Pros I've used Submittable for over 5 years, entering various competitions and creating philosophical and healing poetry. Also, writing short stories (entered into competitions). July 22, 2024 5.0 My overall experience with Submittable has been excellent. It is the best application processing platform I have ever used. Their customer service is quick and reliable - for both the businesses and those filling out applications. Pros Submittable is a very intuitive platform that allows every employee to use - no matter what their skill level with technology. Adjustments to forms or applications can take mere seconds. Cons I wish we were able to search applications by more than just names. And, I wish we were able to compare applications with previous applications for similarities or duplicates. I find myself spending so much time going through their help center documents. When I don't find a solution to my problem, I have no choice but to contact customer service which is a headache. It takes them about 24 hours to reply to urgent matters and most of the time they provide a complicated solution which they assume we would know how to do. We pay thousands of dollars every year not to have 24/7 customer service or for WizeHive not to make better improvements to the system. The only major change that they have done this year was redesigning the login page. Pros It does the basics that every other platform does. The application from the applicant side and review portals are easy to use. Cons \-There's no support provided via phone unless you email them first and schedule a meeting (which takes a few days for urgent matters). -Emails usually end up in spam folders. -You can't duplicate applications or move them to the next year's cycle which is frustrating if you've deferred an applicant. -The letter generator plugin is not the greatest. You can't insert certain information which means you will probably have to do write the letters manually. -Recreating all the forms for each year -Submitted and incomplete (unsubmitted) applications are all saved in one place. -The system does not automatically email applicants about the final decision. You will have to do this manually via your own email. -The survey form has very limited functions. -Applications that are submitted but do not have transcripts and letters of recommendations show up as completed on the back-end. You will have to go through every submitted application to make sure they have completed 100% of your requirements. This again takes a lot of time to go through if you have a lot of applicants. I especially like the visuals of the platform, as it makes it easier to keep projects organized. The 'reporting' option makes data collection and analysis easy and efficient. Pros It's really user-friendly and easy to set up new projects. It's not overly complicated and you can figure out how to use most tools on your own. Cons The messaging component can glitch, as I've sent messages to people who did not get them sent to their inbox, and vice versa. Pros Submittable allows us to both accept submissions and integrate custom review and scoring and manage reviewers all in the same portal. The system functions as advertised and it has enabled our youth development program to administer what has historically been in-person events and activities into a digital format. That has saved time and travel expenses for our employees and volunteers. Pros I love the clean design, ease of use, and functionality. The projects and forms are easy to create, highly customizable, and user-friendly for clientele. The ease to which project assignments can be made and tracked is another great feature. We started using Submittable to help us manage a sizable photography contest, and have since been finding ways to migrate other activities/contests (like public speaking, leadership applications, and videography to name a few) into this platform. Cons I would like to see some type of organizational structure within forms, projects, and the team to help keep different groups or activities separated. Currently, those lists are becoming quite long and clutter up the pages. A folder system would be ideal that might include activity groups as well as a means to archive forms and projects. Perhaps to help de-clutter, I would like for other teams admins to only see the projects, forms, and reports they created. Team member A doesn't need to see everything that team member B has created. Unless they are a level 5, they only need to see their own work. Reason for choosing Submittable I considered many other products (can't remember the names of them). You are a US based company, so there is no lag in communication. The system had every function I needed. Judgify is based in Singapore so there was a big lag in communication. Granted, Judgify is significantly cheaper, and honestly if it functioned like it should have, I would have stayed with them. Cons Moving programs through folders can be a bit tricky only because you can accidentally move someone to a different part of the process and it will automatically trigger an email to them. Moving them to that folder could have been a quick mistake, so would be nice to have to hit save before an email is triggered. This was to be supported by a successful rollout to internal and external users to ensure the system was used.The WizeHive team, especially the team lead in charge of the assignment, was committed and focused on offering a working solution. The customer service team has been supportive during rollout and has ensured to support our team during implementation.Equality Now appreciates the level of professionalism shown in handling the assignment, coupled with great patience and expertise in developing solutions of such a complex nature. Pros I like that WizeHive is a versatile platform. The system captured the blueprint document that was created at the beginning, which reflected Equality Now’s needs. It was possible to adjust the processes and functionalities during the system’s development to develop an efficient workflow process. Cons The needs assessment and planning before the system was developed were detailed. It did take quite some back and forth, but as soon as the team in charge figured out the need, they were quick to work on it and progress.I can say that the system is at about 75% use, and this is because we have not closed out any of the projects since we officially rolled it out in April. Sub-grantees have been able to interact with the system during application and reporting. There is no duplication of process, making the system function optimally at all stages. April 20, 2018 5.0 Try me another day...I am out the door to a meeting. Pros Making the decision to shift our application process to online, I was concerned that it would meet the needs of the artists and writers applying and also ease transition for a middle to senior aged office team with varying degrees of electronic saavy. Needless to say we continue to remark on an almost daily basis how we LOVE Submittable. Ease of use was foremost and the Submittable staff are always right there with customer support. Any concerns or suggestions were addressed and often appeared as Submittable staff tweaked and updated the software. Likewise input from customers is often solicited. This open process continues to make the software better and better as new features are added and functionality is streamlined. Over the years Submittable continues to be software service and customer oriented. From staff and applicant feedback, I understand that Submittable greets anyone from neophyte to expert electronic guru users with the same degree of respect, patience, expertise and professional service. I especially appreciate the ease in navigating the software features. Ease in accessing and reviewing all areas of our applications, accessing correspondence with applicants and reviewers, sending out requests for character statements automatically, controlling access to all areas of the application and processes as needed have streamlined the time and task of handling actual materials. No more incomplete applications. Electronic deadlines hold fast. Cons Do I miss having USPS delivering stacks of applications for weeks on end around deadlines, when apps just pop up on the list in Submittable? Do I miss the file prep for each application as materials dribbled in little by little and were sometimes incomplete even after the deadline due to weather etc. when that is all tracked by the software? Do I miss handling over and over sections of the application and loosing track when interrupted in the process when a click of a mouse brings me right back? Do I miss being stuck at my desk surrounded by stacks of applications when I now access the applications anywhere there is wifi...even 12 time zones away which is what I did for the last batch of applications? Do I miss being burdened by attempts to streamline or simplify a labor intensive process only to discover all the benefits of using Submittable? Do I realize how staff are freed up to manage more productive tasks in the office than pushing files and paper? Do I realize that the staff team are excited to see applications appearing on their screens, versus groaning when the USPS truck drove into the parking lot? Do I realize how much more economical Submittable is versus staff time and energy factored in with hand processed applications? Do I realize how much more fun it is to problem solve around tailoring the software with Submittable staff to address a need? Do I wish our staff team had transitioned to Submittable sooner? The best experience I have is when I can speak with a person at Wizehive for what are complicated questions that I have. It's hard to express your issues in a support ticket, because of that you don't always get the right answers and have to keep asking thru the support ticket. If you could speak with someone, they better understand what you're trying to do and your issues. Pros That the applicant can log in to their application and see what they did last year, they can also see where their application is in the process, emails are simple to send and you have control over the emails being sent Cons I wish that Wizehive had an 800 number - a number you can call and speak with someone. I don't like that I have to send an email stressing that I need to talk to someone. We'd met with multiple other programs that didn't quite fit, but after speaking with both the American Indian College Fund and the Cobell Scholarship, we decided to reach out to WizeHive. The trainings before starting the build created a great foundation and the project map/plan was so convenient to keep an eye on what was due and when.
