Overall, it is very positive and easy to use. In my role as Executive Assistant, it has saved me a lot of time to focus more on other tasks because the repetitive tasks are already taken care of by When I Work. This tool has saved me from miscommunication and scheduling conflicts many times.

Pros

Since employees could clearly see their schedules in real time, the app helped reduce scheduling conflicts and miscommunication. It also saves a lot of back and forth with the employees compared to manual scheduling. It is also user-friendly.

Cons

The overall look could use a little updating to achieve a modern look, similar to the apps and tools we use today.

I love When I Work. I use it professionally as a scheduler of a Nursing team, as well as on the other side of the spectrum as a contractor with a marketing agency. I get to see the best of both worlds!

Pros

Value for Money: Unbeatable. It packs the features of five apps into one price point. Ease of Use: Very user-friendly! even my newest hires can coordinate it right off the bat! Time Tracking: Excellent native tracking with billable hours—no extra plugins needed. Team Collaboration: Top-tier. The Bottom Line: Best for teams that want to centralize everything and don't mind a few minutes of "learning the ropes."

Cons

I would like there to be a way to "not approve" requested hours in the "open shift requests". Currently, there is no way to remove them from there unless they are approved.

Not empressed with the platform and felt it was too much work compared to the implied benefits. Would not recommend.

Pros

Shared info with employees with ease, kept all staff aware of their scheduled work times and was easy to switch shifts if needed.

Cons

Cumbersome to use and takes too much time to get scheduled time set and set up was confusion central.

Works great I have no issues with this app my crew see the schedule as soon as I post it and the work chat gives us time to message for open shifts

Pros

The when I work app works great I like it because I can do my crew schedule anytime from home that way I don't have to go al the way to my store

Cons

Only this is like to leave nots in individual crew members schedule in stead of at the bottom this would b a great help

I am a "night nanny" that helps new families with their newborn. I take the night shift so they can sleep. I appreciate being able to track my hours and make sure I don't have any conflicts in my schedule. It also makes it easy to get paid by the Nanny Organization I work for.

Pros

As a user, I like how easy it is to see my schedule, track my hours and make sure I am getting paid correctly for each shift.

Cons

Occasionally, the app freezes and I have to restart. Sometimes, it isn't the best about sending notifications for changes in a shift or a switch in times needed.

I really liked When I work. You could sort by alpha and by shifts. Not to complicated to navigate.

Pros

It was easy to use and sorting shifts was easy to do. staff could be sorted by shift or alphabetical by last name.

Cons

often the drop shift/shift swap was confusing as to where they were located in the app. Especially if you didn't do it all the time.

I'm 30 days in using it and it only took about 3 days to get really used to it. Can't complain too muhc

Pros

Ease of use, team communication and time tracking (with the exception of lunch breaks not added in). I also like being able to color code it. Lastly, my employees requesting time off for entire or part time throughout the day is easy.

Cons

It doesn't factor in a lunch break. Most states require 30 minutes for more than 6 hours so just automatically factoring that in regardless if that actually clock out. 8 hours maybe 1 hour. Since that's normal. I don't schedule over 6 hours at this time so I haven't played with the lunch breaks. I'm sure it's simple to add just haven't looked into it.

Awesome! This is a fantastic and affordable scheduling and time-tracking tool for single and multiple location workplaces.

Pros

When I Work is a great tool for schedule creation and hour tracking. It also has a feature that allows staff who are working at off-site locations to clock in and out based on where they are physically located -- so a team member has to be at a certain location to report that they are starting work. It's also great for team members to be able to see their schedule in advance, and keeps a record of when they worked at their fingertips. Also, the pricing is AMAZING. You pay by the month based on the number of staff. It's super flexible up and down.

Cons

I do wish there were a way to tag some classes of employees as "must clock in/out" and others can be excused.

### "Student staff time challenge"

We do really like this system and it is steps above what we were using in the past. I feel that this has been a time saver that allows our management staff to be on the floor instead of tied to the office.

Pros

This has been a game changer when we schedule our 145 students staff. It is easy to change and drop shifts as well as follow absences.

Cons

It has some features we don't use that cause some confusion. We deal with a lot of international student staff that take a little more time learning to navigate the system.

Love it! We all grasped it fairly quickly as it is super easy to use. The cost fits right into anyone budget. Our staff can utilize it from anywhere!

Pros

When I work is so easy to use. Doing payroll and agents asking for time off is incredibly easy! Managing our agents and their absences is a breeze! Its user friendly and every can easily access it from their desk top or their phones!

Cons

Nothing! Truly the easiest and fastest time clock system there is! No messy reports and no long wait times for time off approvals

The one thing that I did like about it was how easy it was to actually access the software. Once you are in your in that software.

Cons

The one things I liked the least was how jumbled the actual schedule looked once I put all people and shifts in there.

Very easy implementing and also working with the system. The setup process was smooth and did not require much technical knowledge, which saved us a lot of time. The interface is clear, intuitive, and user-friendly. Our staff quickly learned how to use it without needing extensive training. It has improved our daily workflow and made several tasks more efficient. The system feels reliable and stable, and we have not experienced any major issues. Overall, it has been a very positive experience, and I would definitely recommend it to other companies looking for a simple and effective solution.

The app could be clearer to use, as the web page is much easier and more intuitive in use overall today!!!

I was introduced to When I Work five years ago and it has been a wonderful tool for all of my managers.

Pros

We are currently using the one I work program for all four of the hotels that I oversee. It is very easy to use and is the most effective way for us to communicate with our staff. We love that you can see if your employees have seen their schedule as well as verification of communication between team members in group chats. Staff members are able to ask for time off as well as switch shifts for clear documented communication to their managers. As a regional manager, I am able to oversee and coordinate schedules easily and remotely from anywhere in the world. This program saves us so much time and eliminates all confusion and questions that a staff member may have about their schedule.

Cons

We do not have any complaints or suggestions. The only issues we have ever found with. It is overall user error when staff members changed their email address or turn off their notifications and pretend to not know their schedule.

I had a good experience using When I Work due to the fact that it made scheduling easy and also employees ability to request time off and how easy it made it to create schedules for many different employees at one time.

Pros

Employee scheduling and communication were clear and easy to use at times. Had a good experience with onboarding employees.

Cons

I disliked that the GPS feature was not realtime data and found that the GPS features in general were not always accurate.

When I Work has made it easier for management to schedule employees, and for those employees to communicate their schedule needs, upcoming conflicts, etc.

Pros

When I Work is intuitive enough that everyone on our team, regardless of tech savvy or how they access it, can easily understand what there is to do.

Cons

Different users have reported running into different bugs. For instance, an overall weekly schedule displayed fine for one user, with the exception of one day (one where they were scheduled to work), where their app displayed "no shifts today".

Overall the good out weighed the bad exponentially

Pros

Ease of the app. Makes your work schedule a no brainer. You can do so much more than just see when you work like messaging co-workers, projected and total hours, exact amount of your pay check and the projected year, request time off or more time, it's like having your boss in your pocket at all times.

Cons

My company relied solely on the app. So if you had an issue all you could do is message your supervisor and coming from a background of human contact it made me feel uneasy never being able to actually talk to someone and left wondering if they got the message

I’m able to schedule a year in advance. I also like that. If someone requests time off, it’s automatically sent to the people available to pick up the shift.

Cons

The app is not as easy to customize the schedules as much as it is online. Which is not really that big of a deal, but when I was initially getting it set up. I did have a hard time doing it within the app

It’s been nice seeing our team collaborate and swap shifts without needing us in the middle and it’s assisted with ensuring proper hours for payroll

It’s easy to see and identify who is scheduled and when as well as tracking hours and managing employees.

Cons

The limited version only has a limited number of active users allowed. Also, it’s hard to see changes to schedules even when an accident is made.

Overall a very positive experience. Staff that helped us launch were very helpful. Most beneficial thing for me was getting my hands on it and trying it out for myself and then communicating with staff on how to use it. Easy to pick up once you spend some time in it.

Pros

Puts all staff in one place, ease of scheduling, very powerful tool. Love that I can interact with staff and provide information both through desktop and app

Cons

It's a little bit of a steep learning curve but I would expect that with any software. One thing I'd like to see was the ability to view two specific schedules together instead of just one at a time or one with all other shifts as well. Also looking for ability to remove some schedules from my view.

The customer service was amazing when i requested tutorials to provide my staff. They gave me video tutorials and links, their chat system isnt a Bot its a real person. They get back to you very fast. Very helpful. I also like the timesheet reports, i do my billing off it and my clients love the lack of micro management it offers

Cons

When i enter schedules 3 months out, i have to manually confirm each one to properly post them. Thats the most tedious thing, my "confirm all future shifts" button dosnt work

Helps send schedules quick, people see shifts right away. Time tracking is basic but works. Good for small teams.

Cons

Bit messy to use at first, layout not that clear. Sends too many alerts. Free version cuts too much.
