At First Response Healthcare, we implemented Zoho Inventory for medication and consumable billing across multiple centres. The product initially looked promising because of its simple interface and accessibility across devices. However, once we started using it for daily operations, several limitations became evident. The main challenges were medication identification, expiry management, user permissions, stock reconciliation, multi-location inventory control and billing. One of the biggest issues was the inventory structure. We needed a central warehouse supplying multiple healthcare centres, with authorised staff managing stock within their respective locations. Instead, nurses were configured as individual stores, which made inventory management unnecessarily complicated. We also faced challenges with discount controls. Different users should have different authorisation limits, but our setup allowed discounts without the required role-based restrictions. The product was primarily selected because Finance was already using Zoho Books. The intention was to simplify financial reporting, invoicing and stock reconciliation. Unfortunately, the implementation did not deliver the expected operational benefits. More recently, during an IT assessment for a diagnostic laboratory, I evaluated Zoho Inventory against laboratory-specific requirements. Laboratory inventory management involves reagent kits containing multiple components, each potentially having different expiry dates and stability periods. Laboratories also require batch traceability, temperature monitoring, daily reagent consumption and accurate opening and closing stock records. The standard setup we evaluated did not adequately support these requirements. I highlighted these gaps and discussed specialised laboratory inventory solutions better aligned with the operational needs. Based on my experience, Zoho Inventory may be suitable for general inventory management, but healthcare organisations need to carefully evaluate its capabilities before implementation. A system should be selected based on its ability to support actual operations, not simply because it integrates with an existing finance application. For healthcare, inventory management is directly connected to patient safety, quality, compliance and financial accountability. These requirements cannot be compromised. Pros The only aspect I genuinely liked about Zoho Inventory was its user interface and compatibility across devices. We used it at First Response Healthcare, where our nurses were responsible for billing medications and medical consumables. The application worked well on laptops, Android phones, iPhones, Android tablets and iPads. The interface was simple, easy to navigate and convenient for staff. From a UI and accessibility perspective, I have no complaints. However, a good interface alone does not make it a good inventory management system. Cons My biggest concern with Zoho Inventory is that the implementation did not adequately address the operational requirements of healthcare inventory management. We faced limitations in managing critical information such as HSN codes, expiry dates, pricing and discounts. Medication-specific details, including generic names, brand names, strengths, LASA identification and high-alert medication flags, were also not adequately supported. Expiry management was a major concern. A medical inventory system should identify medications approaching expiry, particularly within the next three months, and provide proper batch-level traceability. Multi-location inventory management was another challenge. Our requirement was to have one central warehouse supplying multiple healthcare centres. Instead, individual nurses were configured as separate stores, making stock allocation, transfers and reconciliation unnecessarily complicated. User access controls were also poorly configured. Most users had access to functions beyond their responsibilities, and we could not effectively enforce role-based discount limits. The implementation affected billing workflows, stock accuracy and inventory reconciliation. During a separate diagnostic laboratory IT assessment, I also identified gaps in the standard Zoho Inventory setup for reagent kit management, component-level expiry tracking, in-use stability, temperature monitoring and daily reagent consumption. Overall, the system did not meet the healthcare-specific operational requirements we needed it to support. The intention was to have inventory, billing and financial transactions within the same ecosystem, making invoice reconciliation and stock reconciliation easier. However, the decision was driven more by financial integration requirements than by the actual operational needs of the healthcare centres. In practice, the implementation did not serve its intended purpose. We faced challenges with inventory accuracy, stock reconciliation, medication management and billing workflows. While integration with Zoho Books was the main reason for selecting the product, it did not compensate for the gaps in healthcare-specific inventory management. Pros As a small HR-led business, Zoho Inventory has proved to be a reliable tool for tracking the office supplies and equipment, particularly for running a business efficiently. The reporting feature is very extensive and customisable enough to identify trends and it also seamlessly connects to other ZOHO applications we have already implemented. The control it gives for order processing is also appreciated. It has helped us not to order too much; it has decreased our wastage in general. Cons The learning curve was a bit more than I thought, particularly as inventory isn't the main part of our business. I had to play around a bit to get it set up the way that we wanted. There are times when bulk uploads can have some glitches, and sometimes the shipping module appears to be more geared for physical goods businesses, which requires us to bypass certain features that aren't necessary to our business.
