Pros

The overall value for money spent is great. We loved having so many choices for the virtual spaces. Our project manager, \[sensitive content hidden\], was so responsive and great to work with!

Cons

My client does not use Zoom so there was a learning curve with how that worked and coaching for speakers so they were comfortable.

My overall experience with vFairs has been extremely positive. From the initial sales call onward, every query was handled quickly and with clear, responsive communication. The customer support has truly been exceptional—consistently attentive, helpful, and proactive. It’s one of the standout aspects of working with vFairs and has made the entire process smooth and reliable.

Pros

What I like best about vFairs is the exceptional support. My project manager, in particular, was incredibly thorough—responding to every single query with clear explanations and often taking the initiative to double-check details without being asked. Their proactive approach and consistent communication made the entire experience smooth and stress-free.

Cons

One area that could be improved is the dashboard analytics and reporting. The platform lacks more advanced, intuitive, and easily accessible analytics that would help track attendee behaviour and engagement in real time. More detailed reporting, segmentation, clearer visualisation tools, and greater flexibility in exporting or customising data would make it much easier to evaluate event performance and draw meaningful insights for conversion campaigns.

Overall, it was very pleasant. I felt like everyone, especially \[sensitive content hidden\] was very helpful and made it an easy process.

Pros

\[sensitive content hidden\] was awesome! She was very quick to respond, troubleshoot and provide resolutions or answers. It was a great way for us to manage our event, Hanger LIVE Virtual.

Cons

The only thing I didn't love was when I was building the booths and adding graphics, it was difficult to get them to fit properly in the template "squares". I am not sure if I need to know the exact sizes so they fit better next time or if there is a different way to upload them so they fit better. But the ones that fit did look really good! I made it work and at the end of the day everyone was happy with how they looked. And \[sensitive content hidden\] made it easy to set up all of our exhibitor booths and showed me how to do it in advance, and helped us to gather info from the exhibitors.

Experience working with \[sensitive content hidden\] was a 10/10 Experience with the rest of vFairs (platform, user experience, capabilities, ease of use, etc.) 5.5/10 Due to the reasons I listed above, and more, I think there are better virtual conference solutions out there that are comparable in price. We don't plan to continue with virtual conferences (we're hoping to move entirely in-person), but if we ever need to again, we will probably consider another vendor. This platform is just too limited and there's no way anyone could set this up on their own without vFairs being heavily involved. Even changing a sentence on a page often had to go through vFairs instead of just being a quick 2 min change we could do ourselves. It was not what I expected and quite frankly was not what was "sold" to us in the beginning. I feel like \[sensitive content hidden\] oversold us on many things that never came to fruition. However, please do not let this review reflect negatively on \[sensitive content hidden\]. She was wonderful!

Pros

Working with \[sensitive content hidden\] was the highlight of our experience with vFairs. She was always available to answer any questions and was a large part of the reason our event was so successful.

Cons

There were several things we weren't happy about. 1. We were demoed many features that weren't included in our contract both before and after we signed the contract - scavenger hunt, photo booth, etc. 2. We had issues using vFairs to send marketing emails to registrants in 2023, but were told the issues had all been resolved and the system was upgraded since then. However, we had several issues this time too. The scheduling feature didn't work and our emails didn't go out - had to go in and manually send them much later once we realized they didn't go out. Our last email to attendees double sent, which I was told was due to "the email being processed by 2 cron jobs at the same time". Just makes us as an organization look silly for sending two emails back to back - looked like our error. 3. The back end was the least user friend of all the vendors we explored. Many things we wanted to do had to be done by putting in a request for vFairs to do it instead of us just quickly going in and doing it ourselves. Much of it seemed to be suitable for a developer to update and not the average customer, which was disappointing.

This was my first time being on the ground floor of choosing an event management platform. I didn't know what to expect, but from what my colleagues have described, the support we got from vFairs was remarkable.

Pros

The value for the cost of vFairs was extraordinary. Additionally, the support team response time and helpfulness a huge recommending factor. Our guests enjoyed the app, and we appreciated all the function, and the back-end analytics.

Cons

The process of networking our printer to the app was frustrating. That may have been complicated by our network set up, but it took two long set up Zooms. Again, though, the support team was patient and willing to give us a lot of time.

Always very friendly and helpful staff. Issued a dedicated account manager, \[sensitive content hidden\], who walked us through every step of the system from beginning to end. When questions came up that required more technical assistance, she would schedule meetings with specialists in the software. We also enjoyed the look and feel of both the online platform and the mobile app.

Pros

The look and feel of the product and the superb support from the vFairs team. Our attendees and sponsors both enjoyed the experience with the event app.

Cons

Some of the basic reporting we wanted from the system had to have custom reports created or couldn't provide all the info we wanted in 1 report. We had 2 options for Live Streaming services we could use through vFairs for our event, and we were guided to use one that couldn't give us the features we needed.

There was a bit of a learning curve that sometimes led to frustration, but our account manager was always willing to assist. He provided demonstrations of various processes and/or reached out to the vFairs development team to ascertain the best method to help us with some of the more tedious tasks. vFairs have been great to work with, and the support team is extremely helpful and timely with all requests.

Pros

We have been using vFairs for the past 6 months, and have run multiple events either using the full platform, or specific features, such as badge printing. Every experience has been fantastic, especially with the help of our Project Manager, \[sensitive content hidden\]. Every request that we have made has been completed in a timely manner, even when they are last minute. The lead scanning feature worked seamlessly for a large scale event, and the badge printing is relatively simple once you are trained on how to troubleshoot any issues that may arise.

Cons

Nothing to note. Depending on how much control you want over the platform, it is helpful to know HTML and CSS, which may not be something that all organisations have in-house, but even if so, the vFairs team are on hand to complete any requests.

What truly sets vFairs apart is that it’s a comprehensive, all-in-one platform that allows you to manage your entire event from start to finish—seamlessly and efficiently. Pros

What we have enjoyed most about vFairs is that we can do everything inside the application and not have to rely on anything outside to host an event. From registration to post event analytics there is everything we needed within the application to help us.

The only con we have ran into is having to use laptops during check-in to make our printers work. vFairs has stated they are working to correct this issue though.

Our whole team, and even our customer speakers raved about the support from the vfairs team, and how well the event ran.

The support provided by the vFairs project team was phenomenal. They were incredibly responsive and very helpful with setting up our event. The day of, they were with us every step of the way, including in the sessions.

Some things were really only configurable on the back end, but because their team was so capable, they were able to get whatever we needed done.
