not sure why it couldn't just send an email back that included the comments since it already sends a "completed" email. Alternatives considered [Microsoft Excel](https://www.capterra.com/p/176574/Excel/) Reason for choosing MaintainX for us it was the easy of use and start up to get the program going for us and then that it had all of our PM's and work orders in one system. Switched from [Microsoft Excel](https://www.capterra.com/p/176574/Excel/) didn't work well and needed to renew license. was only doing the work order side and not the PM side of our equipment. We were still using papers when we have construction workers in two different provinces of Canada. MaintainX made this work quite easily. We now have the information from the job the same day that it was completed. The procedures and work order templates were easy to setup, and the construction workers learned how to use it quickly. This is now something we use every single day. Pros The accessibility to use it on the app or the Desktop. The ease of use for everyone with different levels of comfort with technology. Cons There's a lot of customization possible with MaintainX, but I won't lie, I wish there were more. I think you can still make it work, like we did. Review Source mC michael C. We recently upgraded from an ancient software platform to MaintainX after careful consideration and I am floored at how good of a platform it is and how helpful the support team is. Pros \- Ease of use - Modern interface - Comprehensive platform Cons \- Some reporting lacks robustness, although they are actively working on this.
