It has saves hundreds of emails each month that went between the board members by moving them to comments on motions between meeting. It has organized our board pack and structure hour meeting to save hours and allows us to pre approve many of the actions we have to do. Cons Although UI is clean and simple somethings are difficult to find. I also wish it had action items on review only items and report reviews. Moreover, I appreciate the possibility to search for important meeting papers or past decision without switch in other platforms (like outlook, word, ppt and so on) and last but not least the possibility to manage board responsabilities in one phase. Having worked on board packs for many years, I honestly feel like I have been living "in the dark ages" until I was exposed to BoardPro. It is phenomenal. Pros BoardPro's usability has been the most impactful for me making it easy to learn, having never used the program before. Simple, effective, secure & flexible. Cons Absolutely nothing! Trust Secretary Education Management Used the software for: 1-2 years ### "Using BoardPro" May 29, 2019 5.0 BoardPro has reduced the time it used to take for me to compile meeting agendas. I can build agendas through the month and load relevant papers as they come to hand. Access to documentation by Board members is much easier. The decision register is very useful as it is no longer kept in a separate database programme. Also the interest register is in the same programme as other board information. Pros I compile agendas for several companies, committees and a trust. Using BoardPro has reduced the time these processes have taken significantly because the names of those who will be expected at the meeting are already available and so is my template for the meeting agendas. It is very easy to make changes as necessary. The Trustees, Directors and Committee members like the notification process that advises them when meeting papers are ready for them to view and when they have actions to complete. I also like that support from BoardPro is available quickly and ideas that users have to improve the features of the product are invited, considered and often implemented so that we all gain the benefit of better board papers. Cons Nothing really. A challenge can be that the programme is cloud based, so if access to the Internet is interrupted getting to the board papers can be difficult. Consequently, I always have a hard copy of the agenda available at each meeting and a way in which to record minutes that does not rely on the cloud. I have been using BoardPro for just over a year now and so far have only needed to employ my alternative method once. April 11, 2022 5.0 Excellent easy to use product that was well priced when I compared it to other products. Does everything we need it do. Pros All the Board information is in one secure location. But most of all, its extremely easy to use. Cons There are a few little annoying features, such as when approving a motion in the minutes you must leave a comment. sometimes there is no need for a comment other than approved which is already been ticked. The administrator needs more power to amend contact details of directors eg. email addresses, the directors arent always on top of these things. Reason for choosing BoardPro 1\. Price 2. Consequently, doing things such as adding pages is impossible once the packs have been made up, let alone sent. Board Pro resolves this problem as documents can be added, deleted or updated as required and the packs republished, ensuring participants have the most current version. The other major advantage is the ease of minute taking. Notes can be taken on the fly rather than being hand-written, then transcribed into Word. Minutes essentially write themselves and can be finalised with the close of the meeting. Such a time saver. Cons Problems found with Board Pro tend to be user orientated - from lack of familiarity as I only use it 3 - 4 times a year. For example, adding agenda items in the right place. Our Board management would be cumbersome and inefficient. We cant afford that, however neither can we afford to be 'loose' in management of the Governance processes for the business. BoardPro gives us a cost-effective solution. It has bvecome an essential part nof our business operating system. Pros We have fond BoardPro to be an excellent way of centrally managing the entire Board and Governance process. We have distributed Directors and started as a very small exec team. Because we were planning an additiona capital raise it was important that the governance process was disciplined and well documented. BoardPro has achieved this and impressed our Directors, the legal teams involved and our American VC's as well. Fair to say that we rely on BoardPro to manage this aspect of the business completely. Cons BoardPro works very well as is. It will also benefit from ongoing feature development. Specifically we would like better calendar control and additional registers maintained by the system (beyond the register of interests). BoardPro maintain an active, user driven feature request process and both these are on the list. BoardPro sits as a stand alone tool within our business. Its capabilities overlap with other tools (share registry management) so we are careful about document storage and other areas wher eit is possible to create multiple versions of the truth. Diligent was clearly not intended for the smaller startup style business. It was difficult to even understand its basic operating methodology. Plenty of efficiencies for our small team which has allowed us to focus direct our time toward growing the business Pros BoardPro has provided our small team countless efficiencies in our Board management. The ability to keep minutes, notes and actions recorded all in one place has saved plenty of time for our team and our Directors which would have previously been spent searching through files and email trails to compile information. Cons I can't think of any aspect of BoardPro that would rank lower than existing/email methods of managing our Board activity. Correcting minor errors is now much simpler, and the automatic reminders for actions increase the likelihood of actions being completed on time. Pros It is easy to set up, finesse and publish meeting packs, with the whole secretariat able to work collaboratively on this process. Updates are simple to make even after the pack is published, and users can choose whether to view and mark up online or print. Cons We were disappointed that meeting invitations aren't yet fully integrated with Outlook. The extra step required for users to click on the .ics attachment, and the lack of visibility of nuanced responses (e.g. messages included in responses, and tentative responses) meant we have had to continue setting up meeting appointments manually, rather than managing these from BoardPro. I appreciate that it's so easy to edit and update existing Agendas / Minutes and that this can be done without Committee members receiving notifications all the time.I really really would like to win the iPad but I want to let you know that this is a genuine positive review of your product :) Pros Intuitive interface, I love the drag and drop features. Logical layout, easy to use. To be fair I don't use all of the features, but those that I do I really like. Cons When I copy+Paste from another document the formatting needs fixing, also I can't select what font to use to a very large degree so often I have to find workarounds to make things look consistent throughout the Agenda and / or Minutes. Boardpro (the team) really responsive to queries, and the response is rapid. This also makes Boardpro a standout. I'm careful about recommending stuff to people, but I do mentoring on governance for not for profit organisations. I have no hesitation in advising them to get on to Boardpro. Not for profits are really reluctant to invest in overheads, but there is real value in the productivity gain in investing in this software. In my view, it also makes life easier for volunteer trustees, who deserve having their lives made easier given their freely-given time from busy lives. Pros Well thought through and designed. Provides a structured way to get information in front of Board members. Able to store Board files, and to search previous meeting documentation and decisions. Great automated task tracker, and terrific job of managing minutes. Ability to annotate papers useful, esp if using tablet or touch screen. Cons Search facility seems a bit hit and miss - does not seem to find documents unless title expressed accurately and in full. Having all governance documents accessible in a central place helps with management of governance and reporting obligations. The other big plus is that it saves me so much time. Pros The whole process from agenda, taking minutes, distributing, updating and redistributing, storing governance documents saves me hours for each meeting. Updating and reminding directors of due actions, and important changes is very easy. Cons I would like to be able to set different formatting options (fonts etc) but not a show stopper. Reason for choosing BoardPro Price mainly - for a not-for-profit the cost is reasonable and manageable. The time saved easily justifies the price.
