Would love to be able to set other type of fixed costs, for example for clients that have chosen Complete Care packages for maintenance

I have found MaintainX to be very user friendly. This was most apparent in how easy it was to set up the trial. Updates are frequently made that improve ease of use and address issues raised by customers.

Work order management seems to be the strongest part of maintain X information is readily available in at our fingertips and to ensure we know what’s going on with our workflow

Some of the challenges would maintain X or lack of standard features that other CMS programs have standard.

Our overall experience has been very positive. MaintainX has become a central operational tool for our Logistics division. It supports preventative maintenance scheduling, work order tracking, documentation, and internal accountability across five stations and multiple service areas. It’s flexible enough for a public safety environment while remaining simple enough for technicians to adopt quickly. Implementation required intention and planning, but once structured properly, the system has improved communication, transparency, and efficiency across the department.

Pros

MaintainX has given us structure and visibility across multiple divisions — Fleet, Facilities, Air Management, and Quartermaster — all in one platform. The work order system is intuitive and easy for our team to use, which improved accountability and response times almost immediately. The asset management features allow us to track everything from major apparatus to small equipment with photos, documentation, and service history in one place. The mobile app is especially valuable for technicians in the field. Real-time updates, photo uploads, and clear task assignments reduce back-and-forth communication. Customer support has also been responsive and open to feedback. Overall, it has helped us move from reactive maintenance toward a more proactive, data-informed approach.

Cons

Visual and layout customization options are somewhat limited. The platform applies a fairly uniform structure across all asset types, which can make it challenging to tailor workflows or data fields differently for distinct categories like fleet apparatus, facilities systems, or specialized equipment. While this keeps the system clean and consistent, more flexibility in asset-specific customization and interface layout would enhance usability for organizations managing diverse asset classes.

I was an eMaint user for about five years, and to be honest, I did not want to switch to MaintainX—it was a decision made by company leadership. After working with \[sensitive content hidden\] through several challenges, her passion for customer success and her ability to quickly understand issues and provide practical solutions became very clear. Her support, communication, and commitment to helping us get the most out of MaintainX made the transition much smoother and significantly improved my overall experience with the platform.

Pros

MaintainX does a great job simplifying maintenance operations while keeping the team connected and accountable, backed by outstanding customer service.

Cons

I would like the option to receive notifications for new work requests only. Currently, I receive notifications for everything, which can be overwhelming.

Our experience has been good! The ease of use and custom dashboards is nice and transparent to all users. Also makes it easy to perform stand up meetings with shop personnel.

Pros

The ease of use and asset based software makes it easy to track cost per assets. We use this as part of our integration with Motive and the drivers DVIR process. Makes the process smooth and every user can see what is going on in real time.

Cons

Work order duplication is possible since its not based off of VIN's or Serial numbers but more off of the asset itself.

I am very happy with the program. It hs accomplished what we need to use it for. We also don't use it as it could be used... We use the program at the base level. I like the fact that we can use it for more, but we don't have to.

Pros

I like the project manager. I know the importance of a request, I can adjust that request if it's not as urgent as the person who requested believes it to be. Yet I still have the feedback knowing where they stand on the issue.

Cons

I like it, yet in some ways it's to easy for people to make a claim. There are a couple staff members who use it more than others. :)

The support is fantastic. Ease of use. Very functional: work order , purchase orders, part inventory, ability to pull reports, asset tracking

Cons

There are some features above the standard set up that require a fee. A side from that I believe we atre getting the value we are paying for.

MaintainX helps us keep maintenance work organized and visible for the whole team. Instead of work orders, updates, and notes being scattered across different places, everything lives in one system. That makes it a lot easier to track what’s been done, what still needs attention, and the maintenance history of equipment.

Pros

What I like most about MaintainX is how easy it is to use day-to-day. Creating work orders, tracking tasks, and checking maintenance history is pretty straightforward, which makes it a lot easier to stay organized. It also helps keep communication clear between the team since everything is in one place instead of spread across emails, texts, or paper notes.

Cons

I do like the app, but it's not as clear and easy to use as the browser. In my opinion there's too many drop downs in the main hub of the app and I would ideally like it to look and feel more like how the browser does.

Pros

It brings everything into one place and just makes the day-to-day easier to manage. I can quickly see what’s going on across all work orders without chasing people down for updates. It’s simple for the team to use, which means better communication, fewer missed details, and more accountability. Overall, it just helps keep things organized and running smoother without adding a bunch of extra complexity.

Cons

The biggest downside is that some of the best features are locked behind higher-tier plans, so you don’t always get the full value unless you upgrade. It can feel a little limiting at times. Also, customization isn’t as flexible as I’d like, there are moments where you have to work around the system instead of setting it up exactly how your operation runs. And when you’re trying to pull specific data or reports, it can take extra effort to get it in a format that’s actually useful.

We had a great experience, their onboarding process was well thought out, everything went smooth and they got us going fast. The AI powered procedure generation helped alot to save us time in getting everything set up. Our technicians were able to quickly master MaintainX, which I believe is a reflection of its ease of use. We are very happy and are enjoying the benefits of transparency and real time information and communication. Their parts inventory management and meter-based maintenance functionality has saved us money!

Pros

MaintainX is easy to implement, very customisable and easy to use. There is alot of training videos and how to documents available to help you find your own way around, but their helpdesk is knowledgeable and always fast to assist. They actually listen to their customer feedback and are always refining and improving their software. Its great that our technicians can work with it on their mobile phones and that we all can share information in real time.

Cons

MaintainX has a lot of great features, but some of them are only available at the top tier subscription which is a bit expensive. I also would have appreciated more support with integrations.

They made our transition from our old system to theirs very easy by providing us Excel templates to reduce the potential for formatting errors. They also helped us recognize differences in data types from our various sites and modify to fit everyone.

Pros

Ease of use by technicians and how quickly they were able to transition from our old system. We are tracking downtime much more accurately than with the old system.

Cons

Reporting really needs to keep up with the advances they are making in other areas of the system. I can now capture Planned Downtime, but it is difficult/impossible to report it. The meter capability is good but there is room for growth there as well.

Pros

The software is easy to use “out of the box” while customization is still possible. Reporting features work very well, easy to add new requesters, app is very easy to use even for a non-tech savvy staff. Customer service has always been uniquely responsive to our needs. Highly recommend for anyone looking for a reliable Maintenance software

I am happy with the software and allowing use to schedule inspections and stay on top of issues that can been seen by multiple employees. Our company was holding us back not allowing us to use it properly, but Ira was able to assist with that and get the seats we needed.

Pros

The way I can keep up with the maintenance and how versatile the program is. It was a big upgrade from the last program and the ease of use. Using this program takes the way of the need of paperwork. Also, they are constantly improving the software and do their best to fulfil the users needs. The customer service dealing with Ira has been a blessing.

Cons

Not may cons other that the cost of the software from where I sit in the company. I had issue getting the seats I needed but thinking that's on our companies end. Building up the data in program from scratch at the start but the other hand our MX help Ira has made this less painful because she has helped a lot.

Great. All my account managers and people I have talked to have been great. There was a time when they were subbing out support to foreign country and made things incredibly difficult with the language barrier.

Pros

The ability to track all aspects of our asset lists and see when work orders were created. Accountability is key!

Cons

The switched the work order trigger based on hour meters to automations. It is clunky and it looks like its in Beta. This is the one that that we used alot and what I wished that wasn't changed. I know that it is bc it is going in the direction of AI controlled and I just don't like my options being limited.

From the beginning of setup and getting to know our support agent, \[sensitive content hidden\] , everything has been smooth. Manuel not only explained the ins and outs of maintain C but he also took the time to understand our organization, our basic needs, and our future outlook. He had patience and guided us through implementation and more.

Pros

MaintainX is a user friendly and management friendly EAM system. It has many bells and whistles and we found it beneficial for our facility while focusing on work order, preventative work orders, and inventory management. It can do so much more but these are the key factors we focused on when aligning with MaintainX

Cons

MaintainX only had one con, this is mainly the packages they offer. Some of the bells and whistles are tied into the enterprise plan and not every company needs the full enterprise plan. Just some of the components on the enterprise plan. Other than that, no cons.

My overall experience with MaintainX has been absolutely fantastic. The response from our staff has been overwhelming because they can see that we are actively taking care of their work orders and moving projects forward. Being able to track all of this information in one place has made a tremendous difference for us. We have been in business for 30 years, and we have never been happier with a work order system.

Pros

I found the support team at MaintainX to be very knowledgeable and helpful when it came to setting up our database. Beyond that, it has been a tremendous tool for tracking work orders, building out a preventative maintenance program, managing assets, monitoring end-of-life timelines, and generating reports for our executive team each month. It has truly been a game changer for our operation, and I cannot say enough good things about MaintainX.

Cons

At this point, I have not found anything that I dislike about MaintainX. It has been an extremely helpful tool for our operation, and it has delivered on everything we were hoping for when we implemented it.
