Pros Karbon has been a valuable addition to our workflow, making it much easier to manage our day-to-day tasks, deadlines, and client work. Previously, we relied on Excel spreadsheets and Google Sheets to track the progress and completion stages of our work. This was time-consuming and often required switching between multiple files and applications. With Karbon, everything is managed within a single system. We can easily update the status of tasks, monitor deadlines, and track work progress in real time. One of the biggest advantages is having all client-related information in one place. We can quickly access past communications, completed work, and historical records without having to search through multiple software programs or files. Another aspect worth highlighting is the excellent support we received during the implementation process. Our Customer Success Manager, \[sensitive content hidden\], provided outstanding support from the beginning of the implementation through to its successful completion. She was knowledgeable, responsive, and always willing to assist whenever we had questions or required guidance. Her dedication and expertise played a significant role in ensuring a smooth and successful implementation of Karbon. Cons One area that could be improved is the email functionality. When sending emails, there is currently no placeholder available to automatically insert the client's name into the email body or greeting. Adding a client name placeholder (for example, "Dear {{Client Name}}") would make email communication more efficient, reduce manual editing, and help personalize emails, especially when sending a large number of client communications. CEO Accounting Used the software for: 2+ years ### "Karbon makes the cracks impossible to ignore" June 25, 2026 5.0 We committed properly to Karbon about 18 months ago, after deciding to stop running work out of inboxes, Teams threads, and tribal memory. We're now 35 people at the end of our second year on the platform. Karbon didn't magically fix our operations. What it did was remove our ability to kid ourselves. Before Karbon, work could disappear quietly: someone assumed someone else was on it, a follow-up lived in an email chain, a deadline slipped because ownership was assumed rather than explicit. None of it felt dramatic in the moment, but it compounded. Karbon isn't for teams wanting something light or forgiving. It's for firms that want clarity, ownership, and fewer dropped balls, even when that clarity is uncomfortable. Software doesn't build discipline, but the right software makes the absence of it impossible to ignore. Would I choose it again? Without hesitation. Pros Visibility, by a distance. Everything is tagged to a client and a work item. We can tag colleagues into emails and chats and they arrive with full context before giving feedback, rather than us re-explaining. We've become reasonably regimented about documenting meeting minutes and decisions in the flow of work, so everyone can see what relates to their clients as it happens. As the owner I spend most of my time in triage and don't personally use a lot of the work-item features day to day, but knowing the team has clear, visible processes to follow is genuinely useful. It helps me sleep at night. Customer support is the other standout. When our 2024 onboarding didn't go perfectly, Karbon's management was highly responsive to our feedback, and that turned a rocky start into a genuinely constructive ongoing relationship. They also keep developing the product, and some of the new functionality coming has me excited. The sense that they listen and keep moving is a real part of the value. Cons Price: it's not the cheapest option in the market, so it's a real consideration, though I can't see us changing at this point. There's also a learning curve for new team members. When someone joins, Karbon is a bit of a behemoth to get their head around at first, but once things start clicking into place they're away. Our own implementation back in 2024 wasn't perfect either, though Karbon's response to that feedback was excellent. The interface is functional rather than delightful, and setup takes real time and follow-through from leadership. Half-set it up and it will half-work. " May 22, 2025 1.0 My overall experience was exited at first at demo. A bit annoyed that there was no self-help signup and had to wait a week for a meeting. Then after signing up and paying upfront before using the cons started coming out of the woodworks. Consultant not reading emails properly and responding to 1 out of the 4 queries. Extremely poorly trained staff and needed to create a ticket for such changing an email address. The requirement that you must have a Gmail or Microsoft account. Very unprofessional to speaking to your clients from a Gmail account instead of your proper work email. Cannot even get signed up after sending links as consultant do not understand that the email is linked to the signup, and she cannot change the invite linked, even after I explain to them. Instead, they refer you to self-help articles, like you are moron and do not know the basics. Really time consuming and tiring experience. As an accounting firm with limited time on our hands and is looking for a management solution, keep on looking as Karbon is not for you then. Pros Looks like a good application, but let down by the tedious signup process, and have to wait long for the demo meetings? Problems even before getting started and did not get to experience the application. Cons 1\. Must have a dedicated Gmail or Microsoft account (not alias and not been told upfront) 2. Must have a Demo meeting. No easy sign up process and start using. You have to wait 1 - 2 weeks for a meeting before you can sign up. 3. Must pay before even testing the system. 4. Extremely poorly trained consultants - cannot even assist with the basic problem soving. 5. Staff not reading email correctly and not responding to all queries. Cons The inability to create email rules or auto-replies in Karbon. It would be useful to be able to add editable tables in emails. I am no longer looking at 4 trello boards, a white board, a daily to do list. I just run thru Karbon. Pros Love the ease of My Week and its integration with Google Calendar. I simply triage all my emails - allocated to my week if needed follow up. Then slot them into Google Calendar to allocate time. My phone even reminds me of scheduled tasks coming up. The templates for work are so easy to use. The client requests are user friendly for the clients and us. All emails are allocated to work or the client. No more scrolling thru emails to find that particular document. Its all in the work. Essential with monthly or quarterly BAS. Or even if a client purchases a new car you simply add that email to their next years tax return! Cons Would love signing to be part of client requests. It is a great place to keep track of your projects, see what other coworkers are working on, who work is assigned to. Being able to talk with coworkers on a work items and it all show in one place is great. Pros Karbon is great for keeping task in order in your "my week" tab. easy to see what needs to be worked on this week and then puts the rest into the prompted categories. Triage is also great for emails and assigning tasks to co workers from an email thread. Also being able to link emails to the clients contact. You can also request documents from a client on the work item. AI feature also allows you to get a bot of a tax return results in email form for the client. Cons Sometimes you can type in the exact name of a contact and they will still pull up a whole list of contacts. I would like to put an internal comment on client tasks. I would like to be above to select all work tasks, copy, then paste to Excel. Reason for choosing Karbon Karbon was the only product (at that time) that allowed team assignment up the chain of command, across and down. Others were only down, some you had to define what roles were assigned to who. Karbon allows the flexibility to manage workflow by teams instead of a hierarchy. The automated aspect of the software is an indispensable quality for our industry and the option to create client tasks which are housed in their own space (outside of email threads where they often end up getting lost or missed) and the automatic reminders that underpin these, have transform our service delivery times and accountability measures. Pros The templates for work items which serve as company systems and procedures as well as project management allows us to monitor staff performance while resting assured that work is completed accurately and timely. We have more visibility than ever before and the software promotes the creation of new work in a way which defines 'how' it should be completed and so we now have operating systems and checklists for all our work. We know exactly what is and isn't being done. Cons Integration with 3rd party applications is still quite limited - we find ourselves duplicating data entry in some areas.
