Senior V.P, Oil & Energy Used the software for: 2+ years ### "Simplify your OHS Management System" May 17, 2022 5.0 3 years ago our company set up and began to implement a Safety Management System (OHMS) so that we could achieve COR certification with WorkSafe BC. Early on in the process, we realized that we would need a way to provide two-way communication with our workers (most of whom work remotely from our office locations) and also to record safety-related information relevant to our OHMS. Rather than try to create such a system we looked at several online, cloud-based options that could do the job for us with little or no set-up time and effort involved. Site Docs fit the bill perfectly. The templates that were immediately available to us for such things as incident reporting and investigation, site inspections, equipment inspections, risk assessments and toolbox talks enabled us to get up and running with our system quickly, efficiently and in a way that was easy for our field staff to understand and adopt into their daily work patterns. The system worked so well for us that we achieved our goal of COR certification in record time thanks, in no small part, to the ease with which our auditors were able to see our records. There is no doubt that the adoption of Site Docs into our OHMS has made us a more proactive company with respect to Safety and has helped encourage a much better safety culture among our employees. The numbers don't lie. Our rates of incidents and near misses have dramatically decreased resulting in a safer work environment and lower WCB premiums. What sets apart is its ease of use and customer support. The interface is intuitive enough that our shop teams can adopt it quickly with minimal training, while our HSE team still gets the flexibility and reporting they need. On top of that, the support team is responsive, knowledgeable, and genuinely invested in helping you succeed—whether that’s onboarding, configuration, or ongoing improvement (there are lots of new exciting features on the way). Pros delivers outstanding value for money and has become an essential part of our safety and compliance toolkit. The platform offers a robust set of features—inspections, hazard assessments, corrective actions, document management, and analytics—all in one place, which reduces the need for multiple systems and saves both time and cost. For the depth of functionality provided, and the flexibility of the platform, the pricing feels very fair and easy to justify. Cons has had a few minor bugs that have limited usability in certain cases, and you are sometimes stuck with "out of the box" performance, but it's hard to be mad at the price point of the platform. And the webinars are ok.. they seem to be just the tip of the iceberg and because they only are 45min, a lot of questions are not answered and those ones are usually sent another article. The team is great. As mentioned above, I have used them less often as I have already customized some forms that seem to be ahead of even today's demo. Honestly, I used the CS more last year that this year as I have already customized my forms. Cons The fact that it is only in the last little while that forms and reporting has been tailored towards COR and ISO requirements. Even with today's presentation, I feel I have a much more functional Hazard assesment form - built in , that can flag Corrective Actions, but allows for selection from a list of hazards and then corrective actions, combined with a before and after risk rating system so that it is COR/ISO compliant. With the addition of Workflow Studio to automate processes, SiteDocs has been a very solid system for us. Furthermore, their support team has always responded promptly to my questions, and they have a very knowledgeable team to onboard you and assist you with achieving complex requests. SiteDocs is a reasonable price for a great product that is always getting better. Pros is very easy to learn and use. We received many reports from our field employees that SiteDocs has saved them time. It also allows our Project Managers to keep their "finger on the pulse" with customizable reporting through the SiteDocs Monitor. Cons The number one critical comment I received from our employees is that the forms are not customizable, and so questions that are not always necessary have to be included in the forms. From jobsite hazard assessments, trucking safety inspection logs, machinery and tool inspections and accident investigations. The ability I have to pull up daily reports done by our field workers and share instantaneously to the general contractor safety team puts us at a great advantage. Vice President Maritime Used the software for: 2+ years ### "Essential OHS Management System tool" November 7, 2023 5.0 Since adopting into our daily working routine we have developed an OHS Management System that has been certified as COR-compliant and, most importantly, has improved our overall Health and Safety Stats tremendously. I am convinced that our attention to hazard identification and risk assessment has improved greatly and, as a result, our employees are far more safety conscious when performing their duties. Pros We are a relatively small business in terms of both the number of employees and the range of skill sets when it comes to running and managing management systems. When we decided to apply for COR certification we knew we would need help in running and managing the system that is required. In we found a solution that does most of the grunt work for us and lets our employees get on with their work while providing them with all the OHMS tools that they need to help them be safe and the company needs to help provide evidence of compliance. Cons The reporting system for recording issues and the need for any corrective/preventive action is very good but the manner in which employees are assigned to deal with those actions could be better if it included an alert that went directly to their mobile phone. Reason for choosing SiteDocs It was easier to use and customize for the way we work. The support provided when we were setting the system up was outstanding and has been first-rate ever since. Certain daily safety-related paperwork is sometimes hours away from where our head office is located; without Sitedocs, paperwork is lost, damaged by the elements or hard to prove it was completed when it is required to be. Pros ' best feature has to be the in-real-time tracking of safety documentation. It is easy to see when required documentation is missing so you can follow up with the workers in the field and ensure that it is completed. Cons should automatically install the newest version of the program on all user's phones, instead of relying on the users to update. With great success, Rango has went from a company that just Cowboys it up, to a Company that has processes that are to be taken for every task, every incident, and every piece of equipment that is used every day. We recommend it to every one that we work with. Pros Does what WE need it to do, not just pre-designed documents. They walked me through the setup and implementation process. They also patiently helped me with any issues I was having and have been receptive to features that I feel would be beneficial to users. The response time has been almost immediate on all support requests. Pros The app is really user friendly so it we were quickly able to gain adoption by our crew in the field. The software is highly customizable, easy to create your own forms, and upload resources. We now have our entire safety program by chapter as a reference document, SDS sheets, safety meeting topics, safety forms, training records, and other reference documents all easily available to our users on their mobile devices. Several of our sites are remote so a huge advantage is that the forms and safety meetings can still be completed without an internet connection and then uploaded when they have a signal so it eliminates excuses for safety items not being completed on all sites. Cons I do have a couple of minor issues with the software that could be improved. The dashboard has an emergency locations nearby option that uses Google to find the nearest emergency location by category that I wish I could either turn off or customize the location. Often the locations shown are for an animal hospital or a provider that is not part of our worker's compensation medical provider network so it can cause some confusion. I also wish that resources could be tied to a location to be able to cut down on data that is downloaded for all users, but only needed by a few users. It also would be great if the software allowed you to have a notification send to users to remind them of a specific item that needs to be completed like a specific safety meeting topic that needs to be completed or a new document that has been added to resources. Reason for choosing SiteDocs We were converting from a paper based system to a cloud based system. Construction lags in adoption of new technology use compared to most other industries so needed a software that had a low barrier to entry in ease of setup, ability to customize for our specific needs, quick implementation, and relative low cost. Being able to monitor each project daily for toolbox talks, site daily audits and new employee orientation is great, the team couldn't do that without Site Docs. December 2, 2020 4.0 We use in a number of ways: equipment inspections, hazard assessments, COVID-19 self-assessments, etc. We also have employees submit time-sheets daily. This has made it much easier on the office to track all work done. We have eliminated lost time previously caused by lost or misplaced paperwork. Using SiteDocs has also made it much easier to ensure we are satisfying all legislative requirements, customer requirements, and COR-related requirements. Pros Using has dramatically increased our employee paperwork completion/submission. We used to struggle for compliance, and now the only tool employees need is in their pocket. Not only has the amount of inspections, hazard assessments, etc. increased, but the quality of these documents has also shown a rise. Many employees find it easier to talk to their phone than to find a pen, and write it down. Getting all the paperwork submitted daily, instead of every two weeks, makes it easier to double-check and catch any concerns, issues, and inconsistencies. This is also assisted by the time-stamp and GPS-stamp features. Cons Our biggest struggle with is training new employees on its use. Younger and more phone-savvy employees pick it up in minutes, but not all of our employees fit into this category. Despite the additional time and effort required, all of our employees have eventually managed to learn and use the system effectively. Now that everyone is using the system, we will never make the move back to paper. Reason for choosing SiteDocs SafetyTek was difficult to get in touch with. When we first reached out they made big promises about what their product could do, and then backed off on those promises. They then continued to be difficult to contact. was able to make sure they were available when we had original questions, and they have remained exactly that way ever since. Pros This program is truly a time saver! It's simple to use, and saves the hassle of employees filling out paper forms (and getting lost before the papers find their way into the office!) All forms, inspections, and incidents can be recorded electronically to give all staff access at all times, and admin can set privacy for confidential forms. So user friendly and intuitive for staff as safety compliance becomes as simple as using an app on a smartphone! Cons As the administrator, I'd like to be able to copy / duplicate forms when creating new forms. Pros It is customizable and very easy to use, both administratively and in the field. Cons Some of the reporting features are limited. It would be nice to be able to customize the CSV data and create custom reports. Reason for choosing SiteDocs by far had the most versatility and customization potential. All the others were very ridged in structure and would not be easy to change after implementation. With SiteDocs, it is easy to make changes to forms, upload resources and add new workers without fuss. SiteDocs was also less expensive than some of the others. Form options are good. Makes managing safety much easier. Cons Not much to dislike. There are a couple more features in the forms that would be nice. Looking forward to more Contractor Management features.
