Pros For the cost and expense management, Coupa really does have great value for money spent. The security this software maintains has displayed little to none bugs and issues; especially with the expense management tools and reporting system used. We moved from a messy system of emails and spreadsheets, so having everything in one place is a huge relief. I finally know who is spending what before the bill actually arrives, which makes my job way easier. That said, getting there wasn't fun. The implementation took longer than we expected, and getting our non-techy staff to actually use it correctly was a struggle. It’s not something you "pick up" in an afternoon. But now that we are over the hump, I can’t imagine going back to the old way. It works, but you have to be patient with it. Pros The "Amazon-like" feel. For the average employee buying office supplies or laptops, it’s actually pretty easy. They search for what they need and click buy. It stops them from going rogue and buying stuff from random websites. The Mobile App, a lifesaver for expenses. Being able to snap a photo of a receipt at dinner and toss the paper away immediately is the best feature. Invoicing. I love that a vendor literally cannot get paid unless they have a matching PO. It forces everyone to follow the rules. Cons Suppliers complaints.The "Coupa Supplier Portal" is great for us, but annoying for them to log in just to submit an invoice. Switched from [SAP Ariba](https://www.capterra.com/p/227334/SAP-Ariba/) We had zero visibility into who was spending what. Poor when something is disrupted in the chain of events normal to humans in business. Pros In concept the program benefits many of the suppliers when the end users (customers) cannot process invoices correctly and efficiently. Cons Their customer service is generally poor due to the delays in response. They are not set up for immediate interactive engagement. In our enperience they were allowing unauthorized use of our account and they struggled trying to unravel how they had accidently allowed it to happen. I enjoyed totally. The way it integrates with everything even with AI Pros I used coupon, basically for invoice processing and expense management. It was really good the way it raises requisitions and create them into purchase orders having the approval for right, and it’s integration with that Netsuite was perfect. The platform is easy to use and will save you time on invoicing. They also have a variety of resources to learn more about the platform and tailor it to your needs. Cons The hardest aspect of Coupa is convincing my vendors to buy in to signing up for it. It is not a difficult process but can be daunting when the vendors are not familiar with Coupa. Pros Coupa is the greatest procurement solution I've seen so far. I like that it automatically links with numerous global sellers, ensuring flexible purchase order automation, invoice matching, and tracking. Simply enter into the sellers site to monitor the status of their purchase orders and invoices, and track their progress to final payment and customer receipt of monies. Coup also prepares new suppliers, so suppliers submit the necessary information for payment and integration into buyer systems. Coup has helped keep track of deals from start to finish by ensuring payment for sellers and meeting all delivery deadlines for both sides. Coup offers a fantastic user platform with a distinctive visual design and various filters to help you locate what you need quickly and effortlessly. Cons Not a lot of annoying things, you just need both sides of the transaction to be aware of how to download documents and work the platform as required, and this becomes easily possible with the completion of sufficient training on the correct use. I'm a writer and this feels like it was made for contractora. It's exceptionally clunky and difficult to use, and there seems to be no way to streamline it. It is honestly one of the many reasons I want to leave that client. It really wouldn't be so bad if they just labeled everything clearly, but I have to sit and hover over half of the menu icons to get the description to load so I have any idea what to do. Pros It creates invoices and P.O.s effectively Cons The interface is so counter intuitive and clunky. It has multiple stacks of coins with no descriptions on there, you have to choose an address even when you only have one address listed. I constantly fijd myself searching around just trying to figure out what to do even though I do thebsame thing on the software every time. It's constantly pushing you to upgrade to the paid version. Pros Being able to manage more than one vendor/customer within the system. Cons Not having a more updated Courier list for shipment tracking. We use TForce Freight and Old Dominion Freight frequently but they are not options on the drop down list. So, we get a lot of disputed invoices due to not having proof of delivery. From blank submissions being recieved which were completed at user end, to questionaires mysteriously triplicating questions. Pros Nothing, its the wort system i have ever used to date. Cons Doesnt work properly. Multiple errors mean it is impossible to oboard. Suppliers laos have to pay to get telephone support when errors occur. Cons It can be frustrating that the PO's need to be updated in order to process invoices. It is also frustrating that the system will not let you recall, void, or dispute an invoice that may have been uploaded incorrectly. Once you get the hang of it, it's really quite easy. And, once you do, your organization's work flow will be enhanced forever. The most amazing part is to be able to take immediate advantage of Coupa's incredible new features, such as iRequest. Coupa is not a static company, and they are constantly updating features. Coupa's team provides personalized service and lots of 'hand-holding'. They listen well to our needs. And, our students in need in the Washington, D.C. area are better served as a result Coupa has helped transformed us into a 21st century organization with streamlined operations that enable us to stretch our donor dollars and help more students in need. Pros Neediest Kids is a nonprofit organization that works with 8 area school systems in the Greater Washington, D.C. area. We provide emergency funds to these school systems to purchase the basics - new clothes, school supplies, medical or dental care, eye exams and glasses, and more - so students (K-12) can stay in school and thrive. Coupa's system has moved Neediest Kids from a traditional paper-based system of authorizations and receipts with school professionals spending their own time to shop for items for their students in need. We operate now through a web-based process of issuing POs that go directly to vendors with products shipped directly to school professionals. Thus, we have efficient purchasing, streamlined requests to vendors, real-time product and budget tracking, invoice reconciliation, and more. It's fast...it's internet fast! Cons There are always a few tweaks that could happen here and there, but we get 95% of what we need! There is minimal training needed and fields are very clear. The computer based login ties into the mobile receipt capture with no issues and corporate card transactions prepopulate expense reports. Cons There is no way to decline an individual piece of the expense report. The expectation for the user to understand the full reimbursement policy of the company may be to high. There is no built in calculation to reduce a reimbursement by type selected.
