To my mind there is no better job costing app on the market today for subcontractors and tradesmen in commercial construction. Pros The 2-way sync with QuickBooks; the ability to create AIA style billings directly out of the program (no duplicate entering); the integrations with great apps like ClockShark and Tsheets; the great dashboard on which you can monitor the profitability of each current job; the ease with which you can budget and bid from within the software; the wealth of available reports; and so much more. Cons Some improvements could be made to the service ticket side of the program to make it more comprehensive; if a PO is fulfilled in QuickBooks there is no way to match it in Knowify, so it has to be closed out manually on the Knowify side. Love how RFIs, submittals, and change orders all tie back into budgets. The QuickBooks sync is clean compared to other platforms we’ve tried. Cons Knowify has helped us run tighter jobs, cut down on back-and-forth, and keep clients updated. It’s become our main hub for estimates, project tracking, and financials. Overall, it's alright as a support tool but I feel it still has a long way to go. Knowify Support basically refers to the user manual for any questions - may as well start there before contacting them. Pros Allows me to have a front-end to Quickbooks and provides for a little better job tracking. We previously tracked jobs manually. Knowify also has some helpful reports. Cons When you first start using Knowify, it is not user friendly. There are many "quirks" in the system. We have submitted requested all through 2018 for some of these to be addressed. Our company cannot be the only user experiencing some of these issues. Using Knowify has helped but is still lacking for my purposes. Examples: adding another default phase for Subcontractors - the entry of this data now is awful. Support has not be terrific. Job numbering - if jobs are initiated in Knowify or Quickbookos, if the are communicating properly, the LAST number issued should automatically populate. This does not happen, even though Support says to mark it in preferences - it is flagged. Review Source SB Susan B. Love that it syncs well with quick books online. Cons Would like Knowify to have more options when entering change orders. That's very important Pros The customer service is amazing as someone who has never dealt with Knowify. Also I like that you can really see how your project is doing. Cons Im not too fond of the billing aspect of it. Like the fact that you cannot switch to AIA once it is fixed if there is an open change order. Pros I like that Knowify syncs with Quickbooks and allows us greater project management abilities, like tracking hours, project phase, AIA style billing and so much more. There is a slight learning curve when setting up projects and linking things in the background. I believe it is a great value for the money. Cons I would like to be able to pick up the phone and make a call occasionally and not have to communicate via email. Although the team has been great about getting a speedy reply. The ask a question through the support tab has been very helpful Pros I love the fact that Knowify is cloud based, It has given our office more avenues to perform our daily duties. Cons What I have found most unfavorable is how when working with the Forman time reporting you have to be very careful of the date. I have not found out where if after time has been added in and the date was not changed at the beginning you have to restart the whole day or go into the review time tab and correct each entry. Training has been great, loving all the deep dive training that is available. There are a few nuances with the system, but overall, it has been fairly easy to learn to use for both the office staff and field personnel. Billing is straight forward and clear. I like having the ability to manage my own users. Pros As a small GC with limited management staff, Knowify is comprehensive enough to cover most things but not too big that the system becomes cumbersome to manage. AIA billing is primary reason we selected this product for our business. The ability to sync financial transactions with Quickbooks is also a key feature we could not do without. Cons The submittal process is not ideal, the flow is difficult to manage and it is lacking some functionality that would be nice to help manage the submittal process. Project Management/Scheduling is adequate, but definitely has some room for improvement. And for subcontracts, I don't like that a single subcontract cannot include multiple phases of a project. Office Administration Construction Used the software for: 1-2 years ### "Knowify Provides Ease of Doing Business" September 23, 2025 4.0 Knowify was a totally new way of doing business for us, so there was a learning curve for sure, but it really has made things simpler for us. It's easy to collaborate with our customers using this platform. Pros It makes our job costing and management much easier. We used to use paper as backup for our transactions, now mostly everything is electronic, and with the numbering system it's easy to find what you're looking for fast. Invoicing and payments are easy to track. The platform seems secure as well. So far the value for our money has been worth it. Pros Makes tracking jobs, prospects and labor costs easy. I also like how easy it make invoicing. Before using Knowify we didn't really have a true understanding of our labor costs. Even the ones who were difficult to achieve buy-in from now see not only the necessity, but the value in having such a tool at their disposal. Knowify makes the task of managing our projects better. Pros Being able to track jobs, their profitability, our productivity/efficiency , job costing, expense management is a game-changer. The reporting and data we get from Knowify allows us to investigate areas where we need to improve, and then implement processes to achieve our goals.If we had to choose one thing that Knowify does it is Change Order Management. We are able to capture revenue from change orders more frequently, and for more completely than before Knowify. This alone is ROI making it worth every penny of our investment. We recommend Knowify to other subcontractors, and GCs regularly. Since we know what it has done for us, we share the benefits with others. The more organized our customers and other subs are, the better the entire industry becomes!We can't sing the praises of Knowify without mentioning their customer service. They provide the absolute BEST support of any platform we have ever used. Bar none! Their training is stellar, and their ongoing improvement of their product is impressive. They have now begun monthly focused training which I personally will not miss, and encourage my team to attend as part of their own development. Cons One of the pain points with Knowify is the generalities of its permission structure. We are actually working with their developers to create a more granular approach to this issue. Even though this is a "con," the fact that they truly listen and embrace our concerns, and then propose actual solutions is something we value greatly in our relationship with the Knowify team!On a lighter note, some of our folks just didn't like the name "Knowify." So, we took the orange "O" with the dashes on top and decided it was a head with a spiked hairdo. As such, we affectionately nicknamed Knowify. We call him "Spike"! Review Source MM Matt M. " May 15, 2018 4.0 Job costing & tracking, easy AIA style billing / invoicing. Pros The biggest pro of this is the step-by-step process from bidding to proposal to billing. We are easily able to track and manage each step of the process, produce AIA style invoices efficiently and track all payments in one application. And a huge shout-out to customer support - anytime I have an issue, they respond and are able to help us out within an hour or two (even outside of business hours). Cons Every once in a while there will be a glitch, sending payments over to quickbooks an extra time (but this also could be our synching with banking...). Either way, it's an easy fix as long as you are also managing your books correctly. We like being able to use AIA billing through Knowify. Finding one place to apply all job costs to a project is great! Pros We all like how we have been able to provide ideas/needs to Knowify and see them integrate many of those into their updates and new options. Cons There are still some functions that area holding us back in what we are able to do with Knowify, specifically billing. We have been told that they are working on those options, but the sooner those are added the better workflow we will have using their system. Pros It rolls almost everything into one system. I can easily keep track of my jobs, the progress of each one, and cost them to stay on budget. Knowify gives our business the power to stay paperless with e-sign contracts and proposals. Our customers absolutely love the ease of clicking a few buttons to accept a proposal and make payments. Before Knowify, my desk was a paper covered nightmare - now I am able to just keep it all right there in one place. Cons Some features are lacking. Sometimes we need to be able to provide a range price on an estimate, and Knowify does not have this feature. Wish it made a HARD Job Number, sequential, noneditable. Pros Customer Sales Tool, and contract managment. Cons Amount of effort to have Tsheets apply to the Job to start. The way a contract is decided, Your Phases, might not be how I want to track costs and time. I don't trust the numbers. I want all hours and materials accounted for to the job as a whole. I don't want to spend hours deciding what phase each expense or hour spent goes to.
