We exceeded our anticipated attendance and vendor participation, due in no small part to the vFair team's advice and guidance. Pros vFairs was very easy to use with a lot of features we found useful. It was nice to have registration, marketing, and event functionality all in one place. She provided support to users on the day of, which was a big help. Cons Overall, the management side of the tool was a little overwhelming, although that also is because there are a lot of features to customize! The team is amazing, professional, knowledgeable and not to mention FUN to collaborate with! ISA recently held a hybrid conference in Scotland in which we utilized a mobile app to create the best experience for our in person and virtual attendees. The app for this event included castles, knights, fly in intros & much more. All were beyond impressed with the app. Well done vFairs! Since our first connect he has made me feel at ease esp. when i bothered multiple times on the app features. His calm composure and confidence on the app ensure we go ahead with VFairs and he even went out of the way to make sure the app and the team was ready before the event timelines which was very short. Osama was connected with us as a PMO and right from our first call he ensure that the app would be a success. Let's talk about customer service first. From day 1, \[sensitive content hidden\] has been an absolute pleasure to work with. He is extremely knowledgable and was able to walk me through every step of the process. The timeframe to turn around our first virtual event was very short, but \[sensitive content hidden\] support throughout the entire build made the process so efficient and quick. He's very responsive and is always happy to support our efforts. I can't say enough good things about him - top notch customer service. Next let's review the platform. Prior to vFairs, our old platform was very clunky and it took so much time to set up an event. When I started working on the vFairs platform, I noticed the difference immediately. The amount of time it takes to build out an event is a fraction of what it was taking me on our old platform, and the user interface is so simple and easy to use. I love how our virtual booths are displayed to attendees and I'm even more impressed with how the agenda is presented on the landing page and within the environment. Cons I wouldn't say I dislike this about vFairs, it's more a "I wish I could do this" type of feedback. I wish I could easily update room templates on my own without bothering \[sensitive content hidden\] with that kind of request. He's very quick to get our requests in the queue when we do want to make changes, but it would be nice to be able to make the updates on our own. Researcher Higher Education Used the software for: Less than 6 months ### "Extremely amateurish" July 16, 2021 1.0 Conferences are a very important part of academia, and like everywhere else, we have had to switch to online venues. It is clear that vFairs has absolutely no experience with academic conferences, or that they have ever tried to attend one of the events they organised. The interface is extremely clunky, it is nearly impossible to find other people, it is impossible to share informations with others (like, if you find someone in the chat, you cannot direct them to your presentation because it's not possible to even send a simple link to it). The purpose of a conference is to foster communication, but the Q&A interface next to each poster doesn't allow replying to questions... The live call provided by Whereby is okay, but opens in a new window, so you cannot show your poster at the same time unless you share you own screen... And there is no way of knowing if the live call room is populated before you join, with camera and sound on by default... In short, vFairs is just a collection of pre-existing tools haphazardly put together, without any integration... the live support present during the conference is here only to tell users that the obvious functionality that their looking for is actually not implemented... Pros Nothing really. The whole operation seems like a scam. Cons All looks and zero functionality. I guess they convince organisers by showing fancy 3D conference center images... which serve absolutely no purpose. They were very responsive to us. We were able to deliver a much larger online job fair event than we could have at an in-person event especially during the Covid-19 pandemic. We are hopeful that VFairs will implement some of the suggestions we made as well as continue to improve their product so we can continue to provide this in the future. Good product that just needs to continue to fine tune some aspects. Definitely would recommend it. Pros We were very pleased to be able to deliver a virtual job fair to over 50 education employers. VFairs worked with us over a two month period to help us put on our event. The platform was able to accommodate over 50 employers and their staffs along with over 800 registered job seekers. We liked the ability to connect job seekers to employers in this virtual environment instead of an in-person location that could only handle a limited number of employers and job seekers. Graphics were great and the booth set up for employers was also relatively easy. Cons We did experience some technical issues that prevented us from using the video interview feature for our event. Several of our employers set up Zoom calls outside the platform and that worked but we'd prefer they not have to do that in the future. We also like to see a potential waiting room where once a job seeker is selected to be interviewed by employer, those interviewing and find them easily in that waiting room. Need to be able to email booth admin and attendees directly from the platform instead of downloading to a spreadsheet and then uploading to a 3rd party mail client Registration with Stripe - Candidates could “register” without payment but weren’t able to log back in and be redirected to finish payment if they came back later. Had to be deleted from the system entirely in order to get back in. Our company was seeing different amounts of job seekers in the chatrooms. Ex. 40 in one but another person sees 150. Chat Feature with Appointments didn’t seem to work well or an improved notification system for employers/job seekers when the appointment time arrives would be helpful. Chat room - Always scrolling which made it hard for some employers to find the person they were talking to. Event though we were in different time zones we used this fact to our mutual advantage being able to service our global participants was actually easier. Most importantly our assigned project manger \[SENSITIVE CONTENT\] was stellar and \[SENSITIVE CONTENT\] was also on top of his game when it came to the virtual program schedule and execution of our event. Pros The end result was exactly what the client was expecting. There were very few requirements that the team was not able to find a solution for and they delivered at the highest level. Team was creative and had an excellent knowledge of how their solutions worked, if challenged on a new concept they found a way to make it happen. Cons There were a few items we brought up in our post event review. I think one of the primary issues was being able to provide a better integration with Interprefy and making that more seamless. They helped us manage our project while learning the tools and implementing them at the same time. We doubled our attendance and engaged a worldwide audience with the tremendous support of the project management team. When it came time to plan our larger meeting, we didn’t hesitate to re-up our contract and hosted 3,000 attendees with over 1,500 presentations and 100 exhibitors for 8 days. However, we had a number of issues day-of related to session management. Pros The best part of our VFairs experience is working with \[SENSITIVE CONTENT\]. She has been incredibly responsive and detail-oriented throughout the process, and we appreciate her willingness to execute our last-minute tasks! Cons We were very disappointed in some of the elements day-of. Our biggest issue was during our breakout sessions, when we started "going live" prematurely and thus our hundreds of attendees saw and heard communication that was supposed to be had behind the scenes. Additionally, the VFairs team members assigned to each breakout session seemed to have no familiarity with our show flow and repeatedly asked speakers "if they had slides" which threw everyone off guard. Being that we had sent a show flow to the VFairs team weeks before the event, we expected everyone to have a better understanding of the expectations for each session. Additionally, the VFairs team members in our sessions day-of did not appear to make any judgement calls with regard to changing up Zoom views. Speakers who had finished talking would be left up on screen for minutes after another person started talking, which resulted in folks on the Istrico team needing to take over and switch to gallery view. Because of this, the overall viewing experience looked very clunky and unprofessional, and what our attendees wound up seeing was: 1. Speakers and VFairs staff talking to one another while live 2. Pros We had a very knowledgeable and helpful project manager \[SENSITIVE CONTENT\] who explained the processes well and assisted us when we had problems. I felt a bit overwhelmed with the process at the beginning, but once I got started entering the information for the exhibits, I found it was easier to set up that I initially thought it would be. Cons I thought it was easy to move around the digital platform to access our recorded lectures and the exhibit hall. Not only do they take feedback specifically, but they never hesitate to go above and beyond on a request. Pros After using the product for 2 years, what I like most is that vFairs is that vFairs listens to their customers and as a result are constantly updating and improving their product. It only gets better with time. Cons The only thing I like the least about the software is that I can't use it for all meetings/events.
