I'm solving parent peace of mind concerns for families who trust us with the care of their children. Parents love getting pictures and messages from the staff during the day, telling us how the day is going for their child.

Pros

Brightwheel staff are available during the day (and you can even leave a chat message after hours). They are responsive to your issues and they actually follow-up after resolving an issue to make sure that it remains fixed. The support team is knowledgeable, helpful and polite! They leave you with the impression that they care.

Cons

We offer flexible schedules. Some families' schedules vary day to day. It would be a great asset if actual attendance could be calculated against billed attendance. Right now, this is a manual process and leaves us open to mistakes.

I chose Brightwheel because Mark Cubin was an investor and I know that he only invests in sound companies who have a good purpose.

Brightwheel offers a multitude of benefits, from streamlining administrative tasks and enhancing communication to fostering parent engagement, but occasional technical glitches or system downtimes may pose challenges that require prompt resolution from the support team.

Pros

The product was fairly easy to use and the process integration took no time to get familiar with.

Cons

Like any and all systems there is always going to be that one flaw but this is very minor and I would have to say overall the system is great, however it could allow more freedom of uploading our own documents.

My overall experience has been tremendous and parents love it.

Pros

As I used Brightwheel for 2 years or more. The more knowledge that I gain and the communication that I had with the parents were outstanding and direct. Brightwheel allows you to update information and view wonderful progress.

Cons

The app should remind parents to update their child's photo. Other than that, it's great!

### "We love Brightwheel "

We love this program. We love that we are now paperless. Our billing is always on time, and direct deposit. We cannot say anything bad about this program. We have been with them for just over a year and they are wonderful to work with, and the program itself is amazing.

My daycare provider uses Brightwheel. I like the fact that it is cloud based. The ability for me as a parent to see my billing and pay through the app is a definite time saver. I have not had to use customer service but I am sure my daycare uses them because they are very knowledgeable in this service and have helped me navigate the site. The software seems to always be changing and improving. I would recommend this software to other daycare providers but would still like to see a few improvements.

Pros

This cloud based site enables me to login to the parent portal and get up to date progress reports on my children. Plus the check-in/out feature makes me feel they are safer in case of any emergencies that might pop up, it will be easy for them to print out who is in the building for head counts. I am always interested in what my child is doing and getting up-to-date notifications during the day brings a smile to my face.

Cons

My child has allergies and although they keep good track of this knowledge I worry that they could miss him because they only have the ability to print out individual allergy reports. I think it would be better if they could have a selection of reports. Like class reports or specific age reports that have allergies or other categories such as asthma, or stomach issues. (Stuff like that). It would also be time/paper saving if my account could be combine listing all my charges for multiple children instead of the report running for each specific child, and allow me to pay in advance since I am a teacher and only get paid once a month.

Our experience with Brightwheel has been the best. Customer service is top notch. Outside of the program they offer trainings, resources, and tips and tricks to name a few.

Pros

I love so many things about brightwheel. I love that I can share anecdotal records and photos with families, I can create a space to share photos with staff, and the ease of use of the app and online website. I am a big fan of Brightwheel and tell everyone about it. During the pandemic Brightwheel stood by us and even offered trainings for our staff at no cost when other similar companies we worked with would not work with us or gave us ultimatums. I will forever promote Brightwheel to others in the field and cannot thank them enough.

Cons

There isn't really anything I don't like about Brightwheel. I notice that when I message staff together and they respond, staff can't see each other's message. I know this is a privacy concern but wonder if you can have a setting for this like "all staff" or individual staff. It's not a deal breaker. Many of the things I use to have issues with, they fixed them.

The sales person was not pushy. We did a comparison and realized we would be saving money because we could eliminate a few other programs we were using to supplement the one we had and the ones we were looking at.

Billing has been a huge help for consistency. The teachers having an avenue that the parents can communicate directly to them is helpful.

Pros

How inclusive it is for billing, parent communication, newsletters, reports, time cards etc.

Cons

The confusion on messaging. I also do not like that when you pull a classroom list up you have to have any and all children who are able to go in that room. When you combine classrooms you have to be able to move children, however, the purpose of a homeroom should be that the easy glance list shows you the students who are in there as their homeroom or that are signed into that classroom at that time.

Brightwheel has been a huge asset for our company. It has allowed the admin team to be in the classroom more and less on the computer doing paperwork. The continual growth of the product and added features has convinced us to use the prodcut year after year.

Pros

Brightwheel is easy to set up and easy to use. Not only does it save time, it offers wonderful tools to expand and grow your childcare business.

Cons

There are too many departments/people to talk to when trying to get support. It would be nice to have one person assigned to our account that could help navigate questions.

### "One of the best we’ve used"

Overall, the app has been a wonderful addition to the way I interact with my child’s daycare provider. Prior to brightwheel, we used two different services. Those did not have as many features as brightwheel and often times were down due to technical issues. Brightwheel is always available is an easy to use application.

Pros

Brightwheel is an easy to use app with all the functions necessary. It allows you to see daily updates on your child to include both video and photos. It allows for a secure place to communicate with your child’s providers and keep informed with things outside of the normal daily updates. Being allowed to also send payments through the app is highly beneficial. Having everything in one app makes things so much easier.

Cons

There isn’t much to dislike about the app. One slightly frustrating feature is the reminder emails regarding autopay. There was a time where I intentionally did not want to use auto pay. The app then would send DAILY notifications prompting me to sign up for autopay which was slightly frustrating.

I love brightwheel and would love under incident if parents were required to sign by saying they saw it and notes.. also a place to enter fire drills and shelter in place. Also I would love kidkare and brightwheel to talk to each other so we dont have to enter meals more than once.

I would like it if you could toggle between children if im looking for a certain dates say in and out record.

Cons

Parents love it and helps alleviate paper work.

I use brightwheel for billing and receiving payments, sending statements, attendance recording and tracking, ratio tracking, daily communicating with parents, sending alerts and important notifications and last but not least, check-in and check-out recording. I'm sure there are details I am not thinking of right now. The best I can say is, I use brightwheel for everything!

Pros

It's very easy to use, very user friendly and has so many helpful features. It really is a one stop shop because of everything it offers. I don't have to use other programs for various reports or tracking and even billing. It has brought peace to office chaos and helps parents with convenience and peace of mind.

Cons

There are always new things that a center looks for to help processes become more efficient or comprehensive. So yes, there are things that can still be integrated in brightwheel, but they are always open to suggestions and feedback. As soon as ideas come up, they put things into play. Keep in mind, all things take time.

It has been a great experience! We will continue to use it. Our staff and parents can use it and we are happy with it over all.

Pros

The auto draft option for the parents, and how they can pull their financial reports anytime they like. I can add a one time charge if they are late or require additional hours of service. The reports are easy and setting up the parent insurance information is a breeze. I also like the chat feature - when I have a question or concern.

Cons

That the parents can not use their HSA credit cards. The staff have said it is fixed, however my parents still have failed payments and can not use the card due to the system saying we are a day care service. If that could be fixed and placed under health services- the parents would be much happier, and I would not have to run their card manually and pay an extra cost for merchant services.

Reason for choosing brightwheel

Parent friendly with more hands on options for parents for billing access along with communication access - our parents are happy when they can ask a questions about their child through out the day vs emailing or calling the office and then having to wait for the office to ask the therapist their question. They can go straight to their child's therapist and ask and get their answers quickly and efficiently.

I just started using it and their are no problems. It is the best software and I would recommend it for other daycares and schools to use for communication purposes.

Pros

Parents, Teachers, and Managers can communicate with each other and see what goes on in the child's classroom throughout the day at an y given time.

Cons

There are no cons. This is the best software that has ever been used and as an assistant teacher, I am glad I can communicate with the parents throughout the day and put in all the necessary information that parents need to know in regards to their child.

Brightwheel has generally been a good experience for me. This technology is often dependable, inexpensive, and a fantastic tool to utilize in a daycare facility. Overall, it has been a wonderful and practical tool that has allowed me to monitor the well-being of my grandson and feel at ease.

I definitely appreciate Brightwheel's features, and ease of use compared to other apps of a similar nature. There are many different functionalities accessible, all of which speed up and improve the efficiency of managing classrooms and communication.

The onboarding for this software was better than any other company I have worked with. They were not going to take my money and leave me alone. They "forced" me to learn how to use it and that is really important. I would have kept pushing it off "until next week" and never done it. I have 2 children that are computer scientists for a top tier company and they are both impressed with it. That says a lot!!

Pros

The customer support has been spectacular. I am a small school and don't pay much but I'm always treated like I could be their biggest client. I get a quick response when I have a question and they are always polite and professional. This has made my job so much easier on a daily basis. The billing would be my second favorite aspect. So much less check handling, deposits, chasing down parents that owe money, etc. The overall professional appearance this software gives my school. Okay, the grandparents don't always love it but everyone else does. :)

Cons

There are a few things that changed with the billing that I don't like as much. I liked going to the overview page and seeing recent transactions without having to click on other links. Also, ALL of my children are billed the first of the month, billing ends May 1, notice goes out 3 days prior to bill being due. There should be a way to "lock" these features and change them only when needed. I have to go on and click these for EVERY child. I would like to see more of what a parent sees. For instance: what does a parent see when a payment is past due? Do they see something daily when they check in? How often are they reminded? It's probably hard to do but I would love to have a feature that had a time stamped late fee for late pick up. Example: children have to be picked up at 12:30. At 12:35 they are billed a certain amount, at 12:45 another amount, etc. I would LOVE to be able to set a "don't check in yet" warning. Example: Check in is at 8:30. If they try to check in at 8:27 something flashes "oops, 3 more minutes. Proceeding will charge you for early drop." I can't always stop them. This is a big problem at my center and probably many of the smaller centers. The ability to print a more detailed breakdown of deposits. Every 2 weeks the treasurer prints out the deposit report and I have to break it down by: tuition, registration, book fees, etc. Every fee is broken down when it is charged. It would be nice if that showed up.

The employees at the company. The same person would call and email me. If another person was going to call me, the first person would tell me that and give me his/her name. It gave me the feeling that this was a personal company that actually cared to help me- they didn't just want my money. Please don't change this as you grow.

Excellent, we love the ease of use, that we aren't having to list what we are doing daily, send home daily sheets of paper, or monthly newsletters. That parents can see it daily via their smart phones.

Pros

Easy to use, lots of features, lots of hands on learning that parents can view daily instead of waiting at the end of their work day.

Cons

That there is no Canadian Provinces frameworks uploaded into the system. That the Waiting list isn't able to be prioritized for children who applied first.

### "Easy to set up and easy to use with many features"

Our overall experience has been great. The software does most of what we need and we are able to do a work around for items that may one day be implemented through customer feedback. Most importantly we have NEVER had a lock out of software or temporarily unavailable for any reason. We have had access to our software 100% of the time. That was not the case for the software we were using previously.

Pros

The onboarding was easy and the specialist was friendly and knowledgeable. Customer service was easy to contact with questions and responses were professional and clear for quick use. Extensive online help is available at your finger tips if needed. Real time attendance and real time communication with parents through the app are exceptional. Pictures are posted with captions along with one touch categories for quick future reference. Timecards are easily generated for payroll purposes while also providing real time ratio numbers with a touch of a button. Private or group messaging is easy and helps with teacher/director/parent logging so everyone involved has access to what is being communicated.

Cons

Brightwheel struggles with after care billing/invoicing that our center could benefit from. The attendance base billing for that needs options with one touch toggles to accommodate different scenarios. The Room Device Mode also needs a toggle for children assigned to that classroom as a "homeroom" in their profile, instead of being able to see all children in the center that are assigned to a room as a secondary room. Tracking room transfers are imperative to align with state mandates but having a clean visual of attendance is also important.

The salesperson for Brightwheel was very knowledgeable about the product and quick to respond to any questions I had while comparing software. She never made me wait for a response and was very helpful in every aspect.

Procare Solutions has a great concept as a one stop package but the system kept locking up and was often unavailable during child check ins and outs creating more work for us to manually log in/out students. The accounting software would also lock up frequently. After MONTHS of working with Procare they were unable to correct the problem and unable to "roll back" the update to prior when the system actually worked. After attending a seminar with other directors and learning they too were experiencing the same frustration, we knew we had to make a change. Note: some of the directors were from other states so it clearly was a software update issue.

Pros

Communication is most important and this app makes so easy for parents to communicate about children's learning, we as a parents have every essential feature in this system like health, lessons, daily activities and so on. It also tremendously helpful in business growth.

I absolutely love Brightwheel. The newer billing system has been hard to learn, but it still is an amazing addition to our center overall.

Pros

The alert system that tells families what is happening in their billing and with their children in real time keeps the center very accountable. It is also easy to catch and correct any mistakes right then.

Cons

I do feel there are a few things that could be integrated to make it even more efficient - like an alert that tells you when someone is clocked in more than 8 hours or 10 hours (or whatever the user sets). Also, being able to alert teachers when a child has not been updated in their class after 2 hours or 3 or whatever the user preference is. I would also like to be able to input staff vacation into the system somewhere. It would be helpful with payroll.

Brightwheel has been a game changer for us. The ability to pick and choose who we bill and the ability to print daily sheets. As well as the kiosk to check in and out.

Pros

I loved that brightwheel was willing to customize for our small center and our unique situation. It was not just a one fits all. They listened to my situation and problem solved how to make it work here.

Cons

The only thing I don't like is the inability to privately message parents without every teacher seeing all the messages.

A great and easy communication tool which needs a bit of expanding of its features

Pros

It is easy to use and facilitates the communication between parents, teachers and staff. Also it has important features as check-in/check out, medical or other notes (like allergies etc), ability for the parents to add authorized pick up persons. Also helps to track activities of the kids fir the concerned parents (like meals/naps etc)

Cons

1\. Transition between menus is a bit confusing, it dies take quite a few clicks to get where you need while the pages look exactly the same (eg when you need to switch from messages to profile). 2. It doesn’t let parents to add pictures while it’s important to get for example test results or any other notes/docs fir teachers to see. 3. It doesn’t let copy/past from previous messages. 4. Doesn’t have “answer to a specific message” option like in the chats. 5. Doesn’t let teachers to post any files except pictures while they need to keep the parents updates with newsletters etc. 6. Doesn’t let upload attendance in one file, when a teacher needs to write a report which covers a definite time period - it takes a lot of scrolling up and down day by day

I've had a great overall experience with brightwheel. It has made my life a lot less stressful with now knowing everything that goes on with my child when she's at school. Although you have to pay every month $15 is still worth the money to me.

Pros

What I like most about brightwheel is it allows me to access information on my smartphone and keep in instant contact with whats going on with my child while she's at school.

Cons

What I don't like about the app is when I post a video it doesn't allow me to have enough time to say everything I want. Overall, I like the app. It is helpful during the day and once you get the hang of it, really easy to navigate and update, although it can be a bit time consuming. When I have emailed customer service they have emailed me back in a polite and timely manner, which is always a plus. This is my third school year using the app, and have yet to hear a negative comment from any of my student's families. All have had rave reviews, shared it with family members, and are constantly thanking me for sharing things with them throughout the day.

Pros

As a teacher, I like the convenience of being able to get in contact with the parents of my students quickly and effectively. I am able to keep track of attendance and absences easily, it also helps with parents who need to monitor their child's eating. As a parent, I like receiving updates about my child, especially pictures. When it is kept up by my child's teacher, it is a great app because I can see what is going on during his day even though I am not with him.

Cons

One of my biggest frustrations is that I have to COMPLETELY log out and log back in when switching from my teacher account and my parent account, at the same school. My son goes to the school that I work at but is in a different class. It would be so much easier if there was a way to toggle back and forth between the two. My other major concern is, though we have the app on our school chromebooks and it's great, I cannot upload pictures from the computer to the app to share them with parents. So, instead of keeping the app on my cellphone logged in to my child's account, I have to log out and then in to my teacher account to be able to share pictures of my students with their families. It is really frustrating. The parents of the children in my class are constantly giving me positive feedback about the app and love getting the pictures and videos, but it is difficult for me since I want to share the pictures with them but I can't do it all from the chromebook unless I try using the poor-quality webcam. It would be much more of a positive experience for me if I was able to use a classroom camera, upload the pictures to a computer, then be able to upload the pictures to the app for the families. I am sure that for someone who has a designated work cellphone or maybe even a tablet with a decent camera, this would not even be an issue, but for someone who has to use a personal cellphone to take and upload pictures to the app, is a bit of a downfall.
