### "Nobody wants to answer RFPs, Responsive makes it easier"

March 27, 2026

4.0

I think the solution has many areas for improvement, particularly in AI and library maintenance, but the core functionality is solid and delivers the key features needed by growing organizations.

Pros

No one wants to answer RFPs; it is an outdated industry practice. Responsive makes this easier by providing a central repository for all RFP responses and enabling collaboration among team members, which improves productivity by allowing people from different teams to work on proposals in parallel.

Cons

The AI capabilities are still immature, and the generated answers always need to be reviewed, which is time-consuming and undermines the solution's productivity gains.

### "Responsiveness at Its Best."

March 27, 2026

5.0

My overall experience with Responsive has been quite positive. The platform stands out for its clear structure and organization—each product is categorized neatly, and every section has a designated owner, which makes it easy to know exactly who to reach out to within different business units. That clarity really streamlines communication and reduces confusion.

Pros

What I like most about Responsive is how it categorizes each product clearly, and how every section has its own owner. This makes it very easy to understand which business unit to reach out to.

Cons

The aspect I find least favorable is that when exporting to Excel or Word, the formatting often becomes inconsistent despite selecting a specific font.

### "A Reliable and Efficient Tool with Room for Improvement"

March 30, 2026

4.0

My overall experience with Responsive has been quite positive. It’s a really helpful tool that makes accessing information quick and straightforward. While there are a few moments of feeling overwhelmed by the amount of content, overall, it’s reliable and efficient, and I’ve enjoyed using it

Pros

I really appreciated how versatile and accessible Responsive is. It provides easy access to a comprehensive library of information, making it simple to find the resources I need quickly and efficiently. The user-friendly interface and extensive content make it a valuable tool for my work

Cons

Honestly, sometimes it can feel a bit overwhelming because there's so much information. It takes a little time to find exactly what I need without sifting through a lot of extra stuff.

### "RFP Writer"

December 17, 2024

4.0

While my current employer is still rolling it out, I have used Responsive before, and I am excited for the increased capacity it will allow us to have given our lean-team approach.

Pros

Mainly the project management capabilities of the product. The first step of vetting an RFP always takes time, but with Responsive your hard work is rewarded with automation after you get the ball rolling.

Cons

Building the database wasn't as intuitive as I would have liked, though the custom fields being able to be facets alongside tags is a great feature for those who are used to a traditional folder structure.

Alternatives considered

[Loopio](https://www.capterra.com/p/133042/Loopio/)

Reason for choosing Responsive

It was a close race, we liked the project management of Responsive better. Some of our team had experience with RFPIO as well.

Switched from

Part of the reason for the switch was largely due to the project management capabilities of Responsive (and the lack thereof in qvidian)

### "Responsive is pretty good"

December 12, 2024

4.0

Generally, I've been very impressed with the customer service and training we've received from responsive. Overall they seem to be responsive to our needs and willing to dig into bugs thoroughly

Pros

I like how seamless most things are, I like the review workflow, I like that many things are customizable for the organization

Cons

While most things are seamless, there are still some issues with linking the modules. We often try to find projects in the Recommended search that should be in our archive but these two entities are separate. Also there are spacing issues and formatting issues upon export. Merge tags also seem to add random spaces or make adding text around the merge tag difficult and time consuming. I've tried to float some of these issues to responsive but often they have just let me know that that is a known function of the software.

Switched from

[Ombud](https://www.capterra.com/p/204190/Ombud/)

Ombud was not innovating at all and we could never get any movement on the bugs we experienced. I will admit that sometimes we miss Ombud for exporting and formatting, as Responsive tends to add errors to the final product, but the management tools in Responsive make the switch worth it for us still. We're also hopeful that Responsive will continue to keep our feedback in mind and improve on the product, which was something we were not confident about with Ombud.

It was the best experience for me. I will say it is the best tool I have worked in. Its simplicity is the best thing.

Pros

Responsive is one of the best RFP tool I have worked on. Any functionality from RFPIO is top notch be it a UI, export functionality, AI response. I will say RFPIO is the best tool for RFP responses.

Cons

### "Responsive- What works & what doesn't"

November 18, 2024

4.0

I have been using the tool for 3+ years and it has been a very good experience overall. As already mentioned above, the tool is easy to use, and the account management is very helpful.

Pros

Responsive has an easy to use and easy to learn UI, which makes it easier to onboard new members/teams to the tool. It provides us an opportunity to create and leverage an answer library and collaborate with multiple teams at the same time, helping save a lot of time. Another great aspect is the value for money that the tool provides, compared to similar tools available in the market. Lastly, the account management team is very helpful and responsive (pun intended) and it is always a pleasure to work with them.

Cons

The answer suggestions that the tool provides while working on a questionnaire are incorrect a lot of times because sometimes the tool does a simple keyword match and because of the nature of questions, although the keywords may match, the answers suggested do not match the question at all. During such times, we rely on the human expertise and experience to search for the correct answers in the library.

### "A user-friendly tool to handle RFx's"

January 7, 2025

4.0

Responsive is a very effective and user-friendly tool in many ways if you work with Excel-sheets. If it comes to other formats, the tool has its shortcomings which the user has to solve. The reuse of reliable and up-to-date content from previous projects is a very clever idea (known also in other branches like e.g. the translation industry).

Pros

\> Supporting team collaboration through clear assignment of sections/questions/tasks > Clear dashboard function that shows the tasks, progress and status of each question > The export function helps to create bid documents with a uniform look/formatting.

Cons

It is not possible to - search for possible Q/A-pairs in all completed projects (that are not part of the Answer Library) - reliably update the source file - to import read-only word/pdf-files with preset text-boxes to fill It is difficult to collaborate with clients and/or vendors on an RFP, if they have more than one question to answer.

### "Very pleased Pre-Sales Team user of Responsive!"

March 14, 2025

5.0

9/10, the only reason I'm not giving it 10 is because I'm not fully leveraging all the functionality as of yet (especially the Auto-Respond and GenAI capabilities to save me time and increase efficiency).

Pros

The collaboration features, the Auto Respond feature, the mapping of projects and easy export into the source document.

Cons

Not a con as such, perhaps an inherent limitation of source files, but I would like some more accommodation of trickier source documents that e.g. have conditional questions (e.g. if Yes, reply to next question, if Not, do not) or documents that show or hide questions depending on how you previously answered to the questions above. Not sure if something could be enhanced in the tool to accommodate this, or other non-user-friendly types of RFx source files.

### "Many options for content organization"

January 7, 2025

4.0

I use this every day as part of my job and I am overall satisfied with the use of the tool and its many features. I am currently sorting out our thousands of pieces of content and I find the process enjoyable.

Pros

There are many options for organizing the Content Library, from tags, to collections, to multiple responses to a question, and more. The project management feature is also useful, especially the option to invite guests to collaborate and not require them to make an account.

Cons

There are many minor glitches, which after contacting the support team, usually get fixed in a timely manner, but after a while I don't want to report every little thing and wished that the QA team would catch them before going into production. Also the customer care team is hit and miss, and we faced some communication issues when it came to billing.

### "Responsive - Respond to Proposals effectively and efficiently!"

November 11, 2024

5.0

Using Responsive's AI-powered content library for GEP's proposal management activity has significantly streamlined the proposal creation process and improved the quality and consistency of responses.

Pros

1\. Quick Access to Relevant Content: Responsive AI has made it easy to find the most relevant materials for any proposal. This reduces time spent searching for content, improving efficiency and consistency. 2. Improved Consistency and Accuracy: Responsive has helped standardize language and style across different proposals, ensuring that branding and messaging remain consistent. It also reduces errors by providing content that has been vetted for accuracy and relevance. Reduced Proposal Turnaround Time: With streamlined access to content, automated suggestions, and faster assembly, Responsive content libraries has significantly shorten the proposal development cycle.

Cons

I understand that the AI references the Content Library, but I would also like it to include responses based on information from documents uploaded to the tool.

### "Responsive : Game changer using AI"

December 18, 2024

4.0

The overall experience of Responsive has been positive. Responsive has improved the throwput and helped maintain a standard response across various presales personnel

Pros

Responsive's AI add-in has been a game changer for our team. The AI add-in not only helps speed up the response but also automates a lot of redundant tasks that the team had to perform.

Cons

Reponsive has recently changed their licensing model. The current licensing model doesn't support scaling without breaking the bank.

### "I recommend."

December 12, 2024

4.0

I enjoy using Responsive 99% of the time.

Pros

It is fairly intuitive and have most of the features that I want. Definitely easier to use than another other similar product I've used.

Cons

Would like a little more sophistication in some functions such as excluding certain items permanently from the duplication report. I also still manually load excel workbooks because the program has problems properly sorting complicated worksheets.

### "Transformative experience"

February 17, 2025

4.0

The overall experience with RFPIO was transformative. It helped our business to move from the old system of QA's where an employee would keep asking the same question over and over again on a chat across different RFPs. RFPIO's knowledge base and vault of ready responses streamlined the process and allowed greater efficiency.

Pros

What I liked the most about Responsive is that it enables collaboration between various teams without the need to rely on external software. Its integration with Slack also enabled me to stay on top on any meaningful changes to RFPs I'm involved in.

Cons

The most problematic aspect of the software is its notification scheme. I often get Daily Task Reports for sections that are 100% complete and require no work from me as a contributor. My understanding is this cannot be limited by any setting.

### "Extreme Time Saver"

August 8, 2024

5.0

Responsive has helped increase my job efficiency greatly. With the platform, I'm able to easily add and remove Q/A pairings as well as leverage the current pairings we have in the database with ease. The ability to filter for certain things using the tags or collections feature helps me find things a lot quicker and remove any irrelevant items, ensuring the answers always pertain to exactly what I'm looking for. The only critiques I have with it are small ones which can be fixed or a new feature could be added to mitigate the problem. Overall, it's a very helpful platform that I encourage others in the industry to use, to help fill out questionnaires, as it has saved my team and I countless hours a year with the answering process.

Pros

\- Very user friendly - Smooth transitions between tabs and sections - Lots of options for sorting and filtering - "Collections" feature is extremely helpful

Cons

\- Copy and paste function sometimes doesn't work properly - When I'm in a Q/A pair, I'm unable to see what (if any) collection the pair is a part of. You can see this with the tags, so I'd like to see it with collections as well

Alternatives considered

Great so far. I like the refreshed UI and added featured for documentation collaboration as compared to previously when it was called RFPI

Pros

the consolidation of resources and the ease of searching and retrieval

Cons

No cons so far. One suggestion for improvement could be the integration of AI-driven search queries. This would allow users to receive suggestions based on asking questions rather than relying solely on keyword-based searches.
