In terms of the ability to customize permissions, we offer a role based system between what users have access to within the project (data room) and the information within meaning the documents. The permission combinations we have made are the industry settings we see most commonly used based on the roles you want to give host users vs guest users. The product is intuitive and every user we have invited into the data room finds it simple to use. I also have a package that offers an unlimited amount of data rooms for my annual subscription. This is flexible and very helpful, when we have several deals on the go at once. Cons No cons really. There's nothing to complain about. Reason for choosing Firmex Virtual Data Room The ability to open as many data rooms as we need to (keeping content within usage limits of course). " April 20, 2023 5.0 Firmex is a very useful for the M&A arena we are in, having trained several colleagues over the years they tend to pick this up quite quickly. Firmex has several tools to assist in the due diligence phase of a project (reporting, bulk download etc). Pros Ease of use, the reporting features that allow you to monitor progress and those that have accessed the data-room. Confidentiality is paramount in our sector and being able to restrict companies and individuals on the data they can see is very useful. Cons The only area that I think needs improving on (and I'm not sure how this can be done), when inviting people into data-rooms, on quite a few occasions the invite will end up in junk folders and not picked up. Reason for choosing Firmex Virtual Data Room We had a couple of demo's with alternative data-room providers, they were too over engineered compared to Firmex and thinking of others that would need to be trained up on these, both internally and externally, the risk was too great of someone making a mistake and provide the wrong permissions and also too many tick boxes , which could result breach of confidentiality. Since security and confidentiality is important it is the main reason why we created the View As feature to see what your guest users can/can't see based on their permission settings. In terms of user invites going to spam/junk, it's an issue within the VDR industry based on how the invitations are sent and individuals spam filter settings being high. If there are, it’s usually on my end fixing access settings. Pros The security features that administrators are able to apply are also quite useful to maintain confidentiality.Management and user interface is clean and logical. It is easy for newer users to get used to which is useful for us as we are often working with many different clients.The reporting feature is also quite useful in managing users and documents. Cons Frequent login prompt is a downside. Having the ability to set the duration before being automatically logged out would be helpful. It allows me to set up permission structures and then just worry about getting the right data in the proper folder. I also like how intuitive the software is - it allows me to onboard clients quickly. Cons I wish they would allow sessions to last longer - I'm in Firmex all day and find that I have to log in many times.
