Pros

Datarails has completely transformed how we manage financial consolidation and reporting. The biggest advantage is having a true single source of truth, everything syncs seamlessly, and version control issues have essentially disappeared. The platform’s integration with Excel makes adoption incredibly smooth, and the automated consolidation workflows save significant time. Another major positive has been the implementation manager, \[sensitive content hidden\] , who has been exceptional throughout the process. Cons

Overall, I really like Datarails and it fits the needs of a small to midsize, rapidly growing and changing company very well. It is highly modular and well suited for a fast changing environment.

Pros

I really like the Excel add-in features. The ability to create graphs, data tables, and widgets in Excel and publish them to a dashboard with auto-refresh allows complex calculations to be performed in a refreshable manner. I also like the version control and data storage features, which let us roll back to previous versions and review historical data.

Cons

The custom functions inside the Data Mapper can be finicky and difficult to use. Additionally, the ability to apply aggregate functions within a dataset is very limited compared to Power BI and Tableau.

I really appreciate the structure and logic built into the platform. In my opinion, this solution is excellent, especially considering that Netsuite is not the most user-friendly ERP when it comes to reporting. This tool has truly opened up new possibilities for visibility in reporting. What I like most is how easy it is to generate a Flash Report of the financials and how quickly we can dive into specific details.

Cons

I’ve noticed a few technical challenges. Some reports require downloading and refreshing in Excel or recalculating on the platform, which adds extra steps and validations. Collaboration can also be difficult—when multiple users work on the same Excel file, managing updates becomes cumbersome. Additionally, the need to frequently download files creates multiple versions, making it harder to maintain consistency.

The customer support has been very helpful. They always come back to you whenever you have a query very quick which is useful. As i said above the systems are great. We have been working on our budget submissions and the way we can all pull the most up to date figure on the system with 100% trust i think is a great USP for this product.

Pros

Everything that you need in one place. no need to worry about file versions or whether the file is most up to date. Its all there and ready to be captured with the entry of a formula. It can also be updated quite easily just by clicking roll forward. Ive used other systems where you have to reconcile a number to the value on the GL which can be time consuming. Datarails allows you to just right click and drill down which i find immensely helpful for my day to day activities as a finance business partner.

Cons

The build at the moment can be a little specific. There are some quirks with the overall system that you need to understand in order to get it to do exactly what you want it to do. I would say that learning curve is not extremely steep but its definately there.

Overall I am pleased with it. I do feel a bit like we were undersold on the complexity of the system and all the mappings as it has taken us a bit a time to really learn how to get our data in a format that we want and is meaningful for us. It took more time than expected to learn how the system works and how everything flows. There is more troubleshooting that expected but it did provide more context around how the system works to be able to be more efficient and faster at finding issues. Now that we have been through one budget round - the ability to quickly pull data out and refresh it and slice and dice it in a way that our ERP system (Netsuite) couldn't, has been instrumental in finding things in our financials that we have been blind to previously.

Pros

Now that we have the set up complete, the way we are able to build reports and view our data in ways that Netsuite was limited on has been amazing. It is eliminating journal entries in the system that were done just for certain reporting views as we can now do those in Datarails and they automatically calculate. We are able to add non-finanical metrics into the system for reporting faster than we could before and able to get operations different views of the results to help them make decisions faster for the business. \[sensitive content hidden\] was our implementation rep and has been amazing. He was extremely patient, responsive, and thorough in walking us through everything. He ensured we were comfortable and getting the data we needed and let us drive the meetings on what our priorities were.

Cons

It does take a bit of set up to get your data in the system and to be workable. Initially I thought it was more of a plug and play system (which for pulling your actuals out of your ERP it can be) but when entering your forecast and budgets in, you need to ensure you have all mappings and configurations correct. There is more troubleshooting that expected but it did provide more context around how the system works to be able to be more efficient and faster at finding

Overall, Datarails is a really good product. We have been able to use Datarails to create all of the reports we had existing which was great as for management this was a seamless transition from our old software. It is easy to create new reports and I would recommend Datarails as software. The real time nature of Datarails has also been hugely beneficial especially at month end.

Pros

The customer experience at Datarails has been excellent. From initiation and data integration to going live, I have found our contacts have been very helpful and responsive whenever we have a query. Always fixing, recommending a fix or directing us to datarails education sources which has been very beneficial. Datarails has enabled us to do real time updates on our reporting really easily through the excel add in. This has sped up all of report generation and presentations to management. These are also easy to create and manage within Excel. The drill down function has been particularly helpful as any questions raised, using this functions allows us to get to an answer quickly.

Cons

At times, I found the initial data input a bit confusing. As datarails wants to show everything in a format that is 'positive' on the balance sheet, the concept of the multiplying the liabilities by -1 to get to this was a bit difficult initially and also meant it was a bit difficult to tie back to internal reports as the signage was changed. However, I do understand why this is being done for presentational reasons.

Overall, our experience has been very positive. The implementation team was excellent, we pushed the system quite far, and they were responsive and solution-oriented throughout. We are using Datarails beyond finance, it supports sales performance management, leading indicators, and commercial insight. For a growing business that wants automation and control without abandoning Excel, it has been a very strong fit.

Pros

The biggest strength of Datarails is its flexibility. Once you understand how the product works, it becomes incredibly powerful. It has enabled us to build a genuine single source of truth across CRM, finance, and HR systems. The Excel foundation has been a major advantage for us. Rather than forcing significant change management, we enhanced an environment the business already understands, adding automation, control, and governance. From an efficiency perspective alone, we’ve saved at least multiple days of rework per month, realistically close to one FTE’s worth of effort in a business of our size. But the bigger impact isn’t just time saved, it’s accuracy and insight. Having connected, structured data in one place has allowed us to generate insights we simply couldn’t before. Most importantly, it has accelerated the maturity of the business. Instead of spending weeks pulling together one-off reports, we now have readily available, consistent performance data driving conversations in real time. That shift has been transformational.

Cons

While the functionality is strong, dashboards are not the most user-friendly or dynamic compared to dedicated BI tools. That said, it is positioned as an Excel-based product, so this is partly expected. The AI features are still in their early stages and not yet as impactful as they could be. Board-level presentation output (e.g., pushing data into PowerPoint) could also be more developed and streamlined.

The tool is useful for aggregation of financial data and creating financial reporting. Response times and customer service from my implementation manager \[sensitive content hidden\] have been fantastic. Use of the product certainly reduces manual manipulation of data to aggregate from different ERPs, however, by solving this problem there are other areas that require investment such as communication with the Datarails team to stay on the same page about data sources and calculations. Use of the product requires getting up to speed on the environment and features in Excel. I think these areas are intuitive enough for a finance person but potentially a little steep for a casual user outside of FP&A (even if just using in Excel). The product does its job well, if you are lacking in top notch Excel talent or data sources are unwieldly this software can provide significant value at the fraction of what it would cost to make a new hire with the requisite skills.

Cons

As an overall natural skeptic, Datarails has given me a new perspective on my financial tech stack. As an ASC with BI coming from multiple sources, we needed a platform that could truly integrate everything, not just promise it. Datarails centralizes our disparate systems, connects them to historical financials, and is on its way to becoming a single source of truth for budgeting and forecasting. It's eliminated the manual visual build-out headaches and freed up time for actual FP&A discussions, making it easier to keep leadership aligned without building custom reports from scratch.

Pros

The platform's ability to centralize multiple data sources seamlessly. We integrated two EHR/ERP systems, Paycom for HCM, and two other applications, and Datarails was able to crosswalk our chart of accounts historically to connect financials and aggregate data without losing anything. For those of us who still live in Excel, it remains flexible for ad-hoc reporting. The dashboards have simplified executive visibility into key clinical and operational metrics. And the customer service team follows a servant-leadership model, is highly responsive, and is always willing to help.

Cons

The Storyboards narrative tool can sometimes glitch if you don't size or format the visuals to the board's native resolution.

Overall so far I would recommend Datarails to business's trying to consolidate multiple systems into one.

Pros

Data consolidation and ease of manipulating between multiple enterprise systems. I really liked the feature to perform lookups and link multiple data mappers from different file box's to a single consolidated table, the excel add in is another great feature that will definitely help us with ease of reporting and looking forward to diving into dashboards and widgets (soon to come).

Cons

Custom columns in data mapper syntax and complexity in terms of what it could handle. IF statements with multiple conditions had to break up into multiple custom columns.

Previously, we managed multiple ERPs with different general ledger account structures and configurations, which meant we spent an excessive amount of time manually consolidating our financials. Now that we have set up all our mappings in Datarails, our financials are consistently consolidated and always reconcile accurately.

Pros

Datarails significantly simplifies the often challenging process of data consolidation, particularly when working with multiple ERPs. The dashboards offer clear and intuitive insights that are valuable to different stakeholders throughout the organization. We've consistently found their customer support to be helpful, and the integration and implementation process has been smooth and positive for us.

Cons

Our primary issue with Datarails is the cumbersome nature of its Excel Add-In feature. While it functions well, Excel workbooks that contain multiple tabs and Datarails references tend to take a long time to load and refresh. We would prefer if the add-on were more streamlined and efficient, rather than feeling so bloated.

Overall it's been a positive experience. As an FP&A team, having real-time budget vs actuals visibility without the manual legwork has made a genuine difference to how we plan and report. The onboarding process was smooth, largely thanks to the support we received. There are a few areas around dashboard customization that could be improved, but the core functionality does exactly what we need it to do.

Pros

The Excel integration stands out the most — we didn't have to overhaul how we work, it just slotted in and made everything smoother. Data consolidation that used to take hours is now much more straightforward, and the dashboards make it easy to present financials clearly. The widget customization can be limiting at times. Fonts, font sizes, and formatting options aren't as flexible as I'd like especially for KPI widgets where getting a consistent look takes more effort than it should. When you're building dashboards for senior leadership, those small formatting details matter more than you'd think.

Pros

The integrations with Excel and having Datarails perform the implementation (not a third party). Having data refresh quickly has been a welcomed change from our previous platform.

Cons

I do not have anything negative to say about Datarails at this point. We are nearing the end of the implementation and highly recommend it.

A very smooth transition, the team always had the answer to my queries during the entire setup process.

Pros

The dashboards make it so easy to read all financial information and draw insights you wouldn't be able to without using it. All our team are able to access all areas of the online database without issues of operating software and obtain information that would usually be in the form of time consuming excel spreadsheets.

Cons

Overall the software is great. I think some of the templates they give you in terms of reporting structure could be improved but the good thing is if you already have your own structure set up you can tailor it to fit with you/

Pros

DataRails is great at automation and consolidation. It removes a huge amount of manual work from the reporting process, allowing key data to flow through quickly and accurately. The automation features mean repetitive tasks take seconds, and the consolidation tools make it easy to combine multiple data sources into one clean, reliable view.

Cons

Occasionally, bugs in the system can cause issues or interruptions. While they’re not constant, they can be frustrating when working to tight deadlines. However, they are usually resolved without long-term impact.

The automation is a game-changer. It has slashed our month-end close and reporting cycles by automatically pulling data from our ERP into one central source of truth. And, what we like most is that it keeps us in Excel. Pros

Excel native, easy to figure out the data structure and it is easy to feed additional data into the cloud.

Cons

The formulas are unique to Datarails, and while they are similar to Excel, you cannot trust that they are all the same.

Pros

Ease of use, and reliability of the tool. It is a comprehensive FP&A system with a lot of flexibility.

Cons

It's a great tool. It's benefit of leveraging excel language is just a watch-out. The teams may sometimes lean on it too heavily, instead of leveraging all datarails has to offer.

I am very pleased with Datarails and their CSM (customer success manager) which helped us a lot with implementation. I would say their biggest advantage is that their CSMs are all with finance background and have very strong technical knowledge.

Pros

Running a global attraction brand with more than 60 locations in multiple currencies with multiple accounting softwares means a lot of manual work for each month and or any ad-hoc task. With Datarails, all that is starting do automate and we can now focus more on actual insights behind the numbers. With seamless integration with multiple accounting softwares, Datarails made our work a lot easier and helped our business understand its processes even better.

Cons

There are some constraints regarding dashboard creation but they are always working on improving their program so it is getting better each month.
