I inherited the task of running it for my company, and it has been a work in progress for us. With that being said, it has been a huge help in the increase of efficiency for the whole company. Pros Reftab has given me the ability to keep my large inventory in order. With the large inventory we have a lot of moving pieces and the automated alerts to our employees have been very helpful. Cons The only thing that has not been great is the audit system. I was not able to do an inventory audit on through reftab because it seems to only work if you are scanning the inventory. We do not use a scanning system, so I just did it by hand. If there is a way to work around this, I would love to know. The equipment signing feature is especially useful, and support is consistently responsive. While integration with Intune is helpful, data input still feels manual and some fields like RAM and processor don’t map correctly. It also lacks visibility into installed software. Pros The signing feature for equipment issuance is our favorite. It’s simple, efficient, and keeps everything accountable. The support team is very helpful whenever issues arise. Reftab offers great value for the price, delivering strong functionality without breaking the budget. Cons The platform still feels quite manual when it comes to data input. Integration with Intune is helpful, but not all fields map correctly. Details like RAM and processor often don’t come through. It also doesn’t pull software installed on our computers, which limits visibility into our full asset profile. Regarding the Intune integration, the missing RAM and Processor data stem from limitations in Microsoft’s Graph API. Intune’s Physical Memory property currently returns 0, and processor details aren’t exposed at all. Because of this, we’ve removed those fields until Microsoft updates their API. We are actively exploring ways to use other Graph API endpoints to enhance data collection, (though this is a resource-intensive process) . But, your feedback reinforces that this is an area worth continued investment. Regarding pulling in installed software on computers, Reftab has the ability to do this with Intune. It's what I needed for IAM.I have implemented it for three different companies and have found it to fit those business needs each time. Departments can have the data they request in an easy report. I can automate audits and verifications. I can customize the end user notifications. It fits the bill. Pros Reftab gives me the granularity that I want, but the ease of auditing with automations. You can customize it to almost exactly what you need. Their support is awesome to work with and easy to contact. The product itself is visually appealing and simple to navigate for admins. The integrations alone have been a game changer for us. Cons A lot of the cons are feature requests that I've put in. Generally its the lack of something existing that is a con to me. Inventory Management Assset Mannagement Tracks not only who has assets, but the assets availability (i.e., needing repair or functional) also cost, age, maintenance and repair cost. October 1, 2025 5.0 Overall it has allowed us to keep easy track of our computers, supply stocks, and made it easier to offboard people and make sure we get all of their equipment/ devices back. So in the long run probably saves us a lot of money which is huge for a non-profit like us. Pros I love the ease of use, customizability, and different use cases. Reftab allows us to keep close track of anything from high dollar assests, computers, monitors, and accessories, all the way down to product licenses and general supplies. Cons When I connected our NinjaRMM it added a bunch of duplicate devices, most likely "user error". I think it should cross reference serial numbers, where a lot of our Dell's use the service tag which is most of the devices we have. Lifecycle managed is also a big benefit with reports off when a device have reached it's end of warranty. Support also have been quick to help out. Cons The UI at some ponts can be messy, and it's not always easy to know where you can click in a menu of many items, such as showing more info about an item you need to click very specific, instead of the whole item. It does exactly what I need it to do: keeps track of stuff without becoming another thing that needs managing. It’s clean, fast, and lets me know who’s got what, when it’s due back, and what condition it’s in - Reftab feels built for people who actually do things, not just manage them. Cons What bugs me about Reftab is that it still feels a bit rigid. It’s great for tracking assets, but the workflow side can get clunky. Pros We are a cleaning company, we use Reftab to track our vacuums, mop poles, caddies, etc. Lots of low cost items, but hard to keep track of. Easy to leave at jobsites. This has been huge in keeping our assets. WE have seen a savings from not having to rebuy lost items. The software is comprehensive enough we also use it to provide asset lists for taxes as well. The software can track your item locations, you can add picture of the items, the cost and date of purchase as well as track how long you had it till it was disposed off. The reports let you know who and how many times the item has been checked out. Cons The two issues we had with the software was the inability to change asset numbers and the printing of tags was complicated system. Both of these have been upgraded making the software even easier to use. Reason for choosing Reftab We looked at many asset management systems, including having one custom built for us. Reftab was a gem of a find. The price point was very doable, especially for us we have very low cost items we are tracking, we just have a lot of them. It was simple to use, straightforward layout. It was simple to understand and onboard our team. I highly recommend the trial option for anyone who wants to try out this option. It's very intuitive. Pros We started using RefTab to help support the development of our humanitarian trips and found it to be a critical key to increasing our capacity. The ease of onboarding was a #1 priority and I was able to search for everything I needed to set up. The import functions were also very, very easy to use and helped tremendously. Cons I don't have any cons at the moment. We did not pay for the highest level so maintenance options are slim. I would like more of that. Reason for choosing Reftab Ease of onboarding was a huge priority as we are in the middle of our travel season. I needed a software that could handle current loans as well as reservations.
