I really enjoyed the usablitiy of this platform and would like to use it again in the future. They seem to take suggestions for use case issues and make corrections when updating the system.

Pros

Ease of use was the first things I noticed when I started setting up ProcureDesk. It showed you exactally where items were in the ordering process and gave team leaders insites into budgets to better manage team spending. Also when I needed help there was an AI assistant that could troubleshoot.

Cons

Some of the back end user interface features were hard to navigate. There was some features that would supersede others and it was hard to know which ones to change.

The main reason ProcureDesk was chosen over the others was the user interface. Many of the features were similar in different spots, but the UI really stood out over the other products.

Pros

The approval process itself is user-friendly for our approvers. Invoices are routed smoothly, and approvers can sign off directly from their email whether they’re on a computer or their phone. This flexibility has been a real benefit for our team, as it allows them to keep work moving without being tied to their desk. That part of the system is well-designed and clearly appreciated by our users.

Cons

We’ve been using ProcureDesk primarily for invoice approvals, but overall, the platform has not delivered on its promises and has introduced more inefficiencies than it has solved. Major Issue #1: Premature Approvals Invoices are being sent to our ERP system before they've been fully approved particularly before final sign-off from \[sensitive content hidden\] . This creates constant confusion around whether something is actually approved, forcing me to manually verify each invoice. That manual review completely defeats the purpose of using the software to save time and streamline approvals. Our admin has attempted to fix this in settings, but no solution has worked so far. Major Issue #2: Poor Line-Item Handling ProcureDesk struggles to accurately capture invoice lines and amounts. To work around this, we’ve been deleting all but one line and entering just the total amount manually. This basically disables one of the platform’s key features, which we had hoped would reduce data entry and sync better with our ERP. Major Issue #3: No Integration with Our ERP (GSS) Despite expectations, ProcureDesk doesn’t integrate directly with our ERP system (GSS). As a result, we have to manually re-enter all invoice information again into GSS. So we’re effectively doing the work twice, which adds unnecessary time and risk for errors. Additional Concern Our team member who handles purchase order invoices finds ProcureDesk completely unusable for that purpose. It simply doesn’t support her needs or workflow. Bottom Line At this point, we're paying for software that only partially handles invoice approvals and even that feature is flawed. The lack of proper ERP integration, unreliable approval flow, and unusable invoice entry tools make this difficult for me to recommend at this time.

To clarify, ProcureDesk doesn’t currently integrate with GSS, and we don’t have plans to support that integration at this time. However, it sounds like there may be some confusion around invoice syncing behavior. Since we’re not connected directly to GSS, invoices aren’t automatically pushed from ProcureDesk to your ERP. Its been pretty good - I am demanding client with specific work flows and the Procure Desk team have been amazing

Pros

It made my inter department team work so seamless and data accurate. The approval process for Purchase Orders was a game changer to set this per system flow that we needed and not a once size fits all view.

Cons

Settings little overwhelming and terminology was hard to understand but the support guys helped me through it all and had utmost patience with me.

How seamlessly it syncs with my outlook inbox to pull and itemize invoices. It also has many tools like the ability to set budgets and run a wide verity of reports to collect data.

Cons

There are sometimes syncing errors that occur once invoices are approved in the system.

The software is user friendly. Once you become familiar with it everything will become easier and second hand nature.

Overall, we are very happy with ProcureDesk. The ease of use and the amount of time and money saved by having punchouts with e-invoicing. That has automated a lot of our procure to pay process. Also, how quick the team is to implement our asks/ suggestions and get new punchouts set up. I have another client who uses Prendio and I think your product is FAR better.

Pros

Ease of use, inexpensive, and the punchout/ e-invoicing functionality with auto-synch to QuickBooks has saved us countless hours and money. Also, it is very easy to extract data from the system and find the information I am looking for.

Cons

Not being able to relabel our GL accounts to present in an easy way for end users ordering. More customization for class and GL coding so that end users only see the accounts and classes that they can code to. More customization for approval workflows.

I did not decide but cost was a major factor. The person who decided had used Prendio at their prior job and did not like it. Having a SOC report is crucial for a lot of customers so having one would be a big help for ProcureDesk.

Our team and me have been using ProcureDesk for invoice processing and purchase order management. Overall, it’s a useful tool that helps streamline approvals and track spending. The interface is clear and easy to navigate once you get used to it. There are still occasional delays with syncing or approvals, but the support team is responsive and helpful when issues arise. They are always open for any help we need.

Pros

The system makes it easy to track purchase orders and invoices in one place. The approval workflow is straightforward, and notifications help ensure nothing gets missed. It’s very user-friendly and has really simplified our purchase order and invoice approval process. The visibility and tracking features save a lot of time.

Cons

Some processes, like invoice matching and approval routing, can be a bit slow or unintuitive at times.

It is nice. I got all the support I need when we need help from the PD team. They gave their best in assisting us. And the format, the updates are very helpful. I like how we can edit an info right away.

Pros

Easy to use. The upgraded version helps us a lot especially when editing. It saves us a lot of time.

Cons

When we request something to be updated, most of the time, there will be an after issue. Like for example, we requested to change something for data update, the next day, there will be an issue like PO will be split into two when submitted.

We were looking for a user-friendly automated web-based alternative to our manual spreadsheet-driven purchase order system. ProcureDesk offered the perfect solution. It completely automated our requisition/purchasing system while providing visibility and accountability - not to mention it literally cut our processing time in half!

I less emailing the business office since they are working directly with the companies that I purchase from. I am just ordering and they do the rest of the issues.

Cons

I can't know about the digital purchases when they are delivered. I need a notification for it.Or I don't know how to know unless asking the Admin if they got it or not even if there is an option or service for it on Procuredesk.

Extremely pleased. The individual assigned to work with us on the implementation was "fantastic".

Pros

The configuration options are impressive. A very well thought-out product with a support team that makes itself available whenever you need them. Additionally, there are is an enormous amount of online documents on how to setup and use the product. Customer support has been outstanding. The OCR scanning engine for documents that are imported into the system is outstanding.

Cons

Hard to say but with all the functions and options available, the initial setup may take a bit longer. But this is your choice. There are so many options in the product that you want to use and sometimes this slows you down until you get a handle on how you want to use this product. It really depends on how you want to use the product - very flexible.

Procure Desk has been easy to learn, easy to use, and continues to work very well for both me and my organization!

Pros

In our organization, we must create purchase order requests in order to spend any money. Procure Desk was very easy to learn how to use. I like that I can monitor the approval process at every step, and that all my previous POs are still visible and accessible to me.

Cons

After using Procure Desk for approximately 8 months, I have not found any features that I don't like.

Our experience with ProcureDesk has been positive. As a startup company that is quickly expanding, ProcureDesk met all of our needs in the first 1-1.5 years of our operations. Prior to selecting ProcureDesk, we reviewed several other non-ERP purchasing solutions, and hardly any could compete on price and service like ProcureDesk.

Pros

The system is very easy to implement and train new users on. The streamlined user interface allows us to focus on the essentials in our purchasing and approval workflows. While we have encountered a few bugs in the software throughout our time using ProcureDesk, there is an excellent support team behind the product that is very responsive and works with you to find solutions.

Cons

We encountered a few bugs with the software itself, but just about everything was resolved in a timely manner through their support team. I was impressed at the responsiveness and attentiveness of the team behind ProcureDesk.

ProcureDesk is a great web application for managing purchasing and matching vendor bills to POs for proper reconciliation and GL coding. Their Customer Support is the absolute best I have worked with in the technology space.

Pros

PO to Invoice matching and their Customer Support is the absolute best.

Cons

ProcureDesk is continually improving and really listen to their customers' feedback. I can't think of a big negative but all apps bug out from time-to-time. ProcureDesk is quick to help anytime something unexpected happens.

Reason for choosing ProcureDesk

Price, overall functionality, PO to Invoice matching, ease of use, product catalog was better, the integration with amazon is really good.

I have enjoyed learning PD, teaching others, getting our entire company on board AND the use of this software has freed up so much of my valuable time as well as those in our AP department.

Pros

This software has made every part of our purchasing so much easier. With multiple departments spending money and the accounting department trying to track down in voices... there was so much room for error and we were constantly struggling to match invoices to purchases. This software plus QuickBooks has solved every issue we had when it came to accounts payable.

Cons

I feel like the only tricky parts about the software are more related to Quickbooks and how much they can realistically integrate (returns, cancelled POs etc). I don't have anything negative to say about this software alone!

I'm extremely happy with the product, and that's even taking into account that there are features we haven't taken advantage of yet, such as the budgeting and reporting tools.

Pros

The invoice processing and customizable approval workflows have been key improvements to our organization's AP cycle. We migrated from a paper-only process to fully electronic process and couldn't have made this change without ProcureDesk. The clear approvals documented in the system are great for audit trail documentation. The ability to tag employees and leave comments on invoices/requests are extremely useful as well.

Cons

The electronic purchase request process has been a huge improvement over our previous paper process, but occasionally variances between invoices and purchase requests can be somewhat challenging to resolve in the system. Late changes to requests are difficult as well, but I think that incentivizes that people get their requests accurate the first time around. Despite this, it has still increased the efficiency of our purchasing process and has led to a faster procure-to-pay process.

Pros

Finding a platform to fit the unique needs of our business is almost impossible. The ProcureDesk team worked closely with our Company to tailor the features and ensure we received the most value possible from the software. We are now using the platform for the majority of purchases and have greater insight into our monthly spending.

Cons

The report features in Procuredesk is the only area that needs a bit of improvement. Filtering information by period, location, or supplier in the reports would be beneficial.
