We have been using since 2017 and it's the one tool we can not do without - we love it! It keeps our team aligned, our jobs on track and our team communication on work and with clients in one place. As we've grown it's become even more important as the visibility across work, deadlines and client interactions are super important and are available at the touch of a button. Karbon really transformed the way we operated all those years ago and they continue to invest in their product to make sure we stay ahead of the game. The Karbon crew are absolute legends and dedicated to helping you succeed too, support is amazing. They genuinely care about delivering a world class product. If you are serious about growth and running your practice efficiently Karbon is a must have in my view - can't recommended it highly enough!

Pros

Work and Task visibility and collaboration (within team and with clients). are also proactive with research and development and are always improving things which is great

Cons

Honestly there's nothing that stands out to me right now, I can't imagine running my practice without it.

### "Karbon makes the cracks impossible to ignore"

We committed properly to about 18 months ago, after deciding to stop running work out of inboxes, Teams threads, and tribal memory. We're now 35 people at the end of our second year on the platform. Karbon didn't magically fix our operations. What it did was remove our ability to kid ourselves. Before Karbon, work could disappear quietly: someone assumed someone else was on it, a follow-up lived in an email chain, a deadline slipped because ownership was assumed rather than explicit. None of it felt dramatic in the moment, but it compounded. Karbon isn't for teams wanting something light or forgiving. It's for firms that want clarity, ownership, and fewer dropped balls, even when that clarity is uncomfortable. Software doesn't build discipline, but the right software makes the absence of it impossible to ignore. Would I choose it again? Without hesitation.

Pros

Visibility, by a distance. Everything is tagged to a client and a work item. We can tag colleagues into emails and chats and they arrive with full context before giving feedback, rather than us re-explaining. We've become reasonably regimented about documenting meeting minutes and decisions in the flow of work, so everyone can see what relates to their clients as it happens. As the owner I spend most of my time in triage and don't personally use a lot of the work-item features day to day, but knowing the team has clear, visible processes to follow is genuinely useful. It helps me sleep at night. Customer support is the other standout. When our 2024 onboarding didn't go perfectly, 's management was highly responsive to our feedback, and that turned a rocky start into a genuinely constructive ongoing relationship. They also keep developing the product, and some of the new functionality coming has me excited. The sense that they listen and keep moving is a real part of the value.

Cons

Price: it's not the cheapest option in the market, so it's a real consideration, though I can't see us changing at this point. There's also a learning curve for new team members. When someone joins, is a bit of a behemoth to get their head around at first, but once things start clicking into place they're away. Our own implementation back in 2024 wasn't perfect either, though Karbon's response to that feedback was excellent. The interface is functional rather than delightful, and setup takes real time and follow-through from leadership. Half-set it up and it will half-work.

### "Karbon - Unfortunately only if you have a lot of ....... "

My overall experience was exited at first at demo. A bit annoyed that there was no self-help signup and had to wait a week for a meeting. Then after signing up and paying upfront before using the cons started coming out of the woodworks. Consultant not reading emails properly and responding to 1 out of the 4 queries. Extremely poorly trained staff and needed to create a ticket for such changing an email address. The requirement that you must have a Gmail or Microsoft account. Very unprofessional to speaking to your clients from a Gmail account instead of your proper work email. Cannot even get signed up after sending links as consultant do not understand that the email is linked to the signup, and she cannot change the invite linked, even after I explain to them. Instead, they refer you to self-help articles, like you are moron and do not know the basics. Really time consuming and tiring experience. As an accounting firm with limited time on our hands and is looking for a management solution, keep on looking as is not for you then.

Pros

Looks like a good application, but let down by the tedious signup process, and have to wait long for the demo meetings? Problems even before getting started and did not get to experience the application.

Cons

1\. Must have a dedicated Gmail or Microsoft account (not alias and not been told upfront) 2. Must have a Demo meeting. No easy sign up process and start using. You have to wait 1 - 2 weeks for a meeting before you can sign up. 3. Must pay before even testing the system. 4. Extremely poorly trained consultants - cannot even assist with the basic problem soving. 5. Staff not reading email correctly and not responding to all queries.

Fantastic software, worth every penny and I would highly recommend to any new practice owner. Investing time in initial training is essential to maximise your use of the software.

Pros

The ease of managing my client communications, workflow and priorities. I have received a lot of positive feedback from clients re the 'comment' feature. Customer support is fantastic, responses are always very prompt and detailed.

Cons

The inability to create email rules or auto-replies in . It would be useful to be able to add editable tables in emails. Also, it would be beneficial to be able to add team members to an account rather than having to pay a full subscription for a team member requiring 'basic' functionality.

Love the innovation that keeps coming and love our BDM. They are constantly looking at new and better ways to make it more efficient for us

Pros

The best feature for our team is Workflow Management, what a relief to be able to know where each work item / job is at for each client. The Task Management really help with not forgetting some of the simple things that need to be done. The fact that all the files and documents are stored in one spot and they can sync with our Dropbox is awesome.

Cons

Sending emails can be patchy at times and slow at times and there are times when you're just sitting there waiting for example a "Forward email" to load

From support, development, to leadership, the company is excellent because they are focused on delivering value customers appreciate. They do this without feature stuffing, meaning they carefully reflect what would benefit customers the most, dig through the noise, and deliver things that really matter, not just the things that are requested.

Pros

It does practice/project management really well, but the best part of it is the people behind support and development. They are continuously improving the product, seeking customer feedback, and are dedicated to a single space. I'm sure at some point some of this might change (looking at you Southwest), but right now I cannot say enough good things about the product or the people behind it.

Cons

It's a little difficult to propagate changes to template base work items to recurring work items attached to clients.

It has been great! We love the integration with Intuit and how easy it is to use/personalize the work templates.

Pros

The ongoing customer service if phenomenal. There are many platforms out there, but few have such great customer service. Even after years of using this platform I know that help is simply a phone call or email away.

Cons

There is no document management feature. When weighting out options we were bummed that does not include a way to get KB signatures or document management.

has made work life easier. I am no longer looking at 4 trello boards, a white board, a daily to do list. I just run thru Karbon.

Pros

Love the ease of My Week and its integration with Google Calendar. I simply triage all my emails - allocated to my week if needed follow up. Then slot them into Google Calendar to allocate time. My phone even reminds me of scheduled tasks coming up. The templates for work are so easy to use. The client requests are user friendly for the clients and us. All emails are allocated to work or the client. No more scrolling thru emails to find that particular document. Its all in the work. Essential with monthly or quarterly BAS. Or even if a client purchases a new car you simply add that email to their next years tax return!

Cons

Would love signing to be part of client requests. Its actually essential!Would also like documents to be added to the client rather than work as sometimes you don't have a work item.

support was great in helping get us set up and understand how to use the product. From there, your imagination is the limit of Karbon. You may not even need that with all the helpful tools and templates they have!

It could do better about helping report on capacity. They have a new feature, but costs extra too.

Pros

Easy to set up and use. Great tool for collaboration with colleagues and clients. One central location for all work, communication, and demographic data.

Cons

There are always things that could be improved in any software, but I don't feel like there are currently any holes in , just things that could be better. The "to-do" and "insights" section are two that I feel could be improved to increase their usefulness.

Exceptional. continually makes improvements to their products. They look for suggestions from the users and are happy to accommodate finding a solution for a specialized request.

Our staff enjoys the Triage function and visibility of communication most about . With having a team approach to most of our client work, it's important for everyone to know details from client interactions. This has helped us to be more efficient, batching questions and keeping us from contacting the client repeatedly for the same thing. It has essentially helped us provide better customer service while making our team more efficient.

Cons

I would like to have more options of labeling clients, helping to narrow down a specific group of clients to target for an email message or reporting purposes. Filter work by work title instead of work type.

I have been using for years, and I will not be switching to an alternative platform. Karbon continues to evolve its software to better serve its customers, and its customer service is excellent -- you are always communicating with a real person within a reasonable amount of time.

Pros

allows me to keep my time tracking, emails, and project management all in one place, and creates greater transparency within my firm. It is an essential tool in running my business!

Cons

It can at times be more difficult to track down an email in than it is to find it in my Google inbox.

Our team is more productive! They're spending less time sending emails and more time organizing their to-dos. We feel organized as a firm by being able to find client emails, assigning to-dos to each other and easily managing our work.

Pros

The most impactful feature is the cohesiveness of . We needed one place for our staff to send emails, enter their time, and track their work. We used 3 different apps to do this and Karbon combined all of them for us. The Client Task feature Karbon offers is my favorite. You can set up recurring monthly requests for your clients and it sends reminders on your behalf.

Cons

is robust, but with time you will get used to it. The onboarding was super helpful and seamless. We loved the support we had along the way.

It's impossible to grow a firm without making intrinsic knowledge available to all. has allowed us to codify that knowledge in templates and checklists, while making both internal and client communications visible across the team.

Cons

I'm looking forward to improved integration with our file storage system, as clients tend to want to upload documents through but that's not where I want them.

### "Practice Management made easy"

Practice management, staff management, job management, email management - it delivers all that I wanted in one app. What I would love is if the time tracking integration was not limited to tsheets as I have tested tsheets and it is more of a payroll focussed time management tool as opposed to a billing tool or tracking of job efficiencies tool - I would prefer if this integration was expanded to include a tool like Harvest for this purpose. Also if it could integrate with Xero HQ that would be wonderful as well as WorkflowMax just didnt work for me in terms of my logic or reasoning so I use Harvest with Practice Ignition and with only Harvest and Practice Ignition integrating with Xero - if I could get all 4 to talk to each other it would make my life a lot simpler and achieve better management

Pros

I am constantly writing out "to do lists" and then I get to the end of the week and I need to consolidate those lists to make sure nothing drops off - with I always have my to do list available and up to date. I also enjoy the fact that i have better control of my e-mails and previously where I forwarded a mail to a staff member by way of delegating it to them i had no way of checking that the mail was attended to unless I added it to my to do list - whereas now I can add it to their to do list and monitor whether or not it was completed

Cons

there is a quite a bit of set up involved in terms of getting the work templates in place but that is to be expected I guess - although once set up those work templates will serve as a sort of process manual so it kills two birds with one stone - its just where I am a small practice the time taken to get all set up will take longer as it is only me setting it up in between still trying to manage practice and keep up to date with client work
