Pros

Having working with various paid and free electronic health record services at various institutions, I came across Kareo while researching for my presentation on mobile technology, cloud computing, and medicine at a national medical conference. The features, intuitive interface, ease of use, and HTML5 programming, which allows cross-platform interface and real-time update speed was remarkable. I've seen institutions spend millions of dollars on electronic health record/ambulatory medical record systems for the physicians' offices. However, the amount of time it takes to get the staff trained, the monthly subscription fees, the lag time for the providers due to complexity of the systems, constant system crashes, and the need to do extensive programming for these paid systems make me wonder why nobody has come up with a free EHR/AMR system that has all the features needed for physicians and mid-level providers without all the hassles. Most EHR/AMR systems are user-friendly for the billers and clerical staff, but not intuitive or user-friendly for the clinic staff and providers. This is not the case with Kareo. Kareo is extremely easy to navigate for any physicians, midlevel providers, and clinic staff. They can get the system running with little or no training because the interface is extremely intuitive and simple with built-in and customizable templates that allow you and your staff to complete intake, history, physical, and charting in minutes. The system has all the features that meet Stage I and II CMS meaningful use and allow your practice to obtain the EHR bonus with ease. Most of all, it is built for both mobile and desktop platforms. My staff and I can access Kareo EHR system with our mobile phone, PDAs, iPads, and Google-based pads with ease. The integrated billing features and electronic prescription features, along with integration with various laboratory and diagnostic test centers make Kareo a complete EHR solution for small to mid-size practices. It is not easy to impress me, having built the entire IT infrastructure myself for my own practice and for several medical practices around the country. Kareo's cloud-based EHR system makes it easy for migration, conversion, and implementation, without having to upgrade to expensive server systems. Any office with a desktop and mobile device can get the system up and running within hours, not days or weeks or months. I am impressed and amazed with all the features within Kareo. I would recommend any office looking to migrate, to convert their existing costly EHR, or to migrate from paper charts to EHR should consider Kareo.

### "Things I would like to see"

Overall I think this is a very good platform and very easy to understand.

Pros

Karen is a very easy platform to maneuver. I like how you can find you client data with one or two clicks.

Cons

I would like to see patients that are made inactive be placed in an archive. By looking at names that are no longer a client make it takes longer for me to maneuver through the platform. Also the charge for telemedicine sessions is ridiculous. I have to pay $7.00 per session. Telemedicine is about 80% of my business so I never can budget for Karen it is always a surprise at the end of the month. Also if you put something on a Company Karen account you should have the capability of talking it off. Whenever I log on to my account I have to look at a Doctor who is no longer with my company but for some reason you all cannot take it off. Your company will lock us out of the system without notification, yet our bill never adjust and we have to stop out business. I cannot perform any telemedicine sessions. If we can get a notice so we can inform our patients that would be great especially when we are talking about mental health patient with anger management and PTSD issues. When you turn off notification for a client no one should make contact with them. The telemedicine side say they have to send out three notifications however they sometimes goes out in crazy hours. So when a company turns off notification we should know best.

It was a easier for my providers to understand. However I will continue to look for other options as long as you charge me $7.00 dollars per sessions, I will always be on the look out for another platform.

I wish I could say something that is being solved with Kareo, but at best it's a functional bare bones EMR, where you can document notes and bill. If you need much more than that, chose another EMR.

Pros

Documenting the H&P and progress note is pretty straightforward and easy. The superbill completion is also easy and seems to function well.

Cons

Where to start... first, it seems that Kareo expects that you and your practice should conform to their clunky set up. after the initial sales call (their sales guy is great), you're expected to schedule weekly phone visits with Kareo's on boarding coordinator. She made a point to say how busy she is and need to schedule far in advance so that she can fit you into her schedule. Really? The coordinator can't actually do anything for you but tells you how to work through the system and what training to do next. I stopped doing these calls after it was clear anything I needed help with, she was not actually able to do anything, so I had to contact the ones who could actually help me. The training is like 100 hours. Any program that needs 100 hours/ 1000 sections of training, is not user friendly. There are many many other issues (ICD10 coding while trying to order labs which have to be completely reentered in addition to the chart, my systems biller getting locked out of the system repeatedly due to issues with the web platform interfacing with the desktop program, significant issues of setting up e-scribe -hours on the phone), but probably the worst is that the patient portal is essentially non existent. I won't go into the details but if you want a functional patient portal, chose a different EMR.

I find that the cost can be prohibitive, for new therapists that we are bringing on. They don't have caseloads to offset the cost of this program at first.

Pros

I appreciate how this program is able to be personalized. It has been adapted as our needs have changed. The various staff members have different preferences on needs. It has been customizable for each person.

Cons

I have issues with not having more current terminology regarding mental health, in the dropdown boxes. I have had to add customized phrases and terms that I currently use. This has been easy, but time consuming.

Cons

You can do better on the referral system. It needs to be improved stream line and intergrated. Also there are dx that I can't find and I have to google ICD10 because it doesn't come up.

Using Kareo has been a overall great experience. It does almost everything we want it to do well, and the few things it needs to improve it at least allows you to do partially.

Pros

I love the layout of Kareo. The dashboard is great and offers a lot of functionality while still looking clean and professional. The clinical portion is great as it shows all the sections of the note on one page. The ability to add and remove sections is also very useful. The interaction checker is nice, but needs improvement. The iPad app is really slick and I preferring using it when adjusting my patients (Chiropractor), as it allows me to quickly tap on each segment I'm adjusting from a list.

Cons

There is very little support for natural products/supplements in Kareo. You CAN make it work, but it's definitely not easy - requiring manually entering every single product you wish to recommend in the "Drug Favorites" section.

Overall Kareo has been a good learning experience for me to determine what I expect and need from an EHR system. I have been looking into others systems and expect to be with another company within a year. For a small clinic, this may work well for a provider. For a Group Practice that is expanding, it is lacking the support for the amount of issues they are working to fix.

Pros

Price. As a new practice, price was very influential in the decision to go with Kareo. Our Success Coach was very helpful at first. Kareo appeared to have a high turnover initially which made it difficult during the first several months. However the Success Coaches were the highlight of Kareo's customer support.

Cons

The fact of the matter is their customer support lacks the manpower to answer calls in a timely manner to be helpful. I have had staff/myself on hold for over 30 min waiting to get through to customer support on several occasions. Just in the last couple weeks I opened a case file. Kareo says they will have someone call you within a certain time-frame. A week later I had my staff call to only find out that the case was closed out without anyone calling us and the problem still persisted. We have issues with provider super billing that rearranges diagnosis codes from the provider view to the billing view. Provider lists diagnosis in a certain order and when billing receives it it is in a different order.

### "KAREO bankrupt my business"

You cannot prescribe controlled substances. The EHR has not been updated in at least five years. The technology is very old. They only integrate with two major labs. You cannot get anything to integrate with KAREO. The customer service is nonexistent. You might as well not even try

Pros

Anything good about this software is overshadowed by the company's policies. The company does not care whether you make money or not. They only care that they get their cut. Do not go with this electronica medical record.

Cons

KAREO Bankrupt me on one occasion and I almost let them do it a second time. Do not use KAREO. You are putting your business at severe risk of bankruptcy. Absolutely do not let KAREO do your credentialing. It took them 16 months to credential me and I lost $40,000. They did nothing to help.

### "Communication SUCKS"

It is easy to access patients and to schedule them. It looks pretty

The communication, or lack of it I should say. We have asked them to let us know once they have our statements ready to go so we can make sure that only the right statements are being sent. In the last 6 months we have been told once, (each month we ask and they tell us that they will do it next month, or they passed the info onto the team) In June they finally let us know... But in July again it was sent without letting us know, and once again we are dealing with upset patients who received statements. The issue goes even deeper than that. Kareo has been messing up on posting payments to our “at time of service” accounts. We have had to double check to make sure that things are being entered correctly, and yet some statements have gone out with payments due, that had been paid, but Kareo did not credit it correctly if at all. The other issue is the communication when letting us know that an MVA insurance is turned down. So that we can get the right information, instead they just let it go for 2 or more months before an internal follow up. That is another issue. There can be 2-4 months between follow up on some of our accounts. We have encountered stuff being sent to the wrong clearinghouse and they keep sending it only to find it being rejected. Rather than calling WA State LNI, or printing paper billing to send, they keep sending it and getting it denied... We only found this issue when we called WA state LNI to see why we had not been paid for a client, to find out that they had not received a bill. We then called Kareo and asked them and they let us know that the clearinghouse denied it repeatedly. I could keep going on with issues, but I think you get the idea. Because of their mistake, it has almost closed the doors of our practice. And I have not even started on the Credentialing issues we had with them doing it for us. It took us well over a year to get Medicare - and the only reason we got it is that we took over submitting the paperwork and such. They told us we where credentialed with LNI of WA and we were not. When we asked them to clean up the mess, they stopped talking to us. So we had to take over and get credentialing with multiple providers after paying them to do it for us.

Terrible, one year contract and rate is fair but it do even basic tasks, it will cost you so much time, they should pay you. Even my BBB complaint didn't really help.

One year contract with problems with billing, interface, inability to taylor to my needs, very time consuming (even dx on one pages does not transfer to billing, have to go back or forward numerous pages to see birthday, or to bill) -most horrible EMR workability I have every seen.

AND I am able to address patients who have issues because often times they leave private feedback instead of going through with a negative review.

Cons

Now that PatientPop has gotten large - I find the response time for from Support is much slower. I also dislike that you cannot trace reviews back to the patient.

I would prefer Kareo over other PM systems I have used in the past.

Pros

Set-up is very easy with Kareo, entering charges and posting payments comes as second nature. You have the ability to do things in an organized manner to streamline the workflows.

Cons

Making changes to already approved claims can be hard. It would be easy if the delete button actually works but half the time you click it with no results.

### "Not a good fit for mental health practice"

The forms aren't designed for mental health needs unless perhaps for psychiatry. Completing notes on the format was awkward.

Pros

I liked being able to create a claim on Kareo Clinical and submit it to Kareo Billing seamlessly, where I would review and approve it and submit the claim for payment. This worked the first few months until the two programs stopped communicating without my awareness. The program does a good job sending reminders to clients of scheduled appointments.

Cons

The program apparently stopped sending claims to Kareo Billing without my awareness for several months. After making multiple futile attempts for help through Customer Service, nearly 600 claims appeared in Kareo Billing on a single day in May, including every claim for services since the first week of February. I could not get paid for services completed in January, February or March under many insurance plans.

Kareo is; easy to use for individuals with little programming experience, all set with little preparation, great execution support, great client care, astounding layouts, structures and SALT Feature that cuts time and makes documentation a snap. The designing/show of EHR notes is coordinated and proficient. I love the amazing way I can choose what data to share and can undoubtedly do as such through the Care Coordination highlight choice in each note. I appreciate having all my clinical, charging, records, HIPAA supported/got Telehealth stage, Reputation Watch, client engagment, and much more...all from one seller! Finally, Kareo generally requests input on how they can improve and furthermore shows their worth to client care by giving brilliant correspondence, responsibility and see everything through to completion. Kareo offers an unrivaled stage and fair valuing. Enthusiastically suggested.

In my experience of over twenty years using various EHR software platforms, I and can honestly attest that Kareo is by far the most user friendly and comprehensive EHR I have encountered in my professional career. I plan to be a loyal customer for life, thank you, Kareo!

Pros

Kareo is; user-friendly for people with little software experience, ready to go with little training, excellent implementation support, good customer service, amazing templates, forms and SALT Feature that cuts time & makes documentation a snap. The formatting/presentation of EHR notes is organized & professional. I love how I can select what information to share and can easily do so through the Care Coordination feature option in each note. I enjoy having all my medical, billing, records, HIPAA approved/secured Telehealth platform, Reputation Watch, client engagment, and much more...all from one vendor! Lastly, Kareo always asks for feedback on how they can improve & additionally demonstrates their value to customer service by providing excellent communication, accountability & follow-through. Kareo offers a superior platform and fair pricing. Highly recommended.

### "Ok in the beginning, but disappointed "

It is user friendly and they really lock you in initially with there support staff and training. There pricing is decent, especially if you have a small practice.

Cons

I was extremely disappointed with Kareo following my "90 day onboarding." As soon as that time period ended, which was right before I opened my practice, they disappear. Initially, they are more then happy to set up meetings and help you thru any issues, but anyone who has ever started there own practice knows you don't really know the issues until you go live. Once we opened, I started having issues prescribing DME, therapy scripts, Imaging scripts, etc... I reached out to my implementation coordinator asking for a "15 min meeting" just to clear up some of my questions. I got a response that basically stated after my 90 days they cant do meetings because they are "too busy." really? My suggestion is that if you choose Kareo you better make sure you know the insides and out before your 90 days. If you have questions after that you will be referred to the help line, just so you all know I put a query in 5 days ago and have yet to receive any help. If you are a small practice that really relies on good customer support, don't listen to the talented sales people, they will leave you without answers and give you a list of videos to watch, because we all have time for that.

From Kareo: no significant benefit, mainly frustration. From your program to review Kareo: this was easy, helpful and productive. You know how to keep a person on-point.

Pros

Initially, the electronic software (EHR) was free, which allowed considerable forgiveness of the product. I initially appreciated the technical support from people who cared about their product and service. Unfortunately, the most common replies to questions from I.T. were apologies for not being able to provide what customers wanted and needed the most, see below.

Cons

1\. Creating progress notes frustrating. Must save notes before changing screens, otherwise all information LOST. No auto-save. Saving data prior to change in screen, must save and CLOSE the document. Multiple steps to re-open again. Always inefficient. 2. Doctorbase is an "answering device for providers" to provide caller's phone number. The glitch for NEW callers: NO NAME provided, no message recorded. 10-15 "unknown" callers by end of day: 1/2 -3/4 were salesmen or bankers wanting to give loans. 3. When I changed companies, unable to transfer data in bulk. Had to transfer every patient individually. Other companies ALL had ability for bulk transfer. Would have to transfer emails individually, all 15,000. 4. Limited & unsophisticated ability to create progress notes to limit key strokes. 5. Requesting program upgrades: infrequent, rarely helpful, never quick or responsive even for minor change requests. 6. Initial support staff NEVER heard from again. I had to sort out problems by trial and error . I had 10 years prior experience in sophisticated programs before this disaster. 7. This is only a few of the problems I had before leaving. 6 months later, I received a call from Kareo asking how I would like to improve my experience & upgrade the system. They apparently did not know I was long gone. 8. Working with pharmacies never smooth or easy. 9. Many more issues, unfortunately, that I have suppressed.

### "Easy to learn and use"

When we first went to Kareo, we were coming off a system that had brought us to our knees: nothing worked right, clients were frustrated and we had no faith in things reported in the system. Kareo changed all of that for us--we were able to have reports we could trust, true transparency for the clients, and so many functions we were able to do more efficiently.

Pros

We love that the software is intuitive, and we can teach a clinic how to use it (on a basic level) in about an hour. The reports are accurate and easy to use. We can set up favorite reports, and generally get help whenever we're "stuck"

Cons

Enrollments--getting providers enrolled properly and getting assistance with those enrollments. Also, we really dislike that they offshore their help desk. It's challenging to get someone who can help us when we get an offshore rep. We also wish there was a better defined collections procedure/status in the system which would help us better monitor what's gone to collection. We cannot bill UB04 charges for facilities out of Kareo.

### "Kareo - The most user friendly billing software I have encountered"

When I initially saw the layout of Kareo I love it. All of the tabs are clearly labeled and I was able to navigate the software without any training. However once we started posting and applying payments, it began to get tricky. Since we were new to the software Kareo supplied someone to come out and train our employees and his personal line so we were able to call him whenever we have questions. That was a great help. We also enjoyed their training videos supplied on Kareo university.

Pros

It is a clean looking software and is very quick. It is very quick and easy to input payments and make notes on the payments. It is also easy to look at the AR to see what was denied, pending, etc. Most of the denials also have codes that help us figure out why it has not been paid.

Cons

Some parts of the program are confusing and not intuitive. Applying payments seems like it is a more extensive process than it needs to be. Calling for customer service is also a pain because I am often on hold for a long time, at least 30 minutes, and the people I am calling often do not seem knowledgeable.

Reason for choosing Tebra

We needed a software that was quicker and easier to navigate. Our new employees had such a hard time learning our old software so we needed something more innovative.

I would not recommend at all to anyone. The team behind Kareo have zero knowledge of their own setup/software much less how clients use the platform.

I love Debra it’s very seamless smooth process use a friendly, and the learning modules are easy to follow in great. You can always go and review if you forgot something. I am a new business owner and this system has really made my life easy. Thank you, Tebra.

Pros

EMR and learning modules. Diet these modules will help guide you to any concerns or review that you may need to manage. This system is very user-friendly and the cost is great.

Cons

It took me a while to get used to the scheduling of new patients, but found several ways to do this and now I’m a pro

### "Stay away!"

I've managed several successful start ups. This is the worse company I've ever been associated with. A complete waste of time and money.

Pros

The sales rep was very nice but sold me on a company that was terrible

Cons

Everything else. It's a scam. They trap you into a 12 month contract - which would sound reasonable given the amount of work necessary to increase online visibility. After you realize that enough time has passed and the can't perform, when you try to terminate the contract, no one will help you. I've been trying to terminate for three months! This is not surprising because it has been virtually impossible to have anyone respond in a timely fashion to anything we requested. And when they did, it was incompetent. And this one-way communication starts all over again. They have wasted tens of thousands of our dollars and worse we have to start all over again from scratch as nothing they did was worth anything - website is garbage and outdated; social media is ridiculous, Google presence (which is supposed to be their strength) had no impact whatsoever after an entire year. Now they are trying to trap me into paying for another year. As a company, they are incompetent and morally bankrupt.
