August 3, 2025 5.0 Overall, Craftybase is exactly what I was looking for when I was wanting to track my inventory and products, and I love that I can set different levels of pricing and see what my profit margin is. Pros I love Craftybase because it is so easy to get started. They offer a 2-week free trial, which is basically the amount of time it took to get most of my materials and products entered. It integrates with many other software programs so it is that much easier to keep track of inventory. The pricing is reasonable, and if you can't find your answer in their chat bot, an email will get you a friendly person responding to you within 2 business days usually. They have made some updates on the look of the site, which was much needed, and they are very open to hearing your suggestions on how to make the program work better for you. I have not had many problems with the program, and the few that I have had were handled very well by the customer service department. Cons There are a few things that I would like to have as options on the site, but they are very minor (such as: drop-downs for categories, etc) It would also be nice to have the price charged in CAD, but again, a minor thing. Prior to using it, I was using spreadsheets and magic. Craftybase is a huge improvement to that sort of system, though I still use a little magic. Pros Craftybase has vastly improved how easily I can track my materials and product inventory for my soap, candle, and body care product business. I subscribed in 2024. There are a lot of thoughtful details in how you can set up not just recipes, but recipe precursors, that saves me a lot of time and works well with how I make master batches. It's also been great in terms of syncing with my website on woocommerce, and when there have been issues (probably entirely due to woocommerce), customer support has been so responsive and even followed up down the line to see if the issues have gotten better. Plus, they've introduced improvements in the syncing capabilities with online merchant platforms since I joined craftybase. Cons There are still issues in how the products sync with woocommerce, but the team has been really responsive to those and I fully trust fixes are in the works. For example, I use product bundling plugins on my website, and they don't sync properly with craftybase. They don't actually sync properly with woocommerce either haha. So many complex backend issues that I'm sure compete across the different merchant platforms. I've been really impressed with how they handle things. Support has been fairly responsive and helpful. Setup took a lot of time and some of my employees haven't liked how long it takes to get their batch paperwork going. Printing is laborious sometimes. Pros I do like the capabilities and it being on the cloud. However there are some features that would be helpful. It made my organic inspection easy because I could just easily pull up the batches for my mass balance audit. Cons I don't like that when I assign a manufacture it doesn't give any warning about a low-stock component/material. I don't like that I can't easily see what projects have been assigned to what employee. I've love daily email digests that tell me what needs to get on order, what we're getting low on. I'd love to be able to have batch numbers that are just numerical. Right now they're both letters and numbers so I had to get new batch guns for marking my batches. It's laborious to have to change the batch numbers on the guns. I'd love to be able to see what's on hand vs. what the batch will take when I go to assign a manufacture. I'd love a button on the "manufacture's" page where I could pull up an employee's assigned projects and there would be buttons where I could see all "work in progress" "not complete" and "recently completed." Would be nice to receive an email when a batch is marked off as completed. Or if a batch status changes - X employee has started working on X batch. That would be awesome. Would love time trackers for employees so I could accurately track how long a batch is taking. There is a lot of in product support and lots of instruction but I am a huge overthinker and the email support function was just amazing. It helped me get to grips with things and later on when I had to suspend my subscription due to a health issue that meant I couldnt work, they showed me how to capture and save my data for when i restart. It took me a little time to figure out what product features I needed and again getting me to the right solution I got great support. I had previously used a competitor product mainly because it was free. I was new to baking and software and discovered - as I tried to get reports sorted etc - that I needed a more professional piece of software and Craftybase is it. Cons It is a little more complicated than it first looks so read the help sheets and think about structure. SKUs are not compulsory but better you use them . I learn by doing rather than reading so I eventually had to start again with things. But it was no problem to the guys at teh other end of the email! The learning curve for the system was very fast and it was very easy to figure out how I should set up my recipes, products, and manufactures. I can always count on craftybase to keep records of my ongoing product costs and inventory counts. I'm pleased with their program, customer service and time saving elements of this platform. Pros Crafty base has allowed me to get a handle on the 130 different product mixes that I currently stock on several selling platforms. At a glance I can see my inventory stock levels. Craftybase has also simplified my gross margin and I now know if my pricing is correct on our products. Customer service is excellent and quick to respond to questions. Cons Craftybase needs to increase the platforms that they sync. Our Ecwid and Tik Tok sites currently don't sync which means that I have to manually enter all orders. It has great functionality for tracking manufacturing processes from raw materials to order completion, including full compliance with EU tracebility requirements. The Craftybase support team are great and have never failed to help me with any issues during the years, and I like that they proactively take feedback on board and continuously improve the software. Most of the time if I need a feature, it is already there and teaches me more. It also seems they are consistently developing and are taking feedback to build in new features. The customer service has been solid and fairly quick to respond. Cons For a truly small business, the pricing and consistent feature-baiting to the next subscription are almost not viable. I'm sure the order imports are streamlined on the US version, but in Canada, I wish I had the ability to edit imported order prices or an editable exchange rate feature would be added. The exchange rate is assumed when the order is imported, but it's not accurate to what the actual payouts are, so I end up having to copy my order to be able to edit prices and delete the imported version. Pros As a product maker keeping up with all our supplies and materials has been an absolute nightmare as we have grown through the years, moving forward we needed to do something different, but there was not an answer for our unique industry, until we found Craftybase, I can't describe the joy of finally getting my inventory, recipes, materials all finally organized, and within a few clicks of the keyboard I know exactly what I have on hand, what I need to order, what I can wait to order, no more ordering things we don't need by accident, and the reports that come along with Craftybase are an absolute HUGE BONUS! I knew it would be, but it is ALOT of work to get it going, and as a small business owner, extra time is something of a rarity, and this is a large task to get CB going. So far the thing I really don't like....I need to update inventory twice, once in Craftybase when we make the manufacture, then I must turn around and update it in my Shopify, if I do not update in my Shopify, our Point of Sale in store forces us to do additional steps on the register to complete the sale, so thus a pain, but bearable, but it would be fantastic if the manufacture we created automatically updated our stock in Shopify. Owner Fine Art Used the software for: 6-12 months ### "Solid Product with a Moderate Learning Curve" July 14, 2023 4.0 Overall it's been good. I would recommend it to any other vendor if asked. There is absolutely some time required upfront to get it going but once that's done the automation saves me an hour hour or two each and every event we do. My time has value and even at minimum wage in my area I don't need but an event or three to have paid for the subscription each month. I've been that vendor making paper notes of sales at events then taking them home to file and process and after setting this up I wouldn't go back.Craftybase also tracking my COGS, inventory, helping with tax forms and tracking my expenses is just icing on the cake. Absolute time savers that free me up for other tasks to help grow my business. Each piece by itself doesn't sound like much of a savings but they add up and they add up faster than I thought they would. For us increasing our sales almost 100% over last year just means we buy more materials and setup a few extra manufactures to deepen our stock levels. The actual paperwork did not increase 100%. For the system auto-importing 200 sales a month is the same as 100 sales a month. The more sales we make the more time Crafybase saves us. Pros Sales integration and inventory are the biggest winners. Put some thought into and setup the SKU's correctly across your channels and a majority of the paperwork is taken care of for you. That's worth hours after each event. If you have relatively static items building a recipe for manufacturing inventory is almost as easy. Once those are seeded correctly it's just a minute to record that you made X number of an item. COGS is updated, stocks are updated and expenses are tracked. Cons Learning curve was moderately steep. This wasn't unexpected as my day job is in setting up production systems so I have an idea of the complexity that is needed. Expect to spend a moderate amount of time building and then probably heavily modifying what you setup that you thought was correct. You just don't know what you don't know until you start using it and realizing how it actually goes together as an entire system.Depending on your business type some shortcuts might be needed. We do jewelry sales and a variety of categories needed to be combined for our sanity. If I tracked each and every bead, gem or finding that we used we would have nearly 2,000 unique entries in the materials tab. As an example in our case some additional thought and planning had to be devised to combine all the generic ear hook styles together and build them as a trackable unit in grams. This would be repeated for the several hundred bead styles we use. Glass, gemstone, crystal, wood, 4mm, 6mm, 8mm, 10mm etc. We aren't trying to track the 10's of thousands of beads we inventory so they are categorized by price points and then inventoried and tracked by weight.These aren't quite con's just a reality of having moved into an inventory system after a year of not having a proper one and the width of material options that we had. A business that sold soap might only have a couple dozen oil options, some jars and wicks to track. This would be much easier to directly track specific items. Review Source LG Lydia G.
