Our overall experience has been very positive. MaintainX has become a central operational tool for our Logistics division. It supports preventative maintenance scheduling, work order tracking, documentation, and internal accountability across five stations and multiple service areas. It’s flexible enough for a public safety environment while remaining simple enough for technicians to adopt quickly. Implementation required intention and planning, but once structured properly, the system has improved communication, transparency, and efficiency across the department.

Pros

MaintainX has given us structure and visibility across multiple divisions — Fleet, Facilities, Air Management, and Quartermaster — all in one platform. The work order system is intuitive and easy for our team to use, which improved accountability and response times almost immediately. The asset management features allow us to track everything from major apparatus to small equipment with photos, documentation, and service history in one place. The mobile app is especially valuable for technicians in the field. Real-time updates, photo uploads, and clear task assignments reduce back-and-forth communication. Customer support has also been responsive and open to feedback. Overall, it has helped us move from reactive maintenance toward a more proactive, data-informed approach.

Cons

The platform is easy for technicians to adopt, improves communication, and centralizes documentation and history in a way that supports better decision-making. While some advanced capabilities require a higher investment, the support team makes a significant difference. My account manager and customer success manager are fantastic and always available to assist. With the new investment of the Enterprise Level, my customer success manager has spent a lot of time assisting with helping us to understand all the new functionality and with data pulls, reporting, and navigating more complex needs.

Pros

What I liked most about MaintainX is how intuitive and practical it is for real-world maintenance operations. It makes it easy to create, assign, and track work orders while keeping all communication, photos, and documentation in one place. The mobile app is especially valuable for technicians in the field, and the visibility it provides to leadership helps drive accountability, consistency, and faster issue resolution across multiple locations.

Cons

What I liked least about MaintainX is that many of the features and reporting capabilities needed for larger, multi-site operations require a significant investment in the Enterprise level. To fully customize workflows, gain deeper analytics, and achieve the visibility leadership expects, you have to upgrade well beyond the base plans. While the platform is strong, the cost to unlock the functionality needed at scale can be a barrier.

That makes it a lot easier to track what’s been done, what still needs attention, and the maintenance history of equipment.

Pros

What I like most about MaintainX is how easy it is to use day-to-day. Creating work orders, tracking tasks, and checking maintenance history is pretty straightforward, which makes it a lot easier to stay organized. It also helps keep communication clear between the team since everything is in one place instead of spread across emails, texts, or paper notes.

Cons

I do like the app, but it's not as clear and easy to use as the browser. In my opinion there's too many drop downs in the main hub of the app and I would ideally like it to look and feel more like how the browser does.

It's been very positive. We started using it at one facility and we are expanding to all our locations. It's super direct and simple to train new technician on the work order process. It's been the shortest learning curve of any CMMS system I've used in the past.

Pros

The ease of use and how quickly our team was able to begin using the program. The account managers and support staff where great at helping get over hurdles and organize our assets. The features screens are not cluttered which makes it easy to navigate. Being able to add everyone in our company at no extra cost, as a requestor only, has been a big help. Using the automation features (AI) has dramatically decreased the time it takes to write a new procedure. We've also been able to tap into the vast library of shared procedures.

Cons

Initially the cost, but we quickly learned is was value-added and saved us time. There is an occasional lag between the mobile app and the desktop software.

Compared to our previous system, it’s far more user-friendly for technicians on the floor and supports real maintenance workflows instead of just reporting. The visibility into KPIs and task tracking helps drive better business decisions and keeps our team accountable. While there are still areas to improve — especially stronger recording capabilities and better mobile access compared to desktop — the system has significantly streamlined our operations and made day-to-day maintenance management much more efficient.

Maintenance isn’t just work orders — it’s how I run the operation. It helps me prioritize resources, track asset health, hold teams accountable, and make data-driven decisions. I am very pleased with MaintainX. There has not been one concern I have had. Once the work order requester was available to all operators, the communication between operators and maintenance techs opened immediately. Our downtime tracking for our KPI's became more accurate the moment it was implemented.

Pros

The ease of implementing it for all employees within our company. The most positive review from operators is that they can input a work order from their phones. They love that they no longer have to have their supervisor enter it.

Cons

The web page is not automatically updated when left open all day. I prefer to have the easiest, no thought processes, in the tools I use. I am not a fan of it not being refreshed when I get to my desk

My overall experience with MaintainX is a positive one. Its adaptability means I can use it for many different processes within our plant. Using it to network with different teams on work orders allows quick communication and decisive action to be had, speeding up time intensive projects. The few times where I've contacted customer support, I've always felt heard. For the person that wants a user friendly interface and a tool that works for you rather than against you, I'd recommend MaintainX.

Pros

I appreciate MaintainX for its capacity for customization. I can easily create or change work orders and procedures to meet the needs of the business. I really appreciate the fact that I can change how the procedure flows based on the technicians' answers. This gives consistent and repeatable direction to the technician. MaintainX brings new employees up to speed quickly. The ability to include pictures with fields bridges gaps in employee knowledge and makes the inspections more efficient without additional oversight.

Cons

I find that moving a field from one position to another within a procedure is quite tiresome, and not always successful. This process involves grabbing the field and dragging it up or down to its desired position and releasing the mouse button. This practice is successful only about half of the time and can be frustrating when you've dragged it past 25 fields. An unsuccessful attempt returns the field back to its original location, where a user must try the movement again.

MaintainX is the best. I highly recommend it to anyone interested. It is a system where you get out of it, what you put in it. IF there are negative reviews, I am assuming it is because it was not used correctly and I question the reviewer.

Pros

The Work Order Management, and Customer Support are top tier. This system helps us keep all of our projects and repairs on time and in order, plus helps us hold people accountable. The support we get from the whole MaintainX team is amazing and very responsive.

Cons

There are not many cons. If anything, some of the individual functionally that we would like is not there but a lot of our feedback is well heard and usually shows up down the road.

Using the system for a year in a half, I have had a good experience. It has made my job much easier and more organized with my notes on WO\`s. Being able to stay up on my PO\`s and getting ETAs from vendors.

Pros

The ease to copy the link and put on PO\`s and Work Orders to tie them together makes it easy to go back and forth to update the WO\`s when a vendor has an update on the order. Getting stock notifications for "Critical" parts has been a great tool to keep my stock where it needs to be and also helps me see trends on the parts and to send out reports on high usage.

Cons

Sometimes when there is an update it messes with our special made fields (our Cost Codes) and when I send out a Hard Copy PO, sometimes it will take 20-30 minutes to download (but that is just me being nitpicky).

They made our transition from our old system to theirs very easy by providing us Excel templates to reduce the potential for formatting errors. They also helped us recognize differences in data types from our various sites and modify to fit everyone.

Pros

Ease of use by technicians and how quickly they were able to transition from our old system. We are tracking downtime much more accurately than with the old system.

Cons

Reporting really needs to keep up with the advances they are making in other areas of the system. I can now capture Planned Downtime, but it is difficult/impossible to report it. The meter capability is good but there is room for growth there as well.

It's a very user-friendly, easy-to-use, and highly useful tool for maintenance management. I greatly appreciate the support provided by the MaintainX team. The application's cost is reflected in the improved equipment maintenance, ensuring it remains in good operating condition. Work orders are reviewed daily, and feedback is provided on procedures and preventive maintenance tasks.

Cons

I have nothing to say about MaintainX. Since the first time I used the license, we have grown as a service department. I have recommended it to colleagues from other companies.

I am happy with the software and allowing use to schedule inspections and stay on top of issues that can been seen by multiple employees. Our company was holding us back not allowing us to use it properly, but Ira was able to assist with that and get the seats we needed.

Pros

The way I can keep up with the maintenance and how versatile the program is. It was a big upgrade from the last program and the ease of use. Using this program takes the way of the need of paperwork. Also, they are constantly improving the software and do their best to fulfil the users needs. The customer service dealing with Ira has been a blessing.

Cons

Not may cons other that the cost of the software from where I sit in the company. I had issue getting the seats I needed but thinking that's on our companies end. Building up the data in program from scratch at the start but the other hand our MX help Ira has made this less painful because she has helped a lot.

The program is packed with features, the user interface is beautiful, and the support team is top-notch. It has significantly improved my by Asset Health understanding, streamlining my work orders, and increasing my productivity.

I’ve used multiple Facilities Management softwares and I would highly recommend to anyone for its ease of use and customer service responsiveness.

Pros

The software is easy to use “out of the box” while customization is still possible. Reporting features work very well, easy to add new requesters, app is very easy to use even for a non-tech savvy staff. Customer service has always been uniquely responsive to our needs. Highly recommend for anyone looking for a reliable Maintenance software

Cons

I and my team have been very satisfied with MaintainX. I have no complaints as anything we have needed, Customer service has helped us modify.

### "Excellent software system for work orders and SOPs"

Excellent experience. From implementation to solving login problems to training on how to maximize the system, the MaintainX team has continually impressed.

Pros

MaintainX works well across platforms. MaintainX technical support is excellent. The system allows us to customize how it works to fit best with our needs. The customer support team and account managers are stellar.

Cons

It is more expensive than our old system. Even so, I would not go back to our old system if it was completely free.

### "Everything you need for maintenance requests in one app!"

First of all we were trapped in a contract with a different company when we started with Maintain X, and they allowed us to put our subscription on hold while we figured out how to get free from the other one. They also kept us active so we didn't lose any information and continued to learn on the platform.

Pros

The app is so easy to use and user freindly both as the admin and as the requester! We don't have to keep explaining to staff the steps of putting in a request. The platform walks them right through it.

Cons

Not too mnay Cons on my end yet but I do wish you could have a more back and forth chat with the requester.

### "Amazing Program and Excellent Support"

MaintainX has been amazing. Has everything we have needed and adding new features every quarter. 10/10 in my book.

Pros

Ease of use. Account Managers and Support team are very knowledgeable and responsive. Very effective tool for Preventing and Reactive maintenance, as well as Asset Tracking and history.

Cons

Its been amazing Nothing to dislike. They have everything we have needed and then some. Adding additional feature all the time.

### "Everything you needed and then some!"

Team Driven. Right from the start they had everyone involved on our team and theirs meeting every one - two weeks for an hour, going over what we needed to supply and review everything that they had done so far. tweaking, and modifying where needed. Support just a email / text away. and most of the time with just a two minute wait. They will stay with yo until you are happy with the results. They truly want you to succeed!

Pros

Setting up was made simpler by Maintain X Pushing us to give them all the information, files, and data that they wanted, so our experience was the best. Our biggest issue was tracking PM's, work tasks and LOTO check lists. User interface is great very simple to use. Ver intuitive. Reporting - just about everything you could think of including MTTR numbers. the support team that got us on board what outstanding we had the same two people the the whole time. They pushed us to have weekly meeting, but most times we needed every two weeks. So we could get all the data collected and entered.

Cons

For me, I have the same issue with all the different CMMS's I have used over the years is contrast. the pages are usually some version of white, black or dark grey texts, and maybe the ability to change a banner color that's it!
