I’d say it’s been pleasant with great customer service and follow-up. There support staff knows the product and is quick with solutions.

Pros

The Customer support by PayHoa is top shelf. My expectation is to get a call back within a day but they normally call back within hours. The chat A-I service also is very intuitive and solves our issue in the fly. Our staff can pick up the phone and normally reach someone live for assistance. I also liked the conversion process from our old systems. We were able to do a massive data dump by exporting into a txt file, formatting into the PAYHOA template and they uploaded into the site for us. There was 30 years worth of member info and It saved us at a minimum of 200 key strokes per member and at 1100 members I calculate the total key stokes at +200,000 and 100s of employee hours.

Cons

I’m not sure why they chose the name PayHoa as once we fully transition we will net a “SAVINGS” HOA and streamline HOA verses the numerous out dated programs we used to have in place. Our member data files were actually DOS based.

Too soon to say We have only been using it for a few months. Probably my biggest problem is unsolicited emails

Professional and friendly staff, who are extremy patient as we ramp up. The website is user friendly. Great enhancements (on-line voting & Homewise Docs) are added regularly.

Pros

Customer support is fantastic - using rhe built in tool or scheduling a quick 15 min video training session are extremely helpful. Great bang for the buck - the HOA is saving a lot of money, compared to the Property Management company previously used. We are able to easily post documents for Board and/or homeowner access.

Cons

Our homeowners have expressed a desire for an app. Homeowners (both on PCs and/or phones) have experienced webpage slowness.

We rolled-out our neighborhood PayHOA program in October and have successfully trained and assisted 98% of our homeowners get comfortable with the tools. The PayHOA team are very responsive and dedicated to resolving any programming issues or mis-connections. I've been on 14 different HOA Board of Directors over the years and this is the best, most reliable, and helpful management tool I have ever experienced!

Pros

The PayHOA system has been a critical piece to our young neighborhood self-manage our 121-house neighborhood. For about a $1/household per month, the value for the money we spend is amazing. Quality staff members with a focus on customer service and individual support for our various users. As the President of my neighborhood HOA, the Return on Investment is excellent and we now have tools to run a professional neighborhood HOA.

Cons

We had a couple of early issues in getting the bank accounts connected and to automatically sync. However, the PayHOA Customer Service team were patient and determined to help us resolve those challenges.

PayHOA is a great platform but comes with a lot of overhead from the company.. there are assumed items that they just think you know right off the bat where we were left in the dark from our prior management company... it made a very difficult transition. Overall the platform is great but we wish there was a little more customization for communities that our unique like ours.. Overall still enjoy the project JB and the support staff have been great in supporting us since our onboarding.. issues tend to get resolved quickly.

Pros

Easy initial setup with minimal technological knowledge required. The application is also easy to use from a homeowner perspective

Cons

Its hard to manage accounting... balance does not true up the way cash accounting would expect... Lack of support on finances in documented resources

### "PayHOA: A Complete Solution"

Our board of directors and members have been very happy with PayHOA so far. We enrolled late in the summer of 2025, and the transition has taken several months. PayHOA support has been there with us every step of the way to help us in our transition. Overall, we believe it provides great value for the money.

Pros

PayHOA is the management solution that we have been looking for. The user interface is very intuitive. PayHOA customer support is very responsive by way of phone and email. They also provide a great AI help chat. The communication piece provides instant push messages by way of phone, text and email. Our data is accessed by way of a secure web site. We also use the PayHOA Weebly website builder. We plan on using the Western Alliance banking option as well.

Cons

There is no payroll module with PayHOA. Payroll would make PayHOA truly one-stop-shopping. We decided to go with ADP.

From implementation to use to customer service I was up and running within a day or two. Compared with Platforms like Realpage where it takes them months to stand up a software.

Pros

It has an extremely intuitive design. Making switching platforms extremely easy and straightforward.

Cons

There is only one major drawback to PayHOA and that is the fact my owners cannot make a prepayment via an online payment.

### "Best move ever"

This has proven to be the best move we have ever done. PayHOA does basically everything our small 133 lot subdivision needed without the over-the-top fees management companies charge.

Pros

It is 1/5 the base price of the management company we had before and about 10% of what we were actually paying. Even printing and mailing is half the price.

Cons

We have not figured out the Homewise application yet nor have we done the website and transferred our domain name. These are brand new apps to the cite and free to the HOA, so it is still a huge positive.

Very straight forward tool. We do not have a complicated HOA operation and this tool is very adaptable. Can go deeper if needed but keeps it simple for our operation.

Cons

Delay in bank / PayHOA balance reconciliation process is sometimes delayed. Also, the cost per credit card transactions is a bit high relative to competition.

Overall, the experience with PayHOA has been exceptional, streamlining our operations, ensuring accuracy and transparency in managing our HOA's finances. I highly recommend it!

Pros

As an 82-home HOA that self-manages, switching to PayHOA has been a game changer. The best feature is its ability to automate invoices, bill payments and financial reports, cutting our monthly workload down to just a few hours - a huge improvement over our previous managed service, which was notorious for poor service and inaccurate reports. Homeowners also appreciate the intuitive portal for making payments and managing their accounts, complete with a personalized touch like a photo of their home. Very important for our small community, by converting to PayHOA, we saved 75% of the cost of the previous service.

Cons

My only minor drawback is that I would like to see more options for adding custom uploaded attachments to email invoices, similar to what we can do to mailed invoices. However, this is a small nit in an otherwise well-designed, stellar system.

As a volunteer treasurer, I have been very happy with PayHOA, both from my administrator and user experience. I would definitely recommend PayHOA for HOA management.

Pros

PayHOA is easy to use, for both administrators and users. They have a database that usually has the answers to questions. The support team at PayHOA is the best! They respond quickly and are always helpful. The ability for residents pay online has been a great timesaver, and the ability to post governing documents, financial reports, and meeting minutes on the site has saved a lot of money on printing and mailing. Speaking of reports, about a year ago PayHOA created a report packet, so I don’t have to print, save, and post each report separately.

Cons

I would like to have the opportunity to be able to pay static (same charge every month) bills on a recurring basis. I’m sure they are working on this.

I'm very thankful we are utilizing Pay Hoa, and thankful for their responsive staff. We've been using them for about a year now and are very happy.

Pros

Having everything in one place from financials and owner invoicing to calendars, management docs, tracked email, banking, transactions and more. Ease of use for owners, and transparency from and for the board. Ultimately this will make it easier for any new board member to transition onto the board. Support staff is fantastic and responsive. Bookkeeping and tax service is an excellent add on service which I can't speak highly enough about. Another timesaving free service is the bank lockbox which scans, reports and credits owners accounts if you use the Western Alliance bank. At the time of this writing, using this bank (specializing in collecting dues) also gives you a discount on your Pay Hoa subscription. The background of the \[sensitive content hidden\] puts Pay Hoa in the forefront of HOA management programs.

Cons

There are some clunky parts. Sometimes I have to wait a few minutes for a change I entered to show up even after the entry pops up as successful. I can only invoice owners, not outside entities I need to invoice. I also wish, within the program, there was a way our property manager could assign a staff member a specific request directly from the individual request.

Customer service= A+ Functionality = A Tiered Pricing = A+ Overall, the experience has been tremendous. I tested several platforms before choosing PayHOA. It is meeting and exceeding my expectations with reporting and options to make the Treasurer job more manageable.

Pros

A one-stop shop for managing our condo community's financials. The ability to send invoices and receipts and the option to set up a website for our community to stay current with FL legislation for a self-managed condo community are crucial. The tiered pricing based on the number of units in the community is beneficial. The reporting will be a huge benefit (once I transition from Excel.) This builds a sustainable platform that can operate with little touch from Board to Board.

Cons

First, I'll state that the support function on PayHOA is TOP NOTCH before I share. There is a bit of a learning curve, so plan a quarter to learn before launching to the community. You are not losing anything by waiting. You are gaining trust and can answer a lot more questions.

A valuable recommendation would be to implement a dedicated contact list for business queries and immediate or ongoing IT support to address any hiccups efficiently.

Pros

We believe that PayHOA has been well received by the office as end users, assisting with providing a streamline path to completing daily activities, and its user-friendly experience for managing HOA-related tasks. The system offers excellent transparency, making it easier for residents and administrators to track payments, requests, and community updates. Many appreciate the accessibility and organization it has brought to Ridgemont in the areas of financial and operational HOA matters has been considered a plus.

Cons

There have been some concerns related to communication, particularly during system downtime or when adjustments and entry changes require turnaround time. This in no way affects our product contact and representative, but this statement is more related to standard image or IT system team as a protocol to update clients, and users of system upload, storage or error delays. While the platform functions well overall, improvements in real-time updates and a structured response process for technical issues would enhance user confidence.

I have been involved with 2 different HOAs. I’ve served as president, secretary, and treasurer. Until we discovered PayHOA, we truly did not have a system that was sufficient to account for everything an HOA is responsible for as accurately as what it does. It was truly the answer to our HOA administration challenges. I highly recommend it for ANY self directed HOA.

Pros

It is a one stop shop for HOA management. PayHOA helps you to invoice residents, manage accounts, provides a collection point for all your HOA documents - everything you need to be successful.

Cons

There is really not much I don’t like about it. It is fairly intuitive and help is fairly accessible when needed.

The best part of our decision to switch to PayHOA has been the amazing availability and support of the staff members. We have direct access to highly trained professionals that educate us on how the product works, ensure performance is up to par, and are amazing at helping resolve any hiccups that occur (which are typically due to my own error to begin with). My experience overall has been EXCELLENT!

Pros

I am most excited about having accounting software that integrates our other HOA needs, such as broadcasting, invoicing, violations, requests, etc. It is an awesome ONE STOP SHOP!

Cons

No cons, but a "wish list" item would be to have live reports. That way, you could just click on a figure that doesn't make sense and be taken right to its source. However, it is very easy to maneuver in the system and I do not feel burdened by navigating there manually.

I do not like using QB, I find it to be too complex and cumbersome. I get lost and confused in that software trying to do very simple tasks. Plus, it doesn't have all the other features like broadcasting or requests that we use in PayHOA.

### "Best database for HOA management"

Excellent. We spent many hours searching for and testing software that could be a database for our HOA. PayHOA matched our feature list we were seeking without being overburdensome with unnecessary complexity. The learning curve was easy and we are still glad we made the decision to choose PayHOA over other software. We are about 2 years in.

Pros

It's fast. Logging in is fast, navigating between pages is fast, searching is fast, etc. There are many features we like too - texting, email, surveys, tags, violations, and pictures. We imported over 500 properties and the system grabbed Google Maps street view pictures of the houses automatically.

Cons

If you allow the homeowners to login to their account, there is no way to turn off the ability for them to see their violations. We have reasons we would want to keep that internal only.

### "Solid Tool for Self-Managed HOAs"

Overall, PayHOA has been a helpful platform for managing our small self-run HOA. It covers most of the basics we need—owner communication, dues collection, document sharing, and tracking violations—all in one place. The interface is clean, and once you get used to the workflow, it’s fairly intuitive. The automated payment reminders and ACH features have reduced the back-and-forth with owners and helped us stay on top of dues collection. I also appreciate the ability to email residents directly from the platform and store important records in one shared location. That said, the inability to connect our bank account (Salem Five Business) for automatic transaction syncing has added some manual work on the financial side. It’s not a dealbreaker given that the number of expenditures is less thsn 10 monthly, but something to be aware of depending on your bank. All in all, it’s a good fit for small to mid-sized communities that want an affordable and fairly easy-to-use system to streamline day-to-day operations without needing a professional management company.

Pros

PayHOA has been a solid tool for our self-managed HOA. A few highlights: •Security: The platform feels secure and trustworthy, especially for handling payments and owner banking information. We haven’t had any concerns around breaches or unauthorized access. •Value for Money: Compared to other platforms we considered, PayHOA is reasonably priced for what it offers. It covers core features like invoicing, owner communication, document storage, and financial tracking without feeling bloated or overpriced. •Customer Support: Their support team is responsive—most inquiries get a reply within a day or two, and they seem to genuinely try to help. That said, it’s mostly via email and some guides, so don’t expect a full support desk experience. •Information Access: Owners can log in to see their payment history, shared documents, and messages. From an admin side, I like the owner database, the ability to upload and organize files, and the ability to pull reports when needed. •Bugs and Issues: Overall, the platform is stable. There are occasional hiccups or slow loading pages, especially when switching between tabs or viewing financial summaries, but nothing that broke our workflow. •Email: Mass emails to the community are simple to set up and send. It’s convenient to be able to track communication logs tied to each owner. A few formatting limitations, but it gets the job done. •Payment: This is the strongest part. Owners can pay dues via ACH or card, and automatic reminders are a big help in cutting down on late payments. We can also track who’s paid and who hasn’t, export data, and apply late fees when needed. •Banking and Accounts: ACH payouts to our HOA bank account have worked reliably.

Cons

he biggest issue we’ve encountered is that PayHOA’s banking integration does not support our business account with Salem Five. As treasurer, this has been a real limitation—it means I have to manually enter or upload transactions instead of having them synced automatically. It’s a bit surprising that a tool designed for HOAs wouldn’t support more regional banks, especially for business accounts. I’d love to see them expand their list of supported institutions, or at least offer a workaround that doesn’t require duplicate data entry.

### "Great software for small, self-managed HOAs!"

Overall, its great! Its easy to use and navigate, it has lots of features, and its just what we needed for our self-managed HOA.

Pros

Its a great centralized hub for all of our HOA documents, finances and communications, as we're a self managed HOA of 20 units that didnt want a lot of overhead.

Cons

I wish it was easier to set up an admin profile for the board members so communications could be consistent. We use a shared email for official HOA communications, such as when dealing with insurance or mortgage lenders. While I can manually change the email address that emails are sent from to the official HOA email, when I send out reminders for a survey, it doesnt give me that option and automatically sends it with my personal email address.

Overall, I'm very happy with this product. It's easy and the website has knowledgeable article to help you navigate the system for both the clients and the business owners.

Pros

I can do everything I need to do for my business in ONE website. The security is important to my customers and for my business so it helps to know that there are not bugs and issues that come across.

Cons

Printing out checks, It does not let you edit the check margins so it never prints out create and I have to edit myself in PDF form.

Lots of features to learn, however easy to navigate once you get the hang of it. The YouTube videos they provide on their channel are very helpful.

Pros

I love how everything is automated. The reporting feature has been beneficial for submitting quick monthly data. We also love how each unit keeps historical data intact for our office to fall back on if necessary.

Cons

So far we just aren’t fans of the scrolling feature on the budget dashboard. There are too many scroll bars to keep up with.

Overall, I’m extremely happy with our decision to use PayHOA and I love that you all continually enhance it to provide an even better experience. I’d love to have the ability to see other customer’s enhancement requests and the ability to vote for them. I’d also love to see customer’s bug/errors they’ve encountered and if resolved, what the resolution was or the workaround provided - maybe something like Microsoft Office product’s user community message boards where Microsoft also monitors and provides feedback.

Pros

PayHOA’s customer service is top notch! I love that if I can’t find an answer or need instructions, I can often get a timely response and if I write after hours, I always get a response the next business day. In my (real) job, I’m a functional system administrator and I often have to submit tickets to our system’s vendor and it can take weeks to get a response! Life would be so much easier if every company had such amazing customer support as PayHOA does! I really appreciate how willing and eager you all are to assist, it’s refreshing. I also love the robustness of the system and the ability to link transactions and attachments. It has great transparency!

Cons

I’d like more user security controls allowing us to decide what specific users or roles can see certain data. I would love for our homeowners to have access to most of the tabs/modules in the system. However, I can’t hide homeowner-specific data when I give access to modules, so I have to hide most. If I was able to have more controls at the field level in each module (or even if you focus on one module at a time, e.g. transactions), I could hide the PII, allowing homeowners a full view without seeing who may have paid their assessment late (vs just knowing two homeowners paid late, but no address/name info is visible for it). Additionally, I’d really love the ability to allow view access to reports at the actual report level. Right now, if I give homeowners access to reports, they can see every single one, which again, shows homeowner specific data. So I have to restrict it which is really a shame because it’s a great system with a great user interface. Finally, I’d love to see an app developed for it. Accessing from my phone’s browser is not an easy thing to do. Most of our homeowners would prefer an app as well. For clarification, I am our HOA Treasurer, so I obviously see everything and as a homeowner as well, I’d be upset knowing the data was there, but I can’t see it!

I’ve used PayHOA for a 78 unit neighborhood and a 12 unit condo association. Performance has been flawless.

Pros

I have instant access to financial data. The association does not have an accountant so we are able to easily and accurately track income versus liabilities. The operating account and the reserve account are both synchronized and visible on one page. End-of-month reports are easily produced and board members have easy access.

Cons

Not much….a minor criticism is the change from personal contact to automated issue resolution.

PayHOA brought us from the dark ages of an antiquated and very limited database to a browser-based management and communications tool.

Pros

PayHOA is a great way to store information about each unit and disseminate it to my entire association. PayHOA allows us to quickly and easily process our billing, complete mass mailings, and print out member statements.

Cons

Parts of the platform are changed and updated without notifying customers, which negatively affects the user experience.
