I thought for sure Phocas would break the system by bringing the financial reporting for different countries together. The P&L structures are automatically set up with phocas, therefore, I have less manual work. I suppose it saves time and I don’t have to think about as much. Pros I've never been surprised by how well Phocas doesn't crash when I input the data. I could rearrange the models. It's able to bring all the various ERP metrics into one location therefore I do not have to review 12 different screen locations. Flexibility is okay I suppose. Cons Reports are difficult to create since Phocas does not include normal drag & drop functions that are common in almost all programs. If too many images or categories are included the entire report will freeze and you'll lose your filters if you reload the page. It took me way to long to figure out. March 1, 2026 5.0 All in all, it is a good option for data lovers. It’s powerful but easy to use for someone new to it. This makes my research life a lot more organized and professional. Pros Phocas is what I use to dig into data because I can “drill down.” If I see a big number and I want to know where that came from, I just click it. It starts with the small details right away. It really helps me to point out mistakes in my research data very quick. It is quite friendly and not scary interface. Cons Its mobile version does not work as well as the desktop one. Pros Great software, really user friendly, and cuts the complexity out of data analysis. Cons The customer service and after sales support is very poor, to the point of considering moving away. I've had a ticket open for months now and can't seem to just have a call with them to discuss the issue, very disappointing. I brought this into my current company as used in a previous role and helps with everything from sales and marketing to budgets and costings. Being a one stop shop for all your data. Cons Could be slightly better from a customer perspective, having option to share data, dashboards etc with customers is great as a view option however being able to extract tables to excel from a view version would make it easier for customers as currently have to also set up emailed subscriptions for tables and data so feels like you are doing double work when it would be so easy to have an option for customers to extract to excel any of the tables created in view only. I hope this is something that could be implemented in the future. Again, I like how user friendly it is, but I think it just needs to have the function to import data so you can get values faster. Pros I like that is very user friendly, and that is not hard to figure out. Cons I don't like that you can't import data into it so that you can return values that reflect the imported data. For example, instead of clicking on each SKU you want to look at, I think it would be beneficial to import a large dataset that involves SKUs so that you can see their data much faster. Cons At first it takes some use to familiarize with all of the options and choices, almost too many options, but once you get the hang of it, and save custom options it's great. February 16, 2023 5.0 It's really quick to get the information we need. When we implemented it we presumed the sales team would spend hours on it. They don't. They get the information they need within seconds and can quickly move on to do their actual jobs. It's an extremely powerful tool.Some functions in the business don't use it very much but that's because we didn't collect data before because we couldn't analyse it. Now that we can analyse it we need to collect a bank of data so we can see what we want to do with it. Chicken and egg. Pros The screens are easy to navigate and there aren't lots of clicks to get the information you need.I particularly like how easy it is to create Dashboards and delve deeper into dashboard data.The supporting team are excellent too. After a bumpy handover to BAU Phocas have completely turned it around. Their team are engaging, helpful and knowledgeable. I also know that, if I can explain the data composite I'm looking for, the team will find a way of getting it. Cons It isn't so easy for less skilled team members to use- those who don't understand databases, don't have very good computer skills or only use it occasionally.I'd like it to be easier to import simple data such as a spreadsheet. She's readily available and knows exactly what she is doing. Their support staff is also very accommodating and knowledgeable. We've dealt with other software companies and they take their time and treat you like they don't need your business and over charge for routine services. Phocas is a true partner. A couple projects that were able to be successful with the use of Phocas is: Customer Stratification, Gap Analysis, Daily Inventory Analysis (Which was huge for this last year) and our Dead Stock process. Pros The ease of use. As an admin of Phocas, it was very easy to get our staff onboarded and very comfortable with day to day usage. If the staff isn't going to use the tool, then it's worthless no matter how great the data is. Cons Phocas is great at listening to our issues and roll out timely updates to add new features or fix issues. Reason for choosing Phocas They aligned with our culture of taking care of customers first. They aren't this big corporation that is out there to sell you a package and then walk away and let you figure out how to use it. August 17, 2021 5.0 There isn't enough space to go through the numerous benefits I have gained since purchasing this software. I have reorganized sales territories based on overly concentrated vertical sales. Our team now has a place to review and track sales vs goals daily. I have a consolidated and by location view of my clients in an easy to find manner along with a customer stratification system to help manage margins, AR terms compliance, etc to educate the sales team on what we need to be doing differently with said accounts (spend more time, spend less, cross sell specific items....) . Like I say, I could spend all day on the benefits. Pros I have been exposed to 10 or more different operating systems over the course of my 26 year business career. NONE of them have provided adequate business intelligence tools. Phocas is highly intuitive and thorough which saves me hours per week of spreadsheet work. I cannot offer a better compliment than it being an amazing time management tool. Cons There are a few issues I have with loading budgets and working through Administrative User rights but that is an infrequent issue. I would like to have a few additional graphical options for data visualization but it works just fine as it is. What I like the absolute least is that we didn't add additional modules...accounting, pricing tools... and have no plans to do so in the near future due to budgetary contraints. October 10, 2019 5.0 Overall we are very happy with this product. It has opened the door for getting information to our teams much faster and it also created a new full time position for data analysis! The flexibility of being able to create our own databases, & adding to existing databases has increased our ability to share information to our teams in a easy to view format instead of sending spreadsheets that some people did not look at. Pros It is very easy to use! I can show someone the basics in 5 to 10 minutes and they are off and running creating favorites and dashboards. The software is updated every month and their support and documentation is outstanding. The product gives us the information we need faster than doing it in our ERP system. With a couple of clicks you can analyze you sales data and then quickly change views to look at the data in a completely different way. It very robust in all the options you have. The company is developing based on their customer needs, you can tell that they all want to help us achieve success with this product. Cons This is hard to say because their are few cons. We have requested enhancements and we have some support issues that are submitted. But we have no visibility , (web portal), to review what we already submitted. October 17, 2019 5.0 We started with Phocas in 2009 with just the standard sales database for one region of our business but have now progressed to multiple sales databases for other business units with fully integrated rebates module as well as finance and procurement style database now, with plans to roll it out further in other parts of the business. Pros The ease of use of Phocas is what puts it at the top of our list for BI software. The set up of the data was quick and easy (with great support from the Phocas guys) and ability to drill down from top line data right into the detail of a transaction is what makes Phocas a great tool for us. Phocas is widely used across our business to track and analyse sales data, finance data and purchasing data with future plans to add more modules. The PUG Forum is also a good feature for me, if there is something that you don't know how to do then you'll find the info there or someone can point you in the right direction. It's also a great place to suggest the feature that you'd like to see and Phocas review and add on to their product road map, so you know they are listening to your ideas. Cons I'd say the visualizations and widgets on the dashboards could do with abit of updating. The charts aren't always a flexible as you'd like with axes labels and adjusting the axes to suit the chart, plus you have to be quite specific with the data in the first place to get the chart you want. Reason for choosing Phocas Since we've been using Phocas we've been assessing the use of Tableau and Microsoft Power BI however, these would replace Phocas for us, these would be secondary tools most likely used in our business for their visualization functions. Cons There is not a con to the software, the con comes with my time being able to dig in and leverage all of the cool factors.
