Cons you can't have more than one window open at a time. very annoying especially when trying to see assets while also attempting to print asset labels for them. Not sure if we'll be keeping it long-term as it's expensive and I think there is room for improvement. Pros I like that it has strong integration with Intune and Entra ID. I also like the automated processes for assigning assets to users based on Intune. Cons Lack of customization. For example, when we term an employee, it would be nice if Reftab could automatically assign their assets to a "returning to stock" status automatically. Furthermore, some of the built in templates and asset fields we don't use but we can't remove them. Its pricing model is also a bit expensive. For offboarding, we can automatically flip assets to a “Returning to Stock” status when a user is terminated or moved into an offboarding group. The same workflow can notify IT, and even create a pickup task so nothing slips through. On customization, you can hide fields you don’t use, reorder sections, and build your own templates and categories so the screens match your process. If anything feels locked down, it’s usually just a setting we can adjust quickly. Also really liked the way things are named, and you are able to know what you are searching for just from looking at the tab names Cons It seems that some of the API pulls don't actually get all the data from the place connected, not sure why, but it means that there is some random people that I have end up adding. Custom device information is a large bonus. Device history is also a plus so you can see how equipment was handled prior to being lent out the latest time. Cons Certain user screens are difficult to navigate as they do not direct you to anywhere. An example of this is when you go to Loanees and click on a user and can see their loan history, but you cannot directly click on any item. The platform is easy to navigate and most of it is self explanatory. I would definitely recommend to anyone looking for a system which can create QR or bar codes for all their assets and for assigning assets either in bulk or singly, this is the app for you. Pros I have been using RefTab for a few years now but haven't really used it to its full capacity. It does a lot more than I gave it credit for. I like that it keeps track of all our assets and we know exactly where they are and where they have been. I also like that it can send emails on your behalf to the loanees (a feature I have only just worked out with the help of a very informative and knowledgable member of their team (\[sensitive content hidden\], thank you for your patience and clear instructions). Behind an apparent simplicity is hidden some really powerful features that can help with reducing day-to-day operations by automating many tasks. Pros Reftab offers some powerful integrations with widely used tools and, when coupled with their Automated Workflows feature, it creates some excellent synergies. The UI is clean and easy to use for the most part (There are some confusing things here and there but nothing serious). It also looks like the product is evolving quite quickly to follow the additions made by third-party (Like the recent Apple Business Manager integration) Cons The UI lacks some way to personalize how an asset's page is displayed. All custom fields are packed with each others without a way to sort them into different sections for example. That would be my main pain point. We really like the Dell Sync with Reftab as it allows us the see purchase date and warranty expiration of our laptops and desktops Pros Ability to add and manage software license and hardware accessories like laptops, desktops, etc. Cons Haven't seen the feature to be notified multiple times when a license is expiring. Currently, we are only notified once when it reaches the 30, 45, 90, etc. days before expiration. This should be a standard in software/hardware inventory management and not a feature. Its a great product and simplified our way of tracking University assets. We moved from a different vender which was becoming too costly for us to maintain so migrated to Reftab. The onboarding of Reftab was excellent and we have built a great relationships with the project and support team members at Reftab. We were well supported throughout with regular catch ups and support for the development team. Compared to our previous product we have also reduces our internal support tickets to our Application team by more than 50%. in the last year we have had 30 tickets raised to the central teams which have all been minor issues like user error or training. Our previous product for the 8 month in 2024 had 71 ticket. From a centralised management point of view we are very impressed by the service and support received and our technicians within the campuses have all found RefTab to be a far better product than our previous application. Pros The features on Reftab have supported us so well over the last year. Some of the many features we like are: Tenants: which allows us to have our Campuses under separate tenants and support us with different opening times, time zones and different ways of working we have across the University API design: we rely heavily on the API to integrate booking information with our timetabling platform. We have had a very positive experience using the API and its supporting documentation UI: Having customisable portal for our users really helps with our multiple brands and the staff view is well designed and easy to navigate. User provisioning: We are able to configure this all via the UI which makes the set up and maintenance much more efficient compared to our last vender. Cons I don't think there are any Cons, any gaps that have been identified have been quickly resolved and Reftab have been very reactive to include enhancements that support not only us but their other customers. Lightning fast responses and willingness to implement fixes for our edge use cases among other great support has earned our loyalty! Cons Reftab is geared toward assets that will be checked in/out while we use it as a way to manage customer assets that we've deployed in a permanent fashion so there have been some workarounds that we've had to implement, but the software tracking that's included more than makes up for any slight inconvenience. I find it easy to use and run reports. They are always developing and trying to improve. We don't use it to its full potential yet but I am confident that in the future we will. Pros We are a cleaning company, we use Reftab to track our vacuums, mop poles, caddies, etc. Lots of low cost items, but hard to keep track of. Easy to leave at jobsites. This has been huge in keeping our assets. WE have seen a savings from not having to rebuy lost items. The software is comprehensive enough we also use it to provide asset lists for taxes as well. The software can track your item locations, you can add picture of the items, the cost and date of purchase as well as track how long you had it till it was disposed off. The reports let you know who and how many times the item has been checked out. Cons The two issues we had with the software was the inability to change asset numbers and the printing of tags was complicated system. Both of these have been upgraded making the software even easier to use. Reason for choosing Reftab We looked at many asset management systems, including having one custom built for us. Reftab was a gem of a find. The price point was very doable, especially for us we have very low cost items we are tracking, we just have a lot of them. It was simple to use, straightforward layout. We have adapted multiple processes to fit Reftab. It has become one of the most important tools I use. Pros Easy to use, customisable, we dont require all features but they available when we do. They are super responsive to handle queries. Cons I cant fault it for what our needs are- queries are sorted promptly. Reason for choosing Reftab it was a long time ago however i recall other products being too convoluted at the time. we really needed essentially a user friendly database we could grow into in our own time.
