Pros

the workflow is excellent, once the invoices are registered the payments are made after a short time. and the accounting is easier to manage with this tool

Cons

unfortunately it is not possible to make changes to your provider, which is annoying. otherwise the software is great

Overall AvidXchange has answered all of our questions and made out AP automation streamlined and easy.

Pros

The best thing I like About AvidXchange is it easy to use and easy to access on the go if needed.

Cons

The least thing about AvidXchange is that it logs you out if you don't use it for a couple minutes...and the budgets portal is not working for us.

Bad!! We were never told about being charged to receive our money that we work so hard for.

Pros

Nothing nothing nothing! Im appalled at the fees charged!

Cons

They charge the vendors a percentage of the funds they receive. These are funds do to us for work completed to the customer who chose to use avid. The customer who contracted with avid should absorb these fees not the vendor!

Pros

It is easy to use and processes invoices quickly. The document management is amazing. I love how secure the banking transactions are and it is worth it.

Cons

I love everything about it. There are no changes that I would want to see. It is user friendly and easy to use.

The overall experience with Avid has been positive. We have other systems that we work with that I am constantly submitted a case ticket for to correct an issue. But I haven't had to do so with Avid.

Pros

I like being able to communicate between teams in Avid to keep the process streamlined. I also liked the training process. We had a weekly meeting set so they could understand our business needs. All the way until a few weeks after we went live to assist us with questions or any changes that we needed.

Cons

I'm not able to organize invoices by date or name even though the option is there is does not work.

Pros

The level of traceability and auditability within AvidExchange is exceptional. From the moment an invoice is uploaded, we have complete, timestamped visibility into its entire activity history, covering every action, review, and approval step. This comprehensive audit trail is invaluable for compliance and internal controls. Furthermore, the features supporting team collaboration are highly effective, particularly the ability to leave internal notes directly on the invoice, ensuring clear communication and smooth handoffs between staff members. I also particularly value the granular control over user permissions, which allows us to set highly specific abilities and restrictions for each staff member, significantly enhancing security and compliance across the board.

Cons

My primary area for improvement concerns the clarity of the check status reporting within the payment processing module. The system currently lacks a descriptive 'word bank' or clearly defined statuses for cut checks. For instance, the status "processing" is frequently misleading. In our experience, this generalized term often indicates that the physical check is lost in the mail or severely delayed rather than actively moving through the expected payment workflow. Implementing more precise and actionable status definitions would greatly reduce confusion and improve our ability to quickly address payment exceptions.

We appreciate that AvidXchange automates invoice capture, approvals, and payments (vs. manual, paper-based processes). For example, scanning invoices and having supporting documents stored with them reduces the need to chase physical paperwork.

Cons

Pros

Avid exchange makes processing invoices quick, easy and organized. I appreciate the dashboard so I'm not looking all over the place for invoices. Account management is key to paying bills successfully.

There isn't anything I least like about avidxchange. I enjoy everything the website has to offer currently.

Pros

I like that it is a one stop shop for AR and that they can process payments for you. I like the ease of coding and the functionality in the program itself.

Cons

I wish you could see your vendor's payment preferences. I also wish checks did not take so long to process. Utilities are near impossible to process in the portal as payments take way too long...

Overall I've had a great experience with Avid, I just wish they would make small changes to Capture.

Pros

I love that Avid makes it easy to pay invoices but downloading them to a que and inserting all important information. All I have to do is review the invoice and click submit. This saves me a ton of time per invoice.

Cons

I dislike the capture system. If an invoice is listed as a duplicate and it is not, there is no easy way to get it processed anyways.

Overall this product has been great for our business and saves us valuable time at a low cost. Plus the cost is passed along to our customers, and is less than it would be to purchase postage/ mail checks on our own. It also directly integrates with our property management software

Pros

Significantly easier to process accounts payable. Quick and saves us a lot of time.

Cons

Funds are removed from your account immediately. If the check gets lost or is never received by the vendor, it takes awhile to get the funds returned to your account and re-issued. It also results in a service charge.

I've used AvidXchange for a few years and it blows my mind how we used to code invoices without it! It communicates flawlessly with our accounting software, making the process smooth!

Pros

AvidXchange is a brilliant software making coding invoices easy and efficient! Gone are the days of manual coding and scanning! I love being able to send invoices to the email and have them in the portal to quickly code and submit. This software makes coding seamless and easy! A workflow game changer truly.

Cons

No cons! If I must list one, I would say the timeliness of check delivery. Other than that, I love this software!

Overall I have loved my experience with Avid. I have used a plethora of AP processing platforms and by far Avid has been the most reliable and easy to use platform. I still have to use others and I dread it far more then when I know I have to process invoices on Avid. I would recommend this platform to anyone in my industry.

Pros

\-Uploading/Sending invoices to AVID is less than 24 hours -Invoicing History is always available and goes back more than 1 year which can be helpful -Header and distribution lines are easy to use -Codes pull from our chart of accounts making the coding process painless -Save and approval are very easy

Cons

\-Invoice feed does not separate invoices per property they are all mixed in with each and cannot be organized on our end. This makes it difficult when you are coding per one chart of accounts and then have to switch to another when the next invoice is a different property. -Header dollar amount line when changed does not reflect in line item and creates an extra step to adjust amount in multiple places adding time to coding

Pros

At times invoice images get stuck in the inbox and our accounting staff needs to retrieve them manually to get them in the proper workflow

Pretty good but frustrating at times. If I were asked to keep Avid or switch to another company to outsource payments, I would probably advise that we should switch. We are relatively happy with Avid but could be happier elsewhere. I have used similar services from other companies in my career and Avid is not what I would consider "top tier".

Pros

I really like the ease in which payments can be made. The integration with NetSuite (which we use as well) is near perfect. We have everything we need to send our payment information to AVID and have the process begin. The avidxchange.com interface is also very easy to use and it is awesome that we get up to date status on each payment.

Cons

The customer service. I don't have an assigned contact for my team any longer so the only way to speak with someone is to send in an email and hope they get back to you. I need answers right away on issues involving payments and do not get this very often from AvidXchange. When we do get someone to help, they are usually very knowledgeable and end up solving our problems but the issue is getting someone to help. I feel it is an issue with the staffing level and not the actual customer service employees. Also, my team is CONSTANTLY having to send over copies of invoices because the companies don't recognize the payment being offered by Avid, even though the invoice number is listed on your remittance. The ability to not include any enclosures (tax forms, signed contracts, etc.) also hampers our usage of the product; we still have to run some checks manually and if we are doing so, why not just run ALL of our payments this way?
