The most valuable aspect of vFairs is its customer service. Our Customer Support Manager, \[SENSITIVE CONTENT\] , set the tone by understanding our event's objectives and proposing features that would achieve those objectives.We opted to use vFairs as a permanent solution for our global public health conference since the organization was so satisfied with the work of the vFairs staff. This is the third year we have utilized vFairs for our virtual conference, and the experience keeps improving! vFairs has been exceptionally accommodating in customizing the virtual platform to meet the needs of our target audience. In addition, the expertise of our project manager, \[SENSITIVE CONTENT\] , who strived to identify solutions to produce the best user experience, was a significant factor in the success of our event performance this year. \[SENSITIVE CONTENT\] and his team members during our event were also incredibly quick and cordial while answering participant questions and resolving issues. In addition, our event included numerous technological components that demanded countless hours of data entry and user experience design. Nevertheless, the increasing adaptability of the vFairs platform made it simple to navigate these issues as they occurred, and the vFairs team did so with poise and grace.We recommend vFairs to everyone interested in hosting hybrid, in-person and virtual events!

Pros

Users will have an easy time navigating the vFairs platform, and both the visual designs and the navigation may be altered to better suit the requirements of your event as well as the expectations of your audience. Also, the integration with HubSpot made it possible for team members to access data regarding attendees easily.

Cons

The possibilities for financial interaction and using an e-check are highly restricted regarding the registration options. Our conference registrants experienced certain difficulties due to our inability to offer flexible payment options.

### "vFairs Played a Pivotal Role in our Success!"

vFairs helped us solve the problem of how to hold an educational conference for healthcare professionals and consumers during and after pandemic shutdowns. By hosting a hybrid event we kept the in-person element of community building and networking along with the online element of easy international access without travel. vFairs provided a fun and easy to navigate platform for our attendees for a very reasonable price.

Pros

vFairs has been in the virtual event planning business long enough to know how to plan and execute a flawless experience. We found their team to be highly skilled, professional, collaborative, fast responding, and a pleasure to work with. Our project manager, \[sensitive content hidden\] , and Customer Success Manager, \[sensitive content hidden\] , were deeply committed to the success of our event. Throughout the entire planning and execution process we felt well taken care of.

Cons

The vFairs platform is highly customizable; it can be intimidating for inexperienced event planners to create the online platform with content and images. We appreciated the options to use standard templates and the help from our project manager in keeping things moving along when we were paralyzed by decision making fatigue. There were more tasks to setting up the event than we originally thought. The first year using vFairs we left too much to the end and were under pressure finishing.

Reason for choosing vFairs

We chose vFairs because it provided the customization and fun we were looking for with a reasonable price tag. One of our board members had attended a virtual event on the vFairs platform and highly recommended it to us.

### "Hybrid Academic Conference"

In the end, we were highly satisfied with the vFairs platform and plan to use it again to host our hybrid conference next year. If it were not for the initial issues with abstract management/notification, they would have earned a 10/10 ranking for recommending to a colleague. During the conference itself, our experience with vFairs was perfect.

Pros

This is a company that really cares about their users' experience and satisfaction. Our project manager (\[SENSITIVE CONTENT\]) was absolutely outstanding. This was our first hybrid meeting (having been online in 2020 and 2021, and previously only in-person). It was a great success. The support team during the event was fantastic, and the hybrid aspects flowed seamlessly. The website/conference platform had an extremely professional appearance and were easy to navigate. We could make edits and download on the backend ourselves, or these were made quickly upon request to vFairs.

Cons

We had difficulty with the abstract management system, which was a new feature that vFairs was rolling out (and therefore did not charge us to use). In brief, the abstract submission form was not ready in a timely manner, requiring us to set up our own submission system. We then imported these submissions into vFairs, which generally worked (one field was missing from some entries), but then the abstract notification emails did not all send, which required additional manual work. However, we have communicated with vFairs about these issues, and we expect them to improve in the future. Setting up the conference platform for the first time was quite labor-intensive, as there were many decisions to make and these were unfamiliar to us, but vFairs customer service (specifically \[SENSITIVE CONTENT\]) was outstanding and helped us through every step of the way.The 4-star rating for features/functionality is due to the very slow search feature in our poster hall. There are some other features that are less flexible than might be ideal, but these were definitely workable for our needs once they were understood (and many things were quite flexible, just not everything).

### "Full Steam Ahead"

vFairs is always raising the bar, the gamification was a real hit, and helped us measure engagement, the addition of other resources is exciting and we can't wait for social media integration to be fully developed.

Pros

The support team at vFairs is second to none. The user experience at every level was easy, successful and added to our success.

Cons

Creating assets was our biggest challenge, we tried to improve our presentation quality and maybe got to far into the weeds. A good exhibit hall standard and possible graphic support will help us improve our performance for next time.

### "Multi-lingual International Conference"

The vFairs project team displayed exemplary dedication and professionalism, were knowledgeable not only about their platform, but design and managing virtual events. We were assigned a dedicated project manager who walked us through each phase of the development and ensured tasks were completed on-time. If we had a functionality request that was outside of the box, he would take it to the developers to see how it could be accommodated.

Pros

vFairs has experience developing and managing online events. It is not a start-up company that tried to convert a mobile application to a virtual event platform when the events industry was forced to move face-to-face events to online when COVID hit. There were existing integrations that we were able to take advantage of (Zoom, Interprefy).

Cons

When we used the platform, the manner in which speakers were associated to a session and that sessions had to be built in multiples for a multi-lingual event was labour intensive and cumbersome. We provided this feedback to vFairs, and they indicated that it was something their developers were working to fix.

vFairs offered the option of a fully managed product - from build to implementation, that could be offered in 3 languages and could seamlessly integrate a number of other platforms. The vfairs platform was a great solution to our exhibition going virtual during the COVID-19 pandemic, it worked well for our partners and our attendees. All feedback was mostly positive from the user experience and we was able to share and use the platform how we need to. I'm not sure how the platform would integrate with a live event to make the whole event as a hybrid experience due to the live broadcasting and not connecting to an app. The team we worked with from vfairs were really helpful and understanding of our needs and managed to get everything we wanted (even with things they had never done before). We have hosted 2 events with vfairs and would use the platform again and would considering using it as a hybrid option if we could integrate the live and virtual elements together

Pros

I found the product easy to use from an organisers experience from the backend access to the frontend user experience. Like all software it takes some getting used to over time which is why this software works for an event user experience if they have never used anything like it. It's simple and easy to navigate it if you make it so for your customers use. In terms of the backend - I found this software easy to use, however that might be because I’m used to using CMS systems. If you aren’t so hands on the vfairs team are there to help along the way.

Cons

I think there are a few vital area's missing from the software when it comes to user interaction on the main page, if the chatroom tab worked within the main software rather than on another tab i think it would be more consistent on for the user experience. Also some features that where added last minute which we didn’t advertise made this difficult to manage expectations of our partners on the live days. I think any updates should be discussed with the organiser prior to implementing them on their platform. Finally the integration with live broadcasting was something that we needed to make our link between pre-recorded and live Q&A work seamless - in the end it worked but when the video pulled through to the platform even though being put at 1080p only pulled through at 720p which made our content look love quality.

Fantastic!!! \[SENSITIVE CONTENT HIDDEN\] was thorough and efficient in his communication when getting me all set up with the software and establishing our client contract. \[SENSITIVE CONTENT HIDDEN\] was incredible with communication, keeping us on task, and delivering on our clients needs at lightning speed. And the design team was incredible at producing all of the customizations, the finishing touches, and building out the environment beyond what we could have imagined. I LOVED my experience working with vFairs, I will absolutely continue recommending this platform to clients of mine, and I hope to have the opportunity to collaborate again in the future!

Pros

What I LOVED about this software was both the user-friendliness of it as well as the advanced features. It can be hard to find something as advanced, and impressive, while still being comfortable for all to use. Much of my client's audience are people who are extremely intimidated by, and new to, using technology and I was overwhelmed with all of the positive feedback from attendees about how easy their user experience was - as well as how impressed they were with the features of the platform itself. I also LOVED the team that I work with.. \[SENSITIVE CONTENT HIDDEN\] in sales, \[SENSITIVE CONTENT HIDDEN\] as my project manager, and the design team behind the scenes that brought my vision to life were all incredible. A team of true professionals and complete stars! Bravo!

Cons

I truthfully only experienced two instances where I felt the software could have been improved: 1. I wish that there was email communication features built into the software to be able to follow up with registrants to send email reminders, important updates, etc. I know that email communications are built in for communicating with booth admins - It would be great if there was also opportunity to perform marketing/communicate with registrants 2. I found that there were some people who were registered as attendees but needed to actually be booth admins, and in order to change their role they had to be completely re-registered. For me, this was when I registered all of the speakers as attendees, but they needed to be booth admins to be able to click and reply to comments in the Q&A chat box. I had to go back and re-do all of these registrations, and re-do communication with those speakers who's passwords may have changed from me needing to manually re-register them. It would be much easier if administrator had the power to simply just change roles of registrants regardless of how they were initially registered.

Very good experience overall, the vFairs team, as usual, was very available to willing to help us achieve exactly what we needed and wanted. They were with us every step of the way to make our event a success.

Pros

vFairs' flexibility and capacity to adapt to the client's needs was very appreciated in this project. They are reactive and willing to help, always full of solutions. We managed to set an online training program on the platform by adapting the tools to our requirements.

Cons

Some features, especially when reworking them to adapt them to our needs, are not always that easy to understand and having the team be so far away makes communication not as clear as one could hope.

Reason for choosing vFairs

Because of the price and the possibility to "design" the software to our needs which made sure we didn't have to use a variety of different tools.

My Project Manager, \[sensitive content hidden\] was extremely attentive and a true champion of our success. He was quick to respond with any questions, concerns, or issues that arose, and always provided clear and concise guidance on how to move forward. He demonstrated a deep understanding of the project goals and was able to effectively execute on all project tasks within a short time frame. His always-positive attitude and willingness to go above and beyond made him a pleasure to work with. Before vFairs, badge printing for our trade show was one of the most difficult and costly features of our event process. We used to print all badges ahead of the show, which was costly and inefficient. vFair's on-site badge printing was easy and fast and made the check-in process a breeze. Both our attendees and our check-in admins were thrilled with the easy and speedy process. The app was a big success for three groups of people: attendees, exhibitors, and our staff. Exhibitors liked how easy it was to scan badges, record notes, and house resources for attendees. Attendees enjoyed how easy it was to navigate the trade show floor, the very fun scavenger hunt, and the push notifications. Staff enjoyed the reporting, badge printing, and scanning into breakout sessions. The app absolutely elevated our event, making venue navigation easy, adding an element of fun with the scavenger hunt, staying on track with push notifications, and having information readily available.

Cons

Would love to see some templates to help with content creation.

### "Avoid vFairs"

After spending weeks preparing for a live 8 AM launch, the platform was not ready on the day of the event. Presenters couldn't get into booths, attendees couldn't get into sessions, the majority of our attendees left. As things were breaking at 8 AM, our dedicated support person left us, leaving us to re-explain our situation mutiple times. Nobody ever explained what went wrong with the event, leaving our event team with no answers for the attendees. 3 weeks later, still no explanation. We signed up and paid for multiple functionalities that never got set up, including chat rooms accessible from the booths, a leaderboard. There's no process to ensure that you get what you paid for. The lesson I learned from this experience: Expect to be abandoned on the day of the event. We would have been better off with a platform that worked. vFairs is still overwhelmed and struggles to deliver on what it promises.

Pros

The sales and service promises made before the event sounded very convincing. The team acted as if they knew how to support a live event. The parts of the platform that we could access ourselves worked, but only a small portion of the platform was available to us.

Cons

It took 6 weeks to sign a contract with vFairs. Every part of the platform out of our direct control broke on the day of the event. Sessions did not start on time, wrong versions of session videos were played, users were unable to access chat rooms, exhibitor booths weren't working. We had complaints about the day-of-event help desk support from attendees in email, on social media, and within the event chat itself. Project management was poor: multiple contracted features were only set up after the end of the live event or not at all. Training is poor; the vendor used other events currently in production to show us functionality and did not have materials that we could share with exhibitors and attendees. Response time is poor: we've spent almost two weeks waiting for a response to our current issues with no answers to missing features and functions.

### "vFairs platform completely failed to deliver for our event"

We approached vFairs with a view to delivering 3 events for us over a 3 month duration. The initial impression of the platform was very good, and whilst aesthetically it looked a little dated, it was technically capable of replicating the key aspects of our events in a virtual environment. However, the reality is that vFairs completely failed to deliver the service and functionality promised. On the day, the platform wasn’t finished; several of the key features didn’t work, and the UX and client experience was completely unacceptable. On a call, a member of staff intimated that in trying to exploit the rush to virtual events (as a result of the Covid pandemic) vFairs have severely over-stretched their capacity. This was certainly reflected in our experience, and it is clear that the resources vFairs allocated to the project has not been adequate. 4 weeks prior to delivery we highlighted severe reservations about our project management, and the UK team (who negotiated the sale) had escalated our concerns to senior management and the \[SENSITIVE CONTENT HIDDEN\], but despite assurances that additional resources would be committed, they still failed to deliver a functioning platform on the day of the conference.

Pros

Theoretically, vFairs as a platform is able to replicate the key value of our conferences in a virtual environment. It can: 1. host content, presentations, Q&A and panels, 2. facilitate business engagement between buyers and sellers, 3. Provide delegate interaction. The problem is that these functions simply didn’t work properly.

Cons

On the day of the event, the platform wasn’t finished and critical features were missing or dysfunctional: the exhibitor booths were incomplete, the chat function didn’t work properly and the competitions didn’t run as instructed. The content delivery was also unacceptable: vFairs streamed the video content in such low resolution that the text and graphics on many of the slides was illegible, while some speakers were barely recognisable. There was not enough vFairs staff to run the event properly, and those that were in charge of hosting the content weren’t properly briefed and equipped to do their job. The vFairs staff didn’t understand the times and format of the sessions; the presentation videos weren’t ready at the required time, and in multiple cases vFairs staff didn’t even seem to know they were hosting the session. In one instance a vFairs representative announced to one of our clients that not only had they failed to get the video ready, but their bandwidth was so low that they weren’t confident they could download it in time for the session starting. Events are all about the user experience, and unfortunately the functionality and service standards were so poor that the UX was severely compromised.

### "Great platform and even better service"

The customer service is top notch. I have never worked with a group of people that are so easy to get along with, that know what they are doing and are able to assist you without any delay. I am grateful for our Project Manager, \[SENSITIVE CONTENT\], that we have been working with for a few years now. There isn't an issue she cant resolve or take care of. She is quick to respond to emails and can get work done on short notice. Grateful for the service we have received all these years.

Pros

Vfairs makes it easy to put on a virtual event. They offer a variety of options and make it easy to get creative with their constant updates to designs and offerings. The software is easy to use once you've worked on it a few times. The platform has the ability to be as complex as you want or as simple, allowing you to design to your constituents needs. We will continue working with vfairs.

Cons

I don't think there's anything we don't like about the software. It works for us and we are happy with it.

The price and capabilities it offers. The customer service from the beginning drew us to them and they continued to maintain that level of support throughout.

### "vFairs Has Few Rivals"

vFairs provided us a professional look and feel for a virtual conference that I believe our Members and guests truly appreciated.

Pros

The gamification within vFairs is SUPERIOR! I wish I could use vFairs for every event just to use the leader board.

Cons

The online registration process required us to do more work than was necessary, in my humble opinion. Integration with our existing merchant processing was costly and inefficient.

vFairs just ‘gets’ our business. The customer service they provide simultaneously to our own sales reps while communicating to multiple teams under each valued customer, is beyond commendable. We have worked with vFairs as our exclusive Virtual vendor since 2013 primarily due to his teams high level of professionalism, integrity, outstanding customer support and responsiveness. Their accuracy, speed and meticulous attention to detail is incomparable. I have not seen better. Every Virtual vFairs has produced for us has been smoothly run and when difficulties arise, as they do, vFairs Customer Support suggested conference meetings to get entire Teams trained, individual leadership calls, recommended specific, positive changes and in general, a swift ironing out of problems with every question answered and understood to the teams’ satisfaction and managements delight. Their Customer Support team does the heavy lifting answering complex technical questions and has identified problems early heading off deeper issues. Pros

vFairs creative and sophisticated graphic appeal for customers and our candidates alike. Ease of use and the fact that vFairs conducted the entire set up, training, questions answered accurately and deployment in a timely and extremely professional manner. The product works great and customers received full technical support and reporting post event.

Cons

We experienced no problems with this software. All was wonderfully handled by vFairs leadership and Customer Support.

### "Event Mobile Apps for Everyone"

Pros

I liked that the mobile app was customized for both the association and its attendees. Even though all components did not fit our needs, vFairs was flexible enough to work with us and make an app that would allow us and our attendees to process & deliver information needed. Our Project Manager was very helpful and quick to implement updates needed in order to make sure the app was completed and LIVE in time for our event.

Cons

I would have preferred to be able to make updates on my own to the app but in the long run it all worked out.

We love our partnership with vFairs! Their customer service and attention to detail drive the partnership forward. When we 1st started hosting virtual events through vFairs a couple years ago, I was a novice on the platform with little prior experience in this space. Two years and 4 events later, I am a Project Manager for our dept. for this event and love the experience of bringing a 1,000+ attendee virtual event to our student population. vFairs is constantly improving and updating their product and the expanded options truly differentiate their services to our employer partners. If you are looking for your next (or first!) virtual fair vendor, vFairs is definitely the way to go!

Pros

For the software, we especially appreciated the ADA accommodations, vFairs attention to detail, customization options, text/video/audio capability options, and mobile compatibility, resume filter options, virtual booth variety, and embedded video capability.

Cons

The webinar process for exhibitors could be improved. Although this may be challenging given the integration with Zoom, bringing this capability in-house could be a way to improve that aspect. Employer "Leave a Message" follow-up e-mails could use consolidating so that exhibitors are not sent too many applicant e-mails over an extended period. Making chat times mandatory for exhibitors to provide a clearer picture to attendees and administrators.

Our university decided to partner with vFairs for the following (unordered) reasons: Relatively inexpensive pricing, ADA accommodations, history of excellent customer service, their attention to detail, customization options, text/video/audio capability options, and mobile compatibility.

vFairs offered a customized package to fit our unique needs. The staff have been incredibly supportive and easy to work with throughout the entire process. They always listen to our needs and work to come up with great solutions for all of our events. My customer success manager, \[sensitive content hidden\], has always been responsive, helpful, and ensures everything is going well. My project manager, \[sensitive content hidden\], is always incredibly prompt in handling my requests and makes sure that all of our needs are met.

Cons

I cannot really say that there is anything I don't like.

This third event with Vfairs confirmed once more that for our virtual conference needs, they are without the perfect fit. What is most impressive is the level of attention to detail, commitment, patience and professionalism on the part of all team members, especially with regards our project Manager \[SENSITIVE CONTENT\] who accompanied us through every step right through to post-event support. As an event host and organiser it is wonderful to have complete confidence and peace of mind that all will run smoothly when the event goes live. With VFairs this is possible. We added extra functionalities and new features to this conference edition and were delighted with the results. We are continuing to receive great feedback from all who participated; delegates, speakers, sponsors, exhibitors.

Pros

This was our third event hosted by Vfairs - we came back this year mainly for the high level of professional support that the vfairs team provides with all aspects of virtual conference creation and management prior to, during and post event. What I love is that visually, all design and functionality of the platform makes a great impression on attendees and that is is extremely user friendly even for those who are not used to using virtual technology.

Cons

none I can think of. This is the closest to an in-person experience that we could expect to achieve.

Cons

Since we have a weekly event, we were interested in triggering automated emails to the weekly groups--- vFairs is working on ways to help us do that in a more automated way. That said, we're still able to do this with just a few clicks!

From the very beginning we were given focused support with plenty of training and assistance to pull off a major event in a short period of time. The platform and service are solid but, what sets vFairs apart are knowledgeable support team members and individualized handholding. Truly bar none!

Pros

To say the support received is the best would be a gross understatement. Many products and platforms offer exciting and engaging virtual experiences but the individualized and immediate support we receive with vFairs has left us totally impressed.

Cons

We are able to customize several aspects of the platform but there are a few minor items that would help ensure a flawless event. Nothing critical but as an example, a hybrid admin/attendee persona would be helpful for us.

Our Project Manager \[SENSITIVE CONTENT\] is awesome! Great response time to requests and changes we needed. This year we didn't get started as soon as we wanted, but \[SENSITIVE CONTENT\]made it all come together in record time.

Pros

There was a learning curve the first year we used vFairs for our event, but our \[SENSITIVE CONTENT\] was amazing! We went through weekly training sessions with her. By the end of the training I was able to complete the setup for our event. This time was so much easier. The fact that you can keep the information from the previous event is so helpful! The reports give us everything we need and more.

Cons

I do not know of anything that needs changing. I would say it would be great to have more access to the backend of the website so I could make some of the edits without bothering the project manager so much.

Our corporate offices chose vFairs. I'm sure they did all the hard work vetting other products before making the decision.

It has been an amazing experience, better than what we were ever expecting or anticipating. The vFairs team, our project manager \[SENSITIVE CONTENT\] and his team, have been fabulous. Very creative and open to ideas and finding ways to implement ideas or solutions for issues that come up unexpectedly. Kept on a timeline and made it all work. Very appreciative of everyone at vFairs.

Pros

Allows us to target a larger customer base. Allows for an unlimited amount of information providing even more than we can get with an in-person show.

Cons

In being a wholesale company, we have restrictions on the exhibitor booths, what vendors can see what booths and who can log into more than one booth. We have a work around but feel is not the most efficient for my exhibitors. Would like a way to be able to have a log in that would not restrict people from getting into more than one exhibitor booth for those that are specifically assigned to it. Not accessible to all booths, just those assigned to them.
